1 Director of Children and Youth Ministry Job Description St. John's Episcopal Church, Carlisle PA POSITION: Director of Children and Youth Ministry (FULL TIME) Position Purpose: To direct and lead youth programming/formation for preschool, elementary, middle and high school students. The Director of Children and Youth Ministry (DCY) shall seek to foster Christian community through building relationships with young people. Responsibilities: Subject to review and adjustment in conjunction with the supervising pastor and the Vestry (when appropriate), the following constitute the essential job functions of the DCY at St. John's Episcopal Church (St. John s). The Director of Children and Youth Ministry shall: 1. Provide leadership for and function as the primary staff person responsible for the administration of the Children and Youth Ministry (CYM). 2. Work with Vestry to develop a 3 to 5 year plan for the positive growth of the CYM within the first year of employment with particular emphasis on the engagement of the CYM with the broader mission of St. John s. The plan should include achievable benchmarks for growth of the CYM.

2 3. Oversee the recruitment and training of qualified adult volunteers and employees to work with each of the age groups. The DCY shall be solely responsible for ensuring that all necessary clearances and trainings for volunteers and employees are completed and up to date before any volunteer or employee is permitted to work in the CYM. 4. Plan, implement and participate in age appropriate activities that promote community and Christian formation through fellowship, fun and faith development. Such activities may include: Sunday school, small group Bible study, VBS, retreats and service projects. Coordinate youth activities with other ministries of the congregation, and/or other churches/diocese, in cooperation with staff. 5. Work with treasurer in preparation and administration of an annual budget. Manage the disbursement of budgeted funds within the guidelines of the approved budget and in adherence with the fiscal policies of the church. 6. Coordinate and participate in fund-raising, youth activities and trips. 7. Promote Christian service through age appropriate service projects. 8. Work with Episcopal Diocese of Central PA on youth events. 9. Work under the supervision of the Rector and the Vestry and conduct the CYM in accordance with the Rules and Regulations adopted by the Episcopal Church, the Episcopal Diocese of Central Pennsylvania and St. John s, as amended. 10. At all times support the Mission of St. John s Church, the Rector and the Vestry as well as provide a continuing example of Christian leadership. General Responsibilities 1. Be involved with of the worshiping community of St. John's on a regular basis. 2. Attend required meetings. 3. Meet regularly with the Rector or designee as needed at a time mutually agreed upon.

3 4. Coordinate youth activities with other ministries of the congregation in cooperation with staff. 5. Be in contact with the office staff and provide a timely and accurate schedule of Youth activities to be posted on the master calendar/website. Keep the Rector, the Vestry and the congregation informed of youth events by coordinating the publicity for youth activities through the appropriate vehicles provided by the church. (E.g. monthly newsletter, special mailings, posters, bulletin announcements, web page, etc.) Provide quarterly reports for the Vestry and a year-end report for the congregation. 6. Provide for the keeping of administrative records needed for future planning. Such records would include but not be limited to: Individual fundraising accounts, and files on fund-raisers, program activities for use in future planning (to include attendance, cost and adult volunteers) and all necessary personnel forms. 7. Encourage young people to participate in all facets of the life of the community of faith, including worship, choirs, educational opportunities, youth activities, VBS and service projects, etc. Create a schedule and a mission which permits and encourages the broadest possible range of engagement with both CYM and the other ministries of St. John s. Work to minimize schedule conflicts between CYM and the other ministries of St. John s. 8. Refer prospective families for membership to the Rector. 9. Assist the Rector and the Confirmation Ministry in confirmation instruction as requested. Working Conditions the DCY position requires great flexibility in hours available for work, including evenings and weekends. The position is a full time, FLSA exempt, salaried position. While the salary is based upon a projected 40 hours per week, the actual number of hours required during any given week are those actually needed to fulfill the responsibilities of the position. Furthermore, it is recognized that the schedule may vary at different times of the year. It is therefore understood that the DCY shall: 1. Maintain scheduled office hours acceptable and approved by the Rector, in order to be accessible to youth, parents, staff and the leadership of the congregation.

4 2. Perform job duties in accordance with all personnel and leave policies of St. John s including, but not limited to, notifying the staff prior to all unforeseen and untimely absences from regularly scheduled events, and providing an approved substitute in the case of anticipated absence (meeting excepted). 3. Keep the church office informed as to how the DCY may be contacted. 4. In the case of approved extended time away from the office, arrange to receive messages. 5. Office, phone, computer, voice mail, , Internet services, duplicating and secretarial support are provided by the congregation for work related to this position. 6. Be responsible for meeting and event arrangements; preparing reports and financial data; training and supervising other staff. 7. Insure that all reasonable steps have been undertaken for the safety of all the families and children involved in the CYM while in the care of St. John s. 8. Perform other job duties as assigned by the Rector. Qualifications Since the Youth Director plays a major role in the faith development of the younger members of the church, both as a leader, and as an example, St. John's seeks a professional leader who has a solid understanding of the foundations of the Christian faith, Episcopal tradition and who has a strong desire to nurture young people in the Christian faith. We seek a person who generates new ideas and programs and a person who values a team concept of ministry. Therefore the following qualifications are required. 1. Previous Youth and Family Ministry experience, education or significant equivalent experience. 2. A demonstrated ability to inspire, lead and work with youth and adults. 3. Exceptional organizational skills.

5 4. An ability to work within the MS Office as well as software platforms maintained by the Church for its administrators. 5. A valid driver s license. 6. The following three background checks are required: a. Pennsylvania State Police Request for Criminal Records Check b. Department of Public Welfare Child Abuse History Clearance (Act 151). c. Federal Criminal History Record Information (CHRI) 7. Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside groups and vendors. Sensitivity to confidential matters is required. 8. Upon employment, completion of Safe Guarding Gods Children training or its equivalent as required by St. John s. 9. Upon employment, completion of Godly Play Training or a similar program as determined appropriate for formation by the Rector. Once a 3-5 year plan has been established, we will set objectives and goals for annual review.
