4 FREQUENTLY ASKED QUESTIONS What is My Merchant Console? My Merchant Console is a secure online merchant website ( where you are able to view and manage all of your United Connect services with a single login. What is Connect VT? Connect VT is a module in the United Payment services proprietary United Connect Business Suite of Payment Solutions 1. This suite of solutions offers you a selection of secure merchant tools that you can connect to your account as to best meet the Payment Processing needs of your business. The Connect VT module provides you with an online virtual terminal to manually process credit card transactions from anywhere at any time. Additionally, Connect VT comes with Connect Reports which gives you full access to all aspects of your merchant account so you can easily reconcile your bank account, update accounts receivables or research a transaction. WHAT ARE THE ICONS FOR? The icons are tooltips that can be moused-over for more information on the corresponding field. Where do I log in? You can log into My Merchant Console at Where do I process the transactions? You can process transactions through Connect VT by clicking on the PAYMENT TOOLS tab then clicking Terminal. For more information, see Section 2. Virtual Terminal. Virtual Can I print a receipt for a transaction I processed? Yes. You have the option of printing a receipt after the transaction has been processed. For more information, see Section 2.2 Transaction Receipt. Can I void a transaction? You can void transactions that have been processed as long as they were before the batch cutoff time (4 PM CST). To void, select Void Transaction from the Manage Transactions drop-down menu. For more information, see section 5. Void Transactions. Where do I run a return? You can run a refund or return on a sale processed through Connect VT by clicking on Issue Returns or Refunds from the Manage Transactions drop-down menu. For more information, see section 4. Issue Returns or Refunds. Can I create logins for other people in my company? Yes. You have complete control over User Management. That is, you can add, modify, and delete (unauthorized) as many users as you wish. For each user, the you can control special user permissions and preferences depending upon the active United Connect services. For more information, see Section 8. Administration Tab Where can I set additional fields to fill out in the Connect VT? You can set additional fields to fill out during the transaction through the Virtual Terminal Settings in the Settings drop-down menu. Fields can be set as Show or Mandatory. The default mandatory settings are required by Visa and Mastercard and it is highly recommended that they are not changed. 5 ACCESSING MY MERCHANT CONSOLE 1. LOGGING IN Access My Merchant Console by going to Enter your User Name (your address) and Password (case sensitive), then click Login. For assistance logging in or to have your password reset, call customer service at 1 (888) UPDATING/CHANGING PASSWORD If this is your first time logging in or it has been more than 90 days since you have changed your password, you will need to create a new password. Enter your Current Password, and then enter a new password of your choice. Please follow the instructions in red above which detail the password format requirements and then click Change Password. 5
6 PAYMENT TOOLS TAB The payment tools tab is your main access to your virtual terminal. From here you can process transactions, refunds, voids, and authorizations. 2. VIRTUAL TERMINAL To access the Virtual Terminal, either click on the PAYMENT TOOLS tab or click on the icon. Virtual Terminal 1. Transaction Type: Select Authorize and Capture (sale) or Authorize Only (will only authorize funds, but will not be processed unless captured). (Required) 2. Total Amount: The total amount to be charged inclusive of tax. (Required) 3. Card Number: The 15 or 16-digit credit card number. (Required) 4. Expiration Date: Use the drop-down menus to select the month and year the card expires. (Required) 5. CCV: Enter the 3-digit card verification code located on the back of the card. (For Amex: 4-digit number on the front of the card) (Optional) 6. Address: Enter the cardholders billing address. If you do not have this information, enter 123. (Required) 7. Zip Code: Enter the cardholders billing zip code. If you do not have this information, enter (Required) (Note: The transaction information displayed default. You can enable additional fields for the transaction in the Virtual Terminal Settings. For more information, see Section 5.2 Virtual Terminal Settings.) 6
7 2. VIRTUAL TERMINAL CONT. 8. Company Name: Enter the cardholders company name. (Optional) 9. Customer Number: Enter the merchant-defined customer number. (Optional) 10. Company Enter the cardholders company address. (Optional) 11. Invoice Number: Enter the transaction invoice number. (Required) 12. Payment Description: Enter the transaction description. (Optional) Click Process Transaction to submit the information. (Note: The transaction information displayed below is defaulted. You can enable additional fields for the transaction in the Virtual Terminal Settings. For more information, see Section 5.2 Virtual Terminal Settings.) 7

9 2.1 VIRTUAL TERMINAL RESPONSE After submitting the transaction, the virtual terminal will display a response to the request. 1. Transaction Response: This is the response from the card issuing bank. It will display Successful (approved) or Declined. 2. Transaction ID: This UPS-generated number identifies the transaction and can be used for the following future transaction: Capture, Return, and Void. 3. Authorization Code: The six-digit numeric or alphanumeric approval code. 4. AVS Results: Indicates the result of Address Verification System (AVS). 5. CCV Results: The Card Code Verification (CCV) response code. 6. Prepare Printable Receipt: Click on this button to generate a printable receipt. (See Section 2.2 Transaction Receipt) 7. Enter Another Transaction: Click on this button to enter another transaction (See Section 2. Virtual Terminal) Example: 9
10 2.2 TRANSACTION RECEIPT Click on the Prepare Printable Receipt to generate a receipt. 1. Toolbar: Use to scroll through multiple pages, zoom in and out, export the report as a document, refresh the page, or print the report. 2. Daily Sales Report Information: Displays the date and time the receipt was generated, the invoice number, and the merchant-defined customer number. 3. Transaction Type: The type of transaction processed. 4. Card: The masked credit card number. 5. Authorization Code: The six-digit numeric or alphanumeric approval code. 6. Subtotal: Total amount to be charged or credited before tax and shipping & handling. 7. Shipping & Handling: The amount to be charged or credited for shipping and handling. 8. MANAGE TRANSACTIONS Use the Manage Transactions drop-down menu to capture previously obtained authorizations, void transactions, and issue refunds. 3.1 MANAGE PREVIOUSLY AUTHORIZED TRANSACTIONS Click Manage Previously Authorized Transactions to view transactions which have been processed through the virtual terminal as authorization only transactions. 1. Enter Group Capture Mode: Click on the icon to enter group capture mode and capture multiple transactions simultaneously. (See Section Group Capture Mode) 2. ID: This UPS-generated number identifies the transaction and can be used for capture, return, and void. 3. Date: The date the authorization was processed. 4. Card Number: The first and last 4 digits of the card number. 5. Customer: The merchant-defined unique identifier to represent the customer associated with the transaction. 6. Invoice: The merchant-defined invoice number associated with the transaction. 7. Description: The merchant-defined description associated with the transaction. 8. Card Type: The type of card processed. 9. Status: The status of the transaction processed. 10. Amount: Total amount authorized inclusive of tax. 11. Void: Click on the icon to void the authorization. (See Section Void Previously Authorized Transactions) 12. Receipt: Click on the icon to generate a printable receipt. (See Section 2.2 Transaction Receipt) 13. 14 3.1.1 CAPTURE PREVIOUSLY AUTHORIZED TRANSACTIONS Click on the icon to capture a previously authorized transaction. The authorization information will be displayed. The Total Amount can be adjusted, but cannot exceed the original authorization amount. Click Process Transaction to capture the authorization. Click on Prepare Printable Receipt to generate a receipt for the captured authorization (For more information, see Section 2.2 Transaction Receipt), or click on Enter another transaction to process more transactions. For more information on transaction responses, see Section 2.1 Virtual Terminal Response. 14

16 3.1.2 PREVIOUSLY AUTHORIZED TRANSACTIONS EXPANDED VIEW Click on the icon to expand the authorization and view the transaction details. 1. Basic Transaction Information Trans Amount/Date: Total value to be charged or credited inclusive of tax, and the date and time the transaction was authorized. TransType: The type of transaction processed. Status: The status of the transaction processed. POSEntryMode: The method in which the transaction was processed. AuthCode: The six-digit numeric or alphanumeric approval code. Auth Amount / Date: The amount for which the transaction was authorized, and the date and time of the authorization. 2. Additional Transaction Information AVSStatus: Indicates the result of Address Verification System (AVS) filter. CVV2Status: The card code verification (CVV) response code. TransactionID / Reference TransactionID: This UPS-generated number identifies the original transaction. BatchID: The unique identifier generated for this batch. UPSFunds: Will display 1 if United Payment Services is funding the transaction or 0 if they are not. InvoiceNumber: The merchant-defined invoice number associated with the transaction. Description: The merchant-defined transaction description. Customer Code/PO: Contains the customer code provided by the customer (e.g purchase order number). CustomerNumber: The merchant-defined unique identifier to represent the customer associated with the transaction. 3. Customer Payment Information Manager (CPIM) Information IsCPIMTransaction: Displays if the transaction was processed using CPIM. (Requires CPIM) CPIM CustomerID: Customer ID as assigned in CPIM. (Requires CPIM) CustomerCompany: The customer s company as defined in CPIM. Customer The customer s as defined in CPIM. CustomerPhone: The customer s phone number as defined in CPIM. CustomerFAX: The customer s fax number as defined in CPIM. CPIMPaymentID: The Payment Profile ID as assigned in CPIM. L2Duty: Contains the amount charged for duty. L2Freight: Contains the freight amount charged. 7. Additional Transaction Information SubmissionMethod: The method in which the transaction was submitted. (Will display Virtual Terminal if it was processed through Connect VT, or Non-United Connect if not) Merchant TransactionID: This UPS-generated number identifies the transaction and can be used for the following future transactions: Capture, Return, and Void. BulkFileUploadID: The unique identifier generated for the bulk file upload. (Requires CPIM) BulkFileUploadName: The merchant-defined name given to the bulk file upload. (Requires CPIM) UserID: Name or identification number of the user processing the transaction. TestTransaction: Displays if this was a test transaction. TestTransactionResponse: Response given for the test transaction. Succeed: Displays if the transaction was successful. UCErrorCode: A code that represents more details about the result of the transaction. ErrorDescription: Displays additional information about the error code received. 18

20 3.1.3 VOID PREVIOUSLY AUTHORIZED TRANSACTIONS Click on the icon to void previously authorized transactions. After clicking on the icon, the following pop-up will appear. Click OK. The authorization information will be displayed. Click Process Transaction to complete the void. Click on Prepare Printable Receipt to generate a receipt for the void (See Section 2.2 Transaction Receipt), or click on Enter another transaction to process more transactions. For more information on transaction responses, see Section 2.1 Virtual Terminal Responses. 20

22 3.1.4 GROUP CAPTURE MODE Click on the icon to access group capture mode. Group capture mode is used to capture multiple authorizations simultaneously. 1. Exit Group Capture Mode: Click on the icon to exit group capture mode. 2. Initiate Group Capture: Click on the icon to capture the selected transactions. 3. : Click on the box to select transactions to be captured. 4. Amount: The amount to be charged inclusive of tax. The Total Amount can be adjusted, but cannot exceed the original authorization amount. 5. Customer Number: The merchant-defined unique identifier to represent the customer associated with the transaction. 6. Invoice Number: The merchant-defined invoice number associated with the transaction. 7. Description: The merchant-defined transaction description. After selecting the transactions you wish to capture, click on then Click Here to initiate GROUP CAPTURE. Select the transactions to be CAPTURED and The number of transactions successfully captured will be displayed in green. To generate a printable receipt of the transaction, click the icon. 27 3.3 VOID TRANSACTIONS To void transactions processed on Connect VT (transactions must be in the current open batch), click on Void Transactions in the Manage Transactions drop-down menu. 1. Expand Button: Click on the icon to expand the transaction and view the details. (See Section 3.2 Previously Authorized Transactions Expanded for details) 2. ID: This UPS-generated number identifies the transaction and can be used for the following future transactions: Capture, Return, and Void. 3. Date: The date and time the transaction was processed. 4. 30 3.4 MANAGE ALL TRANSACTIONS To manage all transactions processed on Connect VT, click on Manage Transactions drop-down menu. Manage All Transactions in the 1. Transaction ID: The UPS-generated number used to identify the transaction. 2. From Trans Date: Enter the beginning date you wish to search from. 3. Card Number: The 15 or 16-digit credit card number. 4. Trans Type: The type of transaction processed. 5. Customer #: The merchant-defined unique identifier to represent the customer associated with the transaction. 6. To Trans Date: Enter the ending date you wish to search from. 7. Amount: The value charged or credited inclusive of tax. 8. Status: The status of the transaction. 9. Invoice #: The merchant-defined invoice number. Click on Search to initiate a search. In Manage All Transaction, you can void, refund, or capture a transaction depending on its current status. 30
31 ADMINISTRATION TAB The administration tab is used to add, modify, and delete (unauthorized) as many users as you wish. For each user, the you can control special user permissions and preferences depending upon the active United Connect services. You also can edit the , report, processing, and virtual terminal settings there. 4. MANAGE USER ACCOUNTS Click on the ADMINISTRATION tab, or the icon to manage user accounts. 1. Add New User: Click on the icon to add new users. (See Section 4.1 Add New User/Edit User) 2. ID: This UPS-generated number identifies the user. 3. Username: The user s address used to log in. 4. Name: The user s first and last name. 5. Description: Information about the user. 6. Authorized: If true, the user is authorized to log in to My Merchant Console. If false, the user is unauthorized and is not able to log in. 7. Edit User: Click on the icon to edit the user information. (See Section 4.1 Add New User/Edit User) Example: 31
32 4.1 ADD NEW USER/EDIT USER Click on the icon to add a new user or the icon to edit an existing user Enter or edit the user s address. 2. First Name: Enter or edit the user s first name. 3. Last Name: Enter or edit the user s last name. 4. Phone: Enter or edit the user s phone number. 5. Cell: Enter or edit the user s cell phone number. 6. Location: Enter or edit the user s location. 7. Description: Enter or edit the user s description. 8. Reporting Permissions: Click the to give this user the ability to view and download reports. 9. Administration Permissions: Click the to give this user the ability to manage other users and the settings. 10. AUTH_CAPTURE Permission: Click the to give this user the ability to process Authorization/Capture (sale) transactions. 11. AUTH_ONLY Permission: Click on the to give this user the ability to process Authorization Only transactions. 12. CAPTURE Permission: Click on the to give this user the ability to process Capture Only transactions. 13. RETURN/REFUND Permission: Click on the to give this user the ability to process Return/Refund transactions. 14. VOID Permission: Click on the to give this user the ability to process Void transactions. 15. SETTINGS In the Settings drop-down menu you are able to edit the General Settings and the Virtual Terminal Settings. 5.1 GENERAL SETTINGS From the Settings drop-down menu, select General Settings to edit , report, and processing settings. 1. Merchant Address(es): If merchant is true, this is the address that will receive receipts. (Multiple addresses can be entered separately by commas) 2. From This is the address which the receipts will be sent FROM. This should be a real address as customers may reply to it with questions. 3. From Display Name: This is how the from will be displayed in the recipients application. 4. Merchant: Select the for the merchant to receive receipts. 5. Customer: Select the for the customer to receive receipts. 6. on AUTH_ONLY: Select the for receipts to be sent on AUTH_ONLY transactions. 7. Header: Enter any text to be displayed at the top of the receipt. 8. Footer: Enter any text to be displayed at the bottom of the receipt. 9. Test Mode: Select the for ALL transactions run through the system to be in TEST Mode regardless of the submission method. 34
