1 OLEAN CITY SCHOOL DISTRICT STUDENT LAPTOP GUIDELINES AND PROCEDURES 1. RECEIVING A LAPTOP a. Each student will receive a Dell Latitude 3340 laptop, a power adapter, and a slip on case for the laptop. b. Students receiving a laptop must attend an orientation where this policy and procedure document will be reviewed as well as log on process for in school and home use. c. Students and parent/guardians must sign a separate laptop acceptable use agreement before a district laptop will be permitted to leave the building. d. Laptops are issued and registered to an individual student. 2. LAPTOP RETURN AND FINES a. District issued laptops and accessories must be returned to the Technology Office in satisfactory condition at the end of each school year. b. Students who graduate early, withdraw, are suspended or expelled, or terminate enrollment in the Olean City School District (OCSD hereafter) for any other reason must return their individual District owned laptop by the date of termination. c. If a student fails to return the laptop at the end of the school year or upon termination of enrollment within the OCSD, that student [or legal guardian] may be subject to criminal prosecution or civil liability. The student [or legal guardian] will also pay the replacement cost of the laptop, or if applicable, any insurance deductible. 3. STUDENT LAPTOP CARE AND RESPONSIBILITIES Students are responsible for the general care of the laptop they have been issued by the District. Laptops that are broken or fail to work properly must be taken immediately to the Technology Office for evaluation and repair. a. General Precautions 1. The laptop is District property and all users will follow the Student Use of Computerized Information Resources Policy #7313 and the student Acceptable Use Guidelines for technology within the Olean City School District. 2. Power cords and cables must be inserted carefully into the laptop to prevent damage. 3. Laptops must remain free of any writing, drawing, stickers, or labels that are not the property of the Olean City School District. 4. Laptops must never be left in an unlocked locker, unlocked car or any unsupervised, unsecured area.

2 5. Students are responsible for keeping their laptop s battery fully charged for school each day. 6. Students must bring the laptop assigned to them to school every day. 7. If a student chooses to utilize a different case, the District issued case MUST be immediately turned in to the Technology Office for inventory purposes prior to the student utilizing his/her own accessories. 8. Laptops that are misplaced or stolen must be reported immediately to the Technology Office or the Principal s Office. b. Carrying Laptops 1. The protective cases provided with laptops protect the laptop and provide a suitable means for carrying the device within the school. 2. Laptops should always be within the protective case when carried. c. Charging Your Laptop Battery 1. Laptops must be brought to school each day fully charged. 2. Students need to charge their laptops each evening by plugging them into a working electrical wall outlet. d. Screen Savers/Background Photos 1. Inappropriate media may not be used as a screensaver or background photo. 2. Presence of guns, weapons, pornographic materials, inappropriate language, alcohol, drug, gang related symbols, offensive content or other violent pictures will result in disciplinary action. e. Screen Care 1. The laptop screens can be damaged if subjected to rough treatment. The screens are particularly sensitive to damage from excessive pressure on the screen. 2. Refrain from leaning on or placing objects on the top of the laptop when it is closed. 3. Refrain from placing anything on the laptop that could put pressure on the screen. 4. Clean the screen with a soft, dry cloth or anti static cloth. 4. LAPTOP USE AT SCHOOL a. Laptops are intended to be used at school each day. b. In addition to teacher expectations for laptop use, school messages, announcements, calendars and schedules may be accessed using the laptop. c. Students will be responsible for bringing their assigned laptop to all classes on a daily basis. 5. LAPTOPS LEFT AT HOME a. If students leave their laptop at home, they are responsible for getting the course work completed as if they had their laptop present.

3 b. The District will have a few loaner laptops for cases where a laptop is needed for testing. The loaners can be obtained from the Technology Office. 6. LAPTOPS UNDERGOING REPAIR a. Loaner laptops may be issued to students when their laptop is left with the Technology Department for repair. b. There may be a delay in getting a laptop should the school not have enough to loan. 7. SOFTWARE, SOUND, MUSIC, OR GAMES a. The software/applications originally installed by OCSD must remain on the laptop in usable condition and be easily accessible at all times. b. From time to time the school may need to add software applications for use in a particular course. All software applications will be distributed through a secure distribution which will require laptops to be turned on. c. The District s Technology Office will manage the applications on all laptops. d. Periodic checks of laptops may be made to ensure that students have not attempted to remove required software. e. Sound must be muted at all times unless permission is obtained from the teacher for instructional purposes. f. Internet Games are not allowed on the laptop. If game applications are installed, for any purpose, they must be installed by a member of the OCSD Technology Office. g. All software installed on the laptops will be district provided. h. Upgrade versions of licensed software/applications will be required from time to time. Students may be required to have their laptops turned on at specific times for periodic updates. 8. HOME INTERNET ACCESS a. Students are permitted and encouraged to set up wireless networks (WiFi) on their laptops. This will assist them with laptop use while at home. b. The Student Use of Computerized Information Resources must be followed whenever using a district owned device. 9. MANAGING YOUR FILES & SAVING YOUR WORK a. Data Storage will be on the laptop, district H drive, memory stick, or cloud based (i.e. Dropbox, Google Docs, etc.). b. The district will not be held responsible for the support of Cloud based services or the data that students may store on these services. c. Students will submit assignments as per teacher directions. This may be through cloud based services (i.e. Dropbox or My Big Campus), network shared folders, or some other method. d. OCSD makes no guarantee that their network will be up and running 100% of the time. In the rare case that the network is down, the District will not be responsible for lost or missing data. Students are encouraged to save work often and have a technological contingency plan to backup their work.

4 10. CIRCUMVENTING MANAGED SETTINGS ON THE LAPTOP a. All student laptops are prepared by the Technology Office for the purposes of initializing and managing all laptops in a secure and organized fashion. b. Any attempt to circumvent any district management settings will result in the return of the laptop and disciplinary action as per the Student Use of Technology Guidelines and Student Code of Conduct. 11. ACCEPTABLE USE a. The use the laptop provided by the district is not transferable or extendable to people or groups outside the district and terminates when a student is no longer enrolled in the OCSD. b. The following Board Policy and Student Acceptable Use Guidelines will be followed: i. #7315 Student Use of Computerized Information Resources ii. #7550 Dignity for All Students iii. #7551 Bullying in the Schools c. If a student violates any of the User Terms and Conditions named in this policy, as well as the policies listed above, privileges may be terminated, access to the school district technology resources may be denied, and the appropriate disciplinary action shall be applied. The Olean City School District s Student Code of Conduct will be applied to all student infractions. Violations may result in disciplinary action for students. When applicable, law enforcement agencies may be involved. 12. PARENT/GUARDIAN RESPONSIBILITIES a. Talk to your children about values and the standards they should follow on the use of the Internet just as you do on the use of all media information sources such as television, telephones, movies, and radio. b. Review the Summary of Laptop Guidelines and Procedures handout with your student. c. Ensure that the policies and procedures outlined are followed. 13. SCHOOL RESPONSIBILITIES: a. Provide Internet access to its students while on District property. b. Provide Internet blocking of inappropriate materials as able. (Parents/Guardians should also set internet controls at home). The OCSD complies with the Children s Internet Protection Act (CIPA) and Regulations of the Federal Communications Commission (FCC) and District Policy #8363 Children s Internet Protection Act; Internet Content Filtering/Safety Policy) c. Provide staff guidance to aid students in doing research and help assure student compliance of the Student Use of Computerized Information Resources. 14. STUDENTS RESPONSIBILITIES: a. Use computers/devices in a responsible and ethical manner. b. Obey general school rules concerning behavior and communication that applies to ipad/computer use.

5 c. Use all technology resources in an appropriate manner so as not to damage school equipment. This damage includes, but is not limited to, the loss of data resulting from delays, non deliveries, mis deliveries or service interruptions caused by the student s own negligence, errors or omissions. Use of any information obtained via the OCSD s designated Internet access is at your own risk. The Olean City School District specifically denies any responsibility for the accuracy or quality of information obtained through its services. d. Help the OCSD protect our computer system/device by contacting an administrator about any security problems they may encounter e. Turn off and secure their laptop after they are done working to protect their work and information. f. Return their laptop, in good working condition, to the Technology Office at the end of each school year. Students who graduate early, withdraw, are suspended or expelled, or terminate enrollment for any other reason must return their individual school laptop on the date of termination. g. Failure to return the laptop may result in grades being held, charges of theft, or impact graduation. 15. STUDENT ACTIVITIES STRICTLY PROHIBITED: With the exception of District approved sites/activities: a. Illegal installation or transmission of copyrighted materials. b. Any action that violates existing Board policy or public law. c. Sending, accessing, uploading, downloading, or distributing offensive, profane, threatening, pornographic, obscene, or sexually explicit materials. d. Use of chat rooms, sites selling term papers, book reports and other forms of student work. e. Messaging services or anonymous and/or false communications ex: MSN Messenger, Yahoo Messenger, ICQ, etc. f. Internet/computer games. g. Use of outside data disks or external attachments without prior approval from the administration. h. Changing of laptop settings & initial screen (exceptions include personal settings such as font size, brightness, etc.) i. Spamming Sending mass or inappropriate s. j. Gaining access to other student s accounts, files, and/or data k. Exchanging laptops and/or switching laptop identification labels to conceal fault of damage. l. Use of the District s Internet for financial or commercial gain or for any illegal activity. m. Students are not allowed to give out personal information, for any reason, over the Internet. This includes, but is not limited to, setting up internet accounts including those necessary for chat rooms, Ebay, , etc. n. Participation in credit card fraud, electronic forgery or other forms of illegal behavior. o. Vandalism (any malicious attempt to harm or destroy hardware, software or data,

6 including, but not limited to, the uploading or creation of computer viruses or computer programs that can infiltrate computer systems and/or damage software components) of school equipment will not be allowed. p. Transmission of, or accessing materials that are obscene, offensive, threatening or otherwise intended to harass or demean recipients. q. Bypassing the Olean City School District s Web filter. r. Engaging in behavior that promotes or facilitates cyber bullying. 16. LEGAL PROPRIETY a. Comply with trademark and copyright laws and all license agreements. Ignorance of the law is not immunity. If you are unsure, ask a teacher or administrator. b. Plagiarism is a violation of the OCSD Student Code of Conduct. Give credit to all sources used, whether quoted or summarized. This includes all forms of media on the Internet, such as graphics, movies, music, and text. c. Use or possession of hacking software is strictly prohibited and violators will be subject to the Student Use of Computerized Information Resources and the Student Code of Conduct. Violation of applicable state or federal law will result in criminal prosecution or disciplinary action by the District 17. LAPTOP IDENTIFICATION a. Student laptops can be identified in the following ways: Record of service tag number Completion of student/parent AUP Enrollment of laptops with TEM Enrollment of laptops with Merackie. District labels on the back of the laptops 18. REPAIRING OR REPLACING THE LAPTOP ASSIGNED TO YOU a. School District Insurance Protection 1. School District Accidental Damage Insurance Protection has been purchased for every laptop to cover laptop replacement in the event of accidental damage. 2. This plan will include one replacement; any additional replacements will cost the student/parent the full value of the laptop (approx. $500). 3. Parents will need to compete and sign a form agreeing to these terms before their student is allowed to take a laptop home. b. Personal Home or Homeowners Coverage 1. Students or parents may wish to carry their own personal insurance to protect the laptop in cases of theft, loss, or accidental damage.

7 2. Please consult with your insurance agent for details about your personal coverage of the laptop. c. Cost of Repairs 1. Students will be held responsible for ALL intentional damage to their laptop including, but not limited to: broken screens, cracked plastic pieces, inoperability from hacking attempts, etc. 2. Should the cost to repair exceed the cost of purchasing a new device, the student will pay the full replacement value, if his or her parents opted out of Home Owners coverage. 3. Lost items such as cases and power cords will be charged the actual replacement cost.
