3 1. Introduction Doing an internship is a good way to experience the every day practice of industrial design engineering. Internship (ID557x) is part of the elective courses of the master courses of Industrial Design Engineering. During the internship you have to perform full time professional activities relevant to your master programme in cooperation with a company or design studio. You will have seen how product development of related research takes place and you will have gained insight into future career possibilities and personal preferences. An internship in the Netherlands will last at least 6 weeks (ID5572 9ECTS), if you go abroad your internship will last at least 8 weeks (ID ECTS). This course manual will try to answer most of the questions you might have about this elective. Important! Enrollment for the Internship Elective does not require enrollment in Osiris! (See chapter 3) Steps to take for the elective. Chapter 5 explains the steps in more detail. 3

4 2. General information The Internship Elective can be started throughout the year. Take the preparation time in mind, plan a few weeks to gather information, look for companies and prepare your portfolio. Important! Registering for the Internship Elective does not involve Osiris. In the chapter 3. Enrollment this will be explained. It takes at least 10 work days to approve the internship. Contact: Internship office IO (Jolanda van Domburg) Internshipoffice-IO@tudelft.nl Room: 32 C Mailbox: Internship Office IO (4 th floor, halfway past the C-wing, the orange mailbox) Available: Tuesday afternoon, Thursday afternoon and Friday morning 2.1 Objectives At the end of the internship you will have: seen how product development or related research takes place within a company or design studio gained insight into future career possibilities and personal preferences. 2.2 Education method The internship elective is self study. There is no guidance available but when you have questions you can contact the internship coordinator (InternshipOffice-IO@tudelft.nl). Or mail the internship coordinator to make an appointment. 2.3 Duration and Credits An internship in the Netherlands (ID5572) lasts at least 6 weeks (30 days) and is rewarded with 9 ECTS. An internship abroad (ID5573) lasts at least 8 weeks (40 days) and is rewarded with 12 ECTS. This elective can be done on a part-time basis however you need approval of the internship coordinator and you will have to work for at least 3 consecutive days a week. 2.4 Information for international students International student are entitled to do an internship as well but please check with your study advisor and the international office first. Also check the Nuffic website ( download the contract, read it well and follow the instructions. Some companies require a Burger Service Nummer (BSN), a special 9 digit registration code you received when you applied for your visa. This code is needed when dealing with the Dutch Government. If you didn t receive the code with your visa application please visit City Hall and ask for it before the start of your internship. 4

5 Exchange students from outside the EU are not allowed to do an internship on their visa. The internship company will have to apply for a work permit which takes about 10 weeks (5 weeks for publication of the internship and 5 weeks for the application of the work permit) prior to the start of the internship. If you are an international student and want to do an internship abroad but within the EU please inform the company so they can make necessary arrangements with their government when applicable. The Dutch rules do not always apply to other countries. For internships in Germany there is a special page on the website. 2.5 Insurance It is very important to check with your insurance companies if your insurances cover internships. Sometimes they don t cover because you get an allowance, sometimes the insurance doesn t cover because you go abroad, etc. Important insurances to check are: health insurance and liability insurance. When you go abroad you will get a very good travel insurance once you completed the registration in Osiris Abroad. 3. Enrollment Enrollment for the elective is not possible in Osiris (except when going abroad). Before the start of the internship you have to enroll by filling out the application form which you can find on the internship website ( or use this direct link: Important: The internship must be approved of by the internship coordinator at least 10 work days before the start of the internship. You will not receive credits when you do not comply! When the internship takes place abroad you need to register your contact details in the Osiris Stay abroad module! (see flyer attached to this manual). 5

6 4. Deliverables For the internship there are a few deliverables to receive a final grading. They have to be handed in to the internship coordinator: List of personal goals (Deadline: before the internship) This list required with the application form at the internship website. A brief internship report (10-15 pages) (Deadline: 14 days after the last day of the internship) Make sure it describes the required elements as listed in the chapter Report. The Internship coordinator will review it and give it a V in Osiris if you passed. It has to be handed in as a hardcopy to the internship coordinator (in her mailbox, Internship Office IO 4 th floor, halfway past the C-wing), you also have to send a digital copy to Internshipoffice-IO@tudelft.nl Review form, filled out and signed by the company mentor. (Deadline: 14 days after the last day of the internship) The company mentor has to fill out the review form from Appendix 3. It can also be found on the internship website io.tudelft.nl/internships. Make sure you hand in the original signed form to internship coordinator. Internship Office IO (4 th floor, halfway past the C-wing, orange mailbox). Make sure you hand it in as a separate document. 4.1 Grading The internship is not graded, you will get a V in Osiris meaning that you passed the course. Furthermore it will not interfere with your grade average. 6

7 5. Organise your internship: Steps to take This chapter gives an overview how to follow the Internship elective in a few short steps. The following steps should be taken to organize your internship: Step 1: Look for internships Start in time, at least a few weeks so you have time to organize your portfolio and to get a good overview of the available internships When, where and with what kinds of companies do you want to do your internship with? Look for the Internship opportunities at io.tudelft.nl/internships Talk with fellow students, teachers and/or the internship coordinator. When you want to go abroad check the following links: o Wilweg.nl o Tudelft.nl/buitenland o Blackboard, look for the organization IDE International o Ministery of Foreign Affairs, Important: when the ministery has a negative travel advise the internship will not be approved. o More links in Appendix 1 o Also check the website io.tudelft.nl/internships Going Abroad Step 2. Portfolio and Applications Before applying you will need a Portfolio and a resume. On the website io.tudelft.nl/internships How to make a portfolio you can find some documents that can be helpful. Especially the document by Charles Ingrey-Senn is very informative, with a lot of tips from an employers point of view. Study association i.d organizes portfolio workshops a few times a year, so keep an eye on the posters. Qompas Student Career Service offers some helpfill when you want to apply for an internship/job. You can create a free account: Make a selection of companies, design studios, etc. you want to work with. Check the internship website or check the bulletin board at the entrance of the faculty. You can make use of a search engine to locate businesses as well. Start approaching companies. Send them your personalised motivation letter with your resume and portfolio. Explain why you want to do an internship with their company and what you would like to learn. is almost always an acceptable and even preferred way to apply for an internship. When you apply for an internship abroad be sure to include information about the faculty and your Master program. 7

8 Step 3. Administration and Enrollment Inform the internship coordinator that you have a positive response. There are a few things that have to be arranged before you can go on your internship. Arrange for: period, start and end dates, assignments and compensation ( ) with the company o legal rights (internship contract) o insurance (health, liability), see Insurance on page 8 o grants When you go abroad think of: o checking for travel advise with the Ministery of Foreign Affairs. Important: When the country you want to visit is considered unsafe your are not allowed to do this internship, it will not be approved and you will not receive credits. o visa, insurance (health, liability, travel), vaccination (via internship coordinator), working permit (via company). o informing people around you that you will be gone, for how long and where to reach you. o subletting your room, renting a room (company might be able to help you). o contacting IB-Groep and filling out the relevant forms. o following a language course and the course Intercultural Communication. o adding your contact information to Orisis Stay abroad module. It is obligatory since Jan. 1, Enroll with the form on the internship website ( Aanmelden/Enroll in menu) or use this direct link: at least 10 work days before the start of the internship (important when you want to receive credits). Step 4. Doing the internship Inform the internship coordinator that you have started your internship at the company and keep him up to date on contact information. Learn as much as you can during your internship. Schedule an evaluation meeting with the company mentor after a few weeks. Ask your colleagues whenever you want to know more. Be assertive and ask what you want to do/see things they are not offering. For instance if you would like to join a colleague who is visiting clients or other companies, certain tasks you would like to help with, etc. Make a short log of every work day or start writing your internship report during your time at the company. Take pictures to include in the report. Give your company mentor the review form (appendix 3) near the end of your internship and schedule a final evaluation meeting. Make sure you get the original signed form back. 8

9 Step 5. Completion Inform the internship coordinator that you are back. Finish your internship report and send it to the company mentor for approval. After approval hand in the report with the internship coordinator so she can schedule a meeting with you to evaluate your internship. This meeting will take about 25 minutes and usually takes place in her office, Internshipoffice-IO@tudelft.nl for an appointment. Check chapter 4 for the deliverables The internship report should be brief, about pages, describing: your goals, experiences and insight gained during the internship, a description of the tasks you performed, pictures/examples of your work, a description of the company, and so on. Add a chapter about cultural differences, housing, traveling, etc. when the internship took place abroad. The report can be in Dutch unless the internship took place abroad, then the preferred language is English. Mail a digital copy of your report to the internship coordinator (InternshipOffice-IO@tudelft.nl) and put a paper version with the filled out review form (as a separate document) in the mailbox (Internship Office IO (4 th floor, halfway past the C-wing, orange mailbox).. 11 Appendix 2, TER concerning internships Articles 8.1 and 10.2 of the TER concerning internships In the past there has been some trouble with students taking an internship via other faculties. The OER (Teaching and Examination Regulations) now contains a few articles specifically about the internship elective which clearly state that this elective must be done at IDE in order to receive credits. Here a preliminary version of the text as proposed by the Board of Examiners for the OER of : Article 8 Electives and admission requirements 1. Electives, within the meaning of sections 2, 3 and 4 of the Implementing Regulations, can be offered by the Faculty of Industrial Design Engineering (refer to the list of electives that is published in the (digital) Masters Guide) or by another faculty within or outside The Netherlands of an equivalent level. An exception to this regulation applies to an internship, see article Article 10 Electives and internships outside the faculty 2. Students who take an internship outside the faculty as their elective shall receive not more than 9 ECTS for the elective. A maximum of 12 ECTS shall be awarded for an internship outside The Netherlands. An internship taken in the framework of an IDE master program is to be offered exclusively by the IDE Faculty and will be registered as an IDE elective. 11
