4 Features for Germany This information provides an overview of features for Microsoft Dynamics AX that are specific to users in Germany. It includes a description of each feature, a list of the forms and fields that are affected by each feature, and procedural information to help you use the feature in your business. The features are available only if the configuration key for Germany is selected. The following features are discussed: GDPdU data export Elektronische Steuereklärungen (ELSTER) DTAZV payment format changes for 2006 GDPdU data export In Germany, tax auditors are allowed by law to digitally access and verify data from electronic bookkeeping systems during the statutory archiving period. There are three different ways to access the data for the tax authorities: Direct access Indirect access Surrender of data media In Microsoft Dynamics AX the surrender of Data media will be done by using the GDPdU data export feature. 5 Create GDPdU definition groups The principles for accessing data and testing digital documents also are referred to as GDPdU. Use the GDPdU definitions groups form to create definition groups for tables and fields that data will be exported from and then sent to a tax auditor. 1. Click General ledger > Periodic > GDPdU data export > GDPdU definition groups. 2. Press CTRL+N to create a new line. 3. Enter a name and description for the GDPdU table. 4. Click GDPdU tables. 5. In the GDPdU tables form, enter a file name and select a GDPdu field to use for the period. 6. To select the tables and fields that contain the GDPdU data needed, click GDPdU fields. 7. In the GDPdU fields form, double-click the table to use and click Next. 8. Press CTRL+N to create a new line. 9. Enter a field name and description. 10. Select the table and a field. 11. Mark the Primary key field, if needed. 12. Repeat steps 8 through 11 to add more fields. Export GDPdU data Use the GDPdU export wizard to export GDPdu data. 1. Click General ledger > Periodic > GDPdU data export > GDPdU data export. 2. Click Next. 3. Select a definition group to export data to and select the dates to include information from. 4. You can click GDPdU tables to view the tables associated with the definition group. 5. Click Next in the GDPdU data export form. 6. Enter the data version and a comment to be included in the XML file.

6 7. Select the following information: A GDPdU version to be included in the XML file. The name and location of the document type definition (DTD) file. The main directory where the XML files are created. 8. Enter the following information. A name for the media data. The capacity of the data media, in bytes. The expected length of the XML file, in bytes. 9. Click Next to export the data. GDPdU tables (form) General ledger > Periodic > GDPdU data export > GDPdU definition groups > GDPdU tables GDPdU definition groups (form) General ledger > Periodic > GDPdU data export > GDPdU definition groups GDPdU fields (form) General ledger > Periodic > GDPdU data export > GDPdU definition groups > GDPdU tables > GDPdU fields GDPdU relations (form) General ledger > Periodic > GDPdU data export > GDPdU definition groups > GDPdU tables > GDPdU relations Define the GDPdU table and file names for a definition group. Create definition groups for tables and fields that data will be exported from and then sent to a tax auditor. Create GDPdU fields and assign Microsoft Dynamics AX fields to them. The information from the fields will be exported and then sent to a tax auditor. Assign a GDPdU field to a related GDPdU table.

7 GDPdU data export (form) Export GDPdU data. General ledger > Periodic > GDPdU data export > GDPdU data export Elektronische Steuereklärungen (ELSTER) All German companies must provide their monthly and quarterly VAT sale and purchase information to the tax authorities electronically. The German tax authorities offer their own approved interface Elektronische Steuereklärungen (ELSTER) for submitting electronic tax declaration. ELSTER can be used to submit several types of tax documents electronically, such as payroll tax declarations, income tax declarations, and several VAT statements, including the Sales VAT Advance Notification information. Click General ledger > Setup > Sales tax > Electronic tax declaration setup. 2. Select the appropriate check boxes. Authentication to Use of proxy server to Proxy server authentication required to 3. Enter the proxy server ID address and port number, if necessary. 4. Click Electronic tax certificates to open the Certificates form and select a user ID and certificates reference.

8 Create and submit an electronic tax declaration Use the Sales tax payment form to create an electronic tax declaration using the information set up in the Electronic tax declaration setup and Electronic tax declaration parameters forms. Use the Electronic tax declaration log form to submit the electronic tax declaration. 1. Click General ledger > Periodic > Sales tax payment > Sales tax payment. 2. Select a settlement period that contains a tax authority with a German tax report layout. 3. Click OK. 4. Click General ledger > Periodic > Sales tax payment > Electronic tax declaration log to open the Electronic tax declaration log form and view the entries for each electronic tax document that is created. 5. Click Submit to submit the electronic tax declaration. Forms for this feature Refer to the following information about forms in Microsoft Dynamics AX that you will use with this feature. Electronic tax declaration setup (form) General ledger > Setup > Sales tax > Electronic tax declaration setup Certificates (form) Set up information about authentication and the use of a proxy server for the electronic tax declaration. Set up one tax certificate for each user. General ledger > Setup > Sales tax > Electronic tax declaration setup > Electronic tax certificates Sales tax reporting (form) General ledger > Periodic > Sales tax payment > Sales tax payment > select a settlement period that contains a tax authority with a Germany tax report layout > OK Create an electronic tax declaration using the information set up in the Electronic tax declaration setup and Electronic tax declaration setup parameters forms.

9 Electronic document file transactions (form) View the electronic tax declaration files that have been created and sent. General ledger > Periodic > Sales tax payment > Electronic tax declaration log > File transactions Proxy settings (form) General ledger > Period > Sales tax payment> Electronic tax declaration log > Submit Electronic tax declaration log (form) General ledger > Periodic > Sales tax payment > Electronic tax declaration log Enter the user ID and password, if required, to submit the electronic declaration payment. This form is displayed only when the Use of proxy server and Proxy server authentication required check boxes are marked in the Electronic tax declaration setup form. View log entries for each electronic tax document that has been created. Company information (form) Basic > Setup > Company information Taxable representative field The supplier of the data for the electronic tax document.

10 DTAZV payment format changes for 2006 Four payment types are supported for creating foreign payment files for Germany: EU standard transfer, Express transfer in Euro, Euro counter-value payment, and Foreign payments. For 2006, if the amount for the EU standard transfer payment type exceeds EUR 12.5000, you must be able to create declaration records. You also must be able to create an EU standard transfer up to the amount of EUR 50.000.
