1 Certified Records Manager (CRM) Examination Preparation Product Agreement and Terms of Use Between (Name) User and ICRM This Agreement (the Agreement ) is made as of this day of, 20 by and between the Institute of Certified Records Managers ( ICRM ) and (the User ) and expires at the completion of the program year. 1. Product. The ICRM shall provide the CRM Examination Preparation Product that has the features described in Appendix A (the Product ) to the User as mutually agreed upon between the ICRM and the User and shall be deployed in accordance with the Terms of Use described in Appendix B. Only those individuals who have a signed Speaker Agreement (Appendix C) on file with the ICRM are permitted to use the referenced materials for the purposes of conducting a CRM Examination Preparation Workshop or other approved CRM exam preparation activity (i.e. CRM exam study group). In addition, the ICRM shall provide User with a manual with procedures for the User to follow to host such workshop (Appendix D). 2. Term. The term of this Agreement shall be for the period of time commencing upon completion of this Agreement and payment for Product and will expire at the completion of the program year (June 30, 2014) and the program s mandatory follow-up components, or upon thirty (30) days written notice of termination from one party to the other, or for non-payment. The Agreement is renewable by option annually. 3. Prices. The Product price is $250 per program year. Introductory pricing may be offered for the first year only and is available with a modified price depending on the purchase date of the Product. NOTE: Each subsequent renewal remains at the $250 price per program year. Purchase Dates Amount July 2014 September 2014 $250 October 2014 December 2014 $200 January 2015 June 2015 $ Payment. Upon receipt of this signed Agreement, the ICRM (or authorized thirdparty service provider) shall invoice the User for the Product amount. The initial payment is due within (30) days of receipt of a completed User Agreement. 5. License. The ICRM will maintain all licenses and copyrights of materials provided and they will be reviewed and updated on a bi-annual basis. The User will be responsible for ensuring that the materials are presented as provided by Copyright 2014 Page 1 of 14

2 the ICRM and the Terms of Use (Appendix B) and any modifications are subject to the approval of the ICRM prior to the usage of the materials. The License afforded to the User per this agreement is non-transferable or acceptable for use by any other organization. 6. Access to Product. The ICRM will provide secured access to materials for the User within the Examination Preparation pages on its website for the duration of the agreement. The ICRM will notify the User within 5 days of any changes to access and process that is not a result of termination of the agreement of any party. 7. Entire Agreement. This Agreement incorporates Appendices A, B, C and D by reference and supersedes all prior agreements and understanding between the parties relating to the subject matter herein, the same being intended by the parties to be the complete and exclusive statement of the terms of their agreement. This Agreement may not be amended except by a written agreement executed by both parties. 8. Governing Law. This Agreement will be governed by the laws of the State of North Carolina, without reference to rules governing choice of laws. 9. Indemnification. The User agrees to indemnify and hold the ICRM harmless from all loss, costs, liability, damages, and expenses (including, without limitation, Attorneys Fees) arising out of or in any way related to (a) the Product, or (b) a breach of any representation or covenant set forth in this agreement. 4 CRM Examination Preparation Product Terms of Use The following Terms of Use are provided for ARMA International Chapters/Regions or industry-specific associations who are approved to use the ICRM CRM Examination Preparation Product ( Product ). 1. The Board of Directors for the relevant ARMA International Chapter/Region or industry-specific association must authorize a representative to complete and sign the Product Agreement and Terms of Use. 2. The Board of Directors for the relevant ARMA International Chapter/Region or industry-specific association must designate a representative to facilitate the program, organize the workshop and be a single point of contact with the ICRM for material access. 3. Only CRMs in good standing shall deliver CRM Examination Preparation Workshops using the approved ICRM materials.. Whether or not a CRM is a member of the ICRM Speaker s Bureau or not they must submit a Speaker Agreement (Appendix C) 30 days in advance of their participation in an ICRM CRM Examination Preparation Workshop. 4. ARMA International Chapters/Regions and industry-specific associations are encouraged to use both local and surrounding resources for speakers. Speaker travel and expenses are the sole responsibility of the party providing the workshop. 5. Workshop attendance rosters should be ed to the ICRM Professional Development Regent within five (5) days of the completion of each event. The Regent will ensure that an ICRM Exam Prep Survey is ed to all Workshop attendees. The results of the survey will be shared with the chapter User on file. PowerPoint presentations and the Bibliography of Resources may be updated biannually during the spring and fall ICRM Exam Development Committee (EDC) meetings. The updated versions will be posted to the ICRM website. Once an ARMA International Chapters/Regions or industry-specific association has completed the ICRM User Agreement and paid the material fee, the designated representative will receive a password that grants them access to the Product. 5 APPENDIX C SPEAKER AGREEMENT As a Certified Records Manager (CRM) in good standing, if you are completing this Speaker Agreement, you have been solicited by an ARMA International Chapter/Region or industry-specific association or the ICRM, to participate in a CRM Examination Preparation Workshop (CRM Exam Prep Workshop) or other CRM exam preparation activity (i.e. CRM exam study group) being hosted by the organization identified on the last page of this document. In order to present content provided in the Certified Records Manager (CRM) Examination Preparation Product ( Product ), you must agree to the following terms in advance: 1. I will only use the current versions of the ICRM licensed PowerPoint presentations, in the format provided, to deliver CRM Examination Preparation Content and will not make any changes/additions/deletions without prior approval of the ICRM. 2. I understand the PowerPoint presentations include embedded speaker notes which should be followed in order of the slides provided. The presentations are designed as lectures and notes are intended to be used during the sessions. 3. I understand that I cannot distribute the ICRM licensed Speaker PowerPoint presentations in any manner. They are for approved speaker use only, and for the Workshop or related activity authorized by the organization identified on the last page of this document 4. I understand that I am delivering specific content, provided by the ICRM, to assist candidates in preparing for the current CRM examinations, and that deviating from the information provided in the Speaker PowerPoint presentations in order to teach records management concepts will reduce the effectiveness of the primary goal of examination preparation. 5. I understand that in addition to preparing candidates for the examinations, that I have an opportunity to market the credential to prospects who may be in attendance at the CRM Exam Preparation Workshop. I understand that if I agree to have my name listed in the ICRM Speaker s Bureau, my full contact information will be included and provided to all ARMA International Chapters/Regions or industry-specific association representatives, respectively, using the CRM Exam Prep Product. 7. I agree to follow the requirements outlined in the Certified Records Manager (CRM) Examination Preparation Product Terms of Use in addition to the terms provided in 1-7 of this Speaker Agreement. 8 CRM Examination Preparation Workshop Checklist Speaker Recruitment and Workshop Format: 1. Solicit qualified and approved ICRM speakers to facilitate the presentation. All speakers using the ICRM CRM Examination Preparation Product must be CRMs in good standing with either a currently signed Speakers Agreement (Appendix C) on file with the ICRM or by submitting one 30 days (minimum) prior to the workshop dates. If you do not have CRMs in your ARMA International Chapter/Region or industry-specific association, please reference the ICRM Speaker s Bureau provided to identify potential speakers. Speakers Bureau is downloadable under Product section of ICRM website. 2. For Track One (All About the Institute and CRM Certification Parts 1-5) you will need a minimum of two speakers but are encouraged to solicit multiple presenters limited only by their availability and your budget for the speaker travel. 3. Format for Workshop: a. One Day i. One Track All About the Institute and CRM Certification and Parts 1-6 PowerPoint presentations but no case study ii. Two Tracks 1. Track One All About the Institute and CRM Certification & Parts 1-6 PowerPoint presentations 2. Track Two - Part 6 with one case study (half day) or two business cases (full day) (See Appendix D for more details) b. Two Days i. Day One: Track One All About the Institute and CRM Certification & Parts 1-6 PowerPoint presentations ii. Day Two: Track Two - Part 6 with one or two business cases 4. Provide the current versions of the PowerPoint presentations to relevant speakers so they can prepare but do not give them access to the Product on the ICRM website. Only a single facilitator has been approved to access the Product. The PowerPoint presentations include speaker notes. DO NOT REVISE ANY PART OF THE PRESENTATION. 5. Work with the speaker(s) to facilitate any arrangements for hotel accommodations, travel, etc. if applicable and determined between the User and speaker(s). Copyright 2014 Page 8 of 14

9 Arrange for Event Facilities: 1. Arrange for meeting room(s). Room layout should be set up in a classroom style with ample room between attendees. Attempts to provide an environment that is quite and free from any outside noise is recommended. 2. Make sure power strips are available for Part 6 attendees to plug in laptops. Sufficient power supplies should be available in the event an attendee should experience any laptop battery failure. 3. Arrange refreshments for breaks 4. Arrange for lunch accommodations 5. Arrange for LCD projector, screens, laptop for all presentations, microphone and a podium that has room for speaker notes and computer. Verify Registration: 1. The User is free to set registration fees as they determine is best for the Workshop with no approval required from the ICRM. 2. Prepare a spreadsheet with attendee information; include Track choice if applicable and to attendees that are taking Track Two (Part 6 Business Cases) that they must bring a laptop and cord (electrical supply in the event the battery fails). 3. Send confirmation s to attendees. 4. Use ICRM branded template for Workshop announcement and agenda and include exact times of presentations, speakers, breaks, lunch and additional information specific to your event. Advertise Event: 1. Use of the ICRM branded templates for your announcements is required, CD inserts and book covers or branded USBs (reference website for vendors that have ICRM artwork). You are able to add your specific sponsoring organization name, location dates and logos. 2. As soon as you re ready to advertise your CRM Exam Prep Workshop, your final announcement to the ICRM Regent Professional Development, ARMA members in chapter and/or region as well as other local RIM professionals or organizations. 10 Provide all necessary workshop information including but not limited to, date time, location, meals, hotel room availability, contact information, etc. Prepare Attendee Handout Booklets, CDs and/or USB: 1. Request ICRM and Certification Maintenance Brochures (CMP) brochures for attendees in advance through the ICRM website. 2. Print PDF handout versions of PowerPoints (no answers or speaker notes are included in handouts) for ICRM Overview, Parts 1-6 and Certification Maintenance presentations, bind and use ICRM branded book cover. Print and distribute PDF hand-outs for each presentation to workshop attendees (Note: the handouts look best if printed in color but if it is cost prohibitive they may be duplicated in black and white). 3. Load handouts, ICRM Handbook, ICRM Bibliography of Resources and announcement on a CD using the ICRM branded CD insert. 4. Request presenters to print their speaker notes ahead of time; this information cannot be displayed during the PowerPoint presentation. 5. Provide ICRM Certificates of Attendance. 6. Print CRM Exam Application (go to to download (encourage online submission). 7. attendance roster to CRM Professional Development Regent within five (5) days of the completion of the event in order that surveys can be distributed to attendees. Results of the surveys will be shared with the Workshop hosts upon review by the ICRM. Copyright 2014 Page 10 of 14

11 Procedures for Administration of Part 6 Business Cases Part 6 Workshop Schedule Options: 1) Half Day: In a half day workshop, the speaker will deliver the CRM Part 6 PowerPoint, followed by administering a 50 pt business case. The presentation should take minutes, followed by loading business cases to attendee laptops and instructions. Allow 90 minutes for participants to take the exam. See grading options below. 2) Full Day: In a full day workshop, the speaker will deliver the CRM Part 6 PowerPoint, followed by administering a 50 pt. business case in the morning, grading (see options below) and another in the afternoon. Note: The Part 6 Workshop can be given on a separate day (second day of a two-day workshop) or simultaneous as Parts 1-5 are administered, in a one day workshop. How to Establish a Business Case Review: Part 6 can be reviewed in different ways. The deciding factor is usually based on the number of attendees. 1. One-on-one opportunity with the attendee is the preferred method. This requires a CRM to review the attendee s answer, compared to the suggested business case answer and critique accordingly based on what you review. 2. If there are many attendees, the speaker can review the suggested answer with the entire group and have them self-assess their answer. Points to Emphasis for Part 6: 1. Time management this is the #1 issue for candidates 2. General best practices not what s in practice at a candidate s institution 3. Effective business writing equally important to RIM knowledge 4. Review for spelling and grammar 5. Ensure headings are included; these do not show up automatically in the grader s view 6. Each case study is sent to different grades respectively 7. Appeal if you are close 8. Part 6 is the only exam that can be subjective 9. Most importantly, tell attendees to FOLLOW INSTRUCTIONS in the case study Copyright 2014 Page 11 of 14

12 Part 6 PowerPoint Presentation: This presentation contains specific instructions related to taking Part 6 of the CRM examination. Part 6 requires candidates to write answers to two business cases. Introduction, report, solution and time management instructions are covered in this presentation, as well as grader comments. The presenter should become familiar with the material covered in the presentation as there are no speaker notes. Attendees should be instructed that while they will be using Microsoft Word during the Workshop to write the sample business cases, it is not available at the Pearson VUE testing site. Therefore, there is no use of bolding, bullets or spell check in the actual test. Business Case Download/Upload: As part of the CRM Exam Prep Workshop Product, you will receive a 50 pt. business case formatted in Word Documents that mimic the Pearson VUE screen shots and grader guides. The grader guides provide a suggested answer for graders to use to evaluate the attendees answer. The downloadable screen shots are divided into: 1) Exhibit (actual business case problem); 2) Introduction (two documents); and 3) Analysis (one or more documents). Once you have downloaded them to your computer, they should be transferred to a flash drive for portability. On the flash drive, create a folder and name it 50 Pt Business Case. Download case study documents in the folder. Then when you transfer the files to attendee laptops you can simply drag and drop, the folder onto their desktop. Depending on how many attendees are present, you may want assistance from helpers with several flash drives to manage the upload to attendee laptops. Case Study Instruction: Allow 120 minutes for candidates to write each 50 pt business case.allow them to open the Word Documents up and minimize them on the bottom of their screen. Allow the use of white paper to make notes, however, please let them know that during the actual testing process they will at minimum be using a whiteboard and markers to take notes. Some Pearson VUE sites allow the use of white paper to take notes. The full case study problem is provided with instructions on how to write and format the answer. Attendees should be reminded how important it is to follow instructions as points may be subtracted if they choose to do otherwise. Grading Options: There are two ways to review the attendees answers: 1. Self-Assessment: In this scenario, attendees are given a handout of the grader s guide (paper copy) to review and compare to what they actually wrote to conduct Copyright 2014 Page 12 of 14

13 a self-assessment, with PowerPoint slides being shown with the same information. 2. Group Discussion: If the group taking Part 6 is small, you can use the grader s guide PowerPoint slides to facilitate group discussion of possible answers, asking various attendees to read aloud what they wrote. Graders are told that the candidate may have an answer that is not included on the grader s guide. Additional solutions provided by a candidate should be considered as well in the discussion. Destruction of Materials: Before the closing of the Workshop, make sure all paper copies of the business cases are collected for confidential shredding. Please make sure all case study exhibits and case answer responses are deleted from all attendee laptops. Copyright 2014 Page 13 of 14

14 CRM Mentorship Programs ARMA International Chapters/Regions and industry-specific associations are a great resource for marketing and supporting the CRM designation. It is important that those organizations have the most current, ICRM-branded materials to develop their CRM mentorship programs and workshops. It is the right of the ICRM to maintain oversight of the use of its logo, brand and Examination Preparation Product. The ICRM encourages organizations to setup their CRM mentorship programs with the following components: 1. Incorporate information about the ICRM and CRM designation into your website, newsletters and general communications 2. Use the Public Relations articles created by the ICRM in relevant communications. 3. Use the ICRM branded communication and announcement materials. 4. Implement a scholarship program to support members pursuing the CRM designation. 5. Implement a local or virtual CRM Study Group for your members. 6. Commit to hosting at least one CRM Examination Preparation Workshop annually. 7. Utilize the ICRM Mentor Coordinator position to assist members in preparing for Part 6 between formal workshops.
