2 STATEMENT OF PURPOSE FOR A PRESCHOOL AND CHILD CARE CENTER IN OUR CHURCH S COMMUNITY The purpose of the Warrenton Baptist Tiny Tot Care Center (WBTTCC) is to provide a much-needed ministry to our community. In association with the Warrenton Baptist Church (WBC), our Center will minister to the community by meeting crucial human needs in the Spirit of Christ. This shall be the underlying purpose in all phases of preschool care offered through the Warrenton Baptist Tiny Tots Care Center. Although a childcare program can never substitute for strong family life, the following essential needs can be fulfilled through such a Church based program. 1. Intellectual stimulation is provided for the child at his/her developmental level, allowing for learning and growth at each developmental stage. 2. Healthy physical growth is promoted by participation in daily Gross Motor activities, both teacher directed and child directed. 3. Appropriate Social Skills are promoted for both peer relationships and adult-child relationships. 4. Positive self-esteem is fostered, along with sound emotional development. 5. The WBTTCC along with the WBC are both resources for families in crisis, transition, or who have any spiritual needs, and will try to meet these needs when they arise. WBTTCC has accepted responsibility to maintain compliance with all religious exemption statutes on an ongoing basis. In many situations we not only meet, we exceed requirements. The school is operated under the direct supervision of the Director of Warrenton Baptist Tiny Tots and the Weekday Early Education committee (WEE) of the Warrenton Baptist Church. It is the responsibility of the WEE committee to formulate the policies under which the Center operates and to assure that the program of the Center is in accordance with the directives and ministry of Warrenton Baptist Church. Assist in forming all policies of childcare issues, related to the children 3. Communicate with the Church as to childcare activities 4. Assist in problem solving situations regarding parents and childcare 5. Plan and implement continual program development 6. Assist in creating a yearly budget, keeping the accounting books available upon request 7. 3 THE TINY TOT STAFF Laurie Fetherolf is our Director of Operations. Laurie joined Tiny Tots in October She has a Bachelor s Degree in Early Child Development Administration. Before Laurie came to Tiny Tots she was a kindergarten assistant at Grace Miller Elementary School for 9 years. She has worked in other daycare facilities and was the founder and director of a daycare for Dominos employees. Laurie has several years of managerial experience with Dominos Pizza. Laurie and her husband Matt live in Bealeton with their three children Aubree, Jamie and Tyler. Laurie and Matt were the co-president of the Grace Miller PTO for 3 years and the Cedar Lee PTO for 1 year. She was also the leader of a Girl Scout troop for 8 years. The family attends Warrenton Baptist Church. She enjoys spending time with her family, and watching baseball. Pat Bruner is our Assistant Director of Missions. Pat was a member of the original Tiny Tot staff in 1984 and her youngest son attended the center as well. Upon moving to the southern end of the county, Pat became a Kindergarten Aide for the Fauquier County Public Schools. Over a several year period, while living in the Spotsylvania and Manassas area, Pat worked in the business world in both financial and management positions. However, as always feeling God s pull and moving back to Fauquier County, she left the business world and returned for a year and a half in 2008 as an interim director during a transition time for our center. After assisting our center, Pat had family members that needed her at home more than the directorship would allow, and she pursued a job that afforded her more time at home over the last few years. Always feeling God s hand to return to Tiny Tots, and having an empty nest, she returned last fall as assistant in the Green Room. Pat has a gentle touch with children, staff, and parents, and a Christian love that radiates within our center. She has a true love for children, and this job is a ministry for her as it is for Laurie and our staff. Janie Todd is our Consultant/Part time Summer Director. She is the past co-director and the founder of WBTTCC. She received her undergraduate degree from Carson-Newman College in Early Childhood Education. She completed her Master s Degree in Elementary Education from George Mason University in She has pursued over 30 Post Graduate hours from Various Universities. While relocating to Richmond she worked at Derbyshire Preschool for one year before returning to the Fauquier County area in Janie worked in the Fairfax County Special Education Preschool for one year and Fauquier Elementary Schools for eleven years, teaching 6 th grade for one year, 2 nd grade for nine years and Kindergarten for one year. She was the first Differentiation Specialist for the Fauquier County School System, she has been in that position for 9 years and also serves on many of their committees. In 2005, she received the Washington Post Teacher of the Year award for Fauquier County. She has two daughters Amy, 31, who is an educator, and Maggie 21, who is an education major at Shenandoah University. Both are graduates of WBTTCC. Maggie presently works in the school age program at the center. Amy has become a new mother in July and more importantly Janie a first time grandmother! Janie and Maggie attend WBC, where Janie serves on the WEE committee for the Church. Janie is an on staff consultant and Part Time Summer Director for Tiny Tots. She enjoys antiquing, music, Bible Studies, and being with her family. Pastor Jay Lawson has been pastor of WBC since November Pastor Jay and his wife, Claudia and daughter Caroline came to us from Hampton, VA where he served as senior pastor at Hilton Baptist Church in Newport News. He received his BA in Religion from Duke University, and his Masters of Divinity from Southeastern Baptist Theological Seminary. Pastor Jay and Ms. Claudia have 2 grandson and 2 granddaughters. Pastor Jay loves sports and is a tennis player!! Pastor Doug Harris has served WBC as Assistant Minister and Minister of Youth since November He and his wife Karen, have four boys, Chris, Ben, Jon and Jeff who are all graduates of Tiny Tots. Chris is a law student at George Mason University and Ben is a senior at Averett University this 3

4 year. Jon and Jeff will be attending college this fall. Chris and Ben have been part of the Tiny Tot Staff since they were in High School. Tiny Tots relies on Ms. Karen for technology issues, cooking suggestions, and a good laugh when things get challenging!!!!. Pastor Doug can be found weekly doing Chapel for our children. He is also available for the children if they need to talk or need an extra hug. He adds a very warm and gentle touch to every lesson he presents and adds sparkle to our programs as Master of Ceremonies and narrator. He has even been seen in costume. Watch out when the first snowflake falls! Pastor Doug is the biggest kid of all. STAFF & RATIOS An educational staff consisting of Teachers and Teaching Assistants will be maintained to provide the following ratios: (teachers:children) Tiny Tots Ratios State Ratios 2 year olds 1:5 2 year olds 1:8 3 5 year olds 1:8 3 8 year olds 1:18 Before /After School (K 5 th grade) 1: year olds 1:20 School Age Summer Camp (K 5 th grade) 1:10 *There may be a period of time at drop-off and during the last hour of the day when 1 teacher is in the room as the number of children decreases. However, during these times, we are still well within the state guidelines. Our staff is trained in Child Development and is required to attend at least 14 hours of staff development each year. Staff members are evaluated yearly. The staff is chosen according to their commitment to our Christian ministry, their concern for children, and their ability to relate to young children, along with their education and training. STAFF QUALIFICATIONS All staff members are required to be certified free of any disability that would prevent them from working with children. A signed statement from a Virginia licensed physician is required annually. All staff members must be certified free of communicable tuberculosis. All staff members must undergo and pass a State Criminal History Check, in cooperation with both local and State Police Departments. Staff members also undergo a criminal history search with the Virginia Department of Social Services and Child Protective Services. Selected staff is required to be certified in both CPR and First Aid. All Staff are able to recognize the signs of child abuse and neglect, as instructed by Virginia Department of Health. ADMINISTRATIVE STRUCTURES The day to day operation of the Center is the responsibility of the Director and Assistant Director under the direction of the WEE committee. 4

When we offer a position we will use the information on the child s waiting list to contact the parent. Once the parent has accepted the position we will verify the child s date of birth and address. An acceptance letter will be mailed to the parent. This letter must be signed and returned to the Tiny Tot Office with the registration fee within 10 business days. The registration fee, which is non-returnable, will be used to secure your child s position until the school session begins. Registration fees are used to cover supplies, and crafts for the classroom. Once the school session begins, all children s tuition payments must be made from the beginning of the school session. If a child cannot start on time due to a late birthday, potty training problems, etc. the child s tuition must still be paid to keep their spot within the program. Enrollment: Children from the ages of two to five years, without regard to race, color, nationality, or religious affiliation, may be enrolled in the Tiny Tots Program. When all classes are full, a waiting list is compiled and vacancies are filled as they become available. We follow the waiting list as closely as possible, but factors such as creating a balance of boys and girls in each class must also be taken into consideration. Center capacity will not exceed 120 children, ages 2 through 11 at one time. All Children must meet State prescribed health requirements for enrollment and continued participation. A current and fully completed Virginia Department of Health form MCH-213D, showing that the child is adequately immunized in accordance with the requirements for attending school must be on file by the child s first day. NO EXEMPTIONS. This form must be signed by a medical doctor, licensed to practice medicine in the state of Virginia. By law, parents must inform Tiny Tots of any medical conditions. A medical condition update form will be required yearly as well as emergency information sheet. Within seven days of enrollment in the Tiny Tots Program, parents must present an Original Birth Certificate. The original will be returned immediately. 5

6 Upon enrolling their child, each parent will be asked to sign a statement that they have read and understand the policies and procedures of the Center. This statement is located in a letter sent home with the handbook. All registration fees are NON-REFUNDABLE. If a custody situation is involved, we must have the ENTIRE certified court document stating the conditions of the custody arrangement prior to the child s first day of attendance. Without the appropriate court documentation, either parent has the right of access to the child, regardless of who is listed on the registration form (i.e. the non custodial parent). Change of Personal Data: If you should move or change your place of employment, please notify the Director in writing as soon as possible. Withdrawals: Parents must give at least TWO WEEKS NOTICE IN WRITING before removing their child from the program. Absence of such notice will necessitate a two-week tuition charge. One of these weeks MAY NOT include a week that the Center is already closed as stated in the calendar. The weeks allotted for vacation time are the weeks of Vacation Bible School in the summer (dates to be announced) and ONE WEEK during the Christmas and New Year holiday. Regular tuition fees will be expected for any other time that the child s absent from the Center. Any additional days closed at Christmas will be used for cleaning and sterilizing the center. THE CENTER RESERVES THE RIGHT TO TERMINATE A CHILD S POSITION AT ANY TIME. Special Situations: Full-time students will be allowed to adjust their schedule for a one-week period following the birth of a sibling. The adjusted schedule and tuition will follow the fees of the three full day program. In a custody situation, there will be a one week limitation per school year (September August) per child where tuition will be waived at a time when the child is away from the Center visiting the other parent. We must receive a TWO WEEKS notice, in writing prior to this occurring. Spring Graduation: The philosophy of this Center regarding graduation is that this is a culminating ceremony. It is for those children leaving preschool and going to a public or private kindergarten only. We welcome any 4-yr old who is leaving our program, but not going to kindergarten, to assist with graduation. There is a small program fee applied to help cover expenses, to be determined at the time of graduation. TUITION PAYMENT Tuition payment will be made weekly, payable on the FIRST DAY of the week the child attends. (You have until 10:00 a.m. Tuesday to avoid accruing a $10 a day late fee.) We strongly suggest using the ACH debit system. This allows payments to be made on time and prevents late fees from accruing. Checks are to be made payable to the Warrenton Baptist Tiny Tot Care Center or WBTTCC. Checks will be accepted when payment is due for late pick-up by noon of the following business day. ( $10.00 per fifteen minutes) If not paid, an additional $10.00 applies. All other fees such as program fees, field trips, or special projects should also be paid by check and indicated in the memo line where to apply 6

7 additional funds. Your check is your receipt. If you require a stamped receipt for your employer, please so indicate with a note on your check. PLEASE place your check in the Tuition box ONLY. Tuition box is mounted on the wall outside main office. PLEASE DO NOT place checks on desks or in staff member s hand. This is for your protection as well as ours! EASY PAY BANK DEBIT option is available. Please see accountant to sign up. NO REDUCTION IN TUITION IS GIVEN FOR THE FOLLOWING: Missed days due to illness, inclement weather, family vacations, or teacher work days (TWD). Exceptions: If a child has a prolonged illness lasting more than 10 consecutive school days parents seeking a reduction in tuition must submit their request, in writing to the WEE committee for special consideration. Payment will be expected on schedule and a credit will be applied if approved by the committee. A letter must accompany the request on your physician s letterhead, stating the nature of the illness and the specific length of time the child will be out of the Center. This physician must be a practicing and licensed physician in the State of Virginia. Late Tuition Payment: Tuition is due on the first day of the week your child attends the Center. We ask that you treat your account as any normal bill you would have and make your payments promptly. Tiny Tots is a non-profit Center and depends on timely payments of tuition to run our program smoothly. A $10.00 per business day late fee per child (this includes teacher work days) is assessed for late payment of tuition. If tuition payment has not been received by the tenth business day, then your child will not be able to attend the Center until the late tuition and late fees ($ max.) are paid in full. If payment is not received then your child s position at the Center will then be filled by the next available child. Repeat offenders regarding late tuition will be subject to a request to put your account on weekly ACH or dismissal from the program. Questions concerning the late payment and penalties and/or exceptions should be addressed in writing to the WEE committee along with proof of exception (i.e. loss of job, personal injury, etc.). The office staff, (including Directors) do not have the authority to remove late fees, only the WEE Committee can make that decision. Returned Checks: Any checks RETURNED to the Center for insufficient funds, closed accounts, etc. will result in a $30.00 processing charge per check. The Center has the right to require payment by money order, cashier s check, or cash instead of personal checks. Repeat offenders regarding returned checks will be subject to paying in cashier s checks or money orders for the remainder of the school program or may be dismissed from the program. Tax Information or Court Documentation: To receive any tax information current or past, all tuition accounts must be paid in full and current. There will be a $20.00 per hour processing fee charge for retrieval of documentation in detail (i.e. court, child support claims).please see the Accounts Manager only for requested documentation and allow 3 business days for completion. Library Book Donation: 7

8 The Center is building yearly to create an extensive library. At any time you wish to contribute a book in honor or memory of someone, please notify the office. We will send an acknowledgement of your gift and a bookplate will be placed on the book. Brenda Harris Children s Scholarship Fund: This scholarship was created to assist families with tuition. It is in memory of a dear staff member who was killed in an automobile accident on her way to work. Her love and commitment to God, and her relaying that in her everyday teaching and living, was a blessing to all who knew her. Those wishing to contribute to this on going fund may DESIGNATE money anytime, payable to the WBTTCC. All applications for this scholarship must be submitted in writing to the WEE committee. This scholarship is subject to approval of the WEE committee and the availability of funds. SCHOOL ARRIVAL Parents are to accompany their child into the building at which time they will assist their child with his/her coat and personal items. A staff member will be in each classroom to greet the children. No child may be dropped off before 7:00 am. The parent is to sign the arrival/departure ledger each day using their first and last name. (no initials, please). This is for your child s safety! All breakfast/snacks MUST be finished before entering the Center and NOT brought inside due to severe allergies in the center. A morning snack will be served by 8:30 am each day. Late Arrival: In order for lunch count to be done correctly, parents are required to call prior to 8:45am. Please call the office to let us know if your child will be late or out for the day. If a child leaves the center and will be returning after lunchtime, we ask that you feed them lunch before returning. Tiny Tots pre-school program begins promptly at 8:30am Monday through Friday. Children may be dropped off anytime between the hours of 7 am and 8:25 am. TINY TOTS IS NOT A DROP IN CENTER, all children need to arrive prior to 8:30. Our philosophy centers around our belief that it is in the best interest of all children and their families that a consistent routine be maintained to meet the objectives of our program. If your child will be arriving past the 8:25 am drop off time due to an unforeseen circumstance, then the parent will need to contact the office so your child can be counted for lunch. For security reasons, our main door will be locked between the hours of 9:00 a.m. and 3:00 p.m. To gain access, please ring the bell. You will sign your child in at the office and an office member will escort your child to the classroom to cause as little disruption to the class as possible. Children arriving late habitually will be referred to the WEE Committee for any further action Departure: Full-time children are to be picked up no later than 5:30pm. A late fee of $10.00 for each 15 minute period will be charged after 5:30pm. This late fee is payable upon pick-up and no later than the following day.(see page 6) Habitual offenders are subject to dismissal from the program. A phone call for emergency late pick-ups is required. The late fee is still applicable in emergency situations. If you are picking up your child early, please do not pick up during the hours of 1-3pm. This is our nap time for the children and children leaving for the day will disturb the other children sleeping. Please pick-up prior to or at the completion of the nap time. Doctor and emergency situations will not apply to this time frame. For security reasons, our door will be locked between the hours of 9:00 a.m. and 3:00 p.m. Please ring the bell and a staff member will retrieve your child for you to limit disruption to the classroom. 8

9 Policy for the Release of a Child: Your child will be released only to the parent(s) or guardian(s) listed on your registration form unless noted otherwise. No child will be released to anyone not listed on a child s enrollment form without prior written notification from the parent. No child will be released to anyone under 16 years of age (including siblings). If a person other than the parent/guardian wishes to sign your child out, the special needs sheet will be checked for parental permission to release the child. If the name is listed we will request a picture ID and release the child. If the name is not listed on the special needs form; we will check the registration form, we will ask for a picture ID and release the child. If the person is not on the registration form we will attempt to get verbal permission from the parents. If we are unable to reach the parents, we will not release the child. PARKING LOT Due to limited parking, we ask that you please be patient and considerate of those arriving and departing from the Center. The parking lot off of 5 th Street is available for use; From September May, due to Wednesday night church programs, parking is at a minimum so please utilize this parking lot instead of the parking lot off of 6 th Street. PLEASE DO NOT PARK in the spots reserved for Pastors, Secretary, or Handicapped at any time. We ask that you park between the white lines and if no spaces are available, please park on Main Street, or Fifth Street or the back parking lot. Parking outside of designated areas makes it very difficult for others coming and going. No car engine will remain running while the vehicle is unattended. Also we ask that no child be left unattended in a vehicle at any time. Not only does this put all those entering and exiting our Center at risk for injury, it also puts the Center in direct violation of our licensing agreement. This could lead to the closing of our facility! This also helps prevent the build-up of unhealthy inhalants from entering our building. Safety is our number one priority for our children. Thank you for your cooperation. CHILD HEALTH & SAFETY PROCEDURES Illness: Children who are sick should not be sent to school. The Center does not have facilities or personnel to take care of sick children. It is not in the best interest of our children to expose them to such illnesses. Upon arrival at the Center, your child will be greeted by staff members and checked for any observable signs of illness such as temperature, rash, etc. as required by the Virginia Department of Health. Children who have a temperature or who are visibly sick will not be permitted to remain at school. In the event your child does become sick at school, or registers a temperature of 100 F or higher, the parent will be asked to pick up their child as soon as possible. One hour is considered ample time to make arrangements for your child to be picked up. The late pick-up fee of $7.00 per 15 minutes will be charged for children left longer than one hour. We strongly suggest a back-up sitter if you work a distance away from the center. When a child is ill at school, he/she is isolated from the other children, and upon departure, the room or space is disinfected according to the Virginia Department of Health guidelines. In the event your child leaves school or does not attend school due to a communicable illness, please notify the Center immediately. We are required by the Virginia Department of Health to post all such illnesses. Some of them include, but are not limited to: strep throat, chicken pox, measles, mumps, fifths disease, pink eye, lice, etc. 9

10 Re-entry into school: Any child sent home due to a fever, vomiting, or diarrhea must be FREE from these symptoms for a FULL 24 HOURS BEFORE returning to school. The 24 hour period must expire before 9 a.m. the following day for the child to return to the classroom on that day. This policy is in place in order to protect our children and staff from becoming infected. Children taking antibiotics also need to be on the medication for 24 hours before returning to the Center. A note from a Virginia licensed medical physician is required for re-entry to the Center, for any illness requiring prescription medication, and to include the following childhood illnesses. Chicken Pox: Onset is 2 to 3 weeks after exposure. Symptoms: slight fever and irritability for 1 day, and fine blisters on the trunk and face. Child is contagious until all scabs are dry. Chicken pox re-entry is as follows: All sores need to be scabbed over. Approximate time for this is usually 7 to 10 days from the time of outbreak. Strep (including Scarlet Fever and Strep Throat): Onset is 2 to 5 days after exposure. Symptoms: sore throat, fever, and occasionally a rash. Consult your physician. Must be on medication 24 hours before returning to group care. ** German Measles (Rubella): Onset is 2 to 3 weeks after exposure. Symptoms: slight head cold, swollen glands at the back of the neck, and a changeable rash that goes away in 2 to 3 days. Keep your child away from women who are in the first 3 months of pregnancy. Do not bring your child to group care for 7 days after the rash begins. Measles (Rubeola): Onset is 1 to 2 weeks after exposure. Symptoms: runny nose, watery eyes, fever (may be quite high), cough, blotchy rash appears about the fourth day. Do not bring your child to group care for 4 days after the appearance of the rash. Mumps: Onset is 14 to 26 days after exposure. Symptoms: pain in the cheeks, which is increasing by chewing, swelling over the jaw and in front of the ear. Do not bring your child to group care until all swelling has disappeared or 9 days after swelling appears. Pinworms: Itching of the anal area, especially at night is the most common sign. Your child may have insomnia or nightmares and may lose appetite. Consult physician, observe other members of family for symptoms. ** Conjunctivitis (Pinkeye): Onset 24 to 62 hours after exposure. Symptoms: irritated tearing eyes, swollen lids, and yellow mucous discharge that makes the eyes sticky. It is very contagious if caused by infection. Children under 5 are most susceptible. Consult your physician. Do not bring your child to group care until 24 hours after treatment begins. Children sent home under the suspicion of pink eye must have a doctor s release to return to the Center prior to the 24 hour required time frame. If a child does not have pink eye then a doctors note is also required signifying that the child has been seen and pink eye does not exists. This is for the protection of all of our children, since pink eye is extremely contagious. ** Impetigo: Onset varies. Symptoms: golden crusty sores or pimple-like spots develop watery heads, break, and forms crusted areas; may occur on hands, legs, feet, buttocks. Spreads rapidly if untreated. Consult your physician. Do not bring your child to group care until 24 hours of treatment has been administered. ** Ringworm (scalp): Onset varies. Symptoms: bald, oval shaped on the scalp, grayish scales; broken hair, itching. Do not bring your child to group care until 24 hours of treatment has been administered. ** 10

11 Ringworm (body): Onset varies. Symptoms: rounded, reddish area with a scaly or blistery border, often itchy. Do not bring your child to group care until the day after treatment begins. Cover sores with clothing or dry bandage. ** Hand, Foot, and Mouth Disease: Onset varies. Symptoms: sudden fever, sore throat, small blisters & spots on the throat. Disease is passed through direct contact with infected person. Do not bring your child to groups care until all symptoms are gone or 24 hours after treatment has been administered. Undiagnosed Rash: Any rash must be diagnosed by a VA licensed Physician and reentry requires a note from the Physician. Influenza and H1N1 virus: Symptoms body aches, vomiting, diarrhea, possible fever, sore throat and cold symptoms. Your child should stay home and not attend school or go into the community except to seek medical care for at least 7 days even if symptoms resolve sooner as directed by the health department. There are no exceptions. Other Illnesses: Tiny Tots is not limited to the above listed illnesses. We follow the recommendations of the Virginia Department of Health for group care. Please understand that we are working to keep illnesses from spreading and your child healthy. Head Lice: For two weeks after exposure, observe your child s hair and scalp at the neckline and around ears for eggs or nits (tiny, pearly white, egg-shaped objects) that stick tightly to hair shafts. Your child may complain of an itchy head. Consult your physician or pharmacist for treatment. Do not bring your child to group care until the day after treatment begins. Carefully check other members of the family for eggs or nits. We have a no nit policy, which means a child may not attend if there are nits, even after treatment. ** Please bring proof of medication on the day of re-entry for the director to document the name of the medication. If your child needs to be administered the medicine at the center, please fill out a medication administration form. Child Injuries/ Medical issues For children with serious injuries, such as broken bones, or with medical issues such as seizures, a doctor s note will be required to return to school. The doctor s note should indicate any instructions or limitations that the center needs to be aware of. Accidents: Parents will be notified of all accidents occurring at school. The staff will give immediate care to children incurring minor injuries. Directors are notified of all injuries. If an accident requires further medical assistance, the child will be transported to the nearest hospital. Parents will be notified immediately. Parents will also be called and notified in the event of any injury, which may require stitches, or one that involves the head or face. Food Allergies: If your child suffers from food allergies, you must provide the Center with a Virginia licensed physician s note indicating the type of allergy and what triggers the stated allergy. At Tiny Tots we take every precaution to provide children with a nut free environment. However; there are some items beyond our control. Some products may not contain nuts, but are manufactured in the same 11

12 facility as other nut products. The Tiny Tot kitchen facility is also used by many different groups of people and although the counters are sterilized, we have no control over the foods served; therefore Tiny Tots cannot take responsibility for these items. If your child has a life threatening food allergy, the parent will be responsible for all daily snacks, and daily meals provided to the child. We do not have the space to store these items. All food will need to arrive in a lunch box with the child s first and last name clearly marked on the outside. We are unable to heat any food items sent from home. Outside Play/ Gross Motor Activities: We believe it is healthy for children to go outside whenever possible. Parents who request that their child remain inside during outside play must furnish a physician s note. Children may remain indoors for up to three consecutive days. At that point, we do not have the staff to accommodate this request. Please send your child in appropriate outerwear. Appropriate shoes are tennis shoes or other rubber soled shoes. We ask that Crocs, dress, pool, jelly, or platform shoes and any dressy sandals NOT BE WORN to Tiny Tots. Children are easily injured on outside equipment if inappropriate shoes are worn. Hand Washing: WBTTCC has an established and implemented procedure for hand washing for staff and children before eating and after toileting/diapering. Hand washing is the most important means of interrupting the transmission of infection among staff and children. While the law requires hand washing before eating and after toileting, we require hand washing upon arrival at the Center, for both staff and children, upon returning from outdoor play, and when hands have been in contact with any body secretions. Procedures for washing are posted near all sinks as reminders. Insurance: The Warrenton Baptist Church and the Warrenton Baptist Tiny Tot Care Center possess public liability insurance. It is the policy of the WBC and the WBTTCC that each parent/guardian be responsible for their child s own health insurance. MEDICATIONS Procedures for Administering Medications: Only children with parental written permission may receive medication while at the Center. Upon arrival, the medication is to be given to the designated office staff member. Please do not leave ANY medication in the suite area or classroom. PLEASE DO NOT LEAVE MEDICATION IN YOUR CHILDS CUBBY OR BAG! Medication will only be administered by a staff member who has received certification in Medication Administration Training (MAT). All prescription medication should be pharmacy labeled with the following: 1. Childs name 2. Name of drug 3. Instructions for administration 4. Time of administration 5. Expiration date of drug A medical doctor licensed to practice medicine in the state of Virginia must prescribe any prescription medication. Tiny Tots will also administer over-the-counter medicine, as long as all of the appropriate paperwork is completed. Tiny Tots will not, however, administer herbal remedies of any kind, at any time. 12

13 All medication is required to be documented on a Virginia Department of Health form, located on the Parent Table by the entrance of the Center. No medication will be given without this form being completed. Each day parents must also indicate on the Special Needs Sheet the medication, dosage, and time any medication is to be given. Tiny Tot Staff will NOT administer medicine that is not covered under MAT (Medication Administration Training) guidelines. Drug Exceptions: Neosporin, Chapstick, and Suntan lotion/sun blocks may be applied IF they are provided by the parent and the release found on the back of the child s registration form has been signed by the parent. Please make a notation on the Daily Special Needs Sheet if you would like these medications administered. Parents are free to come and administer medication any time they feel it is necessary. It is the parent s responsibility to provide the medicine, with the proper written request, and prompt notification of any changes in dosage of medication being administered. Please take all medications home daily, unless the medicine will be used for the entire week, in which case it may be left until Friday. First Aid to cuts or other injuries will be limited to cleaning with soap and water, peroxide, bandages, Neosporin (with signed Parent Release), or other accepted first aid procedures. If the injury is believed to be serious and the parent or guardian cannot be contacted, the child will be taken by rescue vehicle to the hospital for treatment. PERSONAL ITEMS Each child will be assigned his/her own personal cubby upon enrollment. We ask that the child s cubby be used for storage of naptime items, coats, hats, and gloves only. Special items may be brought in when requested by the child s teacher (for example: show and tell items). Please label all personal items brought to the Center. This would include lotions, blankets, pillows, sleeping animals. All bags and backpacks must be small enough to fit in child s cubby. PLEASE EMPTY YOUR CHILD S CUBBY DAILY!! Mailboxes: Each child is assigned a mailbox for correspondence from the office and classroom. We ask that if you put any personal notes/invitations in a child s mailbox that it is in an envelope with the child or parent s name clearly written. Lost and Found: Any personal items left at the Center and not claimed after one month will be donated to a worthy cause. Toys: The Warrenton Baptist Tiny Tot Administration asks that toys not be brought from home, especially any characters/toys depicting violence. Please leave all electronic games, gadgets, Walkman, DS/ DSI s, Gameboys, etc, at home. If these items are brought in, they will be collected and may be picked up in the office at the end of the day. The WBTTCC provides the children with appropriate and more than adequate materials, games, learning opportunities, and play equipment. Personal Items Provided by Parents: 13

14 All outer clothing and blankets should be labeled with the child s name for adequate identification. If a child s article of clothing is lost or misplaced, we will make every effort to locate the item. However, the Center cannot be held responsible for replacement value of the item(s). An extra change of clothing is to be left at the Center at all times. The school will provide storage for one extra set of clothing per child. (Ex: one pair underclothes, shirt, pants, and socks. Please provide these in a large, labeled Ziplock bag.) Children starting our new school year should have their change of clothes appropriate for the fall/winter season. PLEASE LABEL ALL ITEMS!! Naptime: Naptime is for a 2 hour period during the day. We ask that if you need to pick your child up, please do so before 1 p.m or after 3 p.m. to lessen naptime disruptions to the classroom. Naptime Items: On Mondays or the first school day of the week, full time children are asked to bring in naptime items. These may include crib size blanket, car size pillow, [ no pillow pets] and one small stuffed animal. We must have all items fit in the cubby due to fire and safety regulations..please do not send special items such as a favorite blanket, or animal as these items WILL remain at the Center the entire week. Upon returning to school the following week, please remember to bring the clean nap items. Full sized pillows, sleeping bags, comforters, large stuffed animals that squeak, rattle or make noise are not appropriate at naptime. Each child will be assigned a cot to sleep on each day. You will also need to clear your child s cubby of all nap items and clothes on the last day that your child will be attending the Center for the week. Please be aware that various groups use the church facility over the weekend and we do not want your child s items to be accidentally used. All items will need to be laundered at the end of each week. There is a strong proof that this keeps colds, childhood diseases and viruses under better control. This has been established to keep the general health of our children and staff at its best. If you leave your child s nap items over the week-end the staff will bag them up and you will need to wash them prior to your child using them again. Soiled Items: If a child soils their clothes at nap time, the soiled items will be placed in a plastic bag in the child s cubby for the parent to pick-up. Please remember to replace the child s extra change of clothing at that time. Pacifiers/Bottles: Pacifiers, bottles and/or sippy cups are not permitted while at the Center for sanitary and developmental reasons. Diapers/Training Pants The parents of children in the 2 yr old classroom not yet potty-trained need to provide the Center with an adequate supply of diapers/pull-ups and wipes. We ask that parents make sure children have plenty of these supplies at all times. Please mark all diapers and wipe packages with the child s name. Please understand that for sanitary reasons we may not store previously worn pull-ups even if they have not been soiled. They are treated like a diaper after nap, removed and disposed of promptly. Toilet Training Guide for 2 year old classroom: Philosophy Statement: We believe each child is an individual; therefore, each child will have his or her own timetable for starting the toilet training process. Toilet training shouldn t start until the child is ready. It should be a cooperative effort among the child, parents, and teachers. We do not believe in punishing the child during toilet training. We feel that using praise is an effective teaching technique. 14

15 Readiness: The child shows; (1) discomfort at wetness and can verbally express discomfort. (2) is able to pull pants up and down, (3) can imitate behaviors, (4) understands words wet, potty, dry, and go, (5) asks to use the potty or toilet. Home-School Preparation: (1) Both the parents and teachers should agree on readiness and the words to use. (2) Parents should provide (everyday) 5 sets of training pants, and 3 full sets of clothes, including socks. These should be replaced daily until the child s habits are established. If no dry clothes are available, the child will wear a diaper and parents will be contacted to bring dry clothing. Procedures: (1) The child will be praised for using the toilet. At no time will he/she be forced to sit on a potty. Punishment will not be used when accidents occur. (2) Teachers will suggest to the child that it may be time to use the potty whenever he/she requests. (3) Teachers will teach children to wipe, flush, and wash their hands. (4) Accidents will be treated in a matter-of-fact manner. Children attending the three year old classroom: must be 100% potty trained during waking hours to be accepted into the program/classroom. This means that children must be in big girl/boy pants during the day and may wear pull-ups at naptime. Children attending the four and five year old classroom: must be 100% independently potty trained to be accepted or placed into the program/classroom. Daily Information Sheets: From August through June students in the full time 2 old classrooms will receive a daily information sheet from the teacher regarding the potty, lunch, nap, and other aspects of your child s day. BIRTHDAYS Each child will be recognized on his/her birthday. We ask that parents respect the Center s philosophy on celebrations so that it is fair to all children enrolled. Parents may send in a Special Snack for the student to share with their classmates. Due to our Health Regulations, these food items MUST be store bought. Please remember that we do not have time to give a full party with hats, favors, etc. Birthday invitations and/or gifts MAY NOT BE GIVEN OUT in the classroom as this eliminates any hurt feelings. Please ask for a list of names from the office and feel free to distribute your invitations in the Parent Mailboxes. Seasonal Party Items: From time to time, your child s classroom may have a seasonal party. You may be asked to donate various food items. If you choose to participate, please provide only store purchased items. This is a requirement of the Virginia Department of Health. Homemade items cannot be given out, and will be sent back home. Thank you for cooperating. ALTERNATIVE ACTIVITIES/FIELD TRIPS Any field trip scheduled by the Center has been investigated thoroughly by the Director. Any fees collected for field trips are non-refundable. If you choose not to send your child on a scheduled field trip, no alternative care will be available at the Center, as the staff must attend the scheduled field trip with their class. On field trip days where the children will return prior to lunch, your child may attend once the staff has returned to the classrooms, but must be here by 12:00 p.m. This policy applies to both the pre-school program and the school-age summer program. The school is not equipped with a large bus to transport all of the children at the Center. We will rent a bus for those children who do not have a parent or guardian participating. Parent participation is 15

16 necessary to transport the children to and from the location of the field trip, as well as to be present at the field trip site to help with supervision of the children. Due to our insurance regulations, our parents can only transport their own children. COMMUNITY SERVICE Tiny Tots participates in Community Service projects throughout the year. As a Christian Center we feel that children should not only hear about helping others, but should actively participate. We ask parents to help us in supporting the causes we choose for the year. In the past, we have contributed to our Community Food Bank, donated items to the Women s Abuse Shelter in Culpeper, helped those less fortunate at Christmas, raised funds for the Jaycees Christmas Toy Workshop, Fauquier Study Buddies and held Cystic Fibrosis Mini Marches, as well as being involved in the March of Dimes Walkathon. Through the Friends of Ft. Liberte and Haitian Children s Fund, Tiny Tots supports a young man named Beaudelet Edouard. Beau, as the children call him, will be 18 years old this year and lives with his parents and 5 brothers and 1 sister. The support Tiny Tots has given to Beau has allowed him to attend school and continue his formal education. He is currently in the 9 th grade. He is a good student and likes reading. He has a beautiful smile and is very proud of his friends at Tiny Tots. Any donations to Beau s ministry can be made in the office. TINY TOT PRAYER LIST Requests for prayer are compiled in a prayer list. The list is updated as needed. Prayer requests will be complied and the list shared in our monthly newsletter. Praises and answered prayers are listed also. Stop by the office any time. FUNDRAISING Every year, Tiny Tots raises funds to purchase special items for our Center. We are a non-profit organization and rely upon parent participation to help us achieve our goals in order to purchase special items for the children. PARENT INFORMATION/CENTER INFORMATION The Tiny Tots newsletter is sent home monthly in parent mailboxes. It contains important information about policies, changes in tuition, upcoming closings, field trips/special events and updates on classroom activities. Parents should also check the Parent Information Board in the lobby and Parent Table by the entrance for the Center and Community information. Upon enrollment in the Center, each parent of a school age child and a preschool child will have a mailbox located in the main lobby. Please check your mailbox daily for correspondence from the office or your child s teacher. This is where your tuition notices will be placed along with other vital information. Your mailbox is the slot ABOVE your child s name. A blanket permission slip is included in your child s registration papers. This will cover: 1. Permission to apply over the counter medication to minor scrapes/insect bites 2. Permission for local newspapers to print your child s picture or name if the occasion arises, and for your child s picture to be placed on the Church and Center s web sites. 3. Permission for child to participate in field trips. Please do not sign any items on the permission slip if you do not wish for you or your child to participate. 16

17 PRESCHOOL RATES/HOURS Full Time Preschool: Monday Friday 7:00 5:30 Fall Registration (non-refundable): $100 Summer Registration: $70 (non-refundable) Tuition: $170.00/wk for the first child $167.00/ for second child (must attend same program) 3 rd or subsequent children $164/week Includes: 2 snacks (morning & afternoon), and a National School Lunch Program, regulated by the Federal Meal Guidelines. All full time preschoolers have a naptime from 1:00 3:00 pm. Virginia State Law requires this for all full day children. Tiny Tots is a year round program. All students will be required to participate in the summer program, if they wish to secure their position in the fall. Children do not have to attend, but are required to pay the full summer tuition and registration. Children will be required to either remain in their same classroom (due to age) or move up to their fall position classroom. Children will not be allowed to move to a part-time classroom for the summer only and return to a full time classroom in the fall. The summer program is an 8 week session. One week during the summer the Center is closed for Vacation Bible School and tuition is not due for that week. SNOW CLOSING/DELAYED OPENINGS The Center is open during inclement weather unless there is a general shutdown through out the area. Every effort is made to open the Center. If State Regulations, cannot be maintained the Center will close. This is for the well being and safety of your children and out staff. Snow closings and delayed openings are announced on the following radio and TV stations prior to 6:30 am. WTOP FM or 820 AM WINC 92.5 FM NBC-TV Channel 4 You may also leave your address at the office and be included in a group for early closing and delays. You can receive this at home or at work. It is the parent s responsibility to listen to these local stations for information concerning closing and or delayed openings. Parents may also call Tiny Tots at 6:30 am and listen to the recorded message concerning our opening status.
