1 General Library Info? Time clock To punch in & out the system requires your ID number & your password in ALL CAPS. Your last name is the default password, but you can change it. Clock in is set every 7 minutes so if you are 8 minutes late it goes to the next quarter hour. Make sure you approve your timesheet at the end of your shift, if you do this everyday it is easier to keep track of the correct hours you worked. Any clock in/out issue (forgot to clock in, time clock not working, etc.) can be written down on the clipboard hanging by the time clock computer. Parking Partners in Parking please park down near Riverview Park (by T. Dubs) or in other city lots (by the police department). You may park at the space farthest away from main doors when working during evening & weekend shifts. Jefferson Street adjacent to parking lot is the only street by the library where there is not a 2 hour limit, you can park there. The streets that have 2 hour limits stop handing out tickets at 4:00 so if you need to you can park there for an evening or weekend shift. Breaks If you work more than 4 hours you get a 15 minute paid break (do not punch out). A ½ hour lunch (punched out) is required if you work 6 hours or more.the screen will say: Transfer Complete. (Do NOT place on Hold/ Park first.) Dress Code For your safety we require that you wear closed toe shoes. Jeans and library appropriate t shirt are acceptable, but when in doubt think business casual. Remember that you will be bending and reaching during the course of your duties and you are the face of the library when you are working. Phone Greeting examples Hello this is the Waupaca Library. How may I help you? or Thank you for calling the Waupaca Library, how can I help you? You can say your name in the greeting if you wish, but you do not have to. If you need to place someone on hold ask them to please hold and press either Park 1, 2 or 3. If the person they are calling is unavailable and they wish to leave them a message press Transfer to VM then the name of the person they wish to leave the message for. What do I need to know about paging? What s the most important thing to know Accuracy is the key word when shelving items not speed. Our goal is not to get as many carts shelved as possible but to make certain the items are shelved correctly. If you don t shelve a book correctly chances are the next item may be mis shelved as well. Awareness Do a short visual check of the shelf when you shelve an item make certain that is really where the item belongs, three items to either side of where you think the item goes, and that you are not putting it next to an item that has been misshelved by either a patron or page. Pay special attention to items at the ends of shelves & the beginning of the next shelf, being extra careful when the next shelf is across an aisle or around a corner.

2 Keep It Neat Straighten as you go, but use your judgment. If you spend too much time in one area, you may not be able to get enough shelved during your shift. If an area will take more than 5 minutes to fix, you need to write it in the page notebook, writing it down lets your teammates know this area needs to be fixed. When you are caught up with paging the items on the carts you can go back & fix an area you found out of place. Whenever you write a note always initial and date it. Shifting When shelves become tight, it becomes difficult for a patron to select a single item without making a mess. When this happens items need to be shifted. Items can be shifted to the left, to the right, a shelf down or a shelf up from their current spot. However if one shelf has a lot of books on it & the next shelf only a few, please try to even them out. Replace bookends when missing. When possible, fit all materials in a series or by the same author on the same shelf. There should always be at least a hand width of space, 6 or so, between the bookend and the end of the shelf. Shelf Reading Shelf reading is when you take a cart out to the stacks, remove a small section of books and put them on your cart. Then dust the shelf and put the books back, paying special attention that the books are in the right order. When do I shelf read? When you are caught up with paging the items on the carts, alert your supervisor or circ staff that you will be shelf reading. You will need to check the page notebook for any problem areas before shelf reading. If you find an item that is clearly far out of place bring it to the circulation desk to be checked in. Repair If you come across a book that needs to be repaired (e.g., binding coming loose, loose pages, rips, stains, etc.), give it to the Circulation Desk staff & point out the issue. Hard to Read Call Label If a call label is hard for you to read chances are it is also hard for the patron to read. When you come across an item like this please put a post it note on it that says can t read call label with your initials and date and give it to the person working the circulation desk. Identifying where the book should be placed The spine of the book contains important information about book placement. All material spines should be read from the top of the spine to the bottom. The top label will have the Author s last name if there is a second bottom label this tells us the book is in a series. How do I shelve fiction and non fiction Fiction books Fiction books are shelved by author s last name, then by first name, and lastly by title. For example: Austen, Jane Emma, would go before: Austen, Jane Pride & Prejudice Pay Special Attention When a title begins with the words a, an or the, ignore these words & use the second word for alphabetizing. However, words like And or then count as part of a title. Ignore punctuation in the author s name. For example L Amour, Saint Exupery.

3 When shelving materials that start with Ms., Mrs., Mr., shelve them as if they were spelled out: Miss, Missus, Mister. Words like In, Of, And, and On that are within a title count. For Example: Handful of Dreams would be shelved before Handful of Heaven, & Curious George & The Ice Cream Surprise comes before Curious George At the Aquarium. Spaces in titles counts as characters. Smaller words first, then alphabetically by the next word. If all of these books were by the same author this is how you would shelve them Man from Stone Creek Man Hunt Maneater Manslaughter How do I Shelve books in a series? Books in a series are shelved alphabetically first by author s last name then by series title. If that author has several series, each series will be shelved alphabetically by book number in that series. For example: fictional author J.J. Glockenspiel has written a number of books & they would be shelved in this order. Author Title Series Title #. Glockenspiel Apricots Are Delicious Glockenspiel Love 1 An Apricot Love Story Glockenspiel Love 2 I Wish Apricots Loved Me Glockenspiel Munchable Apricots Glockenspiel Pitts 1 A Pittiful Beginning Glockenspiel Pitts 2 Sweetest Apricot Pitts Glockenspiel Pitts 3 Betrayed by Pitts Glockenspiel Poisoned Apricots Glockenspiel Unreasonable Apricot Non Fiction books Nonfiction books are shelved according to: 1st by Dewey decimal number, 2nd alphabetically by the 3 letters following the catalog number. Author s last name, then author s first name, then book title 3 rd alphabetically by the book title. Example: DAV is shelved to the left of WIS Oversized books In some sections there are oversize books. These should be placed on the shelves whenever possible. When an item is too large to fit on the shelf it has a sticker on the spine that says BOTTOM SHELF and is to be placed on the bottom shelf of the section containing the call number of the book. If it is too large to fit on the shelf and does not have this label please give the book to either a circulation or information person and tell them it needs a bottom shelf label.

4 ADULT DEPARTMENT Sections in the Adult Department New Red Tape means the item is new. The numbers on the tape indicates the date this item was added into our collection. New fiction, nonfiction, and audiobooks are kept in the new shelving area for 6 months or until a supervisor requests that they be removed. New LP items are shelved in their own case at the end of the LP section facing the circulation desk. If shelves are getting too full, tell the Information desk staff. New DVDs are shelved with regular DVDs. New graphic novels are shelved with the rest of the graphic novels.*be careful to watch for new books with red spines. Large Print Shelf these books just as you would any regular fiction or nonfiction. Following fiction is the Reader s Digest LP collection, placed by year, then month (newest to the right), then the nonfiction section begins. Audiobooks These are shelved like regular fiction and nonfiction books would be. Playaways Playaways are in orange plastic case. They are shelved as regular fiction and nonfiction would be. If case has red tape, it goes in the New section. If case has + above the title, it goes down to the Children s Department. DVD s The first several shelves are for recently returned items. They are not alphabetized and only sorted by fiction, nonfiction, or TV Series. DVDs are shelved in alphabetical order by title. The first three letters or more of the title are printed on the DVD s spine label. TV Series have their own shelves and are shelved in order of show title, then season, and then by disc number. Both of these numbers are printed on the spine label under the first three letters. Nonfiction DVD s also have their own shelves and are put in order according to the Dewey decimal number and then by the three letters. Example: YOG is placed before WOR. Music There are several different genres in our collection and these are labeled on each CD and placed in separate sections of the music shelf. The genres are in alphabetical order. They CDs are shelved by genre, call label, then by CD s title. Graphic Novels Are shelved on top of the music collection shelves. Fiction is shelved before non fiction. Spanish Collection is around the stairwell upstairs across from the magazines. They are shelved like fiction books.

5 Literacy Bright purple tape at the top of the book means these books are a part of our Literacy collection on the shelf across from the magazines. These are placed by color, top label (type), then bottom label (usually author). Community Resources These book have dark purple tape on them. They are not sorted in any particular order. Except like materials need to be together. Wisconsin Shelved on the Wisconsin shelves located next to the Magazine section (Note: anytime a pink sticker is seen, overlook the sticker it s placed over). There are only nonfiction books on the Wisconsin shelf & are shelved according to the Dewey decimal system. This collection is slowly being integrated with regular nonfiction so you may notice the collection size shrinking. Magazines The most current magazine has a green library use only sticker on the cover. These magazines go on the rack. Underneath the rack, place magazines in order with oldest on the bottom and newest on the top. Example: The January issue of Vogue is underneath the February issue of Vogue. Honor Items These items are shelved by circulation staff. Until they are shelved they are kept on a set of bookshelves outside Dominic s office. There are a few stickers in the adult department you can ignore.

6 CHILDREN S DEPARTMENT Items that belong in this department will have one of the following things on the call label; +, E, Professional Collection, Family Collection, Early Child, or a blue label on DVD s Sections in the Children s Department Chapter Books Books in this section have a + on the call label. They are shelved as fiction books. *Books in a series such as Batman or Star Wars will all have the same call label, and in these cases you ignore the author's name completely and shelf them by the call label then the title. +Family Collection Items that belong in this section have Fam Coll on the call label. They are then shelved as regular fiction & nonfiction. +Early Childhood Items that belong in this section have Early Child on the call label. They are shelved as regular fiction & nonfiction. + There are a few DVD s & CD s in these collection they are shelved by the call label. Magazines Magazines should have the most current issue on display and the rest are shelved behind them or below them. All children s magazines have the word YOUTH written on the label. There are two spots for magazines in the children s department. The first are our most common magazines. These are shelved on the rack behind the staircase. However there are four magazines that are shelved over by the toys, these are Family Fun, Click, Ranger Rick Jr & National Geographic Little Kids Graphic Novel These items will have a + or E along with a graphic novel sticker. These items are shelved just as fiction and nonfiction would be. Nonfiction Books in this section will have a + or E and are shelved as nonfiction books. Biography They are shelved by the call label then the title. NOT by author. Reference Books in this section are shelved by call label, then title.

7 Beginning Reader Books in this section have an E and a red dot or a yellow dot on them. They are shelved as fiction books. We Both Read These books will have a call label that says WE BOTH READ. They are shelved by title. Phonics These are shelved by call label then by title. Alphabet Shelf These books are shelved by call label then title. **+Spanish Collection The material in this section are shelved as regular fiction and nonfiction would be. **There are clear bags in this section that have books and the corresponding cd s in them. These clear bags lay on the bottom shelf in this section. + There are also a few DVD s that belong in this section. Bilingual Collection These books are shelved as fiction books. ++Picture Books Books in this section will only have an E and the author s last name on the call label. They are shelved as fiction books. ++Books in a series such as Dora the Explorer, Batman, and Star Wars have call labels with the series name on them. These books are shelved by the call label then by the title. ***Holiday Shelves These shelves are organized chronologically by time of year. The Books on these shelves will have an E as well as a holiday sticker. They are shelved as fiction books. ***Please take note that there is also a shelf with Christmas DVD s. They are arranged by call label. All Christmas DVD s go on this shelf not with the regular DVD s. New Shelf These shelves have picture books, biographies, nonfiction & chapter books. You can tell a book is new by the red tape with a date written on it on the spine. Green Dot Books When shelving these keep the same letters together. All the A s together, all the B s together etc. In this section we do not pay attention to the author s name or the title.

8 Easy Audiobooks In this section you will find red, green, yellow, and blue bags that contain a book and the corresponding CD that goes with it. The size of the bag has nothing to do with which title is in which bag. They are arranged by color, then by title. Audiobooks and Playaways These are shelved the same as fiction books. With one notable exception: The Adventures in Odyssey series have their own shelf. This series are arranged by the number on the call label. CD s CDs have a letter sticker on the spine and are shelved by the letter on the spine. Movies Movies in the children s department have a blue label. They are shelved by the call label then by title. (Pay special attention to the words; in, on, and, and of within the title). Some movies have numbers on them, unless there are numbers on the call label ignore these numbers and shelve them by title. Professional Collection Materials in this section have Prof Coll on the label. They are shelved in the children s staff office. Shelf them according to fiction and nonfiction rules. Big Books These are VERY big books. They are shelved in the children s program room. The labels on these books have the author s last name. The shelves have A D, E H etc. on them. The author s last name should be on the corresponding shelf. There is no other order needed. There are stickers in the Children s Department that you can ignore. You can also ignore the letters PBK that are on some chapter books.

9 What do I do as a page? Your first duty as a page is to get all the materials put away. However accuracy is more important than speed. Page Duties in Adult Department Empty both the outside and inside drop when you arrive, then 1 hour before the end of your shift. Put the DVDs out on the recently returned shelves. Assist with the check in of materials as needed. (This will be mostly Saturdays & possibly evenings.) Sort and put away fullest cart first. Be efficient by loading a full cart before going out. Straighten shelves as you replace books. Pick up fallen books; push bookends in; replace books on display; bring books to the front of the shelf; pick up any books, magazines or library materials on tables or shelves and give them to Circulation staff to be checked in. Any item placed on display must be placed near where the item would normally be shelved. Displayed books should be attractive & or time sensitive (seasons, holidays, etc.) Shelf read as you go. In other words, fix mistakes in shelving as you notice them. Keep shelves neat by straightening, pulling binding to the shelf edges and pushing book ends tightly against books. Report any damaged items to the Circulation person. When you have finished all shelving, ask Circulation staff if they have anything else. If they don t: Shelf read according to the page notebook. It should be in the Page mailbox. Go through magazines, straighten and look for things out of place. Ask if Honor Books need shelving. If your co worker is busy with a patron and the phone is ringing, please answer the phone. Do sweep (MESS) at closing. Paging Materials in the Children s Dept. Check if the children s cart upstairs is full before going downstairs. If it is, replace it with an empty card and bring the full cart down with you. There will also be carts of returned materials waiting for you downstairs at the start of your shift. Sort materials on each cart before taking the cart out to the stacks to put the items away. Be mindful of all spine stickers that designate what collection the item needs to be shelved. Any item placed on display must be placed near where the item would normally be shelved. Displayed books should be attractive & or time sensitive (seasons, holidays, etc.) Shelf read as you go. In other words, fix mistakes in shelving as you notice them. Keep shelves neat by straightening, pulling binding to the shelf edges and pushing book ends tightly against books. Report any damaged items to the staff person on duty.

10 Put all empty carts in the elevator & call the circulation desk to let them know there is a cart in the elevator. After shelving is complete there are most likely projects to work on. Ask the youth services staff person on duty for direction when shelving is finished. Closing sweep involves turning off computers, picking up toys, straightening shelves, pick up material left lying around. Make sure stray materials are checked. Assisting patrons Everyone is responsible for being friendly and helpful. If you see a patron (of any age) that appears to be looking for something, ask them if they need help finding anything. Help them if you can, if not, direct them to other staff. While at circulation area: Be aware. Check out patrons who are waiting. (Patrons before phone.) Answer phone if Circulation staff is busy. While in stacks: Straighten messy shelves as you run across them, push bookends in, pull items to front edge of shelf. Put books on display. Put misplaced items on lower shelves of cart for later check in & re shelving. Be aware of patrons; say hello and ask if they are finding everything they need. Help when able. If not, refer them to other staff. When shelving is complete: Fix problem areas listed in notebook and initial & date the entry so we know who fixed it and when. Shelf read. See list in work room for where to start, downstairs. Ask if there are any special projects for you to work on. Closing Procedures 15 minutes before library close Stop shelving to Sweep the MESS M Materials picked up from the tables, chairs, straighten shelves, and shelf ends. Any materials found during the sweep need to be brought to the circulation desk to be checked in. E Electricity make sure the lights, computers and coffee pot are all off. S Security Make sure the windows are all closed and locked. Make sure all the lights in the study rooms are off and the doors are closed. S Support other staff. Check with other departments to see if they need help. After the closed announcement is made: Make sure bathrooms are empty and toilets are flushed. Make sure all the patrons have left.

11 Check in with the Circulation staff and make sure they don t need any final help before you leave. At the end of your shift make sure that all the display areas are full and that books are hardcover and have an attractive cover. Test carts are given randomly to staff to check for accuracy. They are graded by the following criteria: The item to be shelved counts for a whole point deducted it it s in the wrong location. The three items on either side of the shelved item need to be in order. If any of these six items are not in order it counts for a half point deducted. For example: _ I _.
