Restoring Sage Data Sage 200 [SQL 2005] This document explains how to Restore backed up Sage data. Before you start Restoring data please make sure that everyone is out of Sage 200. To be able to restore your data from Sage you will need to know the database name that you are restoring to. To find this out you can look in Sage System Administrator. You will find this in Start > All Programs > Sage Tools > Sage 200 > System Administrator. You will need to Logon as Manager and know the manager password. If you do not know the Manager password please find out whether anyone else within your company knows this password. If not then Espi require an email sent to support@espi.net stating which password you require and why you need this password. As soon as we receive this email we will reply with the requested password. We need an email for security reasons and for our records. Once you have logged in you will see the following screen. You need to select Companies on the left hand side. In the middle section you will see a list of all your companies, select the relevant company. This will change the information that is on the right hand side. The third option from the top shows the Database Name. 1
Make a note of the database name then close out of this screen once you have found the correct database and then open SQL Server Management Studio. You will find this in Start > All Programs > Microsoft SQL Server 2005 > SQL Server Management Studio. This will open up SQL and provide you with a Login screen. The options for the Server Type, Server Name and Authentication will be filled in. If these are incorrect please change them by using the drop down boxes. You should be using SQL Server Authentication. You will then need to enter the SA username and password then select Connect. This will open SQL and allow you to view all the databases amongst other options. 2
On the left hand side it will show your server name. Select the + next to the server name which will drop down other options, select the + next to Databases. This will show all of the databases that have been created within Sage for the relevant companies. Select the company that requires data being restored, and right click on it, this will bring up a range of options, select Tasks and then select Restore and Database The following screen will be displayed. In the top left hand corner there will be two pages one called General and another called Options. On the General page you need to find the backup that you will be using to restore your data from. Make sure that the database name you are restoring to is correct in the database name option. In the source for restore section, select the from device option. Then select the List of Values ( ) button next to it. 3
Once the Specify Backup box has appeared, select Add The following window will be displayed and this is where you will need to find the data that you will be restoring. Find the backup file (.bak) and select it, then select OK. This will put the backup location path into the Specify Backup screen. Select OK. Point to remember when looking for the backup file you wish to restore if it has not been created with a.bak extension (which is possible as when a backup is run the extension has to be specified when naming it as it is not automatically generated) you will not be able to see the file. If this is the case it is recommended that you use Windows Explorer and navigate to your backup directory and rename the file to add the extension. 4
You will then be returned to the Restore Database screen. You will now have a backup set in the box at the bottom of the screen. You will need to put a tick into the box for the backup set that you want to restore. 5
Having selected where to restore the data from you now need to select the Options page (top left hand corner) and carry out the following actions. From the Restore Options area, you will need to select the option that says Overwrite the existing database. This will write the new data over anything that is already in this database. Below the four options at the top there are two entries in the Restore the database files as area, you will need to select the paths to the MDF and the LDF files. The MDF folder contains your data files and the LDF folder holds your log files. To do this you will need to select the button next to each of the entries in turn. 6
The first entry in this area will be the MDF file, and the second is the LDF. Select the button. Navigate to the MDF and LDF files. Wherever your Sage has been installed there will be a folder called Program Files > Microsoft SQL Server > MSSQL > Data. This will put the correct path into the Restore Database area. The Recovery State option should have the first option selected. This option is: Leave the database ready to use by rolling back uncommitted transactions. Additional transaction logs cannot be restored (Restore with Recovery). Once this has all been completed select OK. This will run through the restoration process. You will see that this is running through by the execution option in the bottom left hand corner will light up. You will then have a message come up stating whether the restoration was successful or not. Finally you will need to go back into Sage System Administrator (Start > All Programs > Sage Tools > Sage 200 > System Administrator) to update your database. Log in as the manager again and select the Companies option. Select the company that you have restored the data for and right click on it and select Update from the pop up menu. It will ask you to confirm you want to update your database; you would select Yes. This will run through the update process and notify you when it has finished. Select File > Exit this will take you out of the System Administrator screen and allow you to access Sage and the new data you have restored. 7
