1 Toastmasters Leadership Institute Winter 2017 Janice Strachan, DTM Club Sergeant-at-Arms Training Four Toastmasters Training Modules are relevant to your role as a club officer, specifically as the Club Sergeant-at-Arms. You may download the full text of these modules from 1. Achieving Success as a Club Officer : Sergeant-at-Arms - Explains the typical duties that a Club Sergeant-at-Arms performs. 2. Charting a Course for Club Success - Explains the Distinguished Club Program and the Club Success Plan 3. Motivating Achievement - Familiarizes you with the Educational and Leadership opportunities available through Toastmasters 4. Attracting New Members to Your Club - teaches club officers how to build membership in their clubs SERGEANT-AT-ARMS STANDARDS Outside the Club Meeting 1. Attend district-sponsored club officer training 2. Schedule the meeting location 3. Maintain club equipment 4. Ensure adequate supplies are always available 5. Attend executive committee meetings 6. Arrange for a replacement when unable to attend a meeting and for assistance if necessary 7. Prepare successor for office At the Club Meeting 1. Prepares room at least 10 minutes before the meeting begins 2. Welcomes visitors and fellow members to each meeting 3. Greets the area governor and other visiting officers and escort them to the club president 4. Arranges for food service at meal meetings 5. Ensures the meeting starts on time. Notify the club president several minutes before the meeting is scheduled to begin 6. One semi and one officer list submitted on time Membership Requirement At year-end a Club must have - at least 20 members, OR - net growth of at least five new members Recognition Clubs that meet the membership requirement and do the following earn recognition: Achieve 5 of 10 goals Distinguished Club Achieve 7 of 10 goals Select Distinguished Club Achieve 9 of 10 goals President s Distinguished Club Why Earn a CC? Why get more than one CC? Increases self-confidence and poise Builds speaking skills Opens up opportunities Communication Track Awards Advanced Toastmaster Bronze Advanced Toastmaster Silver Advanced Toastmaster Gold Leadership Track Awards Competent Leader Advanced Leader

5 SERGEANT AT ARMS The Sergeant at Arms sets up the meeting room, greets guests, and opens the meeting. Here is a sample script for opening the Toastmasters meeting. [Step confidently to the lectern at the front of the room. Smile, look at the audience, rap the gavel twice to get everyone s attention, then proclaim:] Good afternoon [morning, evening], fellow Toastmasters and distinguished guests. [Place the gavel on the lectern.] Welcome to Tech Park Toastmasters number forty-six sixty-seven, for our usual meeting in our usual spot. [If this is a speech contest or other special meeting, say that instead of usual meeting.] [If the meeting is being held in a different location, omit in our usual spot. ] I am, the Sergeant at Arms for the club. Please help me welcome the Toastmaster of the Day,. [lead the applause; shake hands with the Toastmaster, and take a seat.] [This format assumes that the Toastmaster of the Day conducts the meeting. The business portion, if any, be at the end of the meeting and will be run either by the Toastmaster of the Day or the President as the club decides. Some clubs have the Toastmaster of the Day run the business meeting to gain additional experience.] FROM: Chose Meetings. Then choose Sergeant at Arms Script for opening a meeting

6 Sergeant-at-Arms Script To open a meeting: Check with the person you will introduce (Club President or Toastmaster of the Day) to see if (s)he is ready.) Bang the gavel twice on the lectern and, in a confident friendly manner, say: Fellow Toastmasters and honored guests, I call the meeting of Toastmasters Club, Number, to order. Before we proceed with the meeting, please turn off your cell phones, or set them on silent mode. (pause a while so everyone has time to do this) Thank you. The mission of a Toastmasters club is to provide a supportive and positive learning experience in which members are empowered to develop communication and leadership skills, resulting in greater self-confidence and personal growth. To conduct our business meeting, please help me welcome our Club President. (Start to clap; shake the hand of the Club President as he/she approaches the lectern; as you leave the lectern, walk behind the Club President; take your seat.) Remember: You help establish the mood for the meeting. So be as enthusiastic and welcoming as possible, both as you welcome guests, and as you call the meeting to order.
