The Erasmus+ programme is for bachelor/master students who follow part of their study, research or a internship in a European country at a partner university, business or organisation. Click here to see the list of participating countries European Charter for Higher Education (ECHE) The European Charter for Higher Education (ECHE) provides the general framework for European cooperation activities a higher education institution (HEI) may carry out within the Erasmus+ programme. 2 General conditions For this application round, the Erasmus+ period has to start between 1 June 2015 and 31 May During your stay abroad you must be enrolled at Design Academy Eindhoven in the bachelor study programme (via Studielink) and pay the tuition fee to Design Academy Eindhoven. The study and/or internship is a fully recognised part of your diploma/degree. You must carry out your Erasmus+ study or internship in a programme country different from the country of residence or The Netherlands (please see the list of participating countries above). Erasmus+ internship students who will spend the Erasmus+ period in their country of origin will be given the lowest priority. An additional letter of motivation needs to be sent with your application form. In case of mobility for studies you must be enrolled at least in the second year of your studies. For internships this condition does not apply. The study period lasts a minimum of three and a maximum of twelve months. The internship period lasts a minimum of two and a maximum of twelve months (one company!). You may apply for an Erasmus+ grant totalling up to twelve months maximum per each cycle of study (BA/MA). Because of the limited Erasmus+ budget for Studies and Internships , Design Academy Eindhoven will pay a maximum of 5 months (150 days). If relevant you will receive a zero-grant status (zie paragraph below) for the remaining days. It is not yet known wat the limitation for will be. In view of the limited budget, the Erasmus+ grants for study will be given out on a first-come, first-serve basis; first meaning first application fully accepted by a partner school, including the settlement of a bilateral agreement. A combination of studies and internships is possible, please contact yolande.hezemans@designacademy.nl for more information. In case of mobility for studies a bilateral agreement between the two institutions must have been reached before the exchange takes place. For internships this condition does not apply. You are obliged to take an online language test via OLS before and at the end of your mobility (for more details about the online language assessment, please see below). All the required documents must be received by the International Desk within the timelines given (please see application procedure below, for all the relevant documents and deadlines). No claim can be made on the grant if you fail to submit any of the required documents within the timelines given. Please note that failing to submit any of the required documents within the timelines given, could lead to the decision that will not receive an Erasmus+ grant or that you have to pay back the total amount Erasmus+ grant. Requirements and ruling concerning internship scholarships via Erasmus plus are all handled by the Reconfirm Office of TU/e; check for further info. For internship take this into account: Apply for a grant before you start your internship. Prior to your internship there are several affairs that need to be arranged. Not complying with this may result in a lower, or a cancelled grant. So start in due time with your application. If you have any questions, contact reconfirm@tue.nl.

3 How much? The amount of the Eramus+ Grant for studies depends on the country of your host institution/enterprise (below are the amount per month per group, for 2015/2016; adjustment to the amounts may apply for 2016/2017). The countries that participate in the Erasmus+ programme are divided into three groups: Group 1: Studies: 270 per month, Internships: 390 per month Austria, Denmark, Finland, France, Ireland, Italy, Liechtenstein, Norway, Sweden, United Kingdom. Group 2: Studies: 210 per month, Internships: 330 per month Belgium, Croatia, Czech Republic, Cyprus, Germany, Greece, Iceland, Luxembourg, Portugal, Slovenia, Spain, Turkey. Group 3: Studies: 150 per month, Internships: 270 per month Bulgaria, Estonia, Hungary, Latvia, Lithuania, Malta, Poland, Romania, Slovakia, Republic of Macedonia. Please note that a calculation will be made on the basis of one month is the equivalent of 30 days (max. 5 months will be granted). Special needs support If you have a disability and you are eligible for an Erasmus+ grant for studies or internships you may be eligible for an additional subsidy. The request for financial support must be motivated in the application. Please submit the following documents along with your Erasmus+ study or placement application: 1. A description of the nature of your disability/personal situation and the extra facilities required as a result (for example housing, (study) guidance, transport, study or educational materials); 2. A doctor's statement and an additional explanatory statement from your coordinator and/or mentor; 3. A detailed estimate of expenses required for the additional facilities mentioned above, with the exception of those covered by other sources of funding; 4. A detailed overview of funding received from other sources, for example insurances or grants, with a description of the facilities covered by this funding (if applicable). An explanation should be given of why this funding is not available to you during your stay abroad; 5. Correspondence demonstrating that the host institution is aware that you will come and is capable and willing to provide or arrange the extra facilities you require. Please bear in mind that approval is necessary from the National Agency EP-Nuffic; this may take additional time for the application process. For more information about studying with a disability please visit the following websites: The European Disability Forum The European Agency for Special Needs and Inclusive Education Expertisecentrum handicap + studie (in Dutch) Zero-grant status Students with a zero-grant status are students who meet all the Erasmus+ conditions and participate in Erasmus+, but without actually receiving an Erasmus+ grant. For example in the situation where the budget for

4 an academic year has been allocated. All the rules that apply to Erasmus+ students with a grant (such as nonpayment of tuition fees to the host institution) also apply to zero-grant students. The same obligations regarding handing in all the relevant Erasmus+ documents within the timelines given, apply to zero-grant students. If the Nuffic decides to make more resources available, the zero-grant students will receive a grant. This will be done on a first-come, first-serve basis. Application Procedure for Studies for Studies (for internships, check Step 1 Fill in and submit the online Erasmus+ grant for studies application form : Erasmus+ grant for STUDIES application form (for a study abroad period that starts between 1 June 2015 and 31 May 2016). The application form must be submitted at least three months prior to the start of your Erasmus+ period, but after you have had your intake at the international desk (mostly at the start of the semester before the Erasmus+ period starts (in order to meet this deadline, please note that you can apply for the Erasmus+ grant even if your stay abroad has not been approved yet). Please print a copy of the online application form here below and fill it out. Continue with step 2 and 3. Step 2 Sign the printed application form and get a signature from the coordinator of your department. Step 3 Send the signed and scanned Erasmus+ grant application form at least three months prior to the start of your Erasmus+ period abroad to: yolande.hezemans@designacademy.nl Please make sure that all fields of the application are filled in before you send it and please send the different pages of the application form in one document. Before you send the form, please save a copy for your own records. Step 4 Once you are accepted and are granted an Erasmus+ scholarship, you will have to take the online language assessment. You will receive an invitation for this by . The online language assessment will take approximately 45 minutes. Please note that taking the online language assessment is compulsory in order to get an Erasmus+ grant (for more information about the online language assessment, please see below). Step 5 (before the period abroad) Fill in Annex 2: the Learning agreement for studies or internships - before mobility (this document can be found below, under relevant documents) and send it at least two weeks before the start of your Erasmus+ period to: yolande.hezemans@designacademy.nl Please note that the Learning Agreement is a different form than the application form. Make sure that all fields of the Learning Agreement are filled in before you send it and please send the different pages of the Learning Agreement all in one document.

5 Step 6 (before the period abroad) If you are awarded an Erasmus+ grant, you will receive a decision letter, an agreement for exchange and a set of Erasmus+ documents. Please read the decision letter very carefully and the deadlines given for submitting the attached documents. Step 7 (before the period abroad) Return Annex 1: the Grant agreement for Erasmus+ studies and/or internships, one of the documents that was sent to you with the decision letter, at least two weeks before the start of your Erasmus+ period to: yolande.hezemans@designacademy.nl. Please note that this is another document than the Learning Agreement. Please note that the Erasmus+ grant will only be transferred to the relevant bank account after the International Desk has received all the above mentioned documents, filled in completely and with all the relevant signatures: 1. The right online application form 2. The signed version of the application form 3. Annex 1: the Learning agreement for studies or internships - the part for before mobility 4. Annex 2: the Grant agreement for Erasmus+ studies and/or internships 5. and you have taken the online language assesment Step 8 (during your period abroad) If relevant, return Annex 2: changes to the original Learning agreement for studies or internships - during the mobility. For studies the deadline is within four to seven weeks after the start of the Erasmus+ period. Step 9 (at the end of your period abroad) Take the second online language assessment for which you will receive an invitation, approximately 10 days before the end of your period abroad. Taking the online language assessment will take approximately 45 minutes. Please note that taking the online language assessment is compulsory in order to get the Erasmus+ grant (for more information about the online language assessment, please see below). Step 10 (after your period abroad) Within five weeks after the end of the Erasmus period you must send: For studies: 1) Statement of host institution (page 6 of Annex 2, the Learning Agreement for studies - section to be completed after your mobility 1). 2) Transcript of records. This is a grades list from host institution that will be sent to you by the host institution approximately one month after completion of the study programme. Please check page 6 of the attached Learning agreement to see if the Transcript of records meets all the prescribed criteria.

6 3) Participants report (you will receive an automatic request to provide feedback after your mobility) Relevant documents The Erasmus+ grant for STUDIES application form (the link to the application form can be found under Step 1 of the application procedure). You must send in the application form at least two months befor the start of your Erasmus+ period. The Online Language Support assessment. You will receive an invitation for this assessment once your online application form and signed application form are successfully sent to the International Desk. You have to take an assessment before your Erasmus+ period and at the end of your Erasmus+ period. After the invitation you have two weeks to take the assessment. Annex 1: Grant agreement for Erasmus+ studies and/or internships (this document will be sent to you with the decision letter). Annex 2: Learning agreement for STUDIES (will follow soon) (Word) consists of a couple of sections: - The section for before mobility (page 1-3) must be submitted at least two weeks before start of the Erasmus+ period. - The section for during the mobility (page 4-5) must be submitted if any changes occur to the original Learning Agreement within four to seven weeks after the start of the Erasmus+ period. - The section to be completed after mobility (page 6) must be submitted within five weeks after the end of the Erasmus period. The transcript of records (for Study only). This is a grades list from host institution that will be sent to you by the host institution approximately one month after completion of the study programme. Please check page 7 of the Learning Agreement if the Transcript of records meets all the prescribed criteria. Annex 3: Erasmus+ General conditions (will follow soon) Annex 4: Erasmus+ student charter (will follow soon) Participants report (you will receive an automatic request to provide feedback after your mobility) Online Language Support You are obliged to take an online language assessment before and at the end of your mobility. Once you successfully submitted the online application form and the International Desk has also received the signed version of your application form within the deadlines given, you will receive an invitation for the assessment via . You have two weeks to take this language assessment. The language assessments will approximately take 45 minutes. After you have completed your language assessment, you will also be invited to participate in an online language course to improve your linguistic competences. Please note that taking the language assessment is compulsory, but the online language course is optional. The invitation for the second test will be send to you approximately 10 days before the end of your mobility. Please note that the outcome of the online language assessments will only be communicated to the student and the home institution (Design Academy Eindhoven), not to the host institution. The aim of the language

7 assessment is to measure the linguistic competences of students who go on exchange within the Erasmus+ programme. The outcome of the tests will not be used as an exam for your exchange, but it is compulsory to take both tests in order to get or keep your Erasmus+ status. This means that if you fail to take the tests within the timelines given, your grant will be withdrawn. Dutch tax authorities Design Academy Eindhoven is required to declare the scholarship you have been awarded to the Dutch tax authorities. Your scholarship is a single award intended for the sole purpose of funding your studies abroad. DAE cannot be held responsible for any consequences resulting from this tax declaration. You are advised to contact the Dutch tax authorities for more information on this matter.
