Configuration Restoring Data Benefits Conclusion Appendix C1: Using Backup Exec System Recovery with SmartFiler Assumptions Solution Overview Configuration Steps Overview Solution Overview As demand for storage continues, the task of managing and backing up data is getting increasingly complex. As a best practice, both onsite and offsite data backup solutions are being implemented across the board. Onsite data backup provides quick recovery time frames, while offsite data backups protect critical information against a disaster at the onsite location. As data storage requirements grow, even small businesses find themselves with several gigabytes of data that need to be backed up on a daily incremental basis. For example, a business with 1 TB of data, initiating a full backup to an offsite data backup provider with a standard T1 connection at 1.5 Mbits/sec upload speed, using 100% of available bandwidth, can expect to complete the initial full offsite backup in 63 days. This is unacceptable. The SmartFiler Backup solution is available as virtual or physical appliances. You buy a pair of SmartFiler Backup Appliances; one for onsite and the other for remote offsite. Connect both to your LAN for the initial backup which may be very large. After the initial backup, relocate the Offsite SmartFiler to a remote location. The Onsite SmartFiler will continue to perform the incremental backup to the remote Offsite SmartFiler. SmartFiler Backup Appliance User Guide 4

The SmartFiler Backup Appliance solution offers the flexibility to store your offsite data (Offsite SmartFiler) at a location of your choice: Home, Branch Office, Data Center etc. Solution 1: Two Virtual Backup Appliances SmartFiler Backup Appliance User Guide 5

Quickly implement enterprise class virtual backup appliances on your existing storage and compute infrastructure. No hardware to buy. Designed for use with VMware Player or VMware Workstation. Enables businesses to own their offsite data backup solution instead of paying substantial monthly charges to third party services. Ideal for backing up 25GB to 2TB. Solution 2: Two Physical Backup Appliances Simple, easy to deploy, enterprise class physical backup appliances, one for onsite backup and the other for remote offsite backup. Ideal for businesses with large amounts of data (500GB to 12TB); RAID enabled. Solution 3: Hybrid, virtual onsite appliance; physical offsite appliance SmartFiler Backup Appliance User Guide 6

Solution 4: FREE Identical to Solution 1 but appliance storage size is limited to 10GB each onsite and offsite. Ideal for home or small business use. Solution 5: Offsite Only Provided on a USB Disk Ideal for offsite backup only. Limited feature set. Available in 3 sizes, 250GB, 500GB, and 1TB. SmartFiler Backup Appliance Overview The SmartFiler Backup Appliances are simple to use and provide secure and reliable data backup, both onsite as well as offsite. The unique design of the SmartFiler Backup Appliance enables any small and medium business to own their offsite backup solution. By using a SmartFiler onsite at the office paired with an Offsite SmartFiler at a remote location of your choice (Home, Branch Office, Data Center, etc.), you have total control of your offsite backup solution as opposed to storing data at unknown locations offered by online backup vendors. Backing up and recovering huge volumes of data using an online backup service is impractical (the practical maximum limit for online backup is about 10GB to 20GB). In addition, by using the SmartFiler Backup Appliance solution you save the monthly service charges of an online backup service. SmartFiler Backup Appliances are used as a pair to provide onsite and offsite data backup. Once paired, the two SmartFilers create a secure private tunnel (like VPN) between them to communicate and transfer data. Data transfer between the onsite and offsite SmartFilers are always encrypted. The offsite SmartFiler can be stored anywhere with internet access. In addition to nightly and weekly backups, SmartFiler Backup Appliances can also be configured to take hourly snapshots of selected data. This enables instant recovery of data from any snapshot during the day, instead of the previous nights backup. This point-in-time data recovery is a powerful feature that was available only for big enterprises, until the introduction of the SmartFiler Backup Appliances. Key features of SmartFiler Backup Appliances are: 1. Ability to backup large amounts of initial data backup without depending on your ISP and internet connection speeds. (Compare 63 days for online backup of 1TB of data at T1 connection speeds vs. under 2 days to backup the same 1TB of data to an Offsite SmartFiler on a Gigabit LAN) 2. Ability to quickly restore huge volumes of data; same time comparisons above apply! 3. No monthly service charges for offsite/online backups.. 4. Affordable Low cost of ownership compared to other solutions SmartFiler Backup Appliances come in various models and storage capacity to meet your needs. To have an offsite backup, in addition to an onsite backup, you need two SmartFiler Backup Appliances, but they need not be identical models. You need to configure one SmartFiler as an Onsite SmartFiler that backups data from all computers in your network, and the other SmartFiler as an Offsite SmartFiler that is placed in a remote location to maintain an offsite backup. Appendix C Using SmartFiler for Microsoft Exchange Server Backup Introduction The SmartFiler Backup Appliance Exchange Server backup solution is integrated with the Symantec Backup Exec System Recovery Using a pair of SmartFiler Backup Appliances and Symantec Backup Exec System Recovery 2010 (BESR) small and medium businesses can now implement a cost effective solution to backup Exchange servers with 25GB and more. Backup Exec System Recovery software provides Exchange Server backup, Mail Box level restore and bare metal restore capabilities. Though it creates Using Backup Exec System Recovery with SmartFiler Solution SmartFiler Backup Appliance User Guide 33

a local backup on a network or USB disk drive, BESR s offsite backup strategy is to manually take the external disk daily for remote storage. This is not practical for most users and it is not any better than a tape backup that requires daily tape transportation. Often Exchange Mailbox Store size is several gigabytes, and hence the cloud backup method offered by BESR using FTP is not practical either. However, when Backup Exec System Recovery software is used with the SmartFiler solution as described here users can get daily automated offsite backup without any manual intervention. Configuration Configuring the Backup Exec System Recovery application with SmartFiler solution is simple. The Onsite SmartFiler exports a disk storage space that can be mapped as a network drive on the Exchange Server. This mapped network drive is used as the destination for BESR to create Recovery Point Sets. The Onsite SmartFiler is configured with a Backup Policy to sync the Recovery Point Sets to the Offsite SmartFiler on a daily schedule. The SmartFiler software is integrated with BESR and can be configured to send users an notification after BESR performs a backup to the Onsite SmartFiler and after a copy of the Recovery Point is moved to the Offsite SmartFiler. The first backup of the Exchange Mailbox Store may be large in size (several gigabytes) and hence should be done by connecting the Offsite SmartFiler to the same LAN as the Onsite SmartFiler and the Exchange Server. After the first big backup is done, i.e., the Backup Exec System Recovery application has created the initial Recovery Point on the Onsite SmartFiler and the Onsite SmartFiler has synced the data to the Offsite SmartFiler, you can relocate the Offsite SmartFiler to a remote location. While configuring the Backup Exec System Recovery the following guidelines must be followed to ensure that the backup to the Offsite SmartFiler happens smoothly even with a low bandwidth Internet connection. 1. Select \\SFbackup\databases as the destination for creating Recovery Point Sets. This ensures that the recovery point sets are created on the Onsite SmartFiler. 2. Provide a value for the option Limit the Number of Recovery Points depending on the size of your Exchange Mailbox Store, size of all other network data backed to the SmartFiler, your Retention Policy and the total storage space available on your SmartFiler. 3. Configure BESR to create a new recovery point set either on a quarterly or yearly basis. You do not want to create a new recovery point set frequently as this would result in backing up the entire Exchange Server. As the creation of a new recovery point set would initiate a big backup, similar to the initial backup, the Offsite SmartFiler should be relocated to the same LAN with the Onsite SmartFiler for a fast backup without relying on your Internet connection speed. You can relocate the Offsite SmartFiler back to the remote location after this new recovery point set creation is completed. 4. Using the Command Files option in the BESR, you can configure the Onsite SmartFiler to send you an notification when Backup Exec System Recovery application completes a backup. Step-by-step instructions with screenshots, is included in the Appendix at the end of this document. Restoring Data SmartFiler Backup Appliance User Guide 34

For restoring Exchange Mailbox Store or individual mailboxes, or for a bare metal restore of the Exchange Server, follow the same instructions provided in the Backup Exec System Recovery user guide. In the case of a site level disaster, relocate the Offsite SmartFiler to the same LAN where you want to restore the Exchange Server. Using the SmartFiler web user interface, enable Windows Sharing (from Advanced Options Troubleshooting). Start BESR and point the destination for Recovery Point Set as \\SFbackup\databases. Benefits As indicated in the solution diagram above, SmartFilers can create an onsite and offsite backup of all your data on the network, from Application Servers, File Servers, and Desktops, in addition to the Exchange Server backup. The benefits of using the SmartFiler/BESR solution for Exchange Server Backup are: Offsite Backup without Tapes: You can backupthe Exchange Store data and individual mailboxes to the Onsite SmartFiler several times during business hours and nightly to the Offsite SmartFiler. No need to bother with tapes and tape drives. The Offsite Backup is done automatically with SmartFilers. MS Exchange Data Restore: You can restore the entire Exchange Mailbox Store. Mail Box Restore: You can restore Individual Mail Boxes. You can restore even a folder from an individual mail box. Bare Metal Restore: You can restore the entire Exchange server in case of a system failure. Quick Restore from Offsite: In case of a site level disaster, you can quickly restore your Exchange server and service, even if your Exchange data is over a terabyte, by moving the Offsite SmartFiler onsite and restoring from that. With cloud based offsite backup, it can take over 2 months to download 1TB. Backup Network Drives without Additional Licenses: In addition to backing up the Exchange server, you can backup all your servers and desktops on the network, without any additional licenses or additional cost. Don't Pay Any Monthly Charges: The SmartFiler backup solution does not have any monthly costs; you can keep the Offsite SmartFiler at a location of your choice, including your home with just a DSL service. Most Cost Effective Solution: Using the SmartFiler-BESR to protect an entire office network, including Microsoft Exchange, is the most cost effective solution available in the market today. Conclusion The Exchange Server backup offered by the SmartFiler solution integrated with Backup Exec System Recovery provides an automated and cost effective solution for SMBs to have a comprehensive backup solution that includes mailbox level and bare metal restores.
