4 RFP for Graphic Design for Interpretative Signage and Yard Signs Amendment: Answers to Questions July 15, 2014 This will tell us if the exhibits are frameless, which requires 1/2" exhibit panels or framed, which require 1/8" exhibit panels. Answer: Exhibits will be frameless. Do you know who supplied the existing pedestals? Black free standing sign posts were purchased from Systeme Huntingdon Inc., Canada. See plans attached at the end of this document. Division and Bowman and Joy Street were made locally at Zeigler s Welding shop. 2) For quality control purposes, we like it when we can also fabricate (and install) our exhibits. Would there be any value to you to have us also fabrication costs in this RFP? If you chose to include a bid on this service, please include it as a separate budget item. Sign fabrication and installation will be determined after the consultant is selected. There is no advantage to including this information. Please refer to the scoring criteria and scope of work. 4

9 Insurance Requirement: If a company is a true sole proprietorship, Workers Compensation can be waived. Commercial Liability Insurance is required as is. Professional Liability Insurance typically required for scope of work that required licensed professional to perform the work such as Engineers, Surveyors, Architects, etc. and maybe waived depending on the scope of work. For this specific scope of work, it is not required. However, any proposed terms/conditions changes to the PSA need to be approved by the City Risk Manager, Jay Burney before legal review. Meeting the insurance requirements of the City of Olympia is not required when submitting the RFP; however it is required for the selected contractor in order to execute the Professional Services Agreement.

10 Request for Proposals: Graphic Design for Interpretative Signage & Yard Signs Responses to Questions 7/17/ The proposal mentions that the City will provide maps for the stormwater facility signs. Should we assume that the maps are suitable for use as-is, or should we include time for refining the provided maps? If the maps will be refined, does the City have GIS data it can provide? Yauger Park Signage: For the concept development, the city will provide the graphic designer with the images and maps that we have gathered, along with draft text. For the concepts designs, the graphic designer may or may not use these images. We want to allow for flexibility and other ideas and themes to emerge other than the ideas we have. Under Task 1.A.d., with each concept provided, the graphic designer will provide an image list. This list may include images other than the images that we provided and/or some or all of the images. For the other signage at Division & Bowman, Joy Street, and Pacific Ave stormwater facilities: the signage will follow a similar template - whether all or none will have maps will depend on the template design that is selected. Black Lake Meadows and Indian Creek will be designed separately with concepts similar to the other sign concepts for Yauger Park and the other three stormwater facilities. If the selected design concept includes map/s, we can provide the contractor with the GIS information to make the map or the City can make it. Please specify whether the city or graphic designer will make the map in the proposal or include both in the budget. 2. Under Task 1.A.c., are you looking for two design concepts of two signs each (total of 4 design concepts), or one design concept for two signs (total of 2 design concepts)? Two design concepts of two signs 4 signs total. 3. Under Task 2.B.a., the RFP calls for two edits for each sign, but the asterisk regarding Black Lake Meadows and Indian Creek Stormwater Facilities calls for three revisions per sign. Please confirm if you would like a different number of edits for these sets of signs, or if you would like three rounds for each set. Yauger at least 3 edits Division & Bowman, Joy Street, and Pacific at least 2 edits Black Lake Meadows & Indian Creek at least 3 edits Yard signs at least 2 edits 4. I was working on the proposal language and wondered about the Section in E. Proposal Requirements page 6, under 3. Qualifications, related experience and references. For other RFPs this is usually the body of the proposal as far as required and requested information from us. It's very straight forward and clear except there is a statement after the title of the section that says-"standard Language specific to the selection criteria listed in section C." Section C, page 5 has items from 1-5 with each number titled and a list of items following.

11 Request for Proposals: Graphic Design for Interpretative Signage & Yard Signs Responses to Questions 7/17/2014 My question in this case is, how specific, i.e., are we to structure and number our proposal based on the 5 criteria, i.e., 1. " Approach to creative graphic design.", the to 2., "knowledge of." and so forth, then write to those listed items OR write to the E. Proposal requirements as explained and let the reviewers apply the selection criteria to it without the selection criteria outline as part of the proposal structure? (It would be difficult for instance, to speak to e. in #1, artistic ability' but it would be shown in the samples, that kind of thing.) Page 6, Section D.3 is to be used in consort with Section C. For example, if the proposal follows the Consultant Selection Criteria list, it should be inclusive of the items listed under Section D.3 that are applicable. Proposals that follow a different format should include the information requested in both Sections C and Section D.
