TriSys Recruitment Software TriSys Recruitment Software TriSys is a comprehensive recruitment software application with integrated customer relationship management (CRM) and state-of-the-art text retrieval engine. TriSys combines contact management and sophisticated CV searching with advanced workflow to produce an industrial strength out-of-the-box solution to any sized recruitment agencies business requirements. In addition to ease of deployment and ease of use, TriSys is supplied with sophisticated design tools to allow system administrators to fit any business process. This can be achieved either through a design-time drag/drop form designer and workflow builder, or by programming the fully exposed business logic engine. A TriSys implementation will typically involve the management of all aspects of recruitment e.g. requirements, candidate searching, shortlisting, placements, timesheets etc.. - TriSys Recruitment Software TriSys - TriSys is a fully interactive Microsoft Windows desktop application. All functions are easily accessible from either a button or menu click. All buttons & menus use graphical buttons to aid accessibility and these can be customised as required. The screen shots shows the list bar on the left which can be fully customised to show button and background images, colours, captions etc.. All toolbars and menus can be customised using the built in form properties manager so that the most commonly used functions are available where they are most needed. Because the application runs in a Windows environment, it is very responsive and makes extensive use of Windows techniques such as drag & drop and cut & paste. TriSys employs a unique window management mechanism to allow forms to be grouped together to create custom views. This ensures that users can easily navigate their way around the system. All windows are scrollable so that the application can be accessed on all devices on all resolutions. - TriSys Recruitment Software TriSys - CRM TriSys is a customer relationship management (CRM) application for managing relationships between all of your customers, clients & candidates alike. CRM is much more than contact management or sales force automation. CRM allows you to manage every single relationship between not only you and your customers, but between all parties. Using TriSys, the business rules which govern the relationships between all client contacts, companies, addresses, candidates, requirements, placements, timesheets etc.. are built into the system. Unlike nonrecruitment specific CRM systems, TriSys understands the business relationships between your contacts and the associated recruitment processes. A typical business process built into TriSys would be the candidate search and shortlisting procedure when a recruiter is working on a client requirement. TriSys allows the recruiter to search, review the CV, shortlist and automatically send a batch of CVs to a client via e-mail from a single action. The recruiter selects how to send the CV (or CV's of many candidates) to the client for this requirement in the action dialogue. ISYS Free Text Search - TriSys Recruitment Software TriSys - ISYS Free Text Search The award winning ISYS Text Retrieval engine is fully integrated into TriSys. The recruiter can specify any word, phrase, paragraph or combinations thereof (boolean logic) and ask TriSys to search through the entire database of CV documents. TriSys will not only find the document within a second, but will display the list of 'hits' within the CV and show the candidate details on-screen, ranked according to your specified criteria. In the example below, the recruiter has specified the free text search SQL // (Java or IEEE or Beans). This asks the ISYS engine to search for CV's where the word SQL is in the same paragraph as Java, IEEE or Beans. TriSys highlights the relevant paragraphs in the CV so that the recruiter can easily find the interesting text. It is worth noting that the ISYS CV searching is fully integrated with other searching techniques e.g. standard fields, skills, post code radial searching, lookups etc.. This means that there is only one search, which has multiple options, rather than having to do separate searches in order to find candidates. ISYS indexes the CV's in advance of searching, usually as a background process. Any CV format can be indexed and searched including Word, RTF, E-Mail, PDF, Text, Excel, HTML etc... CV Auto Recognition - TriSys Recruitment Software TriSys - CV Auto Recognition In order to manage the tens of thousands of new CV's which arrive via e- mail, CD, floppy or are scanned, TriSys has an in-built automatic CV recognition function. opens the new CV and uses an advanced CV rules-based engine to match the TriSys database fields with those found on the CV. New candidate records can be created automatically without any user intervention for fast population of the CV database. Updates to existing candidate records are handled seamlessly and effortlessly by the user. In the example below, the recruiter has identified a batch of CV's which have been received via e-mail. These are automatically copied into the recognition area on the server. The user has asked to be prompted for confirmation of the CV recognition process. TriSys shows the CV contents on the left and allows the user to drag/drop or manually fill in/correct any fields which are not recognised. When the user verifies the record, it is automatically created in the database and the user moves on to the next CV. s - TriSys Recruitment Software TriSys - s TriSys is a fully web-browser enabled application as well as a Windows desktop application. It achieves this by having a single centralised database, but multiple application interfaces to the same database. It is possible using the different 'clients', to use TriSys in a desktop, through a web browser, over the internet or on any web enabled device e.g. cellphone, Pocket PC etc... In the example below, the recruiter operating from an internet cafe, has connected to the agency web site through a web browser in the normal fashion. Once there, the recruiter has clicked on a link to connect him securely to his TriSys system running at the office. When deployed in this manner, the recruiter has access to all TriSys functionality within a web browser. The second web browser interface to the database is that offered to your clients and candidates. s - TriSys Recruitment Software Clients can log into this site through a web browser and maintains vacancies, search for candidates, authorise timesheets. Candidates can search for vacancies, login and apply and enter timesheets. This interface is connected to the same TriSys database as the recruiters are using so all web activity can be backed up by agency workers for a very responsive service. TriSysWeb is completely brandable to reflect the preferred style of the agency. Look at this example of a live site which has been branded. The final web browser interface is TriSys Lite. This is an HTML only client which can be deployed in 'hostile' environments where the agency has no control over their external communications e.g. limited bandwidth, firewall limitations, insufficient finance to purchase servers etc.. TriSys Lite can be hosted by an agency, or an application service provider (ASP) to offer small companies a reliable and 'always-on' web based contact management system. - TriSys Recruitment Software TriSys - TriSys contains sophisticated business rules which govern the relationships between all client contacts, companies, addresses, candidates, requirements, placements, timesheets etc.. which are built into the system. Unlike non-recruitment specific CRM systems, TriSys understands the business relationships between your contacts and the associated recruitment processes. TriSys however, recognises that all recruitment agencies operate in different ways and are each unique in certain respects. In order to allow the existing system business rules to be modified and new processes to be added, TriSys provides designer tools to allow an administrator to maintain workflow business processes. Workflow in TriSys is a series of business stages of any particular work process. This may be sending letters, e-mailing CV's, asking for references, routeing tasks to other departments, sending diary reminders to a group etc.. Workflow is orchestrated in TriSys using Actions. An action is comprised of one or more action functions. Each function can carry out an e-mail, mailmerge, note/history, scheduled-activity, capture form parameters, update the database, invoke a program and finally call another action. Because any number of functions can be chained together, a single action can fulfil many workflow processes. - TriSys Recruitment Software TriSys - TriSys supports very tight integration with both e-mail clients and servers. TriSys can automate e-mail production to the following e-mail client programs: Microsoft Outlook, Outlook Express, Lotus Notes, Novell Group Wise. E-Mails can be rich in content including styles and graphics. TriSys can also record both inbound and outbound e-mail as Note/Histories from both Exchange Server and Outlook folders. This allows copies of all e- mails to be tagged against the associated contact ensuring that a complete history of communication is maintained, even in the case of remote e-mail usage. In the following example, the agency wishes to send out its weekly newsletter to its most loyal clients. An action is created to send an HTML format e-mail detailing the news and this is formatted using the Microsoft Front-Page editor. When the action is invoked for the list of loyal customers, each one receives a personalised e-mail newsletter. A copy of the e-mail is saved against each contact to whom it is sent. When an Exchange e-mail server is deployed, a TriSys component is fully integrated with Exchange Server to capture and read e-mails addressed to known e-mail addresses. - TriSys Recruitment Software It is also possible to capture all inbound e-mails based upon the subject heading. For example, all candidate responding via e-mail to an advertised reference number, can be automatically added to a requirement shortlist and the managing recruiter notified by an alarm. - TriSys Recruitment Software TriSys - Microsoft Office Automation TriSys is tightly integrated with all versions of Microsoft Office. In its simplest form, Word is used to view all CV's directly from a candidate record, or requirement candidate search results grid. Word is also used when viewing historical documents generated by the system. TriSys uses Word templates as the basis of all mail-merging. A Word template is like a normal Word document, but it can point at a data source in order to pull fields into the document from the database when an action is run from TriSys. When an action is run for either a single contact or a range of contacts, TriSys creates a mail-merge letter for each contact in the list. The resulting letter is opened in Word, data is merged into it from the database, a copy of the letter is saved on disk, a note/history linked to the letter is created, and optionally the letter is attached to an e-mail. In the following image, the Word template is customised by adding fields from the TriSys database to the template. When the action is run, Word is automated and the fields from TriSys are merged into the document to create the finished letter. It is not just mail-merging which uses Office automation. All E-mail integration with Outlook is done in this way. All reports generated in the system, can send output into any Office product. - TriSys Recruitment Software TriSys - TriSys can synchronise with mobile telephones running the Pocket PC operating system. The image below shows an O2 xda telephone synchronised with TriSys to show the same client details on the phone as in the TriSys database. This technology allows recruiters to take snapshots (or all) of their contact and calendar details with them whilst 'on-the-road' and synchronise with the TriSys database on return to the office. A mobile telephone using Pocket PC comes with a cradle and USB cable. This allows it to use 'ActiveSynch' to synchronise contacts, calendar, e-mail and tasks with Outlook (or Exchange server). TriSys does 2-way synchronisation with the phone through Outlook so that all contact details updated either in the TriSys database or on the phone are automatically synchronised. - TriSys Recruitment Software TriSys - TriSys can support any number of users and any number of geographically dispersed branches/divisions. TriSys is able to do this because it is built on a reliable & robust database which can scale to support very high volumes of data, transactions and user connections. The example screen shot below shows the Group administrator form from where multiple groups, branches, divisions, offices can be setup. A user can belong to one or more groups so for example, it is possible for a recruiter to belong to the Paris office, and work in the ERP resourcing team. Each user is granted a secure login and password, and each user can view only their own data. Groups can be setup in the same fashion so that each group member can view only their groups contacts/companies etc.. This preserves competition between divisions/offices if that is how the business is run. Developer Tools - TriSys Recruitment Software TriSys - Developer Tools TriSys was designed to be completely customisable so that it can support any recruitment industry process. TriSys has its own form designer tools which allows administrators to design forms using an easy-to-use drag & drop metaphor. The administrator can create fields of any type and drop them onto the form where they are immediately accessible to all users. This can be achieved without any programming. The user can customise tabs, fields, buttons, colours, positions, captions, labels, graphics within the form designer. Click on the image to view in greater detail. Developer Tools - TriSys Recruitment Software In order for administrators to customise the layout and content of the grids throughout TriSys, the Query Designer can be used to specify which columns from what tables are displayed. TriSys Query designer also permits an administrator to design a sophisticated query form which can prompt the user for input. Query views can be customised without any programming. As shown above, most TriSys customisation tasks can be performed by an administrator without the need for any programming. This allows for rapid deployment. However, in order to be fully customisable, TriSys exposes all of its internal programming rules and business logic via the Visual Basic Scripting (VBScript) programming language. Despite the plethora of customisation and configurability tools and techniques, TriSys can be delivered 'out-of-the-box' for most recruitment agencies within a day. TriSys recognises that most recruitment businesses operate using standard workflow business processes, and it provides a database, set of screens, actions, reports and views which comprise a 'standard' recruitment business system. As a result of being able to deploy a standard system, users are easily trained to use the features as the on-line help is always at hand. This can be done either by using a suitable SMS messaging dial-up utility (e.g. SMS-Centre), or by using a Web service to send the text message (e.g. O2). A TriSys action can be customised to pull through the contact mobile telephone number and allow the user to type in a message. When the user presses the Send button, TriSys initiates a conversation with the telecoms provider, logs in and sends an XML text stream containing the message. Post Code Address File - TriSys Recruitment Software TriSys - Post Code Address File TriSys can read and provide very fast access to the address file (PAF) which contains a list of all current UK postal addresses. The PAF data can be used to provide both address look up based upon post code and also radial searching. In this screen shot, the user has entered a wildcard post code and TriSys has looked up all matches in the PAF and offered the user a choice. When the user selects an address, all details are automatically completed in the contact form. This is a very fast and accurate way to fill in contact details and is available in all places in TriSys where address information is gathered. The PAF also contains the grid reference of each post code, so TriSys can provide 'radial searching' capabilities for searching based upon address details. In a typical scenario, a recruiter might search for candidates who live within a 15 mile radius of a client, in addition to having the necessary CV skills. Jobs/Requirements/Vacancies can be automatically uploaded to a job service every minute by the TriSys server, or can be uploaded on demand via an action from a recruiter. All updates to the requirement can be uploaded in the same fashion. By marking the requirement as dead or filled, the job will be automatically removed from the web site. TriSys jobs uploaded in this fashion can contain a direct web link to the vacancy in TriSys Web. This allows candidates to follow a link from the job site directly to you web site from where they can apply on-line. Alerts will automatically pop-up in TriSys and be routed to the recruiter who owne the requirement when a candidate applies in this fashion. TriSys can send jobs using any mechanism, but the most appropriate method to send jobs is via secure Simple Object Access Protocol (SOAP) over the hypertext transfer protocol (HTTP) protocol in the extensible Markup Language (XML) format.
