1 Vice President Term: At least one year with two subsequent years as President or as determined by the Board of and Chapter Bylaws Qualifications: Member in good standing with previous service in a Board Knowledgeable of the activities/affairs of the chapter Willing to give the time, energy, talents and enthusiasm required of the Good organizational skills and favorable emotional intelligence capabilities Serve as direct support to the Chapter President In the absence of the President, perform the duties of the President with the powers of and subject to all the restrictions upon the President Keep knowledgeable about chapter activities in order to take over for or represent the President Serve as voting member of Board of, Executive Committee Serve on the Nominating Committee to develop a slate of qualified board members for the following year Develop and implement a leadership succession/mentoring program Ensure the chapter adheres to minimum chapter standards as prescribed by GBTA Attend monthly board meetings, chapter events and committee meetings Support and defend policies and programs adopted by the Board of Perform other duties that may be delegated by the President and/or the Board of Regular attendance at monthly meetings, Board meetings and Executive Committee meetings Attendance at Board retreat Attendance at all official chapter activities and functions
2 Director of Administration Member in good standing Previous service on Board of Willing to give the time, energy, talents and enthusiasm required of the Good organizational skills and favorable emotional intelligence capabilities Serve as voting member of Board of and Executive Committee Attend monthly board meetings, chapter events and committee meetings Support and defend policies and programs adopted by the Board of Take minutes of all Board meetings Ensure proper distribution of monthly board minutes to all board members Take minutes of Executive Committee meetings and Annual Retreat and distribute as Act as chapter parliamentarian, promptly upholding Roberts Rules of Order and enforcing the presence of a quorum to properly conduct business Act as guardian of the chapter's bylaws, policies and procedures to ensure they are updated as necessary and in compliance with GBTA bylaw standards Develop and facilitate a mechanism for the historical record of all chapter activities and board minutes Perform other duties that may be delegated by the President and/or Board of Regular attendance at monthly meetings, Board meetings and Executive Committee meetings Attendance at Board retreat Attendance at all official chapter activities and functions
3 Director of Finance Member in good standing Previous service on Board of, preferably in a financial capacity Willing to give the time, energy, talents and enthusiasm required of the Good organizational skills and favorable emotional intelligence capabilities General Responsibilities Serve as voting member of Board of and Executive Committee Attend monthly board meetings, chapter events and committee meetings Support and defend policies and programs adopted by the Board of Perform other duties that may be delegated by the President and/or Board Specific Responsibilities Manage and supervise chapter financial efforts, including: Fundraising - fundraising events, auction Special Events - golf outing, trade shows, special networking events Maintain proper accounting procedure for the receipt and handling of funds, maintenance of financial records, and paying all authorized invoices Ensure safekeeping of chapter funds in such banks, trust companies, and/or investments as approved by the Board of Renew all permits and authorized post office boxes Prepare annual operating budget and ensure compliance once approved by the Board Ensure chapter is incorporated according to chapter minimum bylaws Comply with all governmental tax regulations and file chapter tax reports as required Ensure chapter complies with GBTA bonding requirements Present up-to-date financial statements at each Board of meeting Regular attendance at monthly meetings, Board meetings and Executive Committee meetings Attendance at Board retreat Attendance at all official chapter activities and functions Maintenance of chapter financial records

5 Director of Communications Member in good standing Willing to give the time, energy, talents and enthusiasm required of the Good organizational skills and favorable emotional intelligence capabilities Overall Responsibilities: Serve as voting member of Board of Member of Executive Committee Attend monthly board meetings, chapter events and committee meetings Report on the strategies, successes and challenges of assigned committees to Board of Support and defend policies and programs adopted by the Board of Perform other duties that may be delegated by the President and/or Board of Manage the publications, marketing, advertising and public relations, efforts of the chapter, including Marketing - Website/technology, Job Bank Publications - Newsletter on website Public Relations - Media Relations, Press Releases Advertising - Newsletter Ads, Website Ads Website Administration - Manage: contract with supplier, content, functionality, administration Communicate strategic issues relating to communications/technology to Board of Research current communications/technology trends and topics pertinent to the meetings industry and report findings to Board of Approve all bills of the committees within the Communications category and forward appropriate paperwork to the VP of Finance Regular attendance at monthly meetings and Board meetings Attendance at Board retreat Attendance at all official chapter activities and functions
6 Director of Marketing Member in good standing Willing to give the time, energy, talents and enthusiasm required of the Good organizational skills and favorable emotional intelligence capabilities General Responsibilities: Serve as voting member of Board of Attend monthly board meetings, chapter events and committee meetings Report on the strategies, successes and challenges of assigned committees to Board of Support and defend policies and programs adopted by the Board of Perform other duties that may be delegated by the President and/or Board of Website and Technology Responsible for creating, implementing and measuring the success of all association marketing, communications and public relations to enhance the associations image and within the marketplace. Manages all social media communications with potential and existing members by increasing member participation in these outlets to create high levels of satisfaction among users. Develop and implement a strategy to engage and motivate active online advocates through the promotion of chapter website and social media to members and potential members. Moderate message boards and keeps spam and unwanted solicitations in check Facilitate posting of banner ads in cooperative effort with VP, Communications and Chapter Administrator. Research and offer suggestions on ways that technological advances can assist the chapter Liaise with to ensure promotion of chapter activities Reports to: VP of Communications and Chapter Administrator. Regular attendance at monthly meetings and Board meetings Attendance at Board retreat Attendance at all official chapter activities and functions
