Asset4000 Fixed Asset Accounting Software Real Asset Management

Asset4000 Get real when it comes to managing your fixed assets R eal Asset Management (RAM) is a leading provider of fixed assets software, offering a range of exceptional products and services designed to arm customers with a complete solution for the management of fixed assets. Adopted by over 3,000 organizations in more than 70 countries, RAM s tenet is simple: a Real solution is a complete solution. RAM believes that effective asset management can only be achieved through the use of a fully-comprehensive system. That s why the concept of the asset lifecycle the start-to-end existence of your assets is fundamental. RAM s product suite has been designed with the complete lifecycle in mind fine-tuned to ensure it is able to address each and every stage of an asset s life and constructed so that from acquiring to retiring, all assets can be maintained, utilized, accounted for, moved, revalued, tracked, and disposed of as necessary.

Best of breed accounting integrated with your finance system A t the heart of the suite lies Asset4000 a powerful, best-of-breed tool that controls, tracks, and records changes that occur throughout the lfetime of an asset. A single, web-based repository can be interrogated to provide accurate, up-to-date and historical data. Since every business is different, Asset4000 allows users to benefit from customizable depreciation methods, user-definable reporting facilities and the ability to import new assets from external files. Several financial and tax books can be configured so users can quickly view asset values according to individual state tax laws or the currency and country in which the item was purchased. Asset4000 stores a comprehensive audit trail of each asset s history from the date it was acquired until retirement. Parent/child asset relationships can be created to establish dependencies and hierarchies. Users can also upload images and attach them to the appropriate asset. Asset4000 is a fully-configurable module that combines flexibility and ease of use with fine detail and precision. It provides a seamless interface with leading general ledger products, enhancing an organization s prior investments.

A window into your new system R AM understands the effort that goes into learning a new application and Asset4000 was designed with that in mind. The Asset Browser is a powerful search tool that shows a list of assets within the register. Users will adapt quickly to the familiar, Windows -inspired interface and can then browse freely or restrict the search to specific criteria, such as asset category, cost or purchase date. The Asset View is maintained throughout each session, making it easy to work with a subset of assets.

Real Asset Information O nce an asset has been located, full details can be viewed, maintained or updated through a single input screen (see below). This screen, known as the Asset Detail Screen, is divided into four sections: analysis, description, financial information, and current status. Analysis 25 user-definable drop-down fields for sequencing and restricting browser selections and reports. Validated pick lists for ease of data input and accuracy. Scaleable design allowing analysis levels to be as simple or complex as required. Intelligence via automatic rules-based defaults, enabling significant time savings. Description 25 user-definable description fields to store information pertinent to each individual asset. Can be configured, as required, to prevent omissions. Fields can be tailored to suit the displayed asset. Information is both easily sourced and easily compiled for analysis. Can be used to further enhance and refine the sorting and sequencing of browsers and reports. Financial Information Asset4000 s single display screen provides details of initial asset acquisition, including purchase date, date of capitalization, and the number of items that constitutes the asset. User-definable value fields can be used to customize which values are stored against an asset and how they impact depreciation calculations. Current Status Automatically populated with such information as life used, gross and net value, and cumulative depreciation. Ensures users have real-time asset information. Multiple accounting books are available through a single screen. Depreciation codes and asset lives can be defaulted, allowing for minimal data input and elimination of errors.

Asset Transactions Accessing a summary of events relating to a single asset is now easier than ever before. A full audit history for events including disposals, transfers, asset splits, relifes and revaluations can be accessed in just seconds. Asset4000 also enables users to physically and financially move an asset from one cost center to another without re-keying information, thus saving time and reducing potential input error. Relifes and revaluations can be associated with individual books by simply checking the appropriate box. Document4000, a separate module available within the Series4000 suite. The system develops a centralized database of records then files them into electronic directories. Document4000 can be organized to mirror any paper based filing system. Hierarchical Relationships With Asset4000 s Parent/Child tab, users can establish hierarchical relationships or key dependencies among assets, neatly displaying such links pictorially in collapsible branches (similar to the file structure used by Windows Explorer). Attaching Asset Images/Documents Asset4000 has the ability to display asset images and associated documents such as emails, invoices, purchase orders and contracts; this is made possible with A typical example might be the association between PC and software licenses, where the PC is the parent and the license assumes the role of the child. The option to transfer or dispose of the child asset will subsequently follow the transfer or disposal of the parent asset, keeping the relationship intact.

Depreciation: Your Way R AM has made manual, spreadsheet-based depreciation a thing of the past. Asset4000 s impressive, robust calculation tool makes processing depreciation both quick and easy. The Asset4000 module provides a portfolio of internationally agreed depreciation methods without requiring users to add their own formulas. Depreciation methods and asset lives can be defaulted for each book based on any defined asset category. Asset4000 also allows users to forecast depreciation as far into the future as desired and can recalculate the current period s depreciation to reflect updates in the register. Depreciation, whether for individual assets or a number of grouped assets, is calculated in one easy step by simply clicking the process button. A sset4000 provides the ability to compile a full history of the financial information stored against any single asset on a period-by-period basis. Both historical and forecast details can be accessed for net book value, period depreciation charge, year-to-date depreciation and total depreciation. Period Asset Costs

Comprehensive Reporting and Forecasting C omposing reports and forecasts can be a lengthy, arduous, and costly process that is often subject to human error. With its powerful report engine providing more than 100 standard and thousands of customizable reports, Asset4000 removes the need to rely on third party report writers. The production of reports is made simple with Asset4000. Output can be quickly transformed from a summary into a detailed, professional analysis. Reports can be viewed on screen, sent to a printer, emailed or exported to business tools such as Microsoft Excel. A standard approach is used across all types of reports, ensuring a single intuitive method of analyzing and extracting asset information. Asset4000 significantly accelerates the yearend reporting process. As with the Asset Browser, Asset4000 s reporting tool enables users to select data according to a number of parameters including asset type, purchase value, depreciation method, and capitalization date. Reports can be produced for each accounting book set up within the system to show the status of assets at any accounting period. This may be the current period, a past period or a forecast for the end of the year. Three levels of sequencing are available. For example, reports can be ordered according to asset type, cost center and then department. Alternatively, information can be gathered based on a single field. Reports can be configured to begin a new page when sequencing values change.

Taking the Rest of the World into Account S hould, like RAM, you operate in many different countries, international accounting features are imperative. With an increasing emphasis on corporate governance regulations, this requirement is becoming more prevalent. Designed with this in mind, Asset4000 incorporates a range of international accounting features including multi-book and multi-currency functionality, and complies with both US and European accounting standards. Multi-book Core asset information can be shared across any number of books with different sets of figures, enabling compliance with both local and group depreciation policies. Information such as analysis codes, descriptions, acquisition and capitalization dates can remain constant across all books, while details like asset life, depreciation rules and residual values can be book dependent. Transactions such as full or partial disposals, transfers and asset splits can be applied across all books. Asset relifes and revaluations are book specific. Multi-currency Each accounting book can be independently configured to meet international accounting regulations. Asset4000 allows organizations with international locations to manage assets in a centralized asset register along with their US-based assets. Within the asset register, each location can record and report on its own assets in local currency. User-defined exchange rates within the system enable the parent company to easily view and report on the same values in USD. Data Import Wizard With RAM s Data Import Wizard, raw data (in a range of formats) can be directly imported into the asset register. This tool offers a simple way to import new assets and update existing ones. The Data Import Wizard saves users a significant amount of time by eliminating the need to manually enter each asset into the system.

US TAX Compliance R AM enables customers to complete tax documents quicker, easier, and more accurately than ever before. Asset4000 calculates depreciation for federal and multistate tax books, incorporating individual regulations for each of the 50 states. RAM continuously monitors and reviews US tax rules (nationwide) and regularly updates the software to accommodate changes. and if more than forty percent of the assets were capitalized in the fourth quarter, those assets are subject to a reduced depreciation percentage depending upon when the items were placed in service. Users have the option of closing periods for internal books separate from federal and state books. This feature allows organizations to maintain the integrity of asset data for internal auditing purposes and still perform corporate tax calculations at the end of each tax year. Instant access to a comprehensive audit trail significantly reduces financial reporting errors and provides organizations with further control over general accounting activities. Several utilities and reports within Asset4000 enable organizations to complete federal and state-specific tax forms. The US Tax Utility calculates Section 179 charges and Bonus Depreciation for each applicable asset. Asset4000 contains several standard tax reports, including Forms 4562 and 4797, allowing tax accountants to quickly and easily prepare returns. Asset4000 also fully supports the calculation and reporting of Luxury Auto tax depreciation limits. Asset4000 can maintain an unlimited number of books. Depreciation can be calculated for one book, multiple books or all financial books. In addition, users can calculate AMT and ACE schedules along with MACRS, ACRS using Straight Line, Modified Straight Line, Declining Balance, Sum-Of-All-Digits, and other customized depreciation methods. Asset4000 automatically calculates the Mid- Quarter Depreciation Convention Method for MACRS assets. The system analyzes all assets placed in service during a given tax year $$$
