4 Welcome to Central Texas College Distance Learning This bulletin includes online courses that start July-September, and includes courses scheduled at the time of publication. For the most current list of distance learning courses go to Army students using TA can get updated course listings on the Army Student page of the CTC website. The WebAdvisor Schedule provides live course information and shows all courses still open. Online courses vary in length from 8 weeks to 16 weeks, and include various delivery modes. To determine the instructional method, check the Instr Meth column in the schedule section of this bulletin. Admissions CTC is a comprehensive community college that has an open-door admissions policy; therefore, all who may benefit from postsecondary education have the opportunity to enroll. Electronic Registration and Payment Upon completion of admissions or if you attended CTC within the last year and have no holds, you may register online through WebAdvisor (non Army students only). The student is required to complete the residency questions on the CTC Application for Admissions and provide substantiating documentation that he or she has a right to resident classification. Example: A spouse or dependent child of a member of the U.S. Armed Forces who was a Texas resident at the time he or she joined the service and has maintained Texas as his or her domicile 3

5 may be eligible to be classified as a resident for tuition purposes. The spouse must have established Texas residency at least 12 months prior to enrollment. The spouse or dependent children of military Texas residents should submit a completed CTC Active Duty Military ID Card Verification form, their sponsor s leave and earning statement (LES), and if applicable the sponsor s DD 214 showing Texas as the home of record. The LES must be 12 months prior to the census date of the semester in which the student enrolls. Based on individual circumstances, other documents may be required. For additional information on residency for tuition purposes, refer to the Residency Determination section under College Costs in the CTC catalog at Tuition and Fees Tuition costs are established by campus and approved by the CTCD Board of Trustees. Tuition and fees are explained in the CTC catalog. For tuition information for CTC sites outside Texas, contact your local CTC office or online.mentors@ctcd.edu. Tuition and fees are subject to change without notice as necessitated by college, contract, or legislative action. Arrange a Test Site/Test Proctor Submission Form For classes that require proctored tests, you must identify and receive approval for a local testing site. Go to online.ctcd.edu/testing.cfm for information on locating and arranging for local testing. Complete the Test Proctor Submission Form linked from that page. Your enrollment is not considered complete until the form is submitted. Technical Skills and Hardware/Software Requirements Online courses are not designed to teach you how to use software, manage files, navigate the Internet, or use . Rather you must have these skills before enrolling to ensure success in an online environment. See the Distant Learner Handbook at for Distant Learner Requirements and Responsibilities. Internet access is required. It is the student s responsibility to own or have access to a personal computer with the hardware/software required for the course, and an account. Minimum Technical Requirements for all online courses are listed at Compatible devices for multi-media courses using SD cards may be found on the same page. Any special course requirements are found by clicking on the course title at the online catalog at Textbooks and Instructional Materials Check or click on the Books/Instructional Materials on the student webpage. It is recommended that students order instructional materials a minimum of three weeks prior to the first class day to ensure that there is sufficient time for the instructional materials to be delivered. If you have not received your materials the Friday, prior to your first class day, you should 1) contact your instructor to determine what options, if any, are available and 2) consider dropping the class before it begins to ensure that you do not incur a financial penalty. If you are not registering at the Central or Fort Hood Campus, contact the site where you are registering for additional information BEFORE placing your order. Killeen area students may purchase books on the CTC Central Campuswebsite at or through MBS Books at Students outside Texas may order books online from MBS Books at mbsbooks.com/ctc.htm. Be sure you order your instructional materials early because you are required to have them by your first class day. Library Services The distant learner can use the Oveta Culp Hobby Library on the Central Campus, use our online library access, send requests to the Dean of Library Services, or submit requests by phone or fax. 4

6 Online Course Access and FERPA Before your class starts, you will receive a welcome letter with instructions for accessing your course. You may also access your course through the Distance Education website at In compliance with the Family Educational Rights and Privacy Act of 1974, as amended, information classified as directory information may be disclosed to the general public without prior written consent from a student unless the Central Texas College Records Office is notified in writing. For complete information on distance learning policies go to Attendance/Participation in DL Classes Students enrolled in distance learning courses are expected to maintain constant progress throughout the course. Failure to do so may result in you being administratively withdrawn by the instructor. Read your instructor s course syllabus and other postings to ensure you are aware of your responsibilities in the course. CTC Eagl All CTC credit students worldwide receive a new CTC student account following their class registration. Accounts will be automatically created no sooner than seven days before your class begins. You will receive an activation with instructions for accessing your new account. All official communications from CTC will be sent to this new account. 7 Social Security Number Disclosure The Privacy Act requires that Any federal, state, or local governmental agency which requests an individual to disclose his social security number shall inform that individual whether the disclosure is mandatory or voluntary, by what statutory authority such number is solicited, and what uses will be made of it. Regulations governing the Federal student financial aid programs require schools to collect and confirm students official social security numbers; and the Taxpayer Relief Act of 1997 compels postsecondary institutions to collect and use students social security numbers to report tuition payments to the Internal Revenue Service each year. Your correct social security number is required to receive federal financial aid disbursements and an end-of-year 1098-T tax form for reporting tuition payments. If CTC does not receive or cannot confirm your social security number, CTC will not be able to provide these services to you. Although providing your social security number is not required for admission to the college, it is important for purposes of matching the identity of your application, grade transcript, test scores, and other related enrollment documents. Americans with Disabilities Act The Americans with Disabilities Act (ADA) is a federal anti-discrimination statute that provides comprehensive civil rights protection for persons with disabilities. Among other things, this legislation requires that all students with disabilities be guaranteed a learning environment that provides for reasonable accommodations of their disabilities. 8 Distance Learning (DL) Registration and Course Offerings Course Prerequisites: Students are responsible for ensuring that they have met the required prerequisites before enrolling. Prerequisites can be found in the course descriptions of the college catalog, which is available online. Nonpayment: It is the student s responsibility to drop any courses which he/she decides not to take. If the course is not dropped, the student may be liable for charges incurred, and financial aid students may have monies applied to the outstanding tuition and fees. Please ensure that you drop all courses even if you have not paid for them. Local area students are those in the College s Killeen, Ft. Hood, Harker Heights, Copperas Cove, and Service Areas. Remote students are students located outside of the Killeen/Ft. The last day to drop a distance learning course through WebAdvisor is the Thursday (Central Time) before the term starts. After that, to drop a class, the class must be dropped in person at the Records and Registration Office in Killeen, TX; or the request must be faxed to the Records and Registration Office at (254) ; or ed to WebAdvisor.tech@ctcd.edu or systems.registrar@ctcd.edu. Requests to drop a distance learning course must be received no later than the Sunday before the Monday term start date based on Central Standard/Daylight Savings Time. requests to drop a course will only be accepted if the address is the student s address on file with CTC. Students may make schedule changes without penalty only through the last day of regular registration. Schedule changes made on the first day of the semester/term and thereafter will be subject to the official refund schedules in the CTC catalog. Registration, and drop and withdrawal dates are subject to change. It is the student s responsibility to submit the appropriate paperwork to the Registrar s office within the applicable deadline dates. 7

9 WebAdvisor Registration Instructions (Army students using TA, please refer to GoArmyEd Instructions on page 9) Logon Instructions: 1 Go to 2 Click login. Your User Name is the letter c plus your CTC ID (lowercase, no spaces) example: c Your password is your date of birth (mmddyy). The first time you log in, you will be prompted to change your password and can then proceed with registration. 3 To logon, you must have an on file with CTC and know your SSN or Student ID. Payment and Registration Information Payment in full is due the same day that you register. If you are paying through tuition assistance, My CAA or financial aid, it is your responsibility to ensure that funds are in place prior to registration. Credit Card Payments: If you are paying in full by credit card, you may pay online by selecting Make a Payment and entering your credit card information. In-Person Payments: Local online students may also pay in person at Enrollment Services in Bldg. 119 or the Ft. Hood Campus Student Services office. Students Located Outside of the college s District and Service Area or Outside of Texas and are not located at a CTC site: Contact online.mentors@ctcd.edu, call , ext. 1296, or fax , for registration and payment instructions. You may also call the Business Office at (254) or or , ext or Students Located at a Continental and International Campus CTC site: Contact the CTC site representative. The site representative will determine if you are eligible to pay through the site office. Important Information for Students Who Drop or Withdraw from Courses Under Section of the Texas Education Code, an institution of higher education may not permit a student to drop more than six courses, including any course a transfer student has dropped at another institution of higher education. This statute was enacted by the State of Texas in Spring 2007 and applied to students who enroll in a public institution of higher education as first-time freshman in fall 2007 or later. Any course that a student drops is counted toward the sixcourse limit if (1) the student was able to drop the course without receiving a grade or incurring an academic penalty; (2) the student s transcript indicates or will indicate that the student was enrolled in the course; and (3) the student is not dropping the course in order to withdraw from the institution. Central Texas College reserves the right to adjust or correct course scheduling, including but not limited to, class cancellation, starting and ending times of classes, locations of classes, and semester start and end dates. 10 GoArmyEd Registration Instructions Because tuition rates vary and are governed by contract and MOU based on your location when you enroll it is essential that you are placed in a course section that corresponds with the correct tuition rate. This publication lists sections by tuition rate. At the time of publication, GoArmyEd course numbers were not available for cross reference. To determine the correct course number, you may: Use our course # search at or Search on the GoArmyEd portal using the section numbers in this publication. To select the correct section, refer to the first letter of the section number and choose based on the descriptions below. If you are unsure which section to use, contact your CTC site representative or goarmyed.counselor@ctcd.edu. Section # Description Courses in this schedule are sorted by location within each start date. Students not using tuition assistance will register for primary course sections beginning with: TDxxx PRIMARY SECTIONS (NON ARMY TA) For students using tuition assistance, look for the section corresponding to your location: Cxxx CONTINENTAL SECTIONS: Continental US, Alaska, Hawaii. Also covers worldwide locations not serviced by a CTC site office or covered by contract. The instructional method is noted in the far right column. Please note that some online courses may be scheduled as self-paced classes (OSL). These have specific start and end dates, but allow some flexibility with respect to timelines for completing and submitting coursework. To succeed in a self-paced class, you must: Contact your instructor during the first week of class, even if you can t start your class until later. Take at least four weeks to complete the coursework. Complete all coursework by the last day of class. Complete assignments/tests in order (Test 1 before Test 2, etc.) Complete the majority of the coursework by the last day to withdraw. Consult the course syllabus for specific instructions. Check with your instructor about requirements for progressing in the class such as receiving feedback before going to the next assignment. Success in Online Classes Our experience has shown that students who Log in within the first week of class and read the course syllabus, Develop a study plan for meeting course requirements, and open communications with their instructors have significantly higher success rates than students who do not log in the first week of class. This also holds true for students enrolled in self-paced classes. 9
