UMSYS HR 9.1 epaf - Welcome Welcome to the PeopleSoft Human Resources 9.1 Training Guide. Introduction to Welcome to the! As a new employee, you will need to provide us with some information so that you can complete the onboarding process and we can properly process you in our administrative system. refers to completing the following forms: Appointment Notification, Personal Data, Direct Deposit, W-4, and I-9. It is recommended that once you start a form you complete it. In order to complete these forms, you will need your Social Security Number, checking/saving account information, and Visa information (if applicable). You should have received an email from the University (see the following sample). If you are a student, this email may appear slightly different. If you did not receive this email, please contact your campus HR office. (Note: This email may appear in your spam folder instead of your inbox.) Follow the steps in the email to complete the onboarding process. For step-by-step instructions, refer to the corresponding lesson in these training materials. Appointment Notification Form Once you have created a password and logged into myhr, the first thing that will display is the Appointment Notification Form. You will need to review the information on the form and sign it before the checklist containing the rest of the onboarding forms display. 1. Click the button. 3. You must provide your electronic signature on the Appointment Notification Form. Click in the Password field. 4. Enter newly created password into the User Password field. For this training example, enter "TEST01". 5. Click the Continue button. Division of Information Technology Page 5
6. If you wish to view your Appointment Notification Form after signing it, click Main Menu, point to Self Service, and click the Sign Appointment Notification menu item. Page 6 Division of Information Technology

Completing the Forms My Personal Information Form Procedure After completing the Appointment Notification form, a checklist will display showing the list of forms you need to complete. The Last Updated date is your hire date. The first form you will need to complete is the Personal Data form. 1. Click the My Personal Information checklist item. 2. The Your Personal Information page will display. Complete the fields on this page so that your address and phone information is accurately recorded by the University. Fields marked with an asterisk (*) are required. If you wish to return to the checklist, click the < Return to Home link. Note: If you have existing information in the system (e.g., former employee who is rehired), your previous data may display in the forms. Update this information accordingly. 3. 9. Scroll down the page and complete the remainder of the personal information fields. 10. Although they contain similar information, you are required to complete both the Highest Education Level and Highest Degree fields. The Highest Degree field allows for more specific degree information. 11. Click the Look up Highest Degree (Alt+5) button. Division of Information Technology Page 15
12. Search results will automatically display. Scroll through the list and select the correct degree. For this training example, click the Bachelor of Arts link. Page 16 Division of Information Technology
13. If you need to enter more than one ethnicity in the ethnicity section. Click the Add an Ethnic Group button information. and enter the applicable 14. My Direct Deposit Form Procedure The next form you will complete is the Direct Deposit form. 1. Click the My Direct Deposit checklist item. Page 20 Division of Information Technology
2. The Your Direct Deposit Information page will display. Complete the fields on this page so that your paycheck can be successfully deposited. Fields marked with an asterisk (*) are required. If you wish to return to the checklist, click the < Return to Home link. To see a sample check highlighting where to find routing and account number information, use the View check example link. Note: If you have existing information in the system (e.g., former employee who is rehired), your previous data may display in the forms. Update this information accordingly. 2. The Update Tax Information page will display. Complete the fields on this page so that your federal and state tax information is accurate. Fields marked with an asterisk (*) are required. If you wish to return to the checklist, click the < Return to Home link. Note: If you have existing information in the system (e.g., former employee who is rehired), your previous data may display in the forms. Update this information accordingly. My I-9 Information Procedure The final form you will complete is your I-9 form. 1. Click the My I-9 Information checklist item. Page 34 Division of Information Technology
2. The Your I-9 Information page will display. Complete the fields on this page so that your employment eligibility information is accurate. Fields marked with an asterisk (*) are required. If you wish to return to the checklist, click the < Return to Home link. 3. There are links to instructions and document information that can be used to help you properly complete the I-9 form. 4. Your name in the Personal Info section will be blank until you enter your first and last name in Section 1. After entering your name verify it displays correctly in the Personal Info section. 5. 6. When you enter your Social Security Number the numbers will not display. If you need to verify you have entered the correct information, click the View link. The Social Security Number field is required. If you do not have a SSN at the time you are completing Section 1, enter 999-99-9999 in this field. 7. After completing the employee information section you will need to select the correct attestation of citizenship. For this training example, click the A citizen of the United States option. Note: If An alien authorized to work is selected, you will be prompted to enter an I-94 number. You will also need to complete the Foreign Passport Number and Country of Issuance fields.
