2 Application for Graduate Study Checklist GS Form You may use the checklist below to help track your progress in the application process. APPLICATION - Submit an application before the application program deadline. Check program deadlines here: ENDORSEMENT - Obtain an Ecclesiastical Endorsement. Agree to Abide by Honor Code and receive an Ecclesiastical Endorsement. All applicants should start the process early to obtain an endorsement. All applicants need an endorsement interview with a bishop and a stake president (or local religious leader and BYU Chaplain) before your application can be fully considered. Start this process at endorse.byu.edu. You will need a BYU Net ID to request the endorsement. Please see online Net ID instructions: ENGLISH PROFICIENCY REQUIREMENT (International applicants and Permanent Residents only). Take the TOEFL or IELTS English Proficiency Exam and meet university minimums ( Please note that some departments may have higher requirements. TRANSCRIPTS AND DEGREES. Show evidence of a four-year bachelor s degree from a regionally accredited U.S. university or the equivalent from a recognized international university by the first semester of graduate study. U.S. Transcripts: You must upload an unofficial transcript for each institution attended (even if you didn t receive a degree) in the Educational Background section of the online application. These scanned copies must be uploaded BEFORE you submit the application. Make sure your name appears on the transcript/record. Current and former BYU students should upload a PDF copy of their transcripts, which can be accessed on MyBYU by clicking on academic planning and selecting Progress Report. Non-legible scans will not be accepted. Please refer to the instructions for uploading transcripts on our website. International Transcripts: Applicants with international degrees and transcripts must upload a scanned copy of their completed IERF credential evaluation report. Nonlegible scans will not be accepted. Please refer to the instructions for uploading transcripts on our website. Be sure to start the IERF credential evaluation 8 10 weeks before your application deadline. **NOTE: International Applicants to Chemistry, Chemical Engineering, or Electrical and Computer Engineering, should upload UNOFFICIAL copies of transcripts, diplomas, and mark sheets in the Educational Background section of the application for initial review. You must submit the application for department review of your transcripts. Please do this before requesting an evaluation from an agency. Upon recommendation for admission, the evaluation fee will be paid by the department. TESTS - Take the appropriate tests as required by your program of interest. Select BYU as a recipient school for test scores and use BYU s institution code (R-4019 for TOEFL and GRE--tests by ETS). Unofficial test scores may prevent your application from being considered. Check with your program of interest at to see what test they require, as well as what types of tests they will accept for admission. LETTERS OF RECOMMENDATION - Request online letters of recommendation from three professors or professionals. They should know you and be able to evaluate your potential as a graduate student at BYU. Letters are sent electronically through the application. You will need the recommenders names and addresses. STATEMENT OF INTENT - Department websites may list specific instructions or requirements. The statement of intent provides information which is not included in your application or academic records and which may be useful to the admissions committee. Describe your educational and career objectsives and how graduate work will fit those goals. RÉSUMÉ - Check the Resume section of the application to see if your program requires a resume. OTHER DOCUMENTS - Complete any additional application materials that may be required by your department. This may include writing samples, research papers, art slides, audition tapes, interviews, etc. For specific requirements, contact your graduate department of interest. Check your Application Status often to ensure that all items are received and that your application is complete. INTERNATIONAL VISA REQUIREMENTS (upon admission, check here: Your graduate program will review your application once all university and department requirements are met. Applicants may be denied admission if admission files are not complete by the department deadline. It is the applicant s responsibility to have read and understand the information contained in the instructions for admission. Applicants have the responsibility for learning and abiding by all established policies of Brigham Young University and Graduate Studies, including those contained in the university s general and graduate study catalogs, the Honor Code, the Dress and Grooming Standards, and other forms of communication in which a policy change is specified. Falsification, misrepresentations, or omissions on this application may be grounds for denial, or if accepted, for revocation of acceptance, suspension, or dismissal from the University or revocation of a degree. Applicants have a continuing obligation to inform Graduate Studies of any developments or material changes. Once the university receives application materials, those materials become the property of the university and are kept in the strictest confidence as required by university policy. Materials will not be returned to the applicant. An official letter of admission to graduate studies at BYU is sent from the Dean of Graduate Studies. may recommend an applicant for admission, and Graduate Studies determines if the applicant has met all University requirements. APPLICATION USERNAME The application username is used to login to your online graduate admission application, view the decision letter, and indicate your intent to enroll. It is not the same as your BYU Net ID. BYU NET ID INSTRUCTIONS Current BYU students or previous applicants should enter their current BYU Net ID in the Personal Information section of the application. You have a Net ID if you have previously applied to or attended BYU. If you do not have a BYU Net ID, you must create one before you save the Personal Information section. The BYU Net ID allows you to check the status of your application, request an endorsement interview, register for classes, pay tuition, check your grades, change your address, and perform a number of other functions dealing with personal information. CREDENTIAL EVALUATION FOR INTERNATIONAL TRANSCRIPTS An applicant whose degree is awarded outside of the United States must submit all official transcripts, diplomas, and marksheets to IERF for an evaluation. Documents should also include English translations. The IERF report will include a degree equivalency, a comprehensive course-by-course evaluation, and a calculation of a grade point average (GPA). DEGREE CRITERIA To be eligible for admission, applicants must have a four-year bachelor s degree or an advanced degree from a regionally accredited college or university in the United States. 5 GPA AND GRADES CRITERIA All applicants are required to have a minimum GPA of 3.0 on a 4.0 scale (equivalent to a scholastic average of B for foreign credentials). U.S. applicants should enter their cumulative (overall) GPA for their undergraduate degree or record on the application. International applicants should enter their IERF calculated GPA on the application. All applicants for graduate study at Brigham Young University are required to provide an undergraduate grade point average (UGPA) on their applications. Use the following guidelines when calculating your UGPA. The UGPA includes all undergraduate course work completed at the time of submission of the application. If you attended more than one school, the grades from all courses that count towards the degree must be added together to arrive at the UGPA for the bachelor s degree. Do not include courses that were dropped or courses that did not award letter grades (e.g. satisfactory/unsatisfactory, pass/ fail, credit only). Courses in which failing grades were received must be included, however. Also, if you repeated a course, you must include both grades in your UGPA calculation. Do not include graduate level courses that you have completed unless they counted toward your undergraduate degree requirements. The following values are assigned to letter grades when calculating the UGPA. 4.0 = A+, A 2.7 = B- 1.4 = D+ 3.7 = A- 2.4 = C+ 1.0 = D 3.4 = B+ 2.0 = C 0.7 = D- 3.0 = B 1.7 = C- 0.0 = F Step 1. Multiply the grade values (see above) times the number of credit hours. Sample: Grade Credit Hours X Grade Value = Grade Points A B C F If you find it impossible to convert your GPA to the 4.0 system, you must enter the GPA or average on your undergraduate transcript and indicate the grade scale used by your university. OFFICIAL ACADEMIC CREDENTIALS All credentials uploaded to the online application are considered unofficial. If you are recommended for admission, you will then be asked to submit OFFICIAL transcripts. Applicants who have earned or are earning their bachelor s degree from BYU (Provo), do not need to send official transcripts. U.S. transcripts must be sent directly from the educational institution in a sealed envelope, with a certification stamp across the seal to Graduate Studies. MAIL OFFICIAL TRANSCRIPTS TO: BYU GRADUATE STUDIES 105 FPH PROVO, UT Official international degrees and transcripts should NOT be sent to Graduate Studies but instead will be cleared as official upon receipt of the official IERF credential evaluation report. Official electronic U.S. transcripts can be sent to Graduate Studies via a secure 3rd party method that has been verified by the sending university such as Scrip-Safe, National Clearinghouse, or Parchment. Electronic transcripts should be sent to gstranscript@byu.edu All official transcripts must be submitted and cleared before you can register for classes at Brigham Young University. Brigham Young University reserves the right to require official academic credentials at any time during the admissions process, and rescind any offer of admission made if discrepancies between unofficial and official transcript(s) are found. Step 2. Add the total number of credits ( = 33) and the total number of grade points ( = 94.6) Step 3. Divide the total number of grade points by the total number of credits (94.6/33 = 2.86). Note: Do not combine quarter credit hours with semester credit hours; instead, convert quarter hours to semester hours. Generally one quarter hour = 2/3 semester hour. 6 ENGLISH LANGUAGE PROFICIENCY MINIMUM SCORES ON ENGLISH PROFICIENCY TESTS IELTS TOEFL (Paper-Based) TOEFL ibt CAE Total band score of 7.0 (minimum band score of 6.0 in each module) All international applicants must take the International English Language Testing System (IELTS), Test Of English as a Foreign Language (TOEFL), or Cambridge English: Advanced (CAE) exam and satisfy the University minimum score requirements for admission. Applicants who have received a four-year bachelor s degree from an accredited university in the U.S. may be exempt from this requirement. However, in order to qualify for the exemption, the degree must be less than two years old at the time of enrollment. Additionally, applicants who are citizens of or have received a four-year bachelor s degree from one of the following English-speaking countries are also exempt from this requirement: Australia, Canada, New Zealand, the United Kingdom, or the Republic of Ireland. U.S. Permanent Residents (PR) are not waived from the English proficiency requirement unless they have met the exemption criteria. Although a U.S. degree may exempt an applicant from the English proficiency exam, graduate departments may still require an applicant to take and submit exam scores. 580 Total 85 (minimum score of 22 in Speaking; minimum score of 21 in Listening, Reading, and Writing) 75 or B STANDARDIZED TEST REQUIREMENT TESTS GMAT GRE LSAT IELTS TOEFL VALIDITY TIME PERIOD 5 years 5 years 5 years 2 years 2 years Most graduate programs require applicants to take the Graduate Record Examination (GRE), Graduate Management Admission Test (GMAT), or Law School Admission Test (LSAT) and submit test scores. Because this is a departmental requirement, applicants should check with the program for more detailed information on which test is needed. See the Deadlines page. Test scores must be reported to BYU directly from the testing agency. Without official test scores, the application will not be complete. Score reports are received electronically approximately two to three weeks after the test date. If the scores were not sent to BYU when the test was taken, the scores must be ordered and sent to BYU directly from the testing agency. Test scores are valid for a specific period of time and will not be considered official if they are beyond the specified timetable above. The time period corresponds to the first day of the semester to which you are applying, not the application deadline. 7 SUBMITTING LETTERS OF RECOMMENDATION Letters of recommendation are completed online by recommenders through the online application system. Applicants provide an address for each recommender. An notice with an access link will then be sent to the recommender noting the applicant s request for a recommendation to a specific program, once the applicant saves their contact information in the online application. Separate letters of recommendation are required for each program to which an applicant is applying. All letters of recommendation must be received by the application deadline. Please contact your department for the types of recommenders they require. VIEWING LETTERS Family Educational Rights and Privacy Act (FERPA) In accordance with the Family Educational Rights and Privacy Act of 1974, an applicant may waive his or her right of access to the letters of recommendation. Waiving this right of access to a letter of recommendation may allow the recommender to be more candid in his or her recommendation. Should an applicant choose not to waive this right, permission to inspect the letter of recommendation will only be granted if he or she is accepted and enrolled for graduate study at BYU. If an applicant fails to specify, the right of access to the applicable letter of recommendation will be forfeited. STATEMENT OF INTENT All applicants must prepare a personal statement of intent for the application. This may provide information which is not included in the application or academic records, but that will be useful to the admissions committee in making admittance decisions. The applicant should identify the scholarly and/or professional contributions that he or she expects to make to the program. If there are special or mitigating circumstances that should be brought to the attention of the admissions committee, they should be addressed in this letter. Please contact the department for more details. APPLYING TO MULTIPLE PROGRAMS Students applying to more than one program are required to submit a separate application, username, and fee for each program, as well as a separate statement of intent and letters of recommendation. Unofficial transcripts must be uploaded for each application. The Ecclesiastical Endorsement, test scores, and financial certification (for international students) are valid for all applications. 8 INTERNATIONAL VISA REQUIREMENTS All applicants who are not U.S. citizens or U.S. permanent residents must complete the following requirements in order to obtain a Visa document, regardless of whether they are already in the U.S. or still in their home country. PROOF OF SUFFICIENT FINANCIAL ABILITY Master s applicants must provide proof of sufficient funds to cover expenses for two years up front. Doctoral applicants must provide proof of sufficient funds for three years. Visa documentation requires financial proof that the applicant can support him or herself for the entire length of study. Applicants are required to indicate the amount of anticipated yearly funding (and each source) in the online Visa + Financial Information page. If parents or other persons will be providing funds to the graduate applicant, the amount pledged must be indicated on the Affidavit of Support (GS Form I-2). The benefactor must sign the Affidavit of Support and attach an official bank statement or tax return. The amount pledged by a parent or sponsor should not exceed 30 percent of that person s total income. If a government or other agency is providing funding, applicants must list the name of the agency online and send official letters verifying the amount and duration of the award on official letterhead. If the graduate department offers full or partial funding, the department will submit notice of funding to Graduate Studies directly. Marriott School applicants who intend to receive the CIS scholarship must submit the CIS application to the Marriott School. Any change in circumstances that will affect an applicant s estimated yearly expenses (such as the addition of new dependents or changes in financial conditions) must be reported to Graduate Studies immediately. TYPES OF ACCEPTABLE SUPPORT AND DOCUMENTATION FOR FINANCIAL CERTIFICATION No document can be more than six months old when an I-20 is prepared. Funds may come from any dependable source, including scholarships, fellowships, sponsoring agencies, personal funds, or funds from the applicant s family. Documentation of scholarships and fellowships must be in the form of an official award letter from the sponsoring agency indicating the amount and duration of the award. Documentation of personal or family funds must be on official bank letterhead, indicating the name of the account holder, the amounts of funds available, and the date the document was procured. Credit card statements and balances or lines of credit are not considered acceptable documentation of financial ability. TRANSFER AND RELEASE OF SEVIS RECORD TO BYU Applicants who are current F-1 students at another school (or at the BYU English Language Center) are required to submit a transfer form if accepted to BYU. The International Student Transfer/ Release Form (GS Form 8) can be found on the Graduate Studies Web site. The letter must be completed and returned to Graduate Studies before a new I-20 will be issued. PROOF OF U.S. VISA OR IMMIGRATION STATUS International applicants and their dependents (if any) must present proof of their U.S. visa or immigration status to Graduate Studies at the time of application. The following list indicates what documents are needed in various immigration categories and if financial certification is required: U.S. Permanent Residents: A Permanent Resident Card, or an Employment Authorization Document [EAD] that has a category number ending in 09, or a form I-797 (Notice of Action for I-485) is required. Financial certification is not required. Dependents who are U.S. citizens: A U.S. birth certificate, the biographical page of a U.S. passport, or a Certificate of Naturalization is required. Financial support may be reduced for applicable dependents. Current F-I: Forms I-20 and a transfer form are required. Financial certification is required. Current H-1: An employer letter, form I-94, or form I-797 (Notice of Action for I-485) is required. Financial certification is not required.
