The requirements differ for each student. Medical students who have or will have started their home university clinical clerkship years (at the time of their proposed elective with NOSM) are eligible to apply for a visiting elective at NOSM. Students do not need to be in their final clerkship year to be eligible. Your NOSM elective may occur between your clerkship years, if approved by your home university. Your NOSM elective may not occur during a formal leave of absence. Your elective dates must occur prior to the date your medical degree is conferred, and prior to the date your final clinical clerkship year ends. You are considered an international learner if your home university is located outside Canada. NOSM will place you in one of the following categories: Category 1: Medical students who were born and raised in Northern Ontario (north of Gravenhurst). Category 2: Medical students (who do not fall into category one) but whose home university already has an existing agreement with us. Category 3: Medical learners who do not fall into either of the above definitions. There are currently no open or closed application dates. You may submit an application 6 to 10 months in advance. As international spots are at a premium, we recommend that you submit your Stage 1 documentation as early as possible. CORE rotations are considered for International Category 2 learners only. Observerships and Internships are not available. Full or partial rotation dates in July, August, and September are not recommended for Family Medicine as many preceptors take vacation during this time of year. We recommend that you select a specialty medicine during this time, or we recommend that you provide us with two alternate elective start dates. Full or partial rotations in July and August are not available for Category 3 learners. The minimum duration is 4 weeks per discipline, no exceptions. The recommended duration per discipline is 4 or 6 weeks on a consecutive-week basis. The maximum is 12 consecutive weeks per funding year (April 1 to March 31 st ) for Category 1 learners. The maximum is 8 consecutive weeks per funding year (April to March 31 st ) for Category 2 and 3 learners. Split rotations (e.g. non-consecutive weeks) are considered. 3 P age

Internal Medicine Subspecialties: Ambulatory Care, Cardiology, Clinical Teaching Unit, Dermatology, Diagnostic Imaging, Endocrinology & Metabolism, Gastroenterology, General, Geriatrics, Hematology, Infectious Disease, Intensive Care, Nephrology, Neurology, Oncology, Radiation Oncology, Respirology, Rheumatology 7. Pediatrics Subspecialties: Adolescent, Community Consulting, General, NICU 8. Psychiatry Subspecialties: General, General Inpatient 9. Surgery Subspecialties: Cardiac, Gastroenterology, General, Neurosurgery, Ophthalmology, Orthopedic, Otolaryngology (ENT), Plastics, Thoracic, Urology Preceptor Searches 10. Women s Health OBS/GYN Eligibility queue 1. You are placed in the eligibility queue upon receipt and approval of Stage 1 documentation; therefore, we recommend that you submit accurate documentation as soon as possible. 2. We check availability of disciplines and site locations after your Stage 1 documentation has been received. 3. If your Stage 1 documentation has been received at least 6 months in advance of your planned elective date, the preceptor search begins 1 to 2 weeks following receipt of Stage 1 documentation OR in late February or early March. We provide 3 examples to help you understand our process. 4. Example A: Rotation prior to June 30, 2014 a. Planned rotation dates: February 3, 2014 to February 28, b. Documentation received: August 2, 2013 (6 months in advance). c. Preceptor search starts: August 19, 2013 (e.g. 1 to 2 weeks following receipt of documentation). d. Preceptor search ends: October 19, 2013 (8 weeks) but not later than December 3, 2013 (2 months prior to the start date of the elective). 5. Example B: Partial rotation in July 2014 a. Planned rotation dates: June 9, 2014 to July 5, b. Documentation received: December 9, 2013 (6 months in advance). c. Preceptor search starts: late February or early March 2014, after NOSM students have made their elective selections. d. Preceptor search ends: April 9, 2014 (2 months prior to the start of the elective). 4 P age

5 Preceptor Searches (Cont d) 6. Example C: Full Rotation after July 1, 2014 a. Planned rotation dates: October 6, 2014 to November 28, b. Documentation received: December 6, 2013 (10 months in advance). c. Preceptor search starts: late February or early March 2014, after NOSM students have made their elective selections. d. Preceptor search ends: May 6, 2014 (8 weeks) but not later than August 6, 2014 (2 months prior to your rotation date). 7. As noted above, NOSM will coordinate a preceptor search for approximately 8 weeks. Based on your specific situation, and if feasible, NOSM may continue the search for a preceptor for an additional time period. This depends partly on what discipline you are selecting, what discipline dates you are selecting, whether your elective is negotiated with a group of other learners, or whether other NOSM staff are assisting in the preceptor search. 8. If NOSM cannot locate a preceptor within the parameters provided on your application, NOSM will ask you for other options in order to improve your placement success. 9. You are not required to find your own preceptor; NOSM will do this for you. Learners must refrain from discussing possible elective dates directly with any physician. This process is in place to ensure that all learners have equitable access to the available placement opportunities in Northern Ontario. 10. You may suggest the name of a preceptor for NOSM s review at any time during the process but it does not guarantee your placement even if a preceptor says yes to you. To be fair to all students, NOSM must adhere to the guidelines and protocols in place. 11. The outcome is generally good, especially if the rotation request does not fall during July, August, and September, which is our busiest time of year. 12. Preceptor search timeframes are general estimates. If you have not heard from us for an 8-week period, it means we are continuing the search on your behalf. We will you when the preceptor search officially closes, or when we have secured a preceptor for you, whichever occurs first. 13. NOSM cannot guarantee that we will be successful in our search for your particular circumstances, not can NOSM provide an estimate of possible outcomes. Preceptor Confirmation Elective acceptance or declination 1. Once you receive confirmation that a NOSM preceptor has agreed to teach you (according to the parameters noted on your NOSM application), you will be given 7 days to either accept or decline the elective. Failure to respond via is considered a declination of the NOSM elective. 2. You will also be given 7 days to accept or decline NOSM housing. 3. If you decline to accept the rotation, NOSM s refund policy applies. 4. An acceptance from the learner is considered a binding agreement between the learner, NOSM, and the preceptor. 5. After an acceptance is received and approximately 2-3 months prior to the NOSM elective start date, the learner receives the name, address, and telephone number of the preceptor and additional guidance to finalize the elective. 6. A change in elective dates, disciplines, or site locations following the date the preceptor search starts must be approved by your home university and your NOSM Clinical Placement Coordinator. 7. NOSM will try to accommodate changes, but if we are unable to do so, NOSM s refund policy applies. 5 P age

6 Stage 1 Application Process Documentation due date 1. In order to be considered for clinical clerkship training at NOSM, your Stage 1 documentation and fees must be received at least 6 months in advance of your proposed elective but not earlier than 10 months in advance. 2. We do not provide exceptions to the 6 or 10-month rule; we allow flexibility between 1 to 3 days only. 3. We recommend that you use registered mail or courier. 4. A confirmation will be sent to you usually within 3-5 business days from the date your documentation is received. 5. If NOSM requires additional documentation relating to your proposed elective, we will outline any special requirements. 6. Send all documentation by mail, unless indicated otherwise below. 7. All documentation must be translated into English at the learner s expense. Stage 1 fees 1. NOSM International fees are $ per fiscal year (April 1 to March 31). This represents a $ application fee and a $ administrative fee. 2. This fee applies whether your NOSM approved electives are 4, 6, 8, or 12 weeks in duration. 3. Your international money order must be made payable to the Northern Ontario School of Medicine or NOSM in Canadian Funds, or US funds, if the bank will not issue a money order in Canadian Funds. 4. A cheque written on a Canadian bank account is acceptable. 5. Fees may be sent under separate cover by a third party. 6. Electronic payment methods are currently not available. PDF application Home university student ID card Passport Personal health care coverage Click on Group 4. The application posted on the website will be updated as soon as possible. In the meantime, this document entitled, NOSM International Policies and Protocols, applies. Photocopy a clear legible copy of your home university student ID card. Provide a clear legible copy of your passport, preferably in color. Alternatively, your current year, color facial photo (passport, personal) may be submitted via in tiff, jpg, bmp, or pdf format. Photocopy a clear legible copy of your current Canadian provincial health care card (front only). If you do not have a provincial health care card, you will need to purchase UHIP coverage. Immunization records 1. The original NOSM immunization form is required. NOSM will not accept medical records on any other form. 2. If certain tests are not available in the country you are currently studying in, please outline your inquiries on a separate sheet and attach to your NOSM immunization form. Letter of good standing 1. As soon as all of the above documentation has been received and reviewed by NOSM, your home university will be given one opportunity to complete a Letter of Good Standing. 2. NOSM will provide a sample letter to you to ensure that this letter encompasses NOSM s eligibility requirements into our Visiting Electives Program. The sample letter posted on the web meets our minimum requirements. Some content exceptions may apply for universities who have an existing agreement with NOSM. 3. Home university approval You are responsible for supplying NOSM with sample (blank) forms or procedures that your home university requires to approve this elective before the NOSM preceptor search starts; otherwise, NOSM will initiate a refund of fees. 6 P age

7 Stage 2 Application Process Stage 2 documentation prompt Your NOSM clinical coordinator will prompt you to submit this following material once a preceptor has agreed to teach you. WHMIS certificate UHIP coverage Medical malpractice insurance NOSM housing Refund Policy NOSM contact Application fee Administration fee Your WHMIS certificate must be updated annually and be current at the time of your proposed elective with NOSM. You may use any online service provider but many students prefer or If your Canadian or International personal health care coverage has been declined by NOSM, you will be provided with a UHIP form to complete to ensure your rotation is not in jeopardy. 1. Your home university may send a copy of your medical malpractice certificate for our review. 2. If your home university insurance is declined by NOSM, you may purchase medical malpractice insurance at a cost of $ per calendar year. 3. The $ fee represents insurance coverage for all NOSM approved electives between January 1 and December If your elective(s) begin in one calendar year and end during the next calendar year, an additional $ is required. This section only applies if you are requesting NOSM accommodations AND you are willing to share a unit with another medical student. 1. Multiply $ per week times the number of clinical rotation weeks approved by NOSM. 2. Add a housing security deposit of $ This amount will be refunded if housing protocols are met. 3. Download and sign the housing agreement at and forward to 4. You will receive a PaNDA username and password to look up the address of the NOSM furnished rental, approximately 6 weeks before your rotation starts. If you do not receive a username and password, contact 5. After your housing fees and agreement have been received, and closer to your rotation date, will make arrangements directly with you regarding NOSM housing keys. 6. NOSM Housing is reserved for medical students only; family members wishing to visit Canada must locate their own housing. to commence the refund process or initiate an appeal for consideration. The $ application fee is not refundable. This fee represents the time that NOSM sets aside to approve your paperwork and search for a preceptor for you. The $ administrative fee is refundable, only if: 1. you make your written request for a refund prior to the time NOSM provided confirmation that the preceptor search started on your behalf, OR 2. NOSM was unable to locate a preceptor for you 2 months prior to any NOSM-approved elective start date. Housing fee 1. NOSM s rental fees are not refundable if you cancel your rotation. 2. NOSM s rental fees are transferrable if any change in rotation dates has been approved by NOSM within the same funding year (April 1 to March 31). 3. NOSM s $ security deposit is refundable if all housing protocols have been met. Medical malpractice fee Medical Malpractice Fees are transferrable if any change in rotation dates has been approved by NOSM within the same calendar year (January to December 31st). 7 P age
