1 PAW Scotland Media Sub-group 3rd meeting Victoria Quay, video Conference Room 19 May :30 Minutes In person Louise Batchelor Catherine Murdoch Apologies Jo Wilson Joe Connelly Richard Williamson George Sangster Scottish Government (LHD) Scottish Government (Comms) Strathclyde Police SEBG Grampian Police Both Richard and George had intended to attend, by VC, but were unable to. Jo Wilson provided comments on the web pages prior to the meeting. Also submitted a draft protocol document which was discussed. 1. Website: review of draft pages. Louise Batchelor asked for thanks to be noted to the SG web team and Catherine Murdoch for the work done so far in putting together draft pages. General All text, including menu items, to be in first person. Menu items should be changed to the headings as on original diagram except for Wildlife crimes in Scotland which is too long and will be changed to Wildlife crimes. Menu items will be in sentence case. (NB this is in contrast with the rest of the SG website but is considered to be correct.) 1.2 Action: make changes across the drafts as above. Landing page It was considered that Style 2 of the landing page, please see annex, was the best of the drafts. To include alternating images, which will include images representing crimes as well as images representing wildlife. In the choice between your questions answered, latest news and what s current it was thought that what s current could incorporate any recent news stories if 1/7
2 relevant, but will also allow for the highlighting of anything else as required. Landing page to have a your questions answered module on the left and what s current in the centre. 1.3 Action: make changes as above. 1.4 Action: the text for the landing page will be written/revised and provided to the SG Web Team for inclusion. [Louise Batchelor and Catherine Murdoch} Wildlife crimes in Scotland The need for a Wildlife crime page to sit between the landing page and the individual crime pages was discussed. It was felt at this stage that introductory text would in fact sit on the landing page and that intermediate page would be surplus to requirements and add to the clicks required to get at the information on crimes. 1.5 Action: change the shape of this section of the website to reflect comments above. Badger persecution Draft page looks like a good format. 1.6 Action: check whether it will be possible to include photos in and around the text. What you can do The draft page is in effect a Who to report to page. There is a need for a page between the one that highlights who to contact and the Landing Page. This intermediate page will contain some general advice on what you can do. In particular things that you should look out for that are not restricted to a specific crime such as suspicious vehicles etc. 1.7 Action: to add a page as What you can do and move current content to Who to report to page, one level down. 2/7
3 1.8 Action: draft text for What you can do page; general points of what to look out for with addition of what not to do (eg approaching suspects) [Joe Connelly] Despite changes planned, the draft page with map fits the brief, however the Crimestoppers logo should be more prominent. Crimestoppers have provided advice on the use of their brand and frequently used tag lines. 1.9 Action: to investigate options for making Crimestoppers more prominent on the page and to include advice (in particular that this is a service for those that wish to remain anon) Also agreed that the preferred option was to link straight to police force websites rather than maintaining contact details on this website Action: to contact all 8 police forces to seek advice regarding whether to link to force home page or wildlife crime specific pages, if they exist. Intro text to be kept as short as possible. About us It was suggested that there is no need for the About us page to have any content rather that the user could be taken straight to the who we are page (list of partners) with the option of looking at Where you can meet us and the groups pages Action: to change the About us page to a menu option that directs straight to Who we are. Groups This was originally on the plan as PAW Scotland groups which was changed to Groups by the web team as it was felt to be too long. Groups runs the risk of being a little confusing so the suggestion is to change this to PAW Scotland Executive and to have the details of the Executive on this page. Details of sub-groups on lower order pages below this. PAW Scotland Executive page to include thumbnail photos of chairs to lead through to sub-group pages (or representative images where photos are not possible). 3/7
4 1.12 Action: to change the structure of this part of the website to new proposal as outlined. Media sub-group/sub-group pages The Sub-group pages should only be one page for each not two as per drafts Action: to change this part of the website one page per sub-group with links to papers as required. When the next stage of work is undertaken, the pages originally set out as News should be constructed in such a way that they allow of inclusion of information beyond just news releases. Change to What s current. What shape this will take is yet to be decided Action: to map out what shape the What s current part of the website should take. [PAW Scotland Media Sub-group with advice from SG web team] Contacts The only query over this draft is whether the postal address could be moved to the right hand side to make all information available at a glance Action: move postal address to condense text. 2. Protocol for communications from PAW Scotland members The protocol for the management of communication for PAW Scotland has been drafted by Jo Wilson. There are questions over who the target audience is, but it is very good start. Will most likely need to have a section added to outline how PAW Scotland news releases themselves are managed. Louise Batchelor asked for this draft document to be circulated to the Executive Group for comment at their next meeting for comments. 2.2 Action: draft document to be circulated to PAW Scotland Executive Group for comment. 3. 5 Louise Batchelor asked for thanks to be noted to the RSPB, in particular James Reynolds, for their contribution to the PAW Scotland nesting birds news release at Easter time Stick to chocolate eggs this Easter. Uptake wasn t great, perhaps due to timing. 3.2 Action: feedback, if available, should be made available to the Media Subgroup. [Jo Wilson] Other news releases discussed were as follows. Egg theft: is it too late to put this out? 3.3 Action: determine whether there is still time for this to be useful and if so draft short press release on behalf of PAWS. [Joe Connelly] Interference with legal pest control: this might be best pushed back to the launch of the PAWS code on traps and poisons. Hare coursing: need to check with Poaching and hare coursing plan owners. 3.4 Action: to liaise with SRPBA regarding what their plans are and plan news release to compliment. [Louise Batchelor] Royal Highland Show and Scottish Game Fair: it should be advertised through partner publications that PAW Scotland will attend these events. 3.5 Action: to alert all PAW Scotland partners that the PAW Scotland trailer will be at these events and to ask them to advertise this internally/in their publications. It would also be useful to have the PAW Scotland highlighted in any feature articles about either of these events, in newspapers. 3.6 Action: to find out if any the Scottish press are likely to run features and to try to have PAW Scotland highlighted in them. 6 4. AOB Ben Ross has reiterated his interest in being a member of the PAW Scotland Media Sub-group. Louise Batchelor would support this addition in principle. 4.2 Action: any comments to be ed to PAWScotland@scotland.gsi.gov.uk by 12 th June 2009 [ALL] 5. Dates of next meetings of the Media Sub-group TBA dependant on timescales for the web pages. 5.2 Action: to determine how soon amendments can be made to web pages and plan next meeting accordingly. 6/7
