4 Meetings Common Tools for Productive Meetings Let s standardize: Agenda Ground Rules Minutes Evaluation Role of the Meeting Leader Maximize the meeting time (before) Provide participants agenda, pre-work, and the intent of their involvement Set clear meeting expectations that support pillar goals (connect the dots) Manage the attendee list (less is more)

5 Leader Role Continued Maximize the meeting time (during and after) Review desired outcomes Review agenda items Review assignments Capture evaluation of outcomes achieved Ensure follow up Meeting Tool: Agenda Standard: provide minimum 24 hours ahead (Teamwork, Respect) Include team member s names next to assigned agenda item Include time allotment Define desired outcomes Set expectation for each subject (i.e.: information, discussion, action) Meeting Tool: Ground Rules Start the meeting on time Conduct a short opening Identify a recorder to keep minutes Plan for meeting to end 15 min early (e.g., 45 in a 60 min slot) Identify a timekeeper Do not recap for those who come in late Turn off other distracters, especially when virtual Minimize interruptions Come to meeting prepared. Show up, pay attention, and participate No secrets Be respectful of others No innuendos Develop/recap next steps during last 10 minutes of each meeting Leave the room in a presentable condition Rate the meeting outcomes
