2 Document A: Plenty Valley Christian College Enrolment Policy A1: College Identity: Plenty Valley Christian College is a member of Christian Education National Ltd. The College is one of a national partnership of Christian school associations whose core values are, in summary: The central positioning of Christian scripture, Christian thinking and a vibrant demonstration of Christian faith in school communities. Christian parents having a determinative and ongoing involvement in setting the educational direction of a school. School partnership in a national community of accountability and support. Sharing the vision of Christian education in the wider community. Education of children for competent and responsible membership of the international community. Training teachers to understand and to teach from a Christian perspective. Therefore, at an operational level the College seeks to employ the principles, practices and values of a Christian theology and tradition to underpin and develop all relationships and learning. Joining the College community means one is expected to actively participate in learning through curricular and co-curricular activities that involve a Christian understanding of the world. Parents and students should expect to commit themselves to this identity and purpose of the College and participate in ways that make the place better for others. A2: Admissions: A2.1: Procedure for initial application: Families interested in applying for enrolment should: Obtain a College prospectus and arrange to visit the College if desired. Submit a completed Application for Student Admission form and provide a copy of the last two school reports. Attend an interview with the Head of School as arranged, and complete any student assessments as required. Note: An application does not guarantee progress to the interview stage of processing by the College, nor does any interview guarantee an offer of enrolment. Upon offer of enrolment: o Sign and return the Letter of Acceptance provided. o Provide certificates of immunization (Primary School), and a copy of the student s Birth Certificate or Extract of Entry. o Pay a non-refundable enrolment fee of $ A2.2: Procedure for application by College families: College families interested in applying for enrolment should: Submit a completed Application for Student Admission form and provide a copy of all current school reports prior to the closing date. Attend an interview with the Head of School or his/her delegate as arranged, and complete any student assessments as required. Note: An application does not guarantee progress to the interview stage of processing by the College, nor does any interview guarantee an offer of enrolment. Page 2 of 5
3 Upon offer of enrolment, provide the Certificates of Immunization (Primary School), and a copy of the students Birth Certificate or Extract of Entry. Sign and return the Letter of Acceptance provided. A2.3: Transition Procedures: To be advised A2.4: Conditions of Student Admission: Amongst other things, the conditions for student admission to the College are that: The College collects information from families for various purposes including publication, student enrolment and duty of care. Failure to provide the information requested may jeopardize a student's enrolment at any time. The College's privacy policy and collection notices are available on request. Information provided by parents / guardians in the application for admission is true. Parents / Guardians must be prepared to support the Constitution under which the College operates. Students must be respectful of the College staff and practices, and bring credit to the College through their admission. Families will warrant full cooperation in all College policy and procedural matters, and especially those of safety, discipline, assessment and attendance. Parents / Guardians and enrolled students must agree to support planned College activities and abide by all College regulations, policies and protocols for the duration of the student s enrolment. Parents / Guardians and enrolled students must advise the College of any change in their address or in any other circumstance that may affect the offer of admission or continuation of enrolment. Parents / Guardians jointly and severally must agree to abide by the business arrangements of the College. Subject to lawful procedures, all physical and intellectual property of the College accessed by any family member of an enrolled student remains the property of the College, and any records in any media of students undertaking College activities remain the marketable property of the College. Work that is produced by a student whilst enrolled at the College may be used at the College's discretion in any College publications. No liability will be accepted by the College for the loss or damage of student or family property brought to the College. This includes vehicles. Whilst enrolled students are in the care of College staff, either at or away from the College site, parents / guardians must agree to staff in charge of their child, seeking medical or surgical treatment as deemed necessary, and not to hold the College responsible for the payment of such treatment. Seeking treatment includes staff calling an ambulance in an emergency. Students attend co-curricular activities that are named as compulsory. The College uniform is worn correctly. Parents/guardians sign the required applications and authorizations as listed in section A5 (Schedule 2) of this Policy document. Subject to lawful procedures and interview, the College reserves the right to offer or decline admission without disclosure of reasons. Enrolments offers are based on a student s ability to benefit from the education offered by the College, and the complementary nature of relationship between the student and the College, for mutual advantage. Some priority may be assumed for students with siblings already enrolled. Page 3 of 5
4 Admission to the College is conditional on the Head of School s recommendation as to the suitability of the application and applicant. Unless otherwise specified enrolment is for the period of attendance in each section of the College. Subject to satisfactory transition reviews, students enrolled in the Primary School may assume priority for Secondary School enrolment. Similarly, there will be a transition review for student entry to the VCE. A transition enrolment response provided by the College must be returned by the closing date. Part time student enrolment and the terms and conditions of a part time enrolment are at the discretion of the Principal. The College may amend, add or delete conditions for admission or other regulations at its discretion. Amendments apply from the date of promulgation. A2.5: Notes: The College administers a Prep-readiness program. Enrolment of exchange and visiting students will be considered under arrangements as published in schedule 3. A3: Business Arrangements of the College: The Business arrangements of the College with families are, amongst other things: Payment of fees, levies and contributions as fixed and invoiced by the College. The minimum fee invoiced will be 25% of the annual fee. The persons signing an enrolment application are responsible for payment of all fees and charges. Fees are payable within 14 days of the billing date. Provision of eight-school week's notice in writing to the Principal of intent to withdraw a student or payment of an additional 25% of the full year's fees above those previously invoiced, in lieu of eight-school week's notice. No refund of an enrolment fee. The right of the Principal to suspend a student enrolment if more than the minimum fee invoiced is outstanding, or to direct that another fee arrangement be entered into. No remission of fees for student absence or for any other reason including private arrangements entered into by, or on behalf of, the student. Private arrangements include studies at home or other institutions. A retaining fee be paid by families seeking leave from the College for a College term or more. This will normally be 20% of a scheduled fee for each term a position is held open at the discretion of the Principal. A reduced fee payment upon approval of a fee assistance application with the College. This is normally a calendar year arrangement considered for families with unforeseen and extreme financial difficulties. A sibling discount as notified in the annual fee schedule. Enrolment of separate but cohabitating families will attract discounts for siblings of separate biological family members only. Sibling discount status of adopted and fostered students will be the same as for biological family members. Involvement in the parent participation scheme. The fees payable for students withdrawn at the request of the College will be invoiced to the date of the termination of enrolment. The College reserves the right to have a child withdrawn from the school when the parent or guardian of that child is guilty of serious or persistent misconduct in Page 4 of 5
5 relation to a student, a member of staff, another parent, or to the reputation of the College. A4: Application Form and Survey: (Schedule 1). Application must be made on the College s official Application Form. Application is a prerequisite to admission but not a guarantee of an interview for admission. The College reserves all rights to offer any place to any applicant. Parents/Guardians are asked to complete and sign the Application Survey. A5: Schedule 2: A5.1: The attached forms for Parent/guardian signature include Student profile Document Checklist Letter of Acceptance Excursions conditions: o Compulsory o Voluntary Homework Expectations (Secondary School) Locker Agreement (Secondary School) Computer and internet policy A6: Schedule 3: A6.1: Arrangements for enrolment of exchange and visiting students include: Payment for voluntary excursions and co-curricular activities. Nominal College fees and levies. Purchase and wearing of College uniform if enrolment is for or exceeds a College term. Otherwise, a suitable dress code at the discretion of the Head of School, applies. A7: Termination of Enrolment: A7.1: The Principal or his/her delegate at their discretion may terminate the enrolment of a student under the following circumstances: Failure to comply with the College Fee payment Policy. Failure to comply with the College attendance requirements. In the event, family members publicly or otherwise actively undermine the reputation or Christian ethos of the College. In the event, a student fails to comply with or respect the reasonable and ongoing College administrative arrangements, learning environment and discipline. At the times of a transition review. (Primary School to Secondary School and/or Year 10 to VCE). In the event of an established criminal activity on the part of any immediate family member. In the event, an application for enrolment is at any time found to contain false information. Page 5 of 5
