1 STAFF HOLIDAYS TO 1 JANUARY 2020 Two standard holiday forms accompany this memorandum. One form is for support staff holidays and the other is for administrative and other related staff holidays. The arrangements for taking holidays, the control of holidays and the requirements to ensure that staff take their holiday entitlement within existing rules remain the responsibility of the School or Budget Centre concerned. There is no necessity for completed forms to be returned to Human Resources. Holiday Entitlement The University allocates discretionary closed days at Christmas/New Year, partly on the grounds of energy conservation; and also at Easter. The University normally tries to ensure that there are five closed days during the Christmas/New Year break and two at Easter, totalling seven each year. However, the varying fall of the statutory holidays and weekends at Christmas/New Year means that although three closed days always fall between Christmas and New Year, the precise number of closed days before Christmas day and after New Year s day will vary from year to year. This sometimes results in the number of closed days in a calendar year being six or eight instead of seven. In order to avoid any confusion which may arise, the seven University closed days are assumed to accrue in each academic year, that is from 1 October to 30 September following. This is in line with the conditions of employment for academic and related staff, for whom a holiday year from October to September is specified. For support staff, their elective holiday year is based on a calendar year. The standard entitlement for full-time staff who work all year round is as follows:- 25 days Annual Holiday 7 days University Closed Days 8 days Statutory Public Holidays Total: 40 Days Part-time staff Part-time staff who work 5 days per week all the year round as above who work all the year round but on fewer than 5 days a week:- Number of days worked per week x 25 days 5 Holidays for staff who do not work all year round such as term-time only staff must be taken outside the periods they are contracted to attend for work. Their entitlement each year is set in their contracts of employment. Part-time and term-time only staff are paid pro rata for Bank Holidays and University Closed Days. In case of doubt, refer to Human Resources. Normally holidays not taken by the end of the holiday year (31 December or 30 September, as appropriate) are forfeited but days may be carried over with prior written approval, as set out on the holiday form. Payment for holidays not taken in the current year will be made when a member of staff leaves. The University also employs some staff who are contracted to work for 6 days a week their holiday entitlement is based on 30 days a year, recognising that they attend for work for more days than their colleagues who are contracted to work 5 days a week or fewer. For the sake of completeness, can I also confirm:- (a) Staff continue to accrue holiday while on paid leave from the University (such as maternity leave, paternity leave or sick leave); (b) (c) The purpose of paid leave is for rest and recuperation staff should be encouraged to take their leave entitlement, with the prior express agreement of the Head of Budget Centre; The Head of Budget Centre s attention is drawn to the Working Time Regulations, information on which is available from Human Resources. This precludes payment for holidays which are not taken, other than on resignation from the University s employment.

Holidays which are carried forward to the following year must have the written authority of the Head of School/Budget Centre, and must be taken by 31 March in the following year.
