3 Introduction and Overview Welcome to Teachucomp, Inc. s course. This class introduces the student to Microsoft Outlook, one of the most popular scheduling/ programs available today. This class is designed to give the student knowledge of the ing and scheduling capabilities of the Outlook program. Outlook is a terrific program to learn, as the skills that we learn in Outlook can save valuable time and money by automating, organizing and structuring the scheduling and management capabilities of your company. With Outlook you can track appointments, schedule meetings, organize notes, and send and receive electronic mail. It is a desktop information management system that helps you organize and share information on your desktop and communicate with others. 3

6 Getting Acquainted with Outlook 1.1- The Outlook Environment: Welcome to the Outlook environment. The layout of the elements within the Outlook program has been streamlined and simplified so that the program will be intuitive and easy to use whether you are new to Outlook or simply upgrading from a previous version. Outlook incorporates an easy-to-use Ribbon at the top of the application environment that allows you to perform the tasks within the various sections of the program. The first step in learning how to use Outlook is to familiarize yourself with the names, locations, and functions of the elements that appear within the Outlook screen. The lessons within this chapter will describe these elements so that you can acquaint yourself with the Outlook environment. 7 Getting Acquainted with Outlook 1.2- The Title Bar: The Title Bar is the bar that runs across the very top of the screen. The Quick Access Toolbar appears at the far left end of the Title Bar. By default, you will find two buttons shown here: Send and Receive All and Undo. You can add and remove buttons to customize the appearance of the Quick Access Toolbar, which we will examine in a separate lesson within this chapter. In the middle of the Title Bar is the name of the folder that you are currently viewing within Outlook, as well as the name of the account that you are using. At the far right end of the Title Bar is another button group. It contains the buttons: Ribbon Display Options, Minimize, Maximize/Restore Down, and Close. These commands affect the display of the Outlook application window. Clicking the Ribbon Display Options button will show you options for changing the display of the Ribbon in a drop-down menu. You can click on the choice of Ribbon display that you prefer within this drop-down menu to set the appearance of the Ribbon within Outlook. Clicking the Minimize button will send the application window down to the Windows Taskbar, where you can view it later by clicking on its entry in the Windows Taskbar. The next button is a toggle button that toggles between two window modes: Maximize and Restore Down. Clicking the Maximize button will enlarge your application window to full-screen size. The button then toggles its name to Restore Down. Clicking the Restore Down button gives you a smaller screen version that remains visible on your desktop. You can move and resize the window in this mode. Finally, you can click the Close button to exit the Outlook application window and close the program The Ribbon: The Ribbon is used to perform tasks on the items and folders within all areas of the Outlook program. The Ribbon is divided into named tabs of command button groups. You can click on a tab name to see the command button groups that are available within that tab. Within each command button group are the buttons, drop-downs, spinner boxes, and other selection items that you use to perform tasks. Also note that to access more advanced options within select button groups, you can often click the Dialog Box launcher button that appears in the lower right corner of many command groups on the currently displayed, or active, tab within the Ribbon in order to open a dialog box of options that are available for the button group. In addition to the primary tabs available for you to use, you will also see special contextual tabs that will appear within the Ribbon when you have a particular type of object selected within an Outlook item. You will see contextual tabs appear, for example, when you have either a picture, table, diagram, drawing, or chart selected within a mail message. The tabs and command button groups that then appear within the contextual tabs will contain functions directly related to the type of object selected. You can often make the contextual tabs disappear by clicking away from the selected object within the item window to deselect it. For selected attachments, you can often click the Back to message link to make the contextual tabs disappear and deselect the selected attachment, too. 7

8 Getting Acquainted with Outlook 1.4- The Quick Access Toolbar: You will see the Quick Access toolbar above the Ribbon, by default. You can easily add buttons to this toolbar for the functions that you use most. One way to add a button to the Quick Access toolbar is to right-click on any command button or function within the Ribbon that you want to add, and then choose the Add to Quick Access Toolbar command. The function will then be added to the Quick Access toolbar. You can easily remove a button that you have added to the Quick Access toolbar by right-clicking on the button that you wish to remove, and then choosing the Remove from Quick Access Toolbar command. Also, note that you can more thoroughly customize the Quick Access toolbar by clicking the Customize Quick Access Toolbar button, and then choosing the More Commands command. In the window that appears, you can then customize the Quick Access Toolbar. At the right side of the panel are two sets of command button listings. The listing at the far right of the panel is the set of button commands that are currently shown in the Quick Access toolbar. The order in which the commands appear in this list from top to bottom is the order in which they will display from left to right within the Quick Access toolbar. To the left of this panel is a listing of commands that you can add to the Quick Access toolbar. You can select which functions are shown in this list by selecting a command grouping to display from the Choose commands from: drop-down that is located above the list. To add a command to the Quick Access toolbar from this list, click on the command that you wish to add from the choices available in the left list. Then click the Add>> button to move the selected command into the Quick Access toolbar list to the right. You can remove a command from the Quick Access toolbar list at the right by clicking on it to select it, first. Then just click the Remove button to remove it from the list. In addition, you can change the order in which the buttons appear in the Quick Access toolbar by selecting a command in the list and then clicking the Up or Down arrow buttons to the right of this list. When you have finished customizing the content of the Quick Access Toolbar, click the OK button in the lower right corner of the window to save and apply your changes Touch Mode: Due to the increased use of tablets, touchscreen computers and smartphones, Outlook was redesigned for 2013 with a new mode to allow for easier access to the buttons and other commands within the Ribbon and Quick Access toolbar. This is called Touch mode. When you enter touch mode within the Outlook interface, the Ribbon and Quick Access toolbar are enlarged and extra space is added around the buttons and commands within the Ribbon and Quick Access toolbar so that you can more easily access them on your touch-based device. To enable touch mode within Outlook, click the small drop-down arrow at the right end of the Quick Access toolbar to display a listing of the most commonly used commands. Then click or tap the Touch/Mouse Mode command in the drop-down menu to add that button to the Quick Access toolbar. You can then enable or disable touch mode in Outlook by clicking or tapping the Touch/Mouse Mode button within the Quick Access toolbar. From the drop-down menu, select the mode you prefer to use: Mouse or Touch. When Touch mode is enabled the buttons within the Ribbon and Quick Access toolbar will appear larger and with more space surrounding them onscreen. You can select the Mouse choice to toggle touch mode off, restoring the default size of the buttons onscreen. 8

9 Getting Acquainted with Outlook 1.6- The Navigation Bar, Folder Pane, Reading Pane, and To-Do Bar: In Outlook, you can navigate to the folders in your account and display their contents using the Navigation Bar. The Navigation Bar was called the Navigation Pane in older versions of Outlook. The Navigation Bar appears at the bottom of the Outlook window and displays the categories of Outlook items, such as Mail, Calendar and People, for example. When you click on a category button, the items within that category will then display in the Folder Pane at the far left side of the Outlook window. You can change the layout of items within the Navigation Bar by selecting the Options command from the Folder Pane drop-down button s menu of commands in the View tab of the Ribbon. You can then set the layout of the categories within the Navigation Bar in the Navigation Options dialog box that appears. The default setting for the Navigation Bar is for it to be displayed as compact and contained at the bottom of the Folder Pane. To allow the Navigation Bar to span the bottom of the Outlook window, uncheck the Compact Navigation checkbox. Set the Maximum number of visible items: using the spinner arrows in the box. The Maximum number of items that can be displayed in the Navigation Bar is eight (8). To change the order the items are displayed in, select an item and use the Move Up or Move Down buttons. Click the OK button to apply any changes when you are finished. You can also access the Navigation Options dialog box by clicking the More dots in the Navigation Bar and clicking Navigation Options The Navigation Bar is broken into separate sections. You can click the name of one of these sections to view the Outlook folders displayed within that section in the Folder Pane. For example, if you click the Mail heading, you will see your Inbox mail folder and other mail folders. If you click on a folder displayed in the Folder Pane, the contents of that folder will then be displayed to the right in the Inbox pane. For example, clicking the Inbox folder will display a listing of the you have received. You can then access the contents of the folder in the Inbox pane. To adjust the view of the Folder Pane, click the View tab in the Ribbon and then click the Folder Pane button within the Layout button group. You can set the Folder Pane to be displayed as Normal, Minimized or Off. You can also control whether your Favorites are displayed by checking or unchecking Favorites. If you select one of the Mail folders, you also will have access to the Reading Pane. This pane displays the contents of the currently selected mail message in a pane to the far right. You can set the display of the Reading Pane by clicking the View tab in the Ribbon, and then clicking the Reading Pane drop-down button in the Layout group. To adjust the settings for the Reading Pane, click the Options choice in the Reading Pane drop-down button. Use the checkboxes in the Reading Pane dialog box to adjust how items are marked as read, turn on Single key reading using space bar and Turn on automatic full-screen reading in portrait orientations. At the right side of the Outlook window is where the To-Do Bar will be displayed. This bar does not appear by default in Outlook. The To-Do bar shows your calendar, as well as any upcoming appointments and tasks. You can set the display of the To-Do Bar by clicking the View tab in the Ribbon, and then clicking the To-Do Bar button in the Layout group. You can then set the display options that you prefer in the menu of choices that appears. 9

10 Getting Acquainted with Outlook 1.7- What s New in Outlook 2016: New for Outlook 2016 is the Tell me bar, located to the right of the last tab in the Ribbon. Enter what you want to do in the Tell me bar to see relevant commands, command locations, suggestions and Recently Used commands. This new addition makes Outlook an even more useful and efficient application. The Tell me bar can help you find the things you need to do quickly without having to dig through menus to find the command you want. You can also access the Help and Smart Lookup functions through the Tell me bar. Clicking Get Help on will open the Help menu and list the available information in regards to your search terms. Clicking Smart Lookup on will open the Insights pane on the right side of the screen. These options appear after you enter a search term(s) in the Tell me bar. Another new feature for 2016 is Smart Lookup and the Insights pane. The Smart Lookup feature is an internal search tool that connects to the power of Microsoft s Bing online search engine. Smart Lookup can be accessed by typing a search term into the Tell me bar or selecting a word or phrase and right-clicking on it and choosing Smart Lookup from the popup menu. The Insights pane will open on the right side of the screen. The Insights pane will display an Explore and a Define section. The Explore section will display web links and articles that pertain to the word or phrase you selected. The Define section will contain definitions, antonyms, synonyms, word origins, etc. Basically, the Define section is an expanded dictionary entry for the word or words you entered as search terms. This powerful and exciting new tool will help you get even more use out of Outlook and all of Microsoft s Office applications. Outlook 2016 now features a Store button in the Add-ins group of the Home tab on the Ribbon of the Mail folder. Clicking the Store button, will open your default web browser to the Microsoft online store where you can download Apps for Outlook. The add-ins for Outlook can enhance your and increase efficiency. There are many options in the Store, some free and some paid applications. Take some time to get familiar with the different applications being offered to see if any of them can help you in your day-to-day use of Outlook. After selecting Mail in the Navigation Bar and then selecting a mail folder, you will find two new buttons within the Folder tab. The first is contained in the Favorites section and is Show in Favorites. Clicking this button will add or remove the current folder you are working with to or from your Favorites list each time you click it. The second new button is contained in the Online View section and is called View on Server. Clicking this button can load older messages that may be stored within an online view on an Exchange Server. Groups are a useful feature of some Office 365 subscriptions that are now integrated with Outlook If you work with a Microsoft Exchange Server or have an Office 365 subscription that includes groups, you can create groups when using Outlook Groups allow you to share s and files, have conversations and generally share information in a single place with your team. This feature makes for an efficient and user-friendly environment for collaboration. 10

11 THE TITLE BAR: ACTIONS- Getting Acquainted with Outlook 1. The Quick Access Toolbar appears at the far left end of the Title Bar. By default, you will find two buttons shown here: Send and Receive All and Undo. 2. In the middle of the Title Bar is the name of the folder that you are currently viewing within Outlook, as well as the name of the account that you are using. 3. At the far right end of the Title Bar is another button group with four buttons named Ribbon Display Options, Minimize, Maximize/Restore Down, and Close. Generally speaking, these commands affect the display of the Outlook application window. 4. To change how the Ribbon is displayed, click the Ribbon Display Options button to see your options for changing the display of the Ribbon in a drop-down menu. You can click on the choice of Ribbon display that you prefer within this drop-down menu to set the appearance of the Ribbon within Outlook. 5. To send the application window to the Windows Taskbar, click the Minimize button. You can view it later by clicking on its entry in the Windows Taskbar. 6. To Maximize or Restore Down the application window, click the toggle button that toggles between two window modes: Maximize and Restore Down. Clicking the Maximize button will enlarge your application window to full-screen size. The button then toggles its name to Restore Down. 7. Clicking the Restore Down button gives you a smaller screen version that still remains visible on your desktop. You can move and resize the window in this mode. 8. To close the application window, click the Close button to exit the Outlook application window and close the program. The Close button is represented as an X in the top, right corner of the application window. THE RIBBON: 1. The Ribbon is used to perform tasks on the items and folders within all areas of the Outlook program. 2. To see the different commands in the Ribbon, click a tab to view the button groups that you will use to perform tasks. 3. To see advanced options for a specific button group, click the Dialog Box launcher button that is displayed in the lower right corner of a command box. If you don t a Dialog Box launcher button, there are no more commands in the button group. 4. Some actions will cause contextual tabs to appear that have to deal with only the action you are performing. You will see contextual tabs appear, for example, when you have either a picture, table, diagram, drawing, or chart selected within your mail message. The command groups that then appear on the contextual tabs will contain functions that are directly related to the type of object selected. 5. To make the contextual tabs disappear, try clicking away from the selected object within the item window. 6. To make the contextual tabs disappear for selected attachments, you can often click the Back to message link to make the contextual tabs disappear and deselect the selected attachment, too. 11

12 ACTIONS- Getting Acquainted with Outlook THE QUICK ACCESS TOOLBAR: 1. To add a button to the Quick Access Toolbar, right-click any command button in the Ribbon and choose Add to Quick Access Toolbar. 2. To remove a button from the Quick Access Toolbar, right-click the button and choose Remove from Quick Access Toolbar. 3. To thoroughly customize the Quick Access Toolbar, click the Customize Quick Access Toolbar button, and then choose the More Commands command. 4. To choose which commands are shown, choose an option from the Choose commands from: dropdown list. 5. To add commands to the Quick Access Toolbar through More Commands, select a command from the left panel and click Add>> to add them to the right panel. 6. To adjust the order commands are displayed in, click the Up or Down arrow button on the right side of the window. 7. To remove a command from the Quick Access Toolbar, select the command from the right list and click the Remove button. 8. Click the OK button to save your changes. TOUCH MODE: 1. To add the Touch/Mouse Mode button to the Quick Access Toolbar, click the small drop-down arrow at the right end of the Quick Access toolbar and click or tap the Touch/Mouse Mode command in the drop-down menu to add that button to the Quick Access toolbar. 2. To switch between touch and mouse mode, click or tap the Touch/Mouse Mode button in the Quick Access Toolbar. 3. From the drop-down menu that then appears, you can select the mode you prefer to use: Mouse or Touch. 4. When Touch mode is enabled the buttons within the Ribbon and Quick Access toolbar will appear larger and with more space surrounding them onscreen. 5. You can select the Mouse choice to toggle touch mode off, restoring the default size of the buttons onscreen. THE NAVIGATION BAR, FOLDER PANE, READING PANE, AND TO-DO BAR: 1. The Navigation Bar allows you quick access to the folders in Outlook. 2. To change the layout of the Navigation Bar, click the View tab in the Ribbon and click the Folder Pane drop-down button in the Layout button group. You can also click the More dots in the Navigation Bar and click Navigation Options This will open the Navigation Options dialog box. 3. To adjust the maximum number of visible items in the Navigation Bar, use the spinner arrows for the box next to the Maximum number of visible items: text field. The maximum number of items that can be displayed is eight (8). 4. To enable or disable Compact Navigation, check or uncheck the labeled checkbox. 5. To adjust the display order of items in the Navigation Bar, select an item from the list and use the Move Up and Move Down buttons to change its position. (cont d.) 12

To access folders through the Navigation Bar, click the name of the folder you want to open to display its contents. For example, clicking Mail will display your Inbox folder and any other Mail folders. 7. To display all the folders that Outlook contains, click Folders in the Navigation Bar. This will display all the Folders that Outlook contains. You can then select a folder from the Folder Pane to display its contents. 8. The Folder Pane displays the items contained in each Folder on the Navigation Bar. 9. To adjust the view of the Folder Pane, click the View tab and click the Folder Pane drop-down in the Layout button group. 10. You can set the Folder Pane to be displayed as Normal, Minimized or Off. You can also control whether your Favorites are displayed by checking or unchecking Favorites. 11. The Reading Pane displays the contents of the currently selected item. 12. To set the display of the Reading Pane, click the View tab and then click the Reading Pane dropdown button in the Layout group. 13. You can set the Reading Pane to be displayed on the Right or Bottom of the screen, or you can turn it Off. 14. To adjust the Reading Pane settings, click the Options choice under the Reading Pane drop-down in the Layout group of the View tab. 15. You can adjust how items are marked as Read, turn on Single Key reading using space bar, and to Turn on automatic full-screen reading in portrait orientation. 16. To turn on the To-Do Bar, click the View tab in the Ribbon and then click the To-Do Bar dropdown button to view the options. 17. You can choose to display to-do items from the Calendar, People and Tasks folders. You can also turn the To-Do Bar Off. WHAT S NEW IN OUTLOOK 2016: 1. To use the Tell me bar, enter your search term into the Tell me bar above the Ribbon. Command suggestions will be displayed below the bar. 2. If you see the command you are looking for, click it to perform the action. 3. To get help with a search term entered into the Tell me bar, enter your search term and click the Get Help on choice in the displayed popup list. 4. To view results of your search term in the Insights pane, click the Smart Lookup on choice in the popup list. 5. The Insights pane will open on the right side of the window and display the Explore and Define sections in regards to your search terms. 6. To view Smart Lookup information for words or phrases in an Outlook item, select the word or phrase with your mouse and right-click the selected word or phrase. 14 ACTIONS- Getting Acquainted with Outlook WHAT S NEW IN OUTLOOK (CONT D.): 9. Your default web browser will open and direct you to the Microsoft online store to the Apps for Outlook page. This page will display free and paid apps that can enhance your experience using Outlook. 10. After selecting Mail in the Navigation Bar and then selecting a mail folder, you will find two new buttons within the Folder tab. 11. The first is contained in the Favorites section and is Show in Favorites. Clicking this button will add or remove the current folder you are working with to or from your Favorites list each time you click it. 12. The second new button is contained in the Online View section and is called View on Server. Clicking this button can load older messages that may be stored within an online view on an Exchange Server. 13. Groups are a useful feature of some Office 365 subscriptions that are now integrated with Outlook If you work with a Microsoft Exchange Server or have an Office 365 subscription that includes groups, you can create groups when using Outlook Groups allow you to share s and files, have conversations and generally share information in a single place with your team. 14
