2 University of Arizona Information Commons Training 2 Introduction and Overview In this module, we will cover the basics in using the EPSON Perfection Scanner to scan images. Topics will include resolution, file types, scanning through Adobe Photoshop and using the Epson Scan interface. (Optical Character Recognition scanning for use in a word processor will be demonstrated using the OmniPage Pro program in Part II.) Scanner Buttons are located on the front of the scanner. Do not use these to scan! Several of the buttons are for functions that are not available in the Information Commons computers. It is easiest to follow the instructions in this handout, rather than using the buttons. Materials that can be scanned: images on paper (photographs, art work, etc) text (as an image or as editable text) even 3-dimensional objects! just be careful not to damage the scanner s glass bed! with the Transparency Unit (TPU) check out at IC Help Desk: 35mm negative film ( negatives such as the ones you get with your photos after developing) 35mm positive film (slides) Cleaning the scanner bed: The scanner bed is made of glass and will become smudged with fingerprints after much use. The easiest way to clean the scanner bed is to use a soft paper towel (not the kind in the bathrooms!) wetted with rubbing alcohol. Let dry. You may also use the screen wipes used for cleaning the computer monitors. Sometimes these leave streaks though; remove any streaks with the microfiber cloth. All these cleaning materials are available in the supply cabinet near the Information Commons Help Desk. Never spray anything directly onto the glass scanner bed! Liquid can seep inside and damage the scanner. Never push down on the glass scanner bed! Doing so can loosen, crack or even break the glass! Warning: Settings in the scanning interface may default to those set at last use.
3 University of Arizona Information Commons Training 3 Understanding Resolution and File Types for different output It is important that proper resolution be used in scanning according to the purpose. For example, an image needed for use on a web page needs to be scanned at a different resolution than an image that will be sent to print onto photo quality paper. Furthermore, the file type, such as JPEG or TIFF, will also vary depending on the final output of the image. Resolution is measured in dpi, or dots per inch. The higher the number, the more dots of color per inch there are in the image, and therefore the image has a higher color quality. The higher the resolution, the bigger the file size of the image. Take care not to use a higher resolution than necessary in order to avoid waste of disk space. JPEG and GIF are the most widely accepted formats for the Web or . The following chart outlines some of the most common forms of output for scanned images and the appropriate settings that you should have for each. Output Resolution Save as file type Web Page or dpi JPEG, GIF Print 300 dpi for inkjet or laser printers JPEG, GIF, TIFF, PSD, PICT, depending on output CD-ROM archive 72 to 300 dpi JPEG, GIF, TIFF, PICT, depending on output When scanning through PhotoShop, save as a PSD (Photoshop Document) only if you know the computer that the image will be used on has Adobe Photoshop. If you are not sure, use TIFF, which is a very widely accepted file format. If the image is to be eventually printed, do not use any compression on the TIFF. 4 University of Arizona Information Commons Training 4 Epson TWAIN 1 5 Software Full Auto Mode versus Manual Mode Regardless of how scanning is accomplished (through the Epson Smart Panel or through an application such as PhotoShop), there is a choice of two modes: Full Auto Mode and Manual Mode. Full Auto Mode screen Preview window Manual Mode screen Switch to full auto mode 1 TWAIN is an image capture application driver typically used as an interface between image processing software and a scanner or digital camera. The word TWAIN is from Kipling's "The Ballad of East and West" - "...and never the twain shall meet...", reflecting the difficulty, at the time this standard was first released in 1992, of connecting scanners and personal computers. It was upper-cased to TWAIN to make it more distinctive. This led people to believe it was an acronym, and then to a contest to come up with an expansion. None were selected, but the entry "Technology Without An Interesting Name" continues to haunt the standard. (Adapted from Free On-Line Dictionary of Computing.)
5 University of Arizona Information Commons Training 5 OBJECTIVE 1: UNDERSTANDING FULL AUTO MODE The Epson scanner will default to the mode last used. (If you happen to go to Manual Mode, locate the Full Auto Mode button on the bottom left of the window to switch to Full Auto Mode.) Full Auto Mode will automatically preview the image, decide on the image type (color photo, document, etc.), then scan the image accordingly. It might not always make the best choices. Changing the resolution in full auto mode If the only setting you want to change in scanning your image is the resolution, you can still use Full Auto Mode so you do not have to worry about any other settings but the resolution. Expand button Switch to Manual mode Scan in Full Auto mode Click on the Arrow button located on the bottom right of the window. This expands the options for you to change the resolution. Ensure Reflective is set for the document source. Check the Specify Resolution for Full Auto Mode. Select the resolution you want in the drop down menu next to this option.
6 University of Arizona Information Commons Training 6 OBJECTIVE 2: UNDERSTANDING MANUAL MODE Understanding the Manual Mode interface If you would like to have more control over the settings of your scan, such as scaling or color correction, you can switch to manual mode. Document Source Unsharp Mask: leave checked Source Image Size Target Image Size Select Image Type Destination Resolution Lock aspect Scale by percentage Image Controls Auto select the image Tone Correction Color Adjustment Auto color settings Switch to Full Auto Preview the image Final Scan Help Image Area (preview of image will appear here) The Image Type menu allows you to choose what type of image you are scanning, such as Color Photo, Black and White Photo, Color Document, Line Art, Text (Note: Text here DOES NOT mean OCR scanning), etc. Type of image Photograph Magazine Newspaper (text only) Text for OCR Text with images Line art 35mm film (negative) 35mm slide Recommended Image Type Color Photo Color Photo Text Text Color Document Line Art TPU: Color Neg. 7 University of Arizona Information Commons Training 7 The Destination menu allows you to choose the output of your image. For example, the Epson Stylus Printer option is for an image going to print, and the Screen option is for images going to the web or . Changing the Destination changes the Resolution (dpi) accordingly. You can also change the Resolution independently. Scale an image either by typing in a percentage in the percentage box, or entering a width and height for your desired image size. As an example, if you type 50 as the percent to scale by, the image will be scanned in at 50% its original size. You must Select the image that appears in the preview area. Selection is done by drawing the selection box over the area desired, or by pressing the Auto Select Image button which will automatically select the entire image to scan. Resize the image if desired: Source image size is the actual size of the image/object (the original) Target image size is the size of the output (final scan) Use the slide bar of the Scale: Be careful, it s very sensitive! It s best to click one click at a time on either arrow at the ends of the slide bar. Take note of the Target dimensions. or Change the percentage (smaller or larger than the original) in the Percentage box. Again, take note of the final Target dimensions. or Type the new output size in either the W (width) or H (height) box. Click in the other dimension box and it will automatically change to retain the original s proportions. original. Notice how these boxes change as the Target size is changed. The Lock button locks the Target size. You can adjust color properties of the image, such as brightness and contrast, hue, and saturation using the Tone Correction and Color Adjustment buttons. To have these automatically set, click on the Auto button located next to the Color Adjustment button. Clicking the Reset button will reset all the color controls this undoes all the color property changes you made and set them back to default.
8 University of Arizona Information Commons Training 8 OBJECTIVE 3: USING THE EPSON SMART PANEL FOR SCANNING Scan and Save The best choice for using the EPSON Smart Panel interface is: Scan and Save allows you to save your file in the desired location EPSON Smart Panel is NOT recommended to: Copy We have photocopiers for this! RePrint Photos Edit Text This uses bundled software called ABBYY Fine Reader. Although it is ok to use this, we recommend using OmniPage Pro software instead. Scan for Creativity this option allows for advanced editing of the files including cropping, framing, photo fantasy, etc. Scan to Application after scanning, an application can be launched for further editing/saving. It is generally easier to scan through the application itself. (See Scanning through Photoshop section) 3.1 Locate and open the Epson Smart Panel Locate and open the Scanning Software folder on the desktop Double-click on the Epson Smart Panel icon After a few seconds you will see the Smart Panel interface appear
9 University of Arizona Information Commons Training Scan a document using the SCAN AND SAVE option in Manual Mode Place an image/photo/etc face down on the scanner bed Locate and click on the Scan and Save button on the Smart Panel. The Epson Twain 5 screen will pop up. (If the Full Auto Mode screen appears, click Cancel, then click on Manual Mode.) Click the Preview button to preview your scan if it does not preview automatically. Adjust the dotted selector box around the area you want to scan, if necessary. To do this, grab the dotted box from an edge and/or the corners and drag it to the size desired. You can also use the green Auto image select button to do this, although it may not always work correctly. Set Image Type, Destination, Resolution, Scale, etc. as appropriate; see Section 2 Click Scan Close the EPSON Twain 5 window. You MUST close it out completely in manual mode in order to proceed to the next step! On the next screen, you should see a thumbnail of your scanned image. The image will be automatically named, but you can click on the name to title it yourself. You also have the option to scan more images by clicking the Scanner button in the lower left corner or proceed by clicking the Next button. 10 University of Arizona Information Commons Training 10 Once done scanning, click Next On the next screen, enter the desired File Path for saving the file or click on the folder to browse to the desired location. Then, select the desired File Format (e.g. JPEG, TIFF, etc.) Then, select the desired Quality (low, medium, high). This is similar to choosing the image quality when saving as a JPEG in Photoshop. Click on Save. (Clicking on Save and View will open the folder where the image has been saved.) OBJECTIVE 4: SCANNING THROUGH PHOTOSHOP Launch the Photoshop application program. It is located in the Graphics folder on the desktop. Place the image you are to scan face down on the scanner, preferably in the corner or against the straight edge. In Photoshop, select File Menu -> Import -> Epson Twain 5 In Manual Mode, click on the Preview button and allow time for the preview image to appear in the window. Position the mouse over the image and draw a box around the image. Remember only what you have selected will be scanned in. Select the appropriate image in the Image Type menu. Select the appropriate destination in the Destination menu. Enter a scale in the Scale percentage box - if desired.
11 University of Arizona Information Commons Training 11 Click Scan. When the scan is complete, the image will show up behind the Epson screen in PhotoShop. You may continue to scan images; they will appear in the Photoshop window, as Untitled-1, Untitled-2, etc. These have not been saved yet, however! When finished scanning, close the Epson Twain window - if it doesn t close automatically. You cannot work with the images you scan or be able to save them in Photoshop unless you close the Epson Twain window. From here we can save the image like we would any other. For example: Click File -> Save and select the appropriate destination: e.g. A:\ drive (floppy); C:\Temp, Name the file Select the file type (e.g. TIFF, JPEG) Choose from the options presented, which will vary depending on the destination originally selected and the file type chosen. Recommendations: File Options, Recommendations for the average user (for web graphics, graphics for inserting into a Word document, etc.): JPEG (.jpg): GIF (.gif): Bitmap (BMP): TIFF (.tif): Image Options: Quality of 5 or Medium Format Options: Baseline ( Optimized ) Click OK 1 st dialog box Indexed Color: Click Reset (to reset options to default) Click OK 2 nd : dialog box GIF Options: Check Normal for use in print Check Interlaced for web use Click OK File Format: Windows or OS2 for Mac (can leave at Windows) Depth: 24-bit Click OK Byte Order: IBM PC or Macintosh (can leave at IBM PC) Uncheck LZW Compression Click OK
12 University of Arizona Information Commons Training 12 OBJECTIVE 5: SCANNING 35mm FILM AND SLIDES 5.1 Preparing the Epson Scanner for scanning film and slides The Epson scanner has a built in transparency unit that allows you to scan 35mm film and slides. In order to use this unit, you must first adjust the scanner a bit to uncover it. NOTE: Transparency in this context does not mean 8.5 x 11 clear plastic sheets, printed on for use with an overhead! Unplug the AC adapter from the scanner. The AC adapter is located in the back of the scanner and has a black colored cord. Lift the lid of the scanner and remove the reflective document mat. This is the white colored mat on the inside of the lid. Grab hold of the top of the mat and gently pull it up and out towards you. Ensure the TPU cable is plugged in. This is the cable in the back of the scanner running from the lid of the scanner to the back of the scanner near where the AC adapter cord goes. Plug the AC adapter cord back into the scanner. The Epson Scanner comes with its own film holder for scanning 35mm slides and negatives. The holder should be placed in the top right hand corner of the scanner, ensuring the black tab is not on the glass surface, but over the edge. If you want to scan slides, the holder should be positioned like Figure A placed in the top right corner of the scanner. If you wanted to scan in film the holder should look like Figure B. Figure A Figure B Placing SLIDES in the holder: Ensure each slide has the shiny surface of the film facing down. After the holder is positioned on the scanner, place each slide in the square openings of the holder. Close the scanner lid.
13 University of Arizona Information Commons Training 13 Placing FILM in the holder: Flip the film so the shiny surface of the film is facing down. Locate the small film icon and arrow on the holder next to the opening for the film. This is where you want to feed the film in place. Holding the edges of the film, slide the film into the opening following the direction of the arrow. Continue until entire strip of film is secure in the holder. Close the scanner lid. 5.2 Scanning slides and film using Manual Mode Open Adobe Photoshop if it is not already open Select File -> Import -> Epson Twain 5 If it does not go to Manual Mode, make sure you switch to it. Select the appropriate Document Source in the Manual Mode screen. For this example, we will select TPU: Color Neg. Film. The following chart shows the other options depending on if you were scanning film versus slides: Type What is this really?! EPSON Setting Resolution 35 mm negative film film negatives such as the ones you get with your photos after developing (the dark brown strips) TPU: Color Neg. Film TPU: Monochrome Neg. Film if the film is monochrome (black/white) 300 to 3200 dpi 35 mm positive slides (mounted in cardboard slide holders) TPU: Pos. Film 300 to 3200 dpi Set the resolution to 300 dpi. Click the Preview button. The images of your film will appear as separate thumbnails in the preview area of the Manual mode screen. You can select any thumbnail and rotate it or flip it using the rotate and flip buttons if needed.
14 University of Arizona Information Commons Training 14 Rotate and flip buttons Uncheck the images that you do not want to scan. Only those checked will be scanned. For our purposes in this lesson uncheck all but one of the images, so we do not spend too much time scanning. Click Scan. The image will appear in the Photoshop workspace like our scans before. Close the Epson window in order to work with the image. [If all of the images are checked, they would each have been scanned into Photoshop.] NOTE: Remember, the reflective document lid was removed in order to scan the film. You must replace this lid if you want to scan regular photographs or documents. Unplug the AC adapter from the scanner Lift the scanner lid and, holding the reflective mat with the white side facing away from the lid, slide the mat back into place. Make sure it is secure in the slots at the bottom of the lid as well as the slot at the top of the lid. Plug the AC adapter back into the scanner
