1 HP TRIM 7.1 Release Notes Introduction to Version 7 HP TRIM 7 is a scalable, policy driven enterprise document and records management solution with automated rules, classification and workflow capabilities. It allows customers to easily capture, search and manage business information from any source, including all Microsoft SharePoint content. HP TRIM 7 is built on a single code base and manages physical and electronic content regardless of source from creation to disposal. Designed to the international standards of records management ISO 15489, HP TRIM software is proven in large Government and regulated industries and can meet the needs of any business. HP TRIM 7 is certified against US DoD 5015.2 V3: Mandatory Requirements Chapter 2 and Chapter 5 Management of Classified Records Chapter 3 Managing Records for the Privacy Act and the Freedom of Information Act Chapter 4 Non-mandatory Features Chapter 6 HP TRIM 7 for SharePoint integration seamlessly manages all SharePoint content including blogs, wikis, discussions, documents, and sites, according to established business rules providing a scalable, policy-driven foundation to your information governance strategy. HP TRIM is transparent for the user, drives efficiency for your business and integrity of your records. HP TRIM 7 document and records management solution is extensible and can capture and manage content regardless of source in one organizational information governance platform. Powerful web services and SDK.NET integration toolkits provide organizations with the tools to capture all business records into one authoritative document and records management solution. HP TRIM 7.1 contains many improvements to existing HP TRIM functionality, there are interface as well as database schema changes. This document gives you an overview of the changes included in HP TRIM 7.1. For details on supported upgrade paths and changes to supported environments, please see Appendix A. Overview of HP TRIM 7.1 This first minor release of Version 7 is part of the planned release cycle and includes fixes to some of the problems that have been reported, but also includes improvements based on findings during the ongoing testing by the HP TRIM product quality assurance team. The development and compilation of this minor release has been undertaken using Microsoft s latest development environment. This means that to deploy this release you will Page 7 of 23
require Windows Installer 3.1 as a minimum. If this version is not present in your environment, an update pack can be downloaded from the Microsoft Web site. This minor release includes all fixes and enhancements that were shipped in the previous release. For details of the previous release, please refer to the relevant release notes. For details on fixes and minor enhancements to the HP TRIM 7.1 clients and servers, please refer to the TRIM7.11_Fixes.htm file. 2 New HP TRIM 7.1 Features HP TRIM Thin Client The HP TRIM thin client is a new deployment model in HP TRIM 7.1. It is designed for users who need to use only HP TRIM integrations and none of the more sophisticated features of the HP TRIM rich client. The HP TRIM thin client installs the components required for integrating HP TRIM with Microsoft Office; shortcuts to HP TRIM rich client applications on the Start menu or Windows Desktop are not created. This gives users the ability to utilize the normal HP TRIM integration behaviour, i.e. opening and saving documents, from within the Microsoft applications that are supported by the HP TRIM rich client (see HP TRIM Desktop Add-Ins below for details). While the installation of the HP TRIM Thin Client requires the same pre-requisites as the HP TRIM rich client, the HP TRIM Thin Client can only be installed from the command line, batch file or script (which can be run via Group Policy). For further detail on installing, repairing, upgrading and removing the HP TRIM Thin Client see TRIM7.11_Install.pdf 64-bit Client installation HP TRIM 7.1 includes a 64-bit client installation. There are now two separate.msi files for HP TRIM HPTRIM_x64.msi for 64-bit environments and HPTRIM_x86.msi for 32-bit environments. Office Add-ins Previous releases of HP TRIM provided a direct integration from HP TRIM with Open Document Management API (ODMA) compliant and e-mail applications. HP TRIM can operate with word processing, spreadsheet and other document authoring applications using the ODMA interface. The integration with Microsoft Office products was a combination of ODMA integration, where supported by the Office application, and COM add-ins where ODMA was not supported, e.g. MS Excel. ODMA support has been removed from Microsoft Office 2010 applications, as well as from any future releases. As HP TRIM 7.1 provides support for MS Office 2010 applications the HP TRIM Desktop Add-Ins have been updated to enable the continued integration between Microsoft Office, ODMA-aware and e-mail applications. HP TRIM Desktop Add-Ins The HP TRIM integration can be enabled during the installation process as well via the Desktop Add-Ins menu (click Tools > Desktop Add-Ins to display the HP TRIM Desktop Add-Ins dialog see Figure 1 - HP TRIM 7.1 Desktop Add-Ins dialog on page 10). This will enable you to access HP TRIM directly from the selected applications when using Open, Save and Save As. If an Organization uses ODMA-compliant authoring applications such as Corel WordPerfect or Oracle Open Office, HP TRIM 7.1 has an option, Integrate HP TRIM with ODMAcompliant authoring applications, to integrate such applications with HP TRIM. This option is only enabled on 32-bit clients. In addition to the changes to the Desktop Add-Ins dialog, a new option has been provided to Options > Integration tab to enable users to Always use the default Record when doing Save As directly with HP TRIM (see Figure 2 - HP TRIM 7.1 Options - Integration tab on page 11). When a default Record Type is set in the Use the following Record Type when creating new documents (optional) field on the Integration tab, the Save and Save As dialogs (see Figure 4 - HP TRIM 7.1 Save To HP TRIM dialog on page 12) will not be displayed when documents are saved directly into HP TRIM. Figure 2 - HP TRIM 7.1 Options - Integration tab As the HP TRIM Integration enables direct access from the authoring application rather than displaying the Windows Open, Save or Save As dialogs, HP TRIM dialogs are displayed instead: The Open menu displays the Select from Records dialog (see Figure 3 - HP TRIM 7.1 Select from Records dialog on page 12). Users can now filter the displayed records by file type from the Select From Records dialog. The Save and Save As menus display the Save To HP TRIM dialog (unless a default Record Type is to be used) (see Figure 4 - HP TRIM 7.1 Save To HP TRIM dialog on page 12). The new Save to HP TRIM dialog in HP TRIM 7.1 now gives users the ability to select the File Type to save the record as, as well as the option to save to Offline records or Local (if the Allow access to Windows File Open and Save Dialogs option is selected on the Integration tab). The concept of the new model is to allow only certain accounts to do HP TRIM impersonations, that is passing login credentials to a Workgroup Server that are different to the login credentials of the calling process, for example the IIS service. This change to the authentication model mainly impacts HP TRIM Web Client, WebDrawer ISAPI and HP TRIM SharePoint Integration, but also may be relevant to SDK.NET applications. The Authorized user accounts that the HP TRIM Workgroup server will trust are added through the HP TRIM Enterprise Studio > General > Miscellaneous properties (see Figure 7 on page 14). Page 13 of 23

3 HP TRIM Feature Enhancements HP TRIM Core Product Support for Microsoft Office 2010 HP TRIM 7.1 provides support for MS Office 2010 applications Word, Excel, PowerPoint and Project. The HP TRIM Desktop Add-Ins have been updated to enable the continued integration between Microsoft Office, ODMA-aware and e-mail applications. See Office Addins and HP TRIM Desktop Add-Ins on page 9 for additional details. Localization of HP TRIM HP TRIM 7 provided language support for: English International English - US French Dutch German Italian Spanish In HP TRIM 7.1 language support has been extended to include: Brazilian Portuguese HP TRIM Render PDF/A Support for PDF/A is being included as a part of the HP TRIM Render module in Version 7.1. PDF /A refers to the format of rendered documents and is the preferred long term archival format for electronic documents. PDF/A is based on the PDF Reference Version 1.4 from Adobe Systems Inc. (implemented in Adobe Acrobat 5 and later), and is defined by ISO 19005-1:2005 Document Management Electronic document file format for long term preservation Part 1 Use of PDF 1.4 (PDF/A-1). HP TRIM Render 7.1 is compliant with PDF/A-1b Level B Compliance in Part 1 of ISO 19005-1:2005. Page 15 of 23
Replacement of Black Ice Drivers The print drivers utilized by HP TRIM Render have been replaced with drivers provided by Onstream. HP TRIM SDK The HP TRIM SDK is now installed by default; there is no option to select it during the installation process. The SDK dll files, trimsdk.dll (COM) and hp.hptrim.sdk.dll (.NET), are installed to the HP TRIM application directory. HP TRIM SharePoint Integration Localization MS SharePoint supports multiple languages as well as local region specific formatting. The HP TRIM SharePoint Integration for 7.1 will provide language support for: English International English - US French Dutch German Italian Spanish Brazilian Portuguese Support for Office 2010 As with the HP TRIM 7.1 Desktop Add-Ins (see HP TRIM Desktop Add-Ins on page 9 for further details)9, the HP TRIM SharePoint integration for 7.1 (for MS SharePoint 2010 environments only) includes support for Microsoft Office 2010 Word, Excel, PowerPoint and Project. Upgrade Path from 7.0.x The HP TRIM SharePoint Integration in 7.1 includes an upgrade path from 7.0.x versions of the product. The HP TRIM SharePoint Integration.msi for 7.1 detects that the product is already installed and upgrades all of the solution s files to newer versions (if required). Remote Blob Storage (RBS) Version 7.1 of the HP TRIM SharePoint integration introduces the ability to use a SQL Server Remote Blob Store (RBS) to store SharePoint documents in a location outside of the SQL Server database. Remote Blob Storage (RBS) is a SQL Server technology that when used in conjunction with SharePoint will cause documents and binaries to be stored in a remote location instead of as binary large objects (BLOBs) in the content database in SQL Server. An implementation of an RBS document provider is included with the SharePoint integration. This implementation uses the HP TRIM document storage technology to store documents. It is not mandatory to use RBS. You may choose not to activate this functionality. This will not affect the functionality or behavior of the integration at all. Remote Blob Storage is only supported with MS SharePoint 2010. RBS is not configured to work automatically by the HP TRIM SharePoint installation, for further details on how to activate RBS see TRIM7.11_SPIntegtationInstall.pdf HP TRIM Web Client Action Tracking The functionality of the HP TRIM Web Client has been expanded to now include support for Action Tracking. Action tracking is used to trace the flow of records and tasks to be performed within your Organization. Action Tracking in the HP TRIM Web Client has been developed to replicate the Action Tracking functionality available in the HP TRIM rich client, with the exception of the creation of new Actions and/or Procedures which will need to be created using an HP TRIM rich client. Removal of Support Meeting Manager HP TRIM Meeting Manager has been made obsolete. DB2 Support for IBM DB2 has been made obsolete. Document Assembly HP TRIM Version 7.1 excludes all Document Assembly functionality. This functionality may be included in a future version of HP TRIM. Customers using Document Assembly in an earlier version of HP TRIM should contact their HP sales representative before upgrading.
