Policy Statement Bahrain Polytechnic admits highly motivated students who can demonstrate a passion and commitment to their chosen area of study, as well as the potential to succeed academically. to Bahrain Polytechnic programmes is governed by fair and transparent procedures with sound principles. The approved criteria and minimum requirements for admission to Bahrain Polytechnic programmes, processes and responsibilities for the admission of students are designed to meet a variety of situations and needs in accordance with the Higher Education Council requirements and regulations. 2. Application This policy applies to admission of all Bahraini nationals and non-bahraini students on all programmes and courses offered by Bahrain Polytechnic. All Bahrain Polytechnic students will be admitted in accordance with the provisions of this policy and accompanying procedures. People: Prospective students and their families. Purpose Ensure all students admitted to a Programme at Bahrain Polytechnic with a conditional acceptance of enrolment meet the published requirements within the stated period to maintain their enrolment. Students with a conditional offer, who do not fulfil their conditions within the stated period will be deemed ineligible and their enrolment cancelled. 26. 14 Rules and Guidelines Student Policy A/AB/010 and procedures 1. General Principles 1.1. Bahrain Polytechnic aims to offer a supportive service to all applicants and prospective applicants, providing clear and helpful pre-entry information and advice to allow students to apply for a programme appropriate to their needs, interests and academic qualifications and potential The Polytechnic may offer programmes developed in partnership with external organisations in business, industry or public service, and admission to these programmes may be restricted to employees of the partner organisation to Bahrain Polytechnic programmes and other educational activities is available to both Bahraini and non-bahraini students. Bahraini nationals have priority of places in programmes Bahraini students include 1.5. Non-Bahraini students include: Local applicants who live in Bahrain and have valid Bahrain residency o Note that for purposes of fee payment, a non-bahraini citizen with a Bahraini Mother will be considered Bahraini. International applicants who live outside Bahrain who must obtain the appropriate student visa or permit to enable them to reside and study in Bahrain to Bahrain Polytechnic programmes and other educational activities is governed by fair, transparent and academically sound principles. Procedures shall be flexible to meet a variety of situations and needs where possible In adopting its admissions policy, Bahrain Polytechnic recognises the varied experiences of its prospective students and thus subscribes to the philosophy that a range of criteria must be considered in the evaluation of applicants to its uniquely designed, applied, professional degrees and technical qualifications to a Bahrain Polytechnic programme is determined on the basis of approved admission criteria which shall be made publicly available criteria to programmes will be clearly explained in promotional materials and they will conform to approved documentation on the programme The Polytechnic recognises that this may be measured by formal qualifications and by means other than formally recognised educational attainment in compliance with HEC regulations Places available in some programmes, because of human and physical resource constraints and the requirements of the labour market, are restricted and may vary from year to year. The Polytechnic may apply quotas on the number of admissions to any particular programme The Academic Board, in approving and reviewing programmes, will ensure that the following minimum requirements are met in the plans for implementation of a programme: The admission criteria shall set out requirements for entry into disciplines that are in accordance with the specific requirements of the discipline; Students shall be advised of the procedures and criteria for assessing applications for credit transfer, recognition of prior learning or exemptions relating to other regulations; The Polytechnic shall regularly review the admission criteria (academic and non-academic requirements), using information on student outcomes and international comparisons, to ensure that the criteria are appropriate, in line with the Polytechnic s aim to provide fair access to all prospective students who have the potential to benefit from and contribute to a quality education on their chosen programme. 15 1.14. A successful applicant may enrol as a full-time student or as a part-time student Applications must be received in full by the Registry Student Information Centre by the published closing date. Applications may incur a non-refundable application fee Bahrain Polytechnic endeavours to ensure that the selection process provides equal consideration for applicants who apply by the relevant closing date. No preference will be given to applications received early (i.e., before the nominated closing date) Late applications may only be considered at the discretion of the DCEO Academic and CEO if places are still available after appropriate offers are made All selection decisions are made on the basis of merit and the ability of each applicant to meet the academic and non-academic criteria for admission to the relevant programme of study Decisions of the Bahrain Polytechnic are final and the Polytechnic has the absolute right to decline or to offer a place to any student. Applicants should direct questions or opinions to the Polytechnic about its decision or the way in which their application has been handled to the of s. If they remain dissatisfied, the query should be directed to the Director Student Registry, who will conduct a review of the situation, taking advice from appropriate staff. 2. General Entry Criteria 2.1. Entry and admission to Bahrain Polytechnic is based on approved and published criteria, dates and deadlines to a Bahrain Polytechnic Programme is a two-stage process requiring applicants to satisfy both entry and selection criteria and requirements An applicant must meet the minimum criteria for entry to submit an application Entry criteria will be satisfied by the applicant producing clearly defined documentation such as school certificates, results of entry testing, and academic transcripts. Entry criteria may be specific to the level of qualification or specific to a programme as specified in the Programme Approval Document The General Entry criteria requirements to apply to Bahrain Polytechnic Foundation and Degree Programmes includes: Applicants must apply through Bahrain Polytechnic Website ( using the Online Application Applicants must supply all required documents. Secondary School Certificates Copy of a valid Passport Copy of a valid Identity Card (i.e. Smart Card) Recent Photo (Passport size) Evidence of Good Conduct not more than one year old Bahrain National System Secondary School certificates showing successful completion of (at least) 3 years of secondary education and Thanawiya Evidence of a 70% cumulative GPA or more at secondary school British system schools 5 ICGSE (O levels) with minimum C grade and at least one English subject; and 4 AS or 2 A levels (or equivalent) with minimum C grade in different subjects (i.e. if 2 AS and 1 A level is presented they must be 3 different subjects). International Baccalaureate system schools Secondary School certificates showing successful completion of (at least) 3 years of secondary education and Graduation Certificate Evidence of a 70% cumulative GPA or more Ministry of Education Equivalence letter If the applicant graduated from another school system, the Registrar will contact the Ministry of Education Private Education Directorate requesting a resolution for the school system. Applicants from Private schools in Bahrain must provide an equivalence letter issued by the Ministry of Education, Private learning Directorate. Applicants from abroad must provide an equivalence letter issued by the Ministry of Education, Examination Directorate after getting a formal letter from Bahrain Polytechnic Completion of the Bahrain Polytechnic English language and Mathematics assessments Applicants will be required to complete selection assessments or attend an interview to be considered for Programmes with additional selection criteria or where there are restricted places The Polytechnic reserve the right to interview any applicant Applicants are required to provide the all information, both academic and personal with their application in compliance with the published criteria. Incomplete or non compliant applications will not normally be received Bahrain Polytechnic admissions staff are available to offer information and guidance on the application process to applicants and those supporting them Applicant information and documents will be maintained in the Student Management System and in an applicant file in accordance with the archiving Policy Confirmation that entry criteria have been met or requests for clarification/further information can be made to the of s or delegates. 3. Selection and Offer of Places (refer to Procedure A/AB/010.3) 3.1. The entry and selection process may vary between Programmes and all criteria are approved by the Academic Board, as documented in the Programme Approval Documents and/or Academic Board minutes Applicants who meet the entry criteria will be considered for selection. A comprehensive review of all information presented in the application (both academic and personal) is made in order to select students who best match the required profile for entry into Bahrain Polytechnic programmes. 17 3.3. Selection criteria will be met by consideration of documentation, entry and selection testing, portfolio evidence and/or applicant interview. The purpose is to determine applicant suitability and, if there are more applicants who meet the entry and selection criteria than places that are able to be offered, to rank them and place them in groups for offer of place or wait-listing Foundation students who have completed and graduated from the Certificate in Academic Preparation Programme, having met the entry requirements for their programme of choice, will be accepted into the Certificate, Diploma or Degree programme of their specialisation if they enter the semester following. Entry is not automatic for students who do not graduate with the Certificate, and may be restricted due to the number of available places timing of intended entry or other reason Students wanting to transfer programmes must ensure they meet the Entry requirements of the new Programme or Major. Entry is not automatic and restrictions may be in place due to the number of available places, timing of intended entry or other reason The selection process will be carried out by a Selection Panel led by the Deputy CEO (Academic) (refer to A/AB/010.3) considering the number of seats available in each programme, all applicant information and programme preference. In cases where the Polytechnic is unable to make an offer for an applicant s original choice of course, he/she may be considered for an alternative or related programme The Selection Panel will provide the Registrar with the approved decisions for all applicants and with the list of students for admission to Bahrain Polytechnic, and in accordance with any BOT decision for the number to be accepted in any annual admission period. The decision will be one of the following: Offer of place (round one) Wait listed (for an offer of place if available after round one closes) Rejected 3.8. Offers of places within programmes are then made by the Director Student Registry or nominee, in accordance with the rules, resolutions, policies and procedures set down by the Polytechnic All offers are made in writing Acceptance of an offer must be made in accordance with the published procedures and dates including payment of the confirmation fee Confirmation fee for Degree and Foundation Programmes is 120BHD Non Refundable or full fees for the first semester (whichever is the greatest) The Polytechnic reserves the right to withdraw an offer and cancel the enrolment of any person where an offer is made on the basis of incomplete or inaccurate information supplied by the applicant or certifying authority The Polytechnic reserves the right to impose intake quotas on any programme, or withdraw an offer if there are insufficient enrolments to make the course viable The decision of Bahrain Polytechnic is final and no appeals will be considered Applicants who are offered a place and want to accept, MUST do so within the published period, completing all requirements, otherwise the offer will be considered rejected by the applicant Applicants who are offered a place but are out of Bahrain during the confirmation period may confirm by return to the Director of Student Registry, and nominate a proxy to complete the acceptance procedures within the published period, but the acceptance is conditional until the student has also sign all documents Unsuccessful applicants may apply again in the following academic cycle. 18 4. International Students Terms and Conditions 4.1. Any offer of place is conditional upon the international student obtaining the appropriate student visa or permit to enable the student to reside and study in Bahrain The international student must supply a study permit or visa as evidence of their right to study in Bahrain Any offer does not guarantee that the international student will be issued with the appropriate study visa or permit The international student is responsible for complying with all conditions relating to the study visa or permit The acceptance of an offer of place constitutes a formal agreement between Bahrain Polytechnic and the international student If the international student fails to obtain or maintain a valid study permit or visa or is required to leave Bahrain for whatever reason, the agreement will lapse and Bahrain Polytechnic may offer the place of enrolment to another student On accepting an offer to a programme of study the international student is liable for the fees payable for the first semester The international student can formally withdraw from a programme of study as per the policy Enrolment A/AB/ Programme or Major Transfer or change 5.1. Registry determines the period of transfer and annually publishes it on the Academic Calendar The. The Dean and Faculty Board are responsible to determine the number of places available A student who wants to transfer programme must: seek Academic Advising prior completing the transfer request at either the Career and Employment Centre or from the Programme meet the Entry Requirements for the programme they want to transfer to have a CGPA of 2 or more submit a transfer request to the Registry Student Information Centre within the published period Scholarship or sponsorship students must comply with requirements of their Sponsor and provide evidence of approval A transfer request will be invalid if the student does not complete all the procedures and requirements during the period specified Foundation students (e.g. AP301) may change their preference of undergraduate (degree) academic programme only once, normally in their final semester of study at Foundation level using the Change of Programme Form during their Academic Advising session Students at Undergraduate (degree) level may transfer from one academic programme to another programme only once; and can transfer from one Major to another major or drop a major only once over the course of his/her study The Cumulative GPA (CGPA) is calculated from the date of transfer to the new programme The student can apply for Credit Recognition (A/AB/012) for prior learning and if approved, transfer Bahrain Polytechnic courses they have passed to equivalents in the new programme. All courses and grades will remain on the student transcript Transfer requests will be rejected if the Dean and Faculty Board advise they are not accepting transfers for any reason The selection process will be carried out by the Selection Panel directed by the Deputy CEO (Academic) (refer to A/AB/010.3) considering the number of seats available in each programme, all applicant information and programme preference, who will advise Registry of their decision Registry will advise students of the decision Registry amends the Enrolment records of all students whose transfer requests have been approved Academic Progression procedures (A/AB/018) will be applied on all student records starting from the transfer semester If the transfer is approved, students are required to seek Academic Advising prior to course registration in order to register themselves correctly in the coming semester. 6. Credit Recognition Guidelines: Refer to the Credit Recognition Policy and Procedures New applicants: No applications for Credit Recognition will be accepted by applicants. After an offer of place and confirmation of enrolment, new students can apply for credit recognition following all published requirements. General information about the process is available on request Current Students: Information about credit recognition, the process of applying for it, the prescribed application fee and likely additional fees if further assessment is required, is available from Academic Advisors 7. Alternative Pathways to Entry 7.1. Students enrolled at another institution seeking Cross Institutional Enrolment must submit all relevant documents related to the requirements with their application to be considered The Polytechnic recognises that, when determining an applicant s eligibility for admission, it must take account of factors other than formally recognised educational attainment. In exceptional cases, and with approval of the Chair of the Board of Trustees, applicants may be admitted on the basis of: Their potential to succeed in his or her programme of study Actual or expected academic or professional qualifications and grades Relevant work or other experience Their own statement of interest in the programme References where appropriate A letter of support from an employer indicating potential for tertiary study An interview and/or a portfolio and/or a sample of student work. 8. Re-admission 8.1. Students who wish to re-enrol after they have ceased study in a programme, and who have not taken formal leave of absence must apply formally for readmission and comply with all admission requirements. 20 8.2. Readmission to the same programme of study or an equivalent programme of study will be at the discretion of the Polytechnic and subject to programme availability at the time of the student s application A student who Withdrew from Bahrain Polytechnic or failed to maintain a valid enrolment may apply at any time A student whose enrolment was cancelled due to poor academic performance or other reasons may NOT apply for a minimum of 2 years The application for re-admission will be considered as a new enrolment request. If an offer is made and accepted, the student may apply for Recognition of Prior Learning for courses previously passed to be considered as current for the new programme. All other courses will remain on the transcript, but be excluded from CGPA calculations. 9. Cross-institutional 9.1. Applicants may apply in writing directly to the Bahrain Polytechnic on the appropriate application form through the Student Information Centre by the advertised dates for application. Any application must be accompanied by documented approval from another institution stating that the courses will be accepted for credit recognition at the home institution and must be lodged prior to the published closing date. 10. Deferred The Polytechnic may grant deferred admission to a particular programme (or a programme deemed by the Polytechnic to be equivalent) for up to one year only from the time the offer is made in exceptional circumstances Applicants who receive a letter of offer of admission and wish to defer must submit a letter to the Director of Student Registry no later than the published date for confirmation of enrolment as published on the Polytechnic website with details including reasons for the request and all relevant evidence Notification of the decision will be made in writing to the applicant by the Director of Student Registry. 11. Non-award A person who wishes to complete courses offered by the Polytechnic without undertaking an award may apply for admission as a non-award student. Non-award admission provides applicants with the opportunity to try tertiary studies or to undertake professional and personal development A fee is applicable for each course studied Non-award students must comply with all relevant Polytechnic policies, rules and procedures. 12. Closing dates All applications for undergraduate programmes should be received by Bahrain Polytechnic by the published deadlines. Applications made before the closing date will be considered equally against the stated selection criteria and in the context of the number of available places. The Polytechnic will consider late applications only for courses where places are still available. 13. Other Conditions of An applicant who is suspended or excluded from any other higher education provider will only be considered for admission if the period of their suspension or exclusion will have been completed before the commencement of study Bahrain Polytechnic reserves the right to accept or decline entry to any applicant.
