3 INTRODUCTION ANZ NetSetGO Overview ANZ NetSetGO is Netball Australia s only junior entry netball program. It has been developed to provide children from 5 to 10 years with the best possible learning and playing experience to develop a positive introduction to netball, ensuring enjoyment and continued participation. ANZ NetSetGO incorporates skill activities, minor games, music, dance and modified matches in a fun and safe environment. The weekly program is coordinated by accredited coaches to ensure a quality experience for all participants. ANZ NetSetGO has been designed as a National Program and is intended to be a product not a Membership type. The program consists of 2 tiers Net and Set. Within those two tiers there are four Program Streams: Net 5 to 7 Activity/Skills Set 8 to 10 Activity/Skills Set 8 to 10 Skills/Competition Centres Set 8 to 10 Competition Only All Centres must register to be an ANZ NetSetGO Centre annually via MyNetball. At present, centres can only register to be an ANZ NetSetGO Centre in the year in which they run the program. Eg an Association/Club registers to be an ANZ NetSetGO Centre for 2015 in 2015 (registrations open 1/1/2015). Participants All ANZ NetSetGO participants for 2015 and beyond must be registered on MyNetball through the Event Registration process outlined in this document. The Membership type NetSetGO will be inactive on MyNetball for 2015 as any participants registered through this membership will not be recognised as ANZ NetSetGO participants and will not receive a participant pack. Netball Australia prefers for all ANZ NetSetGO participants to be able to pay their ANZ NetSetGO registration fee online at the same time as they are registering. We recommend that Centres accept online payments using the MyNetball Payment Service. Page 3 of 19
4 CLUBS/ASSOCIATIONS - SUBMIT A CENTRE FOR APPROVAL PREREQUISITE: Organisation must exist in MyNetball and Centre Coordinator needs to be an admin user. If your Centre is not on MyNetball please contact your State/Territory Netball Organisation. ORGANISATION > PROGRAMS > NetSetGO Centre Registration Program Settings Tab Section 1: Coordinator Details Complete the following details as you would like them to appear on public websites (eg netsetgo.asn.au) Add ANZ NetSetGO Centre Coordinator Name Add Coordinator Phone and Mobile Add Coordinator Address Section 1: Program Details Select Venue Venue address postcode is what the Centre Search uses - netsetgo.asn.au/find-a-club/ Use Manage Venues and Edit Org Details to update venue information. Section 1: Registration Day Details Add Registration Day Date Add Registration Venue Add Registration Instructions (include time of registration if applicable) This information is displayed in the pop up in the Centre Search. 5 Section 1: Program Stream Details This section is required in order to be approved as an ANZ NetSetGO Centre, to be viewed in the Centre Search and accept online registrations. Select + Add New Program Slot Select the Day of the week Select the Start Time Select the Activity Start Date Select the End Date Select the Program Type : Net 5-7 Activity/Skills Set 8-10 Activity/Skills Set 8-10 Skills/Competition Set 8-10 Competition Enter in the Program Cost (this amount is inclusive of GST if applicable) Enter in the Registration Open Date Enter in the Registration Close Date * Additional participants can be added to the program after the Registration Close Date via the Program Enrolment Manager. Enter in the Registration Limit if required (eg maximum number of participants). This can be overridden by entering participants through the Program Enrolment Manager. Select the Registration Period Enter in Description if required. If you re running the same program type (eg Net 5-7 Activity/Skills) more than once in a year you may like to name the programs as Summer and Winter or Term 1 and Term 4 so a participant can differentiate between the two when signing up. If a description is not added then it will default to the Program name eg Net 5-7 Activity/Skills. *Registration Close Date this is a critical date that affects all ANZ NetSetGO reporting. This date cannot be changed once a NSG Centre application is approved as all participant pack and equipment kit orders are linked to this date. Please ensure this date is set to allow processing and delivery time of equipment and participant packs in time for your program starting. The date that is entered in is the date registrations won t be accepted online. Eg if the 20 th April is entered as your Registration End Date, then the last day for registrations is the 19 th April as Registrations are closed on the 20 th April. Page 5 of 19
6 Select Update Continue to add further ANZ NetSetGO Program Streams as required following this process IMPORTANT: Once your State/Territory Netball Organisation has APPROVED your ANZ NetSetGO centre registration, the only way you can add in additional programs or edit current programs is by contacting your State/Territory Netball Organisation who will be required to enter the information for you. This is to ensure that Centres are not changing and/or cancelling programs after they have been approved as this has flow on affects with the ordering process and reconciliation of ANZ NetSetGO equipment and participant packs. Centres can edit programs while still in the PENDING stage. Section 2: Equipment Kit and Participant Pack Delivery Details This section is required. Information in this section will not be visible on the public website. Add Years Running NetSetGO Add Distribution Address. This address is for equipment and pack delivery. PO Boxes are not accepted Add Distribution Suburb Add Distribution State Add Delivery Instructions if applicable, e.g. deliver between 9am and 5pm Accept the two terms and conditions boxes Do not submit at this point - select Update Changes Page 6 of 19
7 Registration Setup Tab Section 1: General Settings This information is what will appear on the Online Signup form for participants who are registering to ANZ NetSetGO. The form type Event/Program Registration is automatically assigned and locked. The Title e.g. NetSetGO is automatically added on to the Centre Name (can be edited). Add in a description if applicable. The Top Description is already auto filled with information about retrieving MyNetball login details (to avoid participants potentially creating duplicate ID s in MyNetball). Additional information can be added in both the Top and Bottom Description boxes. Status is automatically set and locked to Active Sort Order this is the order that the NSG Online signup form is displayed online if your centre has other additional forms through MyNetball Preview you can preview your online signup form before submitting your application Share Link you can promote your online signup form for NSG by posting this link to your Centres Facebook, twitter, linked in account etc or include it in an and send it out to parents who have registered their children previously. Disclaimer - The NetSetGO Global Disclaimer is automatically assigned. Centres can add in additional disclaimer information in the Bottom Description box if required. The Contact Name and Contact are automatically prefilled from the program settings page and this information will be displayed at the bottom of the ANZ NetSetGO Online Signup Form for participants. Section 2: Payment Settings For more information on the MyNetball Payment Service including sign up please visit Page 7 of 19
8 Payment Gateway : Select SIMULATED GATEWAY if participants can pay online if you re not allowing any Offline Payment (recommended) then untick Allow Offline Payment box Select NO GATEWAY for offline payment and tick Allow Offline Payment box Enter Automatically Add Processing Fee if applicable Enter Offline Payment Information if accepting offline payments eg. bank transfer information Currency Format is automatically set as $ Tax Description is automatically set as GST Tax Rate is automatically set at 10%. Prices displayed are always inclusive of GST. If a Centre isn t registered for GST you can enter in 0 and the reference to GST on the participant signup form will be removed. Section 3: Form Fields Default Fields Tab The Default Fields are a selection of mandatory fields, required by Netball Australia which are automatically assigned to the ANZ NetSetGO Online Signup Form. Centres can add in additional fields to this form if they wish. Page 8 of 19
9 Additional Fields Tab To add in already created additional fields select the Additional Fields tab, select the required field from the Available Fields column on the left and then click Add. Select Refresh List under Advanced Settings. This gives you the opportunity to make your additional fields mandatory and to change their display name etc Once finished select Update Customise Additional Fields An Organisation may wish to add in Custom Fields to the ANZ NetSetGO Online Signup Form. To do this please follow the below instructions ORGANISATION > PEOPLE > Custom Person Fields Add New Custom Field Field Details: Enter in Name eg Height Field Details: Enter in Description Page 9 of 19
10 Field Type: Select Type from Dropdown Field Type: Options - Enter in multiple options with comma s between them. Display options: Netball Australia suggests selecting Prohibit editing by logged in participants Apply to Role/Sub Role Netball Australia suggests Sub-Role Player:NetSetGO Once you are happy with your ANZ NetSetGO Centre Registration application go back to the Program Settings tab Select Submit Application Application Your ANZ NetSetGO Centre Registration application will be automatically sent to you Member Organisation (eg Netball NSW, Netball Tasmania) who will review it within 48 hours. They will Approve your application and if there are issues with it they will contact the Centre Coordinator directly to verify. Once approved, an advising of the Approval will automatically be generated and sent to the Centre Coordinator s address. Once approved, equipment kit and participant pack orders will be automatically generated based on the number of registered participants for the program as at the Registration Close Date. As per the Terms and Conditions, Centres who choose not to accept online payments at the time of registration will be financially liable for all participant pack orders submitted to the supplier for dispatch, regardless of whether payment has been collected. Once a Centre is approved, the Register button on the Centre Search is automatically generated and participants can begin registering and paying online for your ANZ NetSetGO program. The online registration forms will display on the Centre Search and participants will only be able to register during the Registration period. Registrants Tab This tab is used for reporting on those participants registered to your ANZ NetSetGO program. You can select which program stream you d like to report on from the dropdown menu (eg Net 5-7 Activity/Skills). You can then download that report as an Excel spreadsheet. The spreadsheet which downloads will include all the information that a participant has completed in the online registration form including parent details, medical information (if applicable) and answers to any additional/custom fields you may have added in. 11 MANUALLY ADDING IN A PARTICIPANT Netball Australia s preference is for all participants to have the ability to register and pay for ANZ NetSetGO online. This is based on research which tells us that parents want to be able to register and pay online and this is what all other major sports are doing already. For those occasions when a participant is unable to register online and has to complete a hard copy ANZ NetSetGO Participant Registration form, the centre coordinator is required to enter in the information on MyNetball using the specific ANZ NetSetGO Program Enrolment Manager. ORGANISATION>PROGRAMS>Program Enrolment Manager Step 1: Give Participants NetSetGO Role To add participants first search to see if they are within your organisation. Program Filter Program: Select NetSetGO Season: Select the season you re entering in the participant to Organisation: Select organisation from dropdown Person Role: Select Any Role Sub Role: Select ANY Sub Role Enter in specific name details if applicable Select Search Page 11 of 19
12 Selected Actions Once the search action has been performed, a person s name or names will appear in the list. If the person s name doesn t appear in the list follow the instructions following this section. Find the person s name you re adding and select Edit. From the person s profile select the Roles tab From the Add a New Role dropdown select Player and tick NetSetGO Select Add Role to update Page 12 of 19
13 Should the person s name not appear in the list select Add New Participants Enter the persons name you re searching for If persons name appears select Add to [NetSetGO Centre Name] Follow the transfer person s instructions so they appear in your organisation. Select Role Player and Sub Role NetSetGO If person s name doesn t appear select Create New Person and enter in details Step 2: Add in Additional Information To add the additional information from the hard copy Participant Registration form, select Edit next to the participants name and enter in the details under the Personal Details tab. Ensure that all details are accurate and updated eg Parent Contact Details, Address, etc and select update. Also enter in Page 13 of 19
14 information on the Customs Person Field and select update. It is critical that a participant being added to the program through the Program Enrolment Manager tab has their additional information added to their profile. If this is not added, that participant will not receive a tee shirt as part of their participant pack as a size will not have been entered for them. It is also vital that their other information is updated including their parents contact details and any medical conditions they may have. Repeat for additional participants if required. Step 3: Add Participants to a NetSetGO Program Now you will need to add those participants in to the relevant program stream eg Net 5-7 Activity/Skills. To do this, select the tick box next to those participant names you are adding to a particular program stream and select Enrol from the Actions dropdown list - then select the green Perform Action button. Select the Program Stream you would like to enrol them in to from the dropdown menu eg Net 5-7 Activity/Skills then select Enrol Participants. If this Program Enrolment Manager is used to add participants after the Registration End Date then these participants will not automatically receive packs. Centres must liaise directly with their State/Territory Netball Organisation in this instance to arrange the delivery of these additional packs. Centres can accept registrations after the Registration Close date but these must be manually added in to MyNetball via the Program Enrolment Manager page. The information for manually added participants must be sent directly to your State/Territory Netball Organisation who will send out participant packs directly this is because the participant pack order is generated directly from MyNetball based on the Registration End Date. 15 FINDING A CENTRE ON THE ANZ NETSETGO WEBSITE The Centre Search on the ANZ NetSetGO website is linked to Centres who have submitted an ANZ NetSetGO Centre application through MyNetball. The postcode used in the centre search is the centres postcode on MyNetball so please ensure one is entered for your centre. Centres who have submitted an application which is Pending will have a Submit Interest button appear on the Centre Search. Centres who have been Approved will have a Register button. Program Stream details are visible on the website along with Centre Coordinator Contact details. Page 15 of 19
16 Centres need to complete an application to be an ANZ NetSetGO Centre every year. Centres will automatically be Deactivated at the end of each year (31/12) and a Submit Interest button will replace the Register button until a centre has been approved again. Centres who are Pending at the 31 st December each year will no longer have their details displayed on the Centre Search to ensure that only current centres are on display. An organisation can see all the Submit Interest enquiries from the Program Enquiry Button ORGANISATION>PROGRAMS>Program Enquiry Report. ANZ NETSETGO ONLINE SIGNUP FORM Netball Australia has created the ANZ NetSetGO MyNetball portal as a result of research which overwhelmingly shows that parents want to register and pay for their children to participate in ANZ NetSetGO online. By going online, we are creating automatic processes which free up the many hours that Associations, Clubs and Member Organisation spend processing manual registrations and ordering participant packs and equipment. The online signup form process, accessed through the Register button on the Centre Search looks like this: Page 16 of 19
17 Once a particpant log s in to MyNetball or click s Get Started the following screen appears: Once a participant has selected their product from the ANZ NetSetGO Signup Form page, they progress through the Participant Signup form entering in the Contact Details, Tee Shirt Size etc. Page 17 of 19

19 To download a list of who has paid for your ANZ NetSetGO program follow the above steps and then select Download Data ACTIVATING MYNETBALL LOGIN DETAILS To ensure that participants aren t being entered in to MyNetball multiple times it s important to follow these steps when creating a NSG Centre this activates the MyNetball login details for participants who are on MyNetball registered to your organisation. ORGANISATION>PEOPLE>PARTICIPANT LOGINS Person Filters Person Role = Select Any Role and Any Sub Role Account Status = No Account Click Search Persons Button Selected Actions Actions Select Create Logins from dropdown Tick Select All Select Perform Action SUPPORT Centres first contact with support of MyNetball is always your State/Territory Netball Organisation.
