7 Electives What is an elective? Experience providing educational value Ranging from half days to 4 weeks Usually with a licensed Physician but other health care providers can act a preceptors pending program approval

11 Elective Planning Find a preceptor affiliated with UofA Go to UofA Website and- Ensure you meet their elective requirements Complete a UofA Incoming Elective Request Form and submit this to UofA Submit a UofC Elective Request Form to fmelect@ucalgary.ca Learner Scheduler will submit your request to your Program Coordinator and Division Director U of A (Urban, Rural & Affiliated Sites)

12 Elective Planning Once request approved, Program Coordinator will forward a letter of program support to the Department of Family Medicine and the PGME office of the UofA Resident s responsibility to obtain all Letters of Good Standing from the College of Physicians & Surgeons ( U of A (Urban, Rural & Affiliated Sites)

13 Elective Planning Another Province 6 blocks prior Find a university affiliated preceptor Go to the receiving university s website re: requirements and complete forms Submit a UofC Elective Request Form to fmelect@ucalagary.ca Upon approval, Program Coordinator will forward a letter of program support to the PGME office at the University and The College of Physicians and Surgeons in that province

14 Elective Planning Arrange an elective with a university affiliated preceptor Submit a UofC Elective Request Form to fmelect@ucalagary.ca If approved, resident will be notified and must immediately contact UofC Global Health & International Partnerships Office inhealth@ucalgary.ca Global Health registers resident for risk management assessment Once approved, resident can start making travel plans Outside Canada 7 blocks prior

15 Electives - Key Information Expenses such as medical insurance, clinical licensure, travel insurance & accommodation* are resident s responsibility (*possible funding for certain rural and remote locations) CPSA does not apply out of province CMPA does not apply outside of Canada

16 Electives - Key Information PGY1s have 2 elective blocks (maximum of 2 blocks can be spent outside Calgary) PGY2s have 3 elective blocks (which can include 1 block of ICU/CCU- maximum of 2 blocks can be spent outside Calgary)

17 Electives - Key Information Elective rotations are 4 weeks in length All elective time must be filled: Residents are expected to fill 4 full days per week in Calgary and 5 full days if more than 300 Km round trip outside Calgary If <300km round trip away but >150km -must attend at least 2 out of 4 academic half day events and call back clinic in any block and any academic full day scheduled events

19 Time Away - Mandatory Life Saving Courses request minimum 2 blocks in advance - Flex/float days can request up to at least 2 weeks before start of block - All rotations must request at least 8 weeks before start of block - PARA dates Dec 23-Dec 27 or Dec 29-Jan 2 - Request via One45

20 Time Away -Vacation - Submitted at least 2 blocks before - Entered into One45 - Program Coordinator reviews and communicates back - Approval will be denied if Preceptor/clinic or Division Director denies Request violates ANA (Attendance and Absence) policy

21 Time Away - Vacation - Our experience in rotations where we don t have control Peds rotation no absences in first week of rotation EM rotations only allow one weekend no call request Hospitalist typically only week 1 or week 4 of rotation Internal Medicine recommended request within first 3 months of program start

22 Attendance and Absence Mandatory Program elements lasting a half-day or less - Residents marked as having an unexcused absence will receive a warning upon the first offense. Residents with an unexcused absence from mandatory Program elements lasting a half-day or less for a second - time will be notified and reported to their employer, Alberta Health Services. Pay will be docked. Residents with an unexcused absence from full-day Program elements - notified and reported to their employer, AHS, and docked pay for the day.

23 Attendance and Absence Future absences will be addressed with notification and docking of pay in proportion to the time missed (half or full-day). Residents who are docked pay on 2 occasions MUST meet with their Division Director. Program Coordinator is your first contact for lates/absents.

24 Attendance and Absence Residents are expected to be in attendance at the start of each Program element. There is no grace period for on-time attendance. Residents who arrive late to an academic session or clinical experience will receive a warning. Residents receiving 3 warnings MUST meet with their Division Director

25 Role of HR Payroll, benefits, change of name, change of address, tax forms, employment letters HR Contact Centre or E-people issues Wendy Mitchell Residents generate Employment letters through e- people

26 Pagers Rule of thumb respond within 10 minutes To page somebody call and follow recorded instructions Manual $250 charge if not returned at end of program or damaged

27 Etiquette Always use ucalgary account to communicate with program Always check your U of C every 1-2 days Check your Alberta Health Services acct regularly Check Friday afternoon for the Program newsletter and read through See etiquette attachment
