6 1 - Welcome to ScanFlowStore This section describes the features and functions of the ScanFlowStore solution and the support services available through both application documentation and Nuance support services ScanFlowStore overview ScanFlowStore solution gives the ability to create digital archives in a simple and efficient way by scanning directly from your Xerox multifunction device. Built on the Microsoft.NET platform the server-based software works with Xerox multifunction systems to allow hardcopy documents to be scanned in black-and-white, grayscale, or color. The documents can be converted into a variety of industry standard digital formats, including PDF, JPEG and TIFF. Using optical character recognition technology, the software also can convert documents to searchable PDF or Microsoft Word. These result in the ability to integrate hardcopy and electronic data to create new documents that can be saved, stored and shared. ScanFlowStore also allows the user to customize fields that will accompany the documents, allowing the information to be easily categorized, searched and retrieved. This new simple application, which requires no additional desktop software, leverages a wizard based user interface to simplify trigger creation. Once a trigger is created, it can be selected via the display of the Xerox multifunction device. The trigger can be set up to direct the scanned file to a wide variety of destinations, including an address or network folder, remote LPR printer, Microsoft SharePoint and other integrations with 3 rd party applications. The sender can also set up an notification confirming the delivery to all destinations. The product is designed from a user point-of-view and is therefore kept simple. It is not necessary to install drivers or other software (except Java runtime environment) on local PCs. ScanFlowStore runs on a non-dedicated central server. Since ScanFlowStore is middleware, employees do not actually see the software while working with it. They simply put the originals in the multifunction device, select a destination and return to their computer where they can find the document in the specified destination. This means that no product training is required. The open and flexible.net architecture permits easy integration with other programs and provides the flexibility to expand capabilities and features as Nuance makes future enhancements available Features ScanFlowStore offers a wide variety of modules and options. Depending on your license some are readily available once the application is installed, while others can be purchased. This guide will give descriptions on each of them, so when you purchase additional ones just consult the relevant guide sections and help pages. The full list of ScanFlowStore features is as follows: Additional device licenses: ScanFlowStore can handle many Xerox devices. The maximum number of devices is controlled by the license. Additional device licenses can be bought. Barcode recognition: ScanFlowStore can detect barcodes on the imported documents. These barcodes can be used for automatic document splitting, file naming or any other metadata. Batch scanning with Barcode Job Separation sheets: In the installation package there is a PDF file containing a special barcode. This PDF can be printed out and merged into the scanned papers to control automatic document splitting. Bates Stamp: Specified stamps (e.g. date or order number) can be added to the imported documents during processing. notification: If an error occurs during processing or exporting documents, a notification can be requested using SMTP sending

7 External authentication: If any external authentication application (Equitrac, SafeCom) is used on the Xerox MFP devices, ScanFlowStore client can identify the logged-in user. Multiple outputs: multiple export connectors can be configured for a simple trigger. The maximum number of the export connectors of a trigger is controlled by the license file. Scanning with Xerox MFP devices: scanning destinations and met data can be specified immediately before scanning on the Xerox MFP device screen. For more details see the next section. Text-based output creation through Optical Character Recognition (OCR): ScanFlowStore contains an OCR engine, which recognizes the text on the imported documents and text-based document formats (searchable PDF, Word, Excel) can be used in the export connectors. Zone OCR: Special zones can be defined in the process module to recognize the text in it. This text can be used for automatic document splitting, file naming or any other metadata. 8 Xerox Multifunction Device connector XML connector Scanning with Xerox MFP devices The main functionality of ScanFlowStore is to give a user friendly way of scanning on the Xerox MFP devices and then processes and stores the scanned documents. In ScanFlowStore triggers can be defined, which contains the processing and storing settings should be used on the scanned documents. If the user walks at a Xerox MFP device, she can select the appropriate trigger and then scan. The trigger selection on the Xerox MFP device is a complex feature of ScanFlowStore: 1. The user should be authenticated if necessary. 2. The list of the triggers and metadata questions should be collected from the ScanFlowStore server. 3. A user interface should be provided for trigger selection and answering the metadata questions. The user interactions require additional communication with the ScanFlowStore server. 4. Scanning should be started with the predefined scanner settings. 5. The scanned document should be sent to the ScanFlowStore server with the value of the metadata questions. Different Xerox devices support different technologies to perform the task above. Because ScanFlowStore supports a wide variety of Xerox devices (see the ScanFlowStore web site), ScanFlowStore should support these technologies. They are: Network scanning Custom Services The network scanning is a built-in feature of every Xerox MFP device. Although it is supported by every Xerox MFP device, its capabilities are limited compared with Custom Services (no customized UI, no lookup and browse metadata questions). Network scanning means that predefined scanning templates can be created using the administration web page of the Xerox device. ScanFlowStore can create its own scanning template automatically, which can be selected on the Xerox MFP device screen. Sometimes the automatic configuration of the Xerox device by ScanFlowStore does not work, for this case see Configuring network scanning of a Xerox device manually. In case of network scanning maximum of 6 metadata question can be specified for a trigger. All of these metadata questions should be simple string fields. But these metadata fields can be validated with ScanFlowStore. It means that the values of the metadata questions filled by the users are sent back to the ScanFlowStore server before scanning for validation, whether the values are possible values (e.g. a valid value from a SQL database). This validation step is called Off box metadata validation. The Custom Services option is an extended feature of some Xerox MFP devices (the modern MFP devices has this capability). For devices with Custom Services option Extensible Interface Platform (EIP) applications can be developed. They are web applications running in the browser of the Xerox MFP devices. For more information see Enabling custom services. If a device is capable to use Custom Services, ScanFlowStore can provide an InterActive Client for Custom Services user interface for the devices screen. It is an EIP application with customized UI (a web application running on the ScanFlowStore server). Additionally there can be unlimited number of the metadata questions for a trigger and these can be lookup or browse questions also. Lookup questions means that instead of a string field where a value should be typed-in, the value can be selected from a list. The list is populated from a backend system (e.g. SQL database). The browse questions are similar, but here a path can be selected based on a folder structure of a backend system

To read and print the guides, you must have a PDF reader application installed ScanFlowStore Installation Guide The ScanFlowStore Installation Guide includes step-by-step instructions for installing and configuring a ScanFlowStore solution Online Help ScanFlowStore contains an extensive HTML Help file that covers the use of the application beyond installation and must be used for the configuration of ScanFlowStore. The help file can be accessed from the application in the following ways: 1. Press F1. 2. Click the Help button, this button is marked with a question mark Customer support Note: For support call your reseller, they will give you first line support. If the reseller cannot find a solution for the problem they will escalate the problem to the Nuance support desk. The Nuance support desk will provide second and third tier support. If you cannot reach your reseller contact directly the Nuance support desk Telephone support For additional assistance, contact Support by telephone to speak with a Support Representative. Before you call, locate the ScanFlowStore License ID by opening the ScanFlowStoreAdministration Tool via the shortcut on your desktop and click Help > License. Locate the License ID. The License ID is required to obtain technical support. Subsequently the support representative might ask which ScanFlowStore software version you have installed and what kind of operating system is installed on the ScanFlowStore server. Note: ScanFlowStore permits the management of a limited number of devices. To identify the number of supported devices open the ScanFlowStore Administration Tool via the shortcut on your desktop and click Help > License. Locate the number of supported scan devices. ScanFlowStore Administration Tool A dialog-based application running on the ScanFlowStore server to manage the triggers, devices and general settings. ScanFlowStore application Means all components of ScanFlowStore together. ScanFlowStore client The InterActive client running on the Xerox devices. ScanFlowStore Listener A Windows service used to communicate with the Xerox devices. ScanFlowStore Processor A Windows service used to process and export the imported documents. 11 2 - Preparing for installation This section describes the hardware, software, network and security issues that must be considered before ScanFlowStore is installed on a server. These tasks and considerations are essential elements of a successful installation. Read this section thoroughly and perform all required configuration tasks before installing ScanFlowStore System requirements Confirm all the guidelines and requirements in this section to ensure that the server is properly configured to support ScanFlowStore. Explanation details are provided in the sections following this checklist: Note: A PC or server with a minimum of a Pentium 4 or faster CPU, at least 800 MB of free disk space, 1 GB available RAM (2 GB or more is recommended), and a single network adapter. ScanFlowStore performance may degrade when it is run on a shared file/print/application server, or when using a virtual server, for example, VmWare. Performance degradation is likely to be more significant when using the image processing features like the OCR feature. To prevent performance degradation it is recommended to install the application on a dedicated computer. 1 free USB or parallel port must be available when a dongle is used as licensing method. An Ethernet card. (Note: The ScanFlowStore installation program will prompt you to install the.net Framework if it is not present on the server.) The DOCX and XLSX output formats of Advanced Image Processing require.net Framework 3.5. It is not possible to use mapped drives with ScanFlowStore. UNC paths should be used instead. The following requirements only apply when you want to use Off box metadata validation and/or the InterActive Client for Custom Services: Only applies if Off Box metadata validation is used: Caution: ScanFlowStore uses network ports for file transfer and template management. Confirm that the - 6 -

12 necessary ports are not blocked by filtering at a switch, router, or firewall. See section Configuring the firewall for more information Server recommendations The following section outlines server specification recommendations for ScanFlowStore. The recommendations are based on tests performed with 300-dpi Black and White scans, the workflow utilized OCR and stored the documents in a Windows folder that was located on the same server where the ScanFlowStore application was loaded. Note: Be aware that ScanFlowStore does not utilize multiple-core CPUs. Small (approximately 1000 scanned pages a day) Intel Pentium Dual-core 2.5 GHz 2 GB of RAM 800 MB Free disk space Non dedicated server, other applications may run concurrently with ScanFlowStore. Medium-large (maximum of scanned pages a day) Intel Xeon 2.66 GHz processor 2 GB of RAM 800 MB Free disk space Dedicated server, no other applications may run concurrently with ScanFlowStore. Windows Server 2008 Enterprise (maximum of scanned pages a day) Intel Xeon 3.4 GHz processor 4 GB of RAM 800 MB free disk space Dedicated server, no other applications may run concurrently with ScanFlowStore. Windows Server 2008 Note that additional image processing features like barcode reading, deskew, despeckle, blank page removal and auto-rotate will increase processing time by 20 to 35 percent. It is not recommended to run ScanFlowStore concurrently with applications that consume substantial amounts of system resources like Microsoft Exchange Server or Microsoft SQL Server. Maximum number of MFDs per ScanFlowStore server The number of MFDs that are managed by one server is irrelevant, what is critical is the number of scan pages that are delivered to the server per day. It does not matter if that would be 20 MFDs that each deliver 1000 pages a day or 100 MFDs that deliver each 200 pages a day. A single ScanFlowStore server can connect a maximum of 255 MFDs, as the license does not allow for more Configuring the firewall If the Windows built-in firewall is used, ScanFlowStore installer configures it automatically

13 If not the Windows built-in firewall is used or the firewall was configured after the ScanFlowStore installation, the firewall should be configured manually for ScanFlowStore. Since ScanFlowStore uses network ports for file transfer and template management we need to confirm that these ports are not blocked by a firewall on the ScanFlowStore server. The simplest way to configure the firewall is to add the ScanFlowStore Listener executable (its path is <Installation folder of ScanFlowStore>\QListener.exe) to the exception list of the firewall. If it is not possible, then the used ports (see section Overview of used TCP/IP ports) should be opened. If automatic device detection is wanted to be used, SNMP should be enabled in the firewall, which means port 161 should be opened. Additionally, if Off box metadata validation is used, port 443 needs to be unblocked. If the InterActive Client for Custom Services is used ports 80 (HTTP) and 161 (SNMP) need to be unblocked Installing and configuring IIS Skip this section if Off box metadata validation is not required and/or the InterActive Client for Custom Services is not used. See the ScanFlowStore web site to determine if your Xerox device does support these features. IIS is a Windows built-in component, but sometimes it is not installed by default. It can be installed as any built-in Windows component. Consult the Microsoft Web site for additional IIS installation and configuration instructions. Internet Information Services (IIS) must be installed and configured with the following components or options enabled and running: Common Files: Required IIS program files. Internet Information Services Manager: IIS administrative interface into Microsoft Management Console. World Wide Web Service: Uses the HTTP protocol to respond to Web client requests on a TCP/IP network. IIS Management Console.NET Extensibility ASP.Net ISAPI Extensions ISAPI Filters Enable default document Static content Register ASP.NET into IIS IIS must be installed before the.net Framework is installed on a Windows installation. If the.net Framework and IIS are currently installed on the server and you are not certain if IIS was installed first, follow the instructions below: 1. Open a command line window. 2. Navigate to the.net Framework folder %WinDir%\Microsoft.NET\Framework\v Enter the following commands in this order: aspnet_regiis -i -enable aspnet_regiis -ga aspnet - 8 -

14 Note: This section is only relevant for Windows XP and Windows Server Enable SSL for IIS Skip this section if Off box metadata validation is not used or secure transfer is not desired. See the ScanFlowStore web site to determine if your Xerox device does support Off box metadata validation. In order to use Off box metadata validation Secure Socket Layer (SSL) needs to be enabled for Internet Information Services. Additionally, if secure transfer is desired for communication through the InterActive Client for Custom Services, SSL needs to be enabled for IIS. It is strongly recommended that SSL is enabled when user authentication is enabled for the InterActive Client for Custom Services. To enable SSL you need to install a self-signed certificate. Self-signed certificates are used to enable encryption of sensitive information. Self-signed certificates can be obtained using different open-source products. Externally, they can be obtained through the services of a third party for a fee. HTTPS/SSL provides the following: Confidentiality: Encrypted information is exchanged between clients and servers over a secure connection. Integrity: The integrity of message content exchanged between client and server is verified. A way to enable SSL is to use the free Microsoft tool called SelfSSL. SelfSSL is a free tool provided by Microsoft and comes with the IIS resource kit. This is just one way to enable SSL we are fully aware that other options can be chosen for enabling SSL. To enable SSL for IIS using SelfSSL: 1. Open a command line window. 2. Navigate to the SelfSSL installation folder (typically: C:\Program Files\IIS Resources\SelfSSL). 3. Type SelfSSL /T /V:1825 /Q, and press ENTER. Caution: In order to test if the SSL is enabled you first need to install the Off box metadata validation option. This option is part of the ScanFlowStore installation and cannot be installed separately. After you installed the Off box metadata validation you can perform the test below to confirm the proper working of SSL. 4. Open a web browser, and open the QWebListener website ( Be sure to use instead of If everything is setup properly you should see the web page Advanced planning considerations Network configuration and logistics The following factors may impact the proper working of ScanFlowStore: Network bandwidth, including such factors as the number and proximity of supported scanning devices, anticipated network traffic, availability of services for notifications, and workflow processing. Network configuration, security practices, and scanning device capabilities may limit the use of certain ScanFlowStore features. Some examples include: If SNMP Broadcast is not enabled across routers, you will not be able to utilize the ScanFlowStore automated device discovery feature. ScanFlowStore uses network ports for file transfer, template management, Off box metadata validation and the InterActive Client for Custom Services. Confirm that the necessary ports are not - 9 -

15 blocked by filtering at a switch, router, or firewall. Read Configuring the firewall for more information. If the network username metadata will be used within ScanFlowStore, the Xerox Multifunction devices must support authentication and authentication must be configured. Additional information concerning network and device configuration is provided throughout this guide. The use of anti-virus software can hinder the image processing process of the ScanFlowStore software. Anti-virus software might lock files during scanning and therefore ScanFlowStore cannot process the files. To prevent the anti-virus from locking files we advise to exclude the ScanFlowStore installation folder from virus-scanning. Consult the documentation that came with the virus scanner software configuration instructions. The Windows Indexing Service (WIS) can hinder the image processing process of the ScanFlowStore software. WIS might lock files during indexing and therefore ScanFlowStore cannot process the files. To prevent the WIS from locking files we advise to exclude the ScanFlowStore installation folder from indexing. Consult for more information and/or WIS configuration instructions. For a reliable data transfer it is not recommended to use wireless connections between the ScanFlowStore server and the scan device. On Windows XP, the number of connections is set to 10 by default. This can easily be reached causing such an error situation when too many users are connected. Consult the Microsoft support pages on how to resolve such issues. The ScanFlowStore installer allows you to select the method of configuring the IIS options for the web applications; you can simply let the installer perform the necessary actions, or you can configure IIS manually. If you select the manual configuration option, check the Appendix for more information Overview of used TCP/IP ports This section describes the network traffic generated by ScanFlowStore. When using firewalls, some types of routers or VPN connections, knowledge of used ports and/or protocols can be essential for configuring a functional ScanFlowStore server. A short overview of used ports and protocols and what they are used for in ScanFlowStore is listed in the table below. When using Off box metadata validation, additionally the following protocol and ports are used: Port Number on ScanFlowStore: Description: Usage in ScanFlowStore: 443 SSL metadata of network scanning is sent back to the ScanFlowStore server for validation (Off box validation) using SSL connection. 3 - Supported Xerox devices This section describes which Xerox devices are able to connect to ScanFlowStore. In addition the devices are categorized to identify the functions supported by the device Xerox multifunction devices For a detailed list of supported Xerox multifunction devices, see the ScanFlowStore web site. ScanFlowStore offers the functionality to automatically configure the Xerox multifunction devices, which means that ScanFlowStore creates a File Repository and the scan templates or ScanFlowStore is registered on the device as an EIP application. Most devices do support automatic configuration; however, there are some devices that do not support this functionality. Note: If your Xerox multifunction device is not listed consult device documentation or consult your Xerox representative for more information about the functionality supported for your Xerox device

17 3.2- Network scanning versus the InterActive Client for Custom Services There are important differences in the ScanFlowStore experience when comparing network scanning and using the InterActive Client for Custom Services. Besides the differences in look and feel, appearance and navigation, there are some functional differences as described in the table below. InterActive Client for Custom Services Browse option is available on the multifunctional touch screen. Lookup questions are available for gathering data from databases and using this metadata when storing documents. String Validation option is available in questions, entered value will be validated against data source. Templates can be displayed as Hotbuttons with pictures. The template list will be shown in tabs, so templates can be quickly selected. Network scanning Browsing is not possible, the full UNC path has to be entered and will be processed as String value. Lookup questions are not possible, metadata can only be entered as String value. String Validation is not possible, metadata can only be entered as String value. Only a list of available templates is displayed. The template list will be shown with a scroll bar or in a drop down list General configuration requirements TIP: If any Xerox Multifunction Devices intended for use with ScanFlowStore are already configured for use with other scanning applications, then you should print and save a configuration sheet for those devices before you configure them for use with ScanFlowStoreThe configuration sheet lists the current network scanning configuration, which may be useful in the future if the device needs to be reverted back to a previous configuration. The following configuration requirements apply to all Xerox multifunction devices that will be used with ScanFlowStore: TCP/IP must be enabled and properly configured. If authentication is required for the network username metadata, then authentication must be enabled and configured to authenticate users on your Xerox device. Consult the documentation provided with your Xerox device for instructions on enabling and configuring authentication. In addition be sure that the username is stored in the Job Log. If the device used through (the device sends the scanned images in into a mailbox and that mailbox is monitored by ScanFlowStore; so there is no direct connection between the device and ScanFlowStore): A DNS Host Name, static IP address or DHCP must be configured (requirements vary by manufacturer). An account must be created for file transfer, which ScanFlowStore will monitor for newly added scanned documents. If the device is used with network scanning: The Network Scanning Option must be enabled and properly configured. During device configuration, ScanFlowStore overwrites the last Alternate Repository and Template Pool scan settings of a Xerox multifunction device. If you have existing applications that use the

18 Last Alternate Repository, reconfigure the applications and the device to use another Alternate Repository for those applications before configuring the device to use ScanFlowStore. If the device is used with InterActive Client for Custom Services: Custom Services option should be enabled (see the next section) Scan Template Management service should be enabled on the web page of the device. For more information on how to perform this, consult your MFP's documentation. SNMP must be enabled on the device and the SNMP settings must match the default SNMP community names, public for the Get community name and private for the Set community name Enabling Custom Services The newer Xerox multifunction devices can support Custom Services; on these devices ScanFlowStore can create an InterActive client. This client is called InterActive because bidirectional communication is possible between the Xerox device and ScanFlowStore. This bidirectional communication makes it possible to utilize lookup questions for meta data input. The supported devices which are capable of Custom Services are listed on the ScanFlowStore web site. There are some devices, where the Custom Services capability is ambiguous. These devices are listed in the following subsections. If the device is ready to use Custom Services, consult your Xerox representative or on how to switch Custom Services option on, because it can be switched on very differently on the different devices Xerox WorkCentre 2xx devices To confirm if the device is configured for Custom Services: Note: There have been two releases of the WC2xx devices, the first release was not Custom Services enabled. The Second release was Custom Services enabled. Custom Service enabled devices should have a certain firmware level and a special piece of hardware. Follow instructions below to confirm if your WC2xx device is Custom Services enabled. 1. Open Internet Explorer and browse to the Xerox device by typing the IP-address of the Xerox device in the address field, press [ENTER]. 2. Select tab Properties > in the tree view select General Setup > Configuration. Under section Printer Setup confirm what System Software is loaded on the device. Confirm that the System Software Version is or higher. If not download the latest firmware version from and upgrade your device. 3. Confirm if the device has the proper hardware to run Custom Services. Check the back of your device, there should be a USB Cable that runs from the top of the device to the Network Controller (NIC). See

19 picture below: If the USB Cable is missing your device does not have the proper hardware installed to run Customer Services. Consult your Xerox representative to order the CUI Hardware kit Xerox WorkCentre 76xx devices To confirm if the device is configured for Custom Services: Note: There have been two releases of the WC76xx devices, the first release was not Custom Services enabled. The Second release was Custom Services enabled. Custom Service enabled devices should have a certain firmware level. Follow instructions below to confirm if your WC76xx device is Custom Services enabled. Following procedure only applies on WorkCentre 7655 / 7665 devices. Note: The WorkCentre 7675 is Custom Services enabled from first release. 1. Open Internet Explorer and browse to the Xerox device by typing the IP-address of the Xerox device in the address field, press [ENTER]. 2. Select tab Properties > in the tree view select General Setup > Configuration. Under section Printer Setup confirm what System Software Version is loaded on the device. Confirm that the System Software Version is xxxx or later. If not, consult or your Xerox representative for more information regarding upgrading the firmware of the device Xerox 4112, 4127, Xerox WorkCentre 72xx and 73xx devices To confirm if the device is configured for Custom Services: 1. Open Internet Explorer and browse to the Xerox device by typing the IP-address of the Xerox device in the address field, press [ENTER]. 2. Select tab Properties > in the tree view select General Setup > Configuration. Under section Software confirm what Controller+PS ROM is loaded on the device. Confirm that the Controller+PS ROM Version

20 x or higher is used for the 73xx, x or higher for the 72xx and or later for the Xerox 41xx. If not, consult or your Xerox representative for more information regarding upgrading the firmware of the device Caveats for devices Certain caveats apply when you are using the following Xerox multifunction devices: Xerox Document Centre: 220 / 230 / 230i / 332 / 340 / 420 Xerox DocuColor: 1632 /2240 Xerox WorkCentre: M24 / C226 ScanFlowStore is not able to automatically configure the above listed devices for network scanning. To be able to connect with these devices you manually have to configure the devices, which means that you have to create a file repository and distribution templates manually. Xerox WorkCentre: 123 / 128 / 133 / 7132 / 7228 / 7235 / 7245 / 7232 / 7242 / 7328 / 7335 / 7345/ 7425 / 7428 / / 4112 / 4127 / 4590 / 4595 / 5222 / 5225 / 5230 By default the FTP Client is not enabled for the above listed devices. To enable the FTP Client open a web browser and browse to the webpage of the device. Go to the Properties tab. In the tree view go to Connectivity > Port Settings. Check the FTP Client checkbox and click Apply. In addition it is also important to check if SNMP is enabled and correctly configured. Xerox WorkCentre: 232 / 238 / 245 / 255 / 265 / 265 / 2757 / 655 / 7665 / 7228 / 7235 / 7245 / 7425 / 7428 / 7435 The file format must be set to TIFF because the PDF format emitted by these Xerox multifunction devices is not compatible with ScanFlowStore. WorkCentre M20i Since the M20i splits s if a scan job is bigger than 4 MB, ScanFlowStore is not able to determine which separate parts should be in one scan file. The result will be that for every separate part a scan file will be created. 4 - Installing ScanFlowStore This section describes the functions of the ScanFlowStore installer and describes the installation, startup, and removal of the application. Read and follow the preparation steps in section Preparing for installation, before you attempt to install and configure ScanFlowStore Installer Tasks The ScanFlowStore installation program performs the following tasks during installation: Searches the computer for the.net Framework and cancels if it is not present. Searches the computer for older versions of ScanFlowStore, if present the old version will be updated. Installs ScanFlowStore. Installs the dongle drivers needed for the security dongle. The following task is only performed if Off box metadata validation is chosen and IIS is installed on the server: Creates a web application called QWebListener. This web application will be used for the metadata validation

21 If the IIS supports application pool, a new ScanFlowStore application pool is created for the new web application. The following task is only performed if InterActive client for Custom Services feature is selected and IIS is installed on the server: Creates a web application called QEip. This web application will be used for the InterActive Client for Custom Service. If the IIS supports application pool, a new ScanFlowStore application pool is created for the new web application Installing ScanFlowStore To install ScanFlowStore: Note: 1. Start the installer. 2. There will be a delay while the installer checks if the.net Framework or older ScanFlowStore installations are present on the server. If the.net Framework is not present the installer gives a message and the installation ends. After a successful check, the Welcome to the ScanFlowStore Installer Program window appears. Click Next. 3. Read and accept the license agreement. Click Next. 4. Optionally you can change the installation location. Click Next. 5. Select which features you would like to install. Click Next. You can only select the Off box validation and/or InterActive Client for Custom Services feature if Internet Information Services (IIS) is installed. These features are not supported on every Xerox multifunction device. See the ScanFlowStore web site, consult device documentation or contact your local Xerox representative to check if Off box validation and/or Custom Services are supported. 6. Specify whether you want to install IIS automatically. 7. The wizard is ready to install. If necessary you can click Back to revise installation options. Click Install to start the installation. 8. The wizard is ready to install. If necessary you can click Back to revise installation options/features. Click Install to start the installation. 9. When using a security dongle, you can now connect it to the ScanFlowStore server. When using a software license, you will be guided to the registration procedure or to loading a license file when ScanFlowStore starts.scanflowstore is now installed and can be launched via the shortcut on the desktop or via Start > All Programs > Nuance > ScanFlowStore. 10. Optionally, you can set up a Log on as this account option (recommended). This allows you to provide the necessary privileges to the ScanFlowStore Listener and Processor. To set up the account (domain admin or admin privilege user is recommended), go to Start Menu / Control Panel / Administrative Tools / Local Security Policy / Local Policies / User Rights Assignment / Log on as a service, and add the account. When finished go to ScanFlowStore Administration Tool > Settings > Log on > This account, then set up the same account Creating and using different IIS ports and web sites This section describes the steps to run the InterActive client for Custom Services on a port other than the default port 80 and configuring a separate website in IIS. Reasons to change the port:

In addition, ScanFlowStore must be installed before the reconfiguration Uninstalling ScanFlowStore The ScanFlowStore uninstaller removes ScanFlowStore (does not remove the.net Framework). The uninstaller will ask whether to keep the configuration files. To uninstall ScanFlowStore: 1. Start the uninstall program via: Start > All Programs > Nuance > Uninstall ScanFlowStore. --OR-- Start > Control Panel > Add or Remove Programs or Programs and Features (depending on the OS) > ScanFlowStore 2. Click Remove. 3. Follow the instructions

23 Note: 4. The uninstall program will prompt if you want to keep the configuration files. Click Yes to keep the configuration files. Click No if you want to remove the configuration files. The configuration files can be found in the Config folder under the ScanFlowStore installation folder. 5 - Configuring ScanFlowStore 5.1- Configuring network scanning of a Xerox device manually Only in some rare cases it is preferable to manually configure the Xerox device (that is, because the Xerox device has no template pool or the template pool is already configured for other scanning applications). In the following section we will explain how to manually create distribution templates and configure the Xerox device. Caution: Skip this section if ScanFlowStore will manage the template pool of the Xerox device. Only in very rare cases it is preferable to configure the Xerox device manually, it is highly recommended that you let ScanFlowStore automatically configure your Xerox device. Manually configuring the Xerox device can be split up into three parts: 1. Create a trigger in ScanFlowStore Administration Tool. For the scan module you have to use the Xerox Multifunction Device module. 2. Add the Xerox device in ScanFlowStore Administration Tool, uncheck the Configure option since ScanFlowStore cannot or may not manage the template pool of the Xerox device. Note: 3. Configure the Xerox device in two steps: a. Create a file destination. (This will be explained later in this section). b. Create a distribution template. (This will be explained later in this section). The following sample procedure is based on a Xerox WorkCentre Note that the individual steps and step names may vary for other Xerox devices. Consult the documentation that came with your Xerox devices for configuration instructions

24 To create a file destination 1. Open the device web page in Internet Explorer. 2. Select the Properties tab, in the tree view at the left hand side of the screen select Options > Network Scanning> File Repository Setup

25 3. Click Add to create an Alternative File Destination. It is also possible to use the Default File Repository, click Edit if you would like to use the Default File Repository. Note: 4. Fill the Settings screen with the following information: a. Friendly Name, fill out a name for the Filing Destination. In this example, ScanFlowStore. b. Protocol, TCP/IP will be used for protocol. If the TCP/IP option is not available select FTP. c. IP Address and Port, use the IP address of ScanFlowStore system and for the port use the port number assigned to the ScanFlowStore Listener, by default this is port Caution: the port number can be changed in the ScanFlowStore Settings. d. Document Path must remain blank. e. Login Name should be Quatro Client. f. Password and Retype Password should be Click Apply to save the Filing Destination settings. The Xerox device might ask for the Administration account to save the settings

26 To create a distribution template 1. Open the device web page in Internet Explorer. 2. Select the Scan tab. 3. Specify the General Information: a. Template Name, specify a title for the Distribution Template. This template name will be displayed on the touch screen of the Xerox device. b. Description (optional), a description can be added for the Distribution Template. c. Owner (optional), the owner name can be added for the Distribution Template

27 4. Click Add to create the Distribution Template. 5. Section Name/Format, click Edit. 6. Depending on the Xerox device select TIFF or Single-Page TIFF for the Document Format. Caution: Do not use another format as ScanFlowStore will not be able to process these. Click Apply to save the

28 settings. 7. File, click Add. 8. Specify the Filing Destination information: a. For Filing Policy, select Rename New File. b. For File Destination, select the ScanFlowStore Filing Destination. c. Document Path: Caution: Specify the name of the trigger where you would like the scan to be directed to. Example: When a trigger is created with the name Invoice and you would like the scans to be processed with this trigger, specify Invoice as the document path. The document path is not case sensitive and spaces are allowed. 9. Click Apply to save the Filing Destination information. Under the File section two Filing Destinations are specified, remove the Default Filing Destination by selecting the destination and clicking Delete

29 10. In the Document Management Fields (optional) section up to six document management fields can be added to the Distribution Template. With using these fields it is possible to collect metadata. See the next section for more information and step-by-step instructions. 11. In the Scan Options (optional) section changes can be made to the scan options if needed. When the scan should be a color scan select this under section Output Color. For the best OCR results use the following settings: a. Original Type: Text b. Resolution: 300x Creating the distribution template is now completed and the settings can be tested. Before you test the settings check if the ScanFlowStore Listener is started Document Management Fields By using Document Management Fields it is possible to collect metadata about the scan document. The metadata can be used for different purposes like populating the file name and file properties of the scan document. A maximum of six Document Management Fields can be specified for every Distribution Template. To create a Document Management Field:

30 1. Open the device web page in Internet Explorer. 2. On the left hand side of the screen select the Distribution Template to which the Document Management Fields should be added

31 3. Under section Document Management Fields click Add. 4. Specify the Field Attributes: a. Specify a Field Name that matches the metadata name used in ScanFlowStore. The Field Name cannot contain any spaces. If a field in ScanFlowStore be populated with the value of one of the document management fields the Field Name should be specified between square brackets, see the following example: b. User Editable should be Yes (otherwise a user will not be able to populate the field). c. Field Label is the actual question the user will see on the touch screen of the Xerox device. d. Default Value (optional) can be specified for the Document Management Field. 5. Click Add to save the settings. If additional Document Management Fields are needed, repeat steps 1 to Configuring external authentication External authentication means that the device connects to an external database containing the necessary authentication information. This can be done, for example, via a card reader attached to Xerox MFD devices to authenticate the user, who wants to use the device. When a card is swiped, its ID is sent to an authentication server, which sends back user information to the device. After a user logged on to a device using this method and starts the ScanFlowStore client, ScanFlowStore can identify the logged on user. It works just for the InterActive Client for Custom Services feature of ScanFlowStore. ScanFlowStore supports the following authentication servers: Equitrac Office and Professional version 3 or 4 with the use of a PageCounter or PageCounter Mini. When using a PageCounter Mini device, it is possible to use an Equitrac server or Xerox Secure Access server. This way certain scanning functions can be restricted to certain persons or groups. Multiple authentications methods are supported, a user can enter his credentials on the screen of the multifunctional, enter a PID on the PageCounter or use a card swipe. SafeCom G3 and G

Attach the SafeCom controller to the MFP Port 1: LAN cable from the SafeCom controller to the network Port 2: LAN cable from SafeCom controller to MFP 2. Access the MFP config page with a browser, enable Xerox Secure Access as Authentication method. 3. Access the SafeCom controller config page with a browser, set the network details 1. IP config of the SafeCom controller 2. network details of the MFP 3. network details of the SafeCom server 4. Once this is done you should be able to print a testpage using the "test" button on the SafeCom controller 4. Access the SafeCom Administrator application 1. Configure the users 2. Add the MFP 5. Launch the ScanFlowStore Administration Tool. 1. After creating trigger, add the MFP and use Device Authentication with optional verification 5.3- Configuring connectors Connectors are building blocks of the ScanFlowStore solution used to import or export documents into outer systems. There are three kinds of connectors: Import connectors: these connectors import images or documents into ScanFlowStore for processing. The most typical import connector is the Xerox Multifunction Device, which receives scanned images from a Xerox MFP device. Process connectors: these connectors process the imported images and documents before exporting. The most typical process connector is the Advanced Image Processing connector. Output connectors: these connectors export or store the imported and processed documents into a store location, which can be a simple shared folder or an outer backend system. The most typical export connectors are the Winshare Out and the SharePoint connector. Here is the full list of the connectors and the supported backend systems:

LPR Printer connector. Can print with a network printer, if the LPR feature of Windows is installed on the same computer, where ScanFlowStore is installed. Microsoft CRM connector. Supported backend systems are Microsoft CRM servers, versions 4.0 and Microsoft SharePoint connector. Supported backend systems are Microsoft SharePoint Services 3.0, Microsoft SharePoint Portal Server 2007, Microsoft SharePoint Server 2010, Microsoft SharePoint Foundation 2010 and Microsoft SharePoint Server Microsoft SQL Server connector. Supported backend systems are Microsoft SQL Server 2005, Microsoft SQL Server 2008, Microsoft SQL Server 2008 Express, Microsoft SQL Server 2012 and Microsoft SQL Server 2012 Express. ODBC connector. Can connect to various databases using ODBC connection. The full list of the supported databases can be found at the ODBC connector section later in this section. Open Text edocs connector. Supported backend systems are Open Text edocs servers, versions 5.3 and 6.0. Open Text Livelink ECM connector. Supported backend systems are Open Text Livelink ECM servers, versions 9.7 and Oracle connector. Supported backend systems are Oracle databases, versions 10g R2 and 11g R2. ProLaw connector. Supported backend systems are ProLaw servers, versions 9 and

XML connector. It provides just lookup functionality. Because the different versions of the backend systems can differ per version, only the backend system listed here are supported. If you have another version of a backend, test the appropriate connector with a trial license before purchasing the full connector license. Sometimes using of these connectors is not simple, because they have to connect to a backend system, which requires additional configurations or client softwares. In this section there is a guideline how to set up these connectors AccountView connector AccountView 9.0 is supported. ScanFlowStore must be installed on the same system as AccountView AFAS Profit connector AFAS Profit 2011 and 2014 are supported. ScanFlowStore must be installed on the same system as AFAS Profit Exact e-synergy connector Exact e-synergy server, minimum batch 360 and maximum batch 400 are supported. The following configuration requirements must be addressed to prepare the Exact e-synergy connector: 1. Exact e-synergy must be properly installed, configured, and functional. 2. ScanFlowStore must be installed on the same system as Exact e-synergy. 3. The appropriate SDK should be used on the Exact e-synergy system depending on the installation environment. The Exact SDKs can be obtained from your Exact dealer. 1. If Exact e-synergy is used without Exact Globe, SDK WWS5300 is needed. 2. If Exact Globe is also installed and Exact e-synergy and Globe use the same database, SDK SE5386 is needed. In this case both Exact e-synergy and Globe can be used from ScanFlowStore, but request items of Exact e-synergy cannot be created or modified. If request items for Exact e- Synergy are wanted to create or modify, SDK SE5385 is also needed. 4. For additional configuration instructions, see the ScanFlowStore Help Exact Globe connector Exact Globe 2003 server, minimum batch 360 and maximum batch 400 are supported. The following configuration requirements must be addressed to prepare the Exact Globe 2003 connector: 1. Exact Globe 2003 must be properly installed, configured, and functional. 2. SDK SE5386 must be enabled for your Exact Globe installation. To obtain the SDK contact your Exact dealer

35 Note: 3. If ScanFlowStore is installed on the same computer where Exact Globe is installed, the setup is ready. If ScanFlowStore is installed on a different computer, the Exact Globe client must be properly installed and configured on the ScanFlowStore system. The Exact Globe server and ScanFlowStore must be in the same domain in this case. Consult the install media and documentation provided with your Exact Globe product for client installation and configuration instructions. 4. Test the Exact Globe client configuration from the ScanFlowStore computer by using the client to access an existing Exact Globe administration. 5. The ScanFlowStore service must run under the domain administrator account or an account with similar permissions to ensure sufficient access to the Exact Globe database. 6. For additional configuration instructions, see the ScanFlowStore Help Exact Synergy Enterprise connector Exact Synergy Enterprise server, minimum release 220 and maximum release 245 are supported. The following configuration requirements must be addressed to prepare the Exact Synergy Enterprise connector: 1. Exact Synergy Enterprise must be properly installed, configured, and functional. 2. ScanFlowStore must be installed on the same system as Exact Synergy Enterprise. 3. SDK YA5301 must be enabled for your Exact Synergy Enterprise installation. To obtain the SDK contact your Exact dealer. 4. For additional configuration instructions, see the ScanFlowStore Help IBM Lotus connector IBM Lotus versions 8.0 and 8.5 are supported. The following configuration requirements must be addressed to prepare the IBM Lotus connector: 1. IBM Lotus Domino server or later must be properly installed, configured, and functional. 2. ScanFlowStore does not need to be installed on the IBM Lotus Domino server. However to connect to IBM Lotus an IBM Lotus Notes client is required, this client must be version 7.0 or later. 3. No additional installation instructions are needed for the Microsoft CRM connector. ScanFlowStore does not need to be installed on the same server as Microsoft CRM. Note: It is recommended to use the Microsoft CRM connector in combination with InterActive Client for Custom Services. The reason for this is that documents are linked to account ID s in CRM, these are made up of 20 hexadecimal characters. For using the Microsoft CRM connector with network scanning a workaround would be made to export all account ID s and related names from Microsoft CRM via SQL and import them to the shortcut list, or use them with XML lookup. This way the live environment will not be reflected and the shortcut list or the XML file need updating when new accounts are created in Microsoft CRM Microsoft SharePoint connector The following SharePoint versions are supported by the SharePoint connector: Microsoft SharePoint Services 3.0, Microsoft SharePoint Portal Server 2007, Microsoft SharePoint Server 2010, Microsoft SharePoint Foundation 2010, and Microsoft SharePoint Server The following configuration requirements must be addressed to prepare the SharePoint connector to enable ScanFlowStore to connect to your SharePoint server. 37 Sometimes the Quatro SharePoint Web Service installer cannot install Quatro SharePoint Web Service onto the SharePoint server. This occurs when the SharePoint server contains multiple top-level web sites or when the web sites home folder is customized. In this case the Quatro SharePoint Web Service can be installed manually. In the Add-on\SharePoint folder of the ScanFlowStore installation package there are the files and the installation guide for the manual installation ODBC connector With this connector ScanFlowStore can connect to various databases using ODBC connection. The lists below denote compatibility with databases and ODBC drivers. If a combination of database and ODBC driver is not listed its compatibility is unknown and must be tested to ensure proper working. DSN s should be defined as a System DSN to ensure proper access rights. 3. For additional configuration instructions consult the ScanFlowStore Help Open Text edocs connector (F.k.a. Hummingbird DM) The Open Text edocs connector can be used to connect with either Hummingbird DM or Open Text edocs servers. Server versions 5.3 and 6.0 are supported. If the edocs server and ScanFlowStore server are on the same computer, no additional steps are needed. Otherwise edocs connector can be configured in two ways. Which way is used depends on the user. Scenario 1:

38 1. edocs server must be properly installed, configured and functional. 2. Create a user account with the same username and password on the edocs server and the ScanFlowStore server. This account must be an administrator account on the ScanFlowStore server, but not necessarily on the edocs server. 3. Login with this account to the ScanFlowStore server. 4. Set this account on the Log on tab of the general settings in the ScanFlowStore Administration Tool. 5. The edocs client must be installed on the ScanFlowStore server. After installing the client, restart the server if prompted to do so. 6. Test the edocs client from the ScanFlowStore server by using the client to access an existing edocs Library/Folder (use the DM Connection Wizard). 7. Create a new trigger that uses the Open Text edocs connector, you have to login with the mentioned administrator account to Windows. Scenario 2: 1. edocs server must be properly installed, configured and functional. 2. The edocs client must be installed on the ScanFlowStore server. 3. On the ScanFlowStore server launch the dcomcnfg command from a command line window. 4. Select the Default Properties tab. 5. Set the Default Authentication Level to None. 6. Set the Default Impersonation Level to Identify. 7. Restart the ScanFlowStore server. For additional configuration instructions consult the ScanFlowStore Help Open Text Livelink ECM connector Open Text Livelink ECM versions 9.7 and 10.0 are supported. The following configuration requirements must be addressed to prepare the Open Text Livelink ECM connector: 1. Open Text Livelink ECM must be properly installed, configured and functional. 2. The Microsoft Visual J#.NET Redistributable Package 2.0 must be installed on the ScanFlowStore server. If ScanFlowStore is installed on a different computer than Oracle server, 32-bit Oracle client version or later should be installed on the computer, where ScanFlowStore is installed. Note: If both 32- and 64-bit Oracle clients are installed, ensure that the 32-bit client is the default (e.g. its full path is earlier in the PATH environment variable). 3. 39 Prolaw connector Prolaw versions 9 and 11 using Microsoft SQL Server databases are supported by ScanFlowStore. The following configuration requirements must be addressed to prepare the ProLaw connector: 1. Prolaw must be properly installed, configured, and functional. In addition Prolaw must be using Microsoft SQL Server database. 2. The database System Administrator (SA) credentials must be available to connect to the SQL database. 3. For additional configuration instructions, consult the ScanFlowStore Help SuperOffice connector SuperOffice versions 5.6, 6.0 SR3, 6.1 SR1, 6.2 and 6.3 SR1 are supported. The following configuration requirements must be addressed to prepare the SuperOffice connector: Note: 1. SuperOffice must be properly installed, configured and functional. 2. The SuperOffice COM object is needed to connect with SuperOffice. The COM object is delivered with SuperOffice version 5 however for version 6 this object needs to be ordered separately. Contact your SuperOffice representative for ordering information. 3. A separate SuperOffice user account needs to be created that will be used solely by ScanFlowStore to access SuperOffice. It is strongly recommended that this account has administrator rights to ensure sufficient access to the SuperOffice software. Consult the install media and documentation provided with your SuperOffice product for more information on creating users for your SuperOffice product Worldox GX connector Worldox GX versions 2 and 3 are supported. The following configuration requirements must be addressed to prepare the Worldox GX connector: 1. Worldox GX must be properly installed, configured and working on the system. 2. ScanFlowStore must be installed on the same server as Worldox GX. 3. Open WDMIRROR.INI to check and/or edit the settings. a. Open Windows Explorer and browse to <Worldox installation folder>\common. b. Check the Local and Network paths, if necessary adjust them to the following settings: a. Local=<Worldox installation folder> b. Network=\\SERVER\APPS\Worldox 4. Set the Worldox client path in the system path. To do so: a. Right click My computer and click Properties. b. In the Advanced tab, click the Environment Variables button. c. In the System Variables section, select the Path row and click Edit. d. In the Variable value field add ;<Worldox installation folder>. Although no prompt is given through Windows, a reboot of the server will be required in order for the changes to

40 the System Variable to take effect. Note: Skip Step 5 if ScanFlowStore is installed on Windows XP as IIS 5.x does not use application pools. Note: 5. Set the ASP.NET permissions for the ScanFlowStore application pool: a. Open a command prompt and browse to %SYSTEMROOT%\Microsoft.net\Framework\V b. Enter the command aspnet_regiis ga computername\username. Ensure that the user entered has full access to both the Worldox GX files and ScanFlowStore installation files. c. Open the IIS Management Console by going to Start Menu > Administrative Tools > IIS Manager. d. For Windows Server 2003: a. Expand Application Pools and right-click on the ScanFlowStore application pool and select Properties. b. Select the Identity tab. c. Change the radio button to Configurable and specify the account that was used in the previous command line argument. e. For Windows Server 2008 and Windows 7: a. Expand the server in the Connections pane and select Application Pools b. In the center pane, select ScanFlowStore, and then select Advanced Settings in the Actions pane c. Under the Process Model section, select Identity and then the browse button to change from the NetworkService. d. Change the radio button to Custom Account and specify the account that was used in the previous command line argument. f. Select OK, close the IIS Management Console, and restart IIS. The following procedure only applies if ScanFlowStore is installed on a Windows XP system. 7. To avoid security warnings for every Worldox GX connection attempt, the Windows XP security settings need to be edited. a. Open a command prompt by clicking Start Menu > Run, and type gpedit.msc and click OK

41 6 - Problem solving b. In the Group Policy window, expand User Configuration > Administrative Templates > Windows Components > Attachment Manager. Double click Inclusion list for moderate risk file types. c. If it is not enabled yet, select Enable. d. In the text field, enter Worldox.EXE;WAAPI.EXE. e. Click OK and close the Group Policy Manager. Application, device and network errors can occur in a variety of situations. This section includes some of the common issues and Frequently Asked Questions that pertain to ScanFlowStore, multifunctional devices, and related networking issues Troubleshooting a problem When a problem persists, document the error messages and gather information to define the problem. The following problem-solving procedures are recommended: Accurately define the problem. When, where and how does the problem occur? Reproduce the problem. Can the problem be reproduced consistently or is it an intermittent problem? Ask other users if they have encountered the problem, and ask them to keep a log to track problem occurrences. Examine the data for trends and the common attributes that may be related to the problem. For example, does the problem occur only with a specific multifunction device or network configuration? Review the ScanFlowStore Administration Tool event view. To make sure that all the details are logged in the event view set the logging level to Details. For additional information regarding the event view refer to the Online Help. Review the FAQ and the product documentation to see if any similar problems are documented. If a cause and solution to the problem cannot be identified, contact the support of ScanFlowStore (see section Customer support) for support contact information to report the error information. Provide the support representative with the documentation that you have gathered to define the problem. Be sure to have your License ID available at the time you place the support call Troubleshooting InterActive Client issues This document describes the procedure to troubleshoot issues that may occur while using the InterActive Client for Custom Services. Before following steps described below, make sure that Custom Services are enabled on the Xerox device. To troubleshoot InterActive Client issues: 1. Try to connect to the web page locally to see if the InterActive Client is running: a. In ScanFlowStore Administration Tool add a scan device with IP address Make sure the option InterActive client is selected as the Servicetype

42 b. Open Firefox and go to page (Firefox is an internet browser of Mozilla. Internet Explorer cannot be used for this test.) c. Everything is installed correctly on the server if the previous screenshot is shown. Proceed to step 4. If the page is not shown correctly proceed to the next step. The Internet Information Services (IIS) might not be configured correctly. The following symptoms may occur on the display of the Xerox device: Server Error in / Application. The resource cannot be found. Http 404 error. The ScanFlowStore icon is not visible; instead a Custom Services icon is displayed. Fault/Error appears on the Xerox device display when selecting the ScanFlowStore icon. A red screen appears and in the left bottom corner the error code is displayed. Reboot the Xerox device to get rid of this error message
