1 CHILDREN S DIVISION SPRING PRODUCTION UPDATE #3 Spring Production is almost here and as such, this is your final packet aimed at preparing you for our move to Mount St. Joseph University for performance day on May 21! Included you will find information on drop off and pick up procedures, theater and wardrobe reminders as well as your student s pick up voucher (you ll want to keep these in a safe place and be sure to bring them with you!). As you read through the enclosed documents, please keep in mind we will have approximately 300 students between the ages of 3 and 8 backstage and these procedures are in place to ensure the safety of all our young dancers. PROMPT ARRIVAL Students must arrive at their drop off time and be ready to go directly to stage for rehearsal. Every class rehearses once on the stage before the show and this is their only opportunity to do so. A timely arrival is crucial! Students who are not at their rehearsal will not be able to perform in the show. CELL PHONES Cell phones should be turned off during the performance with the exception of the designated emergency contact person - their phone should be kept on vibrate at all times. Should your emergency contact person change, please notify the Academy no later than Friday, May 13 th. A week prior to Spring Production, you ll receive an with the Academy s temporary Spring Production emergency contact number. Since our staff will be at the theater all week, we will be unavailable to answer incoming calls at our Administrative Office. Should you need to reach us with an urgent request, please contact us on the emergency line. All other calls and s will be returned at our earliest opportunity. PHOTOGRAPHY & VIDEO Professional photos of students will be taken from the audience during dress rehearsal and performance. Following the performance, families will be provided with a link to the online gallery so they may purchase prints directly from our photographer. Any individual portraits taken during photo day on April 17 will be included in the online gallery as well. The performance will also be professionally recorded and a DVD will be sent to you at no additional cost 6-8 weeks following the production. Please remember all other photography and video recording is prohibited during the Spring Production performance. 2 CD SPRING PRODUCTION 2016: DROP OFF & PICK UP Children s Division Spring Production performances feature approximately 300 students from the ages of 3-8. The following procedures have been adopted in order to ensure the safety of all students during rehearsal and performance at Mount St. Joseph University. We greatly appreciate your attention and cooperation. Performance Date: May 21, 2016 Mount St. Joseph University Be sure to allow adequate time for travel to Mount St. Joseph University. The University is approximately 20 minutes (without traffic) west of the Cincinnati Ballet Center. It is incredibly important all students arrive on time in order to perform in Spring Production! Please review the Drop Off & Pick Up Time Itinerary carefully! Door locations mentioned below may be found on the enclosed map. DROP OFF PROCEDURES Students: Location: All Children s Division Performers Door A (located on the east side of the building) Parents should drive up to the Drop Off Zone at Door A but please remain in your car. An Academy staff member or parent volunteer will be there to greet you and assist in safely getting your student out of the car and to their classroom. Students should be organized and ready to leave the vehicle when it is their turn. Vehicles may not be left in the Drop Off Zone Parents and guests may park on the west side of the building and enter the theater via the lobby. PICK UP PROCEDURES Students: Location: All Children s Division Performers Varies by class. Please review the enclosed itinerary. PICK UP VOUCHERS Please be sure you bring the Pick Up Voucher for each student in your family! You must have this voucher in order to pick up your student at the end of the performance. Again, this is to ensure every student is dismissed to the correct adult. GENERAL GUIDELINES At the end of the performance, we ask that parents exit the theater and that one parent proceed to their student s pick up location. Students will be brought to the door indicated on their pick up voucher by class and will be released to parents. Academy volunteers and Teacher Assistants will be with the class to help properly connect students to families.
3 Students will be dismissed as a class. The times indicated on your vouchers are approximate so please allow some grace as we assist your students in packing their things and getting to the pick up door. Only one class will be dismissed at a time in order to ensure we get all students safely to their families in an orderly fashion. There will be several dismissal times at each pick up location, so please note the time of your pick up and leave space for families who may have an earlier time. DOOR KEY We ll refer to these doors frequently so please take note of their location. They may also be referenced on the map of Mount St. Joseph University. Door A: Door B: Door C: Located on the east side of the building. Looking at the front of the building, it s to the left and tucked back behind the handicapped parking and visible from the Student Drop Off Zone. Located inside the building near the east side of the theater just beyond the Door A drop-off location toward back stage. Located by the west parking lot (right side of the building) outside the theater lobby by the dock doors. PLEASE NOTE: Parents are NOT permitted backstage for any reason unless they are on the official Parent Volunteer list. This is to help ensure the safety of your students during the performance. Students may not be picked up during the show. Parents must wait until the end of the show to pick up your students. Thank you in advance for your cooperation! 6 CD SPRING PRODUCTION 2016 PICK UP VOUCHERS Attached you will find a Student Pick Up Voucher for each student performing in Children s Division Spring Production. BE SURE THIS VOUCHER IS KEPT IN A SAFE PLACE! WE WOULD SUGGEST WITH YOUR PERFORMANCE TICKETS! You must have this voucher in order to pick up your student after the performance. This policy is mandatory for your student s safety. We need to be absolutely sure that each one of our almost 300 students is accounted for and leaves Mount St. Joseph University with the right adult. The voucher will include the following information: Student Name Class Name Class Nickname Teacher Name Drop off and pick up information Please make sure your student knows the nickname for their class. Although most students know their teacher s name, each teacher has multiple classes. By knowing their class nickname, we can match your student to the correct class more efficiently.
7 CD SPRING PRODUCTION 2016: THEATER REMINDERS To ensure rehearsals and performances run smoothly and safely, we appreciate your attention to the below. Please discuss the expectations below with your student prior to their arrival at the first theater rehearsal: BACKSTAGE ETIQUETTE All students must remain in their designated dressing room and bring a towel or blanket to sit on. Parent Volunteers are assigned to each dressing room. These Volunteers will escort students to and from the stage. For safety reasons, we must keep the hallways clear of traffic. Absolutely no running or yelling in the theater or backstage area at any time. Only clean snacks and water are permissible backstage. Students should eat a good meal prior to arriving at the theater. Absolutely no peanut or nut products at the theater please. WHAT TO WEAR What to wear: Students must arrive on time and already dressed in their costume when they arrive for their rehearsal at Mount St. Joseph University. We recommend girls NOT wear underwear as it can distract from the costume. Girls should wear clean, pink, footed tights that are free of runs, snags or holes and clean, pink ballet slippers. Boys should wear black tights or leggings, clean, white socks (should cover the ankle) and white ballet shoes along with their costume unless otherwise directed by their teacher. If the weather is chilly, please have students wear jackets that zip up and are not pulled overhead. Girls should arrive with their hair in a medium bun (see Bun 101 Guide for instructions) as all dancers should have a uniform look. Costumes come with a coordinating hair accessory. Please absolutely no additional hair accessories (i.e. bun covers, scrunchies, ribbons, etc.) Boys hair must be well groomed and away from their face. Consider applying a light amount of hairspray to keep hair out of their face through the rehearsal and performance. Stage make-up (blush, brown eye shadow and lip gloss) is acceptable. Make-up should be applied prior to arrival at the theater. Make-up is not allowed backstage in order to keep costumes and dancers clean. All jewelry should be left at home. No jewelry is permitted on stage. WHAT TO BRING What to bring: An extra pair of tights (not required but a good idea) Ballet shoes A blanket or towel to sit on A small clean snack (i.e. pretzels, animal crackers, veggie sticks, crackers, string cheese) Water in a closed container (please label your student s water bottle) Books or a quiet game/toy/activity are permitted What to leave at home: Messy or sticky foods or anything containing nuts or peanut butter Beverages other than water Noisy games, video games, electronic devices, cameras Make-up Jewelry and valuables Please make sure all your student s belongings are clearly labeled. The Academy is not responsible for lost or stolen items.
8 SPRING PRODUCTION 2016 BUN 101 GUIDE All female students should arrive at the theater with their hair in a medium bun unless otherwise instructed. For guidance in making the perfect bun, below are a few helpful tips. 1) Start by making a good ponytail. When pulling hair into a ponytail, it is helpful for hair to be slightly damp or sprayed gently with hairspray. A good ponytail is slicked tight to the head without wispys (those little stray hairs hanging down). You can usually get rid of stray hairs by using a bristle brush to smooth them back once you have made your ponytail. The height of your ponytail should be in line with the type of bun you want. Unless otherwise instructed by your teacher, all students should have a medium bun. HIGH BUN MEDIUM BUN LOW BUN High ponytail in diagonal Medium ponytail in Low ponytail at the line with jaw line line with top of ear base of the head 2) Pull the ponytail straight out and twist it into a tight rope. Then coil the hair around the ponytail holder. It should look similar to a cinnamon roll! You may need to secure it with bobby pins as you go around if the ponytail is very long. Once the whole rope is coiled, tuck the tail under the edge of the coil and secure all the edges with bobby pins. 3) Use a hairnet that matches the color of your hair and loop it over the bun. Pull the net tight across the bun and twist the net. Keep looping it over the bun and twisting it until all the net is used. Tuck any extra under the edge of the bun. Secure with a few extra bobby pins. 4) Finish everything by spraying hair with a strong-hold hairspray. If you have very curly, wavy or unruly hair, you may need to use hair gel or hair glue. All bun supplies may be purchased at your local drugstore in the hair styling section.
