8 Enterprise Content Management Tickets, Invoices, & Statements Solution minimizes the amount of paper that companies generate and store with each delivery. Producers generate multiple copies of the same document each time a truck leaves the plant or quarry. With our ECM solution you can capture an electronic copy of the ticket at the same time that it is being sent to the printer. This electronic copy is automatically routed to a workflow process where it waits to be matched against a signed and scanned ticket that the driver brings back at the end of the day. This process quickly identifies missing tickets and alerts the plant supervisor or billing clerk. ABC This information is accessible online to authorized employees from billing clerks to company management. Customer requests are easily handled by immediately accessing information online and sending requested documents via or fax, all while talking on the phone. The Document Distribution module allows invoices and statements to be ed or faxed automatically to customers based upon their preference. If a customer chooses not to participate in this delivery method, the document will be printed for mailing as usual. Since the initialization of OnBase within our firm, our company has improved its customer support with the immediate access to invoices and delivery tickets, and with the capability of daily ing of invoices. 9 Enterprise Content Management Accounts Payable Solution minimizes the manual tasks associated with matching material receipts with invoices, shortening the amount of time required to process invoices. Typically, receipts are delivered to AP Clerks on a daily basis and then sorted by supplier. AP clerks must then take the material receipts for their accounts and manually match them against a supplier invoice. This manual process of "checking off" multiple material receipts against one supplier invoice is monotonous and prone to user error. Enterprise Content Management Using the Command Alkon AP solution, companies simply drop all of their invoices and material receipts into the scanner and then let the advanced capture software automatically extract the important data. The scanned images and associated data are passed to the OnBase Workflow, where preconfigured Rules and Actions automatically match material receipts to invoices, prompt users for GL codes and route specific documents to the AP clerk that handles those accounts. The small number of documents that can't be automatically classified are routed to an exception queue for manual processing.
