Executive Summary Our proposed solution for University of Oregon includes products from our intuitive, browserbased Yardi Voyager suite for real estate asset and financial management. Yardi Voyager will provide real-time reporting and support enhanced performance for your daily maintenance activities. 4

UNIVERSITY QUESTIONS 1. Executive Summary 1.1. Proposed Solution Based on our current understanding of your needs, we recommend our Yardi Voyager Commercial platform. Yardi Voyager will drastically reduce or eliminate manual processing and time-consuming accounting and reporting procedures with streamlined workflows and automated, rules-driven maintenance management tasks configured to the University of Oregon s business practices. We propose the following components, all built into a single platform and user interface:» Yardi Advanced Maintenance for managing the complete maintenance lifecycle of your assets including every aspect of maintenance, inspections, fixed assets, and inventory from either a desktop or mobile device» Yardi Construction Management for job costing and capital projects» Yardi Advanced Budgeting and Forecasting for quick, accurate, and flexible forecasts and budgeting based on your capital project and maintenance data» Yardi Energy Solutions for utility billing, energy management, and submeter data management that is built into Yardi Voyager and backed by 24/7 live customer service» Yardi Voyager Commercial for end-to-end accounting, workflow management, reporting, and user security» Yardi ETL for managing and automating data integrations with your external systems, such as SCT Banner 1.2. Organization Yardi is a privately held corporation headquartered in Santa Barbara, California. With more than 4,200 staff in 36 regional offices across North America, Europe, Asia Pacific, and the Middle East, we have been developing and supporting software and services for the real estate industry since 1982. Today we support clients in 80 countries managing 8 billion square feet of commercial space and 10 million residential units. 1.3. Project Understanding The University of Oregon Campus Operations is seeking a COTS computerized maintenance management system (CMMS) from a proven and stable provider. The department s 60 staff currently manage maintenance for over 450 buildings. The solution will interface with the University's current document management, workflow, integrated data warehouse, SCT Banner, and external work order source modules. It will allow staff to submit work requests and let the department schedule and report on all types of maintenance in real time from a mobile device. In addition, the new system should increase the department s flexibility in modifying screens and tables, manage floating and complex maintenance schedules, view staff availability, and assist the department in working and assigning resources as efficiently as possible. 5

University Questions On the following pages we respond to the University s questions provided in the RFI. 7

2. University Questions (1) As it pertains to this RFI, provide your firm s history and background. Our Company Yardi Systems, Inc. is privately owned by its founder Mr. Anant Yardi. His two sons, Kevin and Jason, hold senior positions within the company. Since 1982 Yardi has provided PC-based solutions for the real estate industry. The company has grown dramatically over the last three decades to become a leading provider of high-performance, mobile, and Web-based real estate technology. Today we employ over 4,000 dedicated professionals in 35 offices throughout North America, Europe, the Middle East, Asia, and Australia. Our headquarters are located in Santa Barbara, California. After working for nearly a decade with federal, state, and local governments, Yardi created the Government Services Group (GSG) in 2011, based in Santa Barbara, to focus exclusively on the needs of governments worldwide. With a strong client base, Government Services Group is poised to provide leading-edge technology and services across a number of governmental disciplines. Throughout its history, Yardi has consistently introduced solutions that use the newest technologies. In recent years, we have developed and released a suite of portal solutions and mobile applications, streamlined our SaaS hosting platform, and added browser-independent capabilities to our flagship Yardi Voyager suite. Yardi Advanced Maintenance Yardi Advanced Maintenance provides solutions to the following needs identified in the University s RFI:» Asset lifecycle management» A configurable work flow process to track multiple types of capital, facilities and/or maintenance work orders from creation to closure (e.g., issue tickets, preventative maintenance, routine tasks, special projects, etc.)» Robust purchasing and inventory management, integrated with Banner» Preventative maintenance that is time-based or condition-based, determined by observed or measured facts» A mobile technology solution for staff to create, view and update work orders in real time» A mobile technology solution for inventory management» The ability to view staff availability and to schedule and track staff leave and work time. Work hours must be associated with work requests» The ability to organize, maintain and link information to see the history of work performed on specific assets» Strong reporting and management oversight capabilities, including but not limited to: Dashboards Notification alerts Canned reports and ad-hoc reporting features Yardi Advanced Maintenance lets you manage preventative and responsive maintenance tasks for all types of real estate from your desktop or mobile device. This comprehensive solution for facilities management integrates inspections, preventative and reactive maintenance, staff scheduling, and reporting. Streamlined, user-friendly workflows feature intuitive dashboards, calendars, and alerts to speed the maintenance process and ensure exceptional service to your clients. Managers can view employees and assign them to work orders using drag-and-drop functionality. Mobile applications let technicians and facilities managers complete their tasks quickly from anywhere. 9

Comprehensive Maintenance Management Yardi Advanced Maintenance provides complete scheduling, tracking, and management of asset maintenance. You can establish scheduling for preventative, routine, and emergency maintenance. Inventory consumption in the maintenance process is automatically tracked and recorded in Yardi Voyager. A location tracking feature allows you to match technicians with tasks, ensuring rapid response to emergency maintenance requests. Service Contracts Yardi Advanced Maintenance gives you flexibility in contracting services by time or by task. Technicians can be assigned multiple skill sets with associated labor rates for each skill set. Each technician can be assigned to one or more properties. You can also link service contracts to a set of PPM tasks and detail the cost per task. Analytics Yardi Advanced Maintenance includes a variety of reports on tasks, service contracts, asset costs, exceptions, and more to help you manage your maintenance workflows efficiently. You can also develop custom reports to address specific needs. Mobile Maintenance Using Yardi Maintenance Manager Mobile, facilities managers can assign schedules, manage maintenance tasks, and track employee locations on a Google map using GPS. The app helps save time, boost efficiency, and increase tenant and resident satisfaction. It supports Android tablets and ipad. 10

Yardi Maintenance Mobile allows maintenance technicians to access their assigned work orders from the field. They can create new work orders as needed; add technician labor and inventory to work orders; record time and notes; and complete work orders in real time. By providing convenient online access for maintenance technicians, clients can reduce paper distribution, shorten processing times, and keep information in the property management database up to date. The application supports Android, iphone, ipad, and BlackBerry. Yardi Construction Management and Job Costing Yardi Construction Management and Job Costing provides solutions for the following:» Project management capability that includes budget vs expenditure tracking and management Yardi Construction Management is a browser-based, full-service job costing and receivables system designed to help you efficiently manage all types of development through all phases of construction. 11

With Yardi Construction Management, you can easily track all job budgets, budget revisions, job bids, expenses, receipts, draws on construction loans, subcontracts, and more. Yardi Construction Management streamlines operations and increases control over management tasks, so you can expedite completion and maximize the profitability of all your development projects. Strategic Benefits» Automatic over-budget checking» Unlimited database for all job cost records» Drilldown report access to underlying transactions for job cost summary data» Subcontract links to jobs and user-definable subcategories» Ability to select vendors used exclusively for job costing» Improved labor productivity and elimination of manual processes Automated Tracking, Updates, and Charge Creation Yardi Construction Management automatically tracks actual cost totals and compares them to the budget. It updates the job cost and general ledger whenever a transaction is entered, allowing you to catch all charges related to job cost transactions in the system immediately. To bill for a specific invoice or draw, you can automatically create charge amounts based on a user-defined budget amount and a percentage of selected categories. Comprehensive Reporting Yardi Construction Management reports all related change-order budget amounts, amounts billed to date per category, and the draw budget as well as budget, revisions, and bid fields. In addition, overbudget monitoring automatically occurs for every transaction. Increased Flexibility With Yardi Construction Management, you can enter contracts and subcontracts for multiple jobs and/or properties. You can also choose to update the job budget automatically when you enter contract amounts and changes. Yardi Advanced Budgeting and Forecasting Yardi Advanced Budgeting and Forecasting provides budgeting for the following functional need identified in the RFI:» Project management capability that includes budget vs expenditure tracking and management 12

Yardi Advanced Budgeting and Forecasting shortens cycle times, drives workforce efficiency, and promotes collaboration during the budgeting, forecasting, and valuation process. Using real-time Yardi Voyager data on property management, financials, and construction management, it automates budget preparation and valuations for an asset portfolio or single property. Automated workflows and multiple versioned budget worksheets let personnel collaborate to complete and communicate revenue, expense, and capital expenditure projections. Yardi Advanced Budgeting and Forecasting supports strategic investment decision-making and assists you in complying with market-to-market accounting standards by producing fast, accurate portfolio valuations and analyses. Users can create and refresh valuations and forecasts from real-time property and lease data without having to rely on manual spreadsheets or imports from other systems. Multi-national and multi-currency capabilities streamline the management of global investment portfolios. Using Yardi Advanced Budgeting and Forecasting, you can calculate discounted future cash flow projections to determine the net present value and internal rate of return for investments you own or are considering acquiring. Budget worksheets make it easy to analyze assumptions and scenarios, and narrative-and-details reporting clarifies amounts and variances. You can project future revenue from rent increases, recoveries, and market leasing assumptions. Using cash flow estimates, integrated MLAs, and property data, Yardi Advanced Budgeting and Forecasting better analyzes risks and helps determine the best solution for your investment. Job Costing Budgets Yardi Voyager manages job costing budgets for properties in the development stage as well as ongoing budgets for operating properties via Yardi Advanced Budgeting and Forecasting. You can forecast construction costs by adding jobs to your forecasting analyses and budgets. A job refers to a construction project or a phase of a large construction project. If the job already exists in Yardi Construction Management, you can import the job to Yardi Advanced Budgeting and Forecasting and forecast the final cost. Alternatively, if you want to add a job for a property that your organization is considering acquiring, you can set up a new job and budget details directly in Yardi Advanced Budgeting and Forecasting. Job Cost Forecasting Our job cost forecasting functionality makes entering projected costs and monthly budgets easier by automating many tasks and calculations which require manual processes in many other systems. Key job cost forecasting features include:» Forecast Tracking. You can calculate and track project budget forecasts by category and keep a historical record as you reforecast.» S-Curves. When distributing funds to a monthly budget, you can apply a user-defined S-curve formula which will automatically spread the budget into distinct monthly buckets. S-curves must be set up before they can be applied.» Monthly Budgets and Forecasting. This analytic worksheet enables you to preview and edit monthly, quarterly, or annual budgets for the life of the job.» Time Shift. When reforecasting job expenses, you can shift the projected time period to reflect changes in the job schedule.» Page Views and Configuration. You can customize the appearance and display method of the forecasting screen. Yardi Energy Solutions Yardi Energy Solutions provides solutions to the following:» Utility management facility, with the ability to bill various campus units, integrated with Banner Yardi Energy Solutions is the only platform for utility billing, energy management, and submeter data management built directly into Yardi Voyager. Our service organization of energy analysts and customer service representatives, YES Energy Management, offers 24/7 live customer service in the United States and Canada. Our optional energy management services include utility cost recovery, rate and tariff analysis, benchmark reporting, and sustainability solutions. Yardi Energy Solutions lowers utility expenses and supports your green initiatives by reducing energy consumption. It supports both Ratio Utility Billing (RUBS) and submetered utility billing. RUBS can be set up to allocate utility costs based on square footage, occupants, or some combination thereof. Expenses for submetered buildings can be allocated based on actual meter readings with overrides for discrepancies such as master/submeter utility bill differences. Allocated charges are available for preview before posting. All utility charges are posted to the Yardi Voyager database, eliminating the need for error-prone data transfers to and from a separate system. Auto-generated convergent bills 14

leverage other tenant billing data in the centralized system; bills can be mailed or emailed to tenants or made available via COMMERCIALCafé for ACH or credit card payment. All bills are saved as document attachments for reference. Yardi Cloud Services will set up, maintain, and monitor your servers and environments as well as the hosted network. Yardi hosting includes ongoing data backup, off-site disaster recovery, 24-hour performance and security monitoring, and regular software and hardware upgrades. Clients have a dedicated application installation, determine their own software update schedules. Yardi hosts the software in a shared network environment optimized for performance and security. Dedicated virtual servers and premium disaster recovery are available for an additional fee. (4) Please provide a generic approximate timeline for implementation and list any assumptions.
