1 RRLC PLAN OF SERVICE ACTIVITIES/ACCOMPLISHMENTS Resource Sharing: Collections: o Collection analysis. Which libraries locally are conducting this? What service(s) are being used? Possible discussion for CD & Acquisitions Group o Update libraries on Empire Shared Collection, other shared (physical) repositories. Discovery o Convene the Work Group to determine future of OCLC First Search (Discovery) WorldCat subscription Create alternatives and/or options. Group met and agreed to continue for another year. Group subscription is still less expensive than individual subscriptions. 3 libraries will increase cost-share. RRLC staff met with RPL to ascertain exact use by RPL and MCLS staff. As we transition to Discovery, we want to be sure the new interface meets their needs. Shared info with OCLC and also met locally with OCLC Working with OCLC to schedule training webinars for RRLC members. Switch to Discovery postponed by OCLC; training on hold. o Revise Academic Guest User Policies on RRLC website. Completed Delivery o Review RRLC delivery route in relationship to statewide delivery service. Look for intersections to benefit RRLC members. Explored options with JetX. Unable to find solution that meets everyone s needs. One library dropped JetX because of ELD; one library no longer needs. New Task Group developing hub option for implementation July o Market participation in UPS CampusShip to those libraries that might benefit from it. One library added. Will continue to promote. ILL o o Continue to promote ILL public/academic direct ILL partnership; seek new participants. Will continue to promote. Work with ILL Steering Committee and interested RRLC members to plan ILL/Tech Services Workshop, scheduled two ILL related programs for spring Access Cards: o Revisit Access Policy. Is availability adequate? Are members aware of this service? Make contact with likely users that are not currently participating.
2 No activity yet on this. However, we have had increased use by school libraries thanks to promotion by SLS directors at high school to college meetings. Special Client Groups Medical Libraries o Adjust the HLSP funds as the hospitals realign into two major providers RGH, Strong. Adjust funding for CLSP, other components of HLSP. Completed o Determine CE needs of medical librarians and offer appropriate programming. Offered various MLA webinar on request, and solicited other medical topics for training. Scheduling these topics for Embedded and Empowered: Making an Impact with Embedded Librarianship MLA class scheduled for April, o Schedule training sessions with healthcare providers, consumer groups for updated CLIC-on- Health website. provided training sessions to FLDDSO and Finger Lakes Health School of Nursing, Oct. 2015, Jan Archives and Special Collections o Adjust services for former DHP clients, now that the Program is no longer funded for our region. Provide some continuing education programs to former DHP clients that are not RRLC members, but limited funds will not allow the same level of service. Offered various classes of interest to DHP clients. Talking with members of the RASCAL group to determine their training needs - may be same needs that RRLC members have. Will schedule further training. o Offer limited archival consultant services for RRLC members advice for collection processing & storage, best practices. Offered this advice on an informal basis in the course of working with New York Heritage (NYH) and New York State Historic Newspapers (NYSHN) participants. Have not advertised this service, so no one seeking us out to provide this. o Facilitate a Rochester Area Special Collections & Archivists group. The RASCAL group meets quarterly at different locations around the region. Past topics of discussion included interns, marketing ideas, and Archives Month activities. Continuing Education Analyze use of our CE programming. Who is attending, who is not. Work with non-attenders to determine and remove barriers. o We are still working on this. We have a good idea of what type of library people are attending from, and what is of interest to what type of library. We need to look further into nonattendees and other barriers to attendance. Plan and hold a Leadership Institute with both non-library and library presenters. Target spring/summer o Lead From Where You Are began in June and finished in October Good attendee representation from public and academic libraries. One school librarian attended.
3 Create Silo-Busting Bonanza or Project Rodeo an expo for interesting and innovative projects and services going on in the area. Target late spring/summer o Silo Busting Bonanza took place in March 2015 and was a huge success. Silo Busting 2016 will be at the George Eastman Museum on Monday, April 25, Change to Summer Semester instead of Summer School. o We scheduled less training for school librarians this summer and tried to plan a HigherEdTech event, but there wasn t much interest. We are planning to offer two major workshops for school librarians in summer 2016 Tech Camp and Best Books speaker. We are still working on ideas for the academic librarians over the summer. Tech Camp for school librarians will continue at different location. o We held Tech Camp 2015 at Johanna Perrin Middle School in August Currently planning Tech Camp 2016 for somewhere in the city of Rochester. Create a tech summer event for academic libraries. o Tried to plan a HigherEdTech event for July but there wasn t much interest among academic librarians. This may or may not be something of interest to the academics. Improve the quality of the grants we receive by presenting workshop on how to complete RRLC and other grants. o Presented in April; will repeat yearly if needed. Continue to develop CE programs that promote how to use NY Heritage and NYS Historic Newspapers to locate primary source materials, esp. to school librarians and teachers and the community o Presented meetings/conferences for Wayne County NY Genealogical Society, Rochester Genealogical Society, and Appointed Public Historians of NYS. Provided training to Fairport Preservation Commission. Continue partnership with Empire State Library Network (formerly known as NY 3Rs Association, Inc.) CE committee for development of online training classes and webinars. o Worked with Empire State Library Network on Library Assistants conference, offered a workshop on library safety & security in Oct., Working with Northern New York Library Network (NNYLN), to promote NYS Historic Newspapers, a training video/training class was held in June, o Working with Empire State Library Network CE committee on statewide classes and webinars - ongoing. Consulting and Development Services Revise method of conducting signage analysis ; expand to user experience offer during slower time of year. o We are finding it difficult to fit in this activity; signage analysis is very time consuming. For the present, we are not accepting any requests. Develop best practices for signage photo gallery, based upon conducted visits (with permission). o Great idea. But we don t have staff to implement. Provide individual consultations and facilitations for libraries as requested (strategic planning; visioning; SWOTs, etc.) o Conducted several sessions for 3 libraries and trained a fourth. Offered when requested.
4 Promote availability of RRLC Consultant service -- ongoing Coordinating Digitization o Expand RRLC participation in NYS Historic Newspapers by funding digitization of various newspapers, including microfilm from both public and academic libraries. Added various student newspapers from academic libraries, and local papers from public libraries. Ongoing. o Work with ESDN/DPLA reps to ensure that all RRLC NY Heritage collections are ready for ingest into DPLA. Promote when completed. Encourage others. Fifteen of RRLC s member collections have been ingested into DPLA, including the University of Rochester (not hosted in NY Heritage) they have their own Islandora digital site). o Seek out collections of members that are not yet participating in NY Heritage but likely to have interest, e.g. Landmark Society. Chili Public Library, Rochester Genealogical Society and The Strong are the newest additions to NY Heritage, still getting started. The Macedon Public Library wants to begin a digitization project for the Bullis collection in Pioneer Library System wants to work with RRLC to get some of their member collections into NY Heritage in o Continue training for current and new NY Heritage participants with metadata, scanning, and CONTENTdm. Added cassette converter to equipment. Considering purchase of audio recording equipment for doing oral histories. Piloting on a new NY Heritage workflow which will eliminate the need for members to learn the CONTENTdm software. NNYLN uses this approach and it is very successful. Will likely save time for our members and eliminate barriers to participating for those institutions with little staff or technological expertise. E-resource access o RRLC will continue to partner with Lyrasis for discounts on some e-resources. Few libraries are interested but we continue to offer for those that want it. Empire State Library Network I2NY priority area RRLC will follow lead.- ongoing Cataloging for small libraries o Holdings can still be added to OCLC even if we no longer have a regional subscription to FS WC. Holdings will only appear in the ILL system. Is this cost effective? Analyze when changes occur with our regional subscription. Members decided to continue regional subscription for the time being. We will continue to add holdings. Very few libraries need or participate in this (one in 2014). Automation Grants o Rebrand RBDB grants to encourage more participation. Hold information session in which libraries can share their ideas for projects. Now called Technology Grants. Increased number of applicants.
5 Awareness and Advocacy Continue advocacy activities with other regional systems, especially for state funding; bring in additional interested and active people. o Held Annual Legislative Breakfast. Coordinated local visits to legislators. Successfully delivered message Libraries are Education. Result: 5.8% increase in State Aid to Libraries. Analyze success/effectiveness of RRLC Ad Council mini-marketing grants. If effective, add more funding as budget allows. If ineffective, can anything be changed to improve? o These are popular and most of the participants find them useful. Working with those who have suggestions for changes, and those will be implemented in the next go round. Also increased funding for this in RRLC Budget for Reconsider advocacy needs especially of academic libraries. Do they need marketing and PR or do they need to know how to gain respect and understanding for themselves; for their libraries? o No action this year. Communication Continue to focus on programs and events that bring together participants from all types of libraries to better enable them to share with each other. o Silo Busting event and networking opportunities like Books & Brews are very popular. Will continue these events. Revise Advisory meetings to concentrate more on sharing. o Established RRLC Cafe. Positive reaction. Updates circulated in minutes. Cooperative Efforts Other Systems Share information on Rochester Model for joint system advocacy with other systems statewide. o Our other system colleagues are our best ambassadors. They have encouraged their other system colleagues to collaborate as we do in the Rochester area. RRLC will participate in I2NY and Empire State Library Network activities and encourage participation by library staff in our region particularly encourage information professionals new to the profession. ongoing Expand working relationship with other 3Rs Councils under the auspices of the Empire State Library Network Business Plan. o Successful I2NY Summit 2; ongoing activities.
