Main Menu - Administration Navigation Task Categories Time Entry Type Member Roles Expense Categories Provides a list of the Categories that can be assigned to a Project Task within a Project record. Task Category templates can be defined so a standard set of Task Categories is applied to every Project by default. Task Categories can help an organization segment and group Project Tasks according to their scope or purpose. These administrative settings would be defined by the organization. Provides a list of Types that can be assigned to a Time Entry record. Time Entry Types can help an organization segment and group Time Entry according to their scope or purpose. These administrative settings would be defined by the organization. Provides a list of the Roles that can be assigned to a Project Team member within a Project record. Member Roles can help an organization define the roles and responsibilities each Project Team Member will serve on a particular Project. These administrative settings would be defined by the organization. Provides a list of Categories that can be assigned to a Expense record. Projects Creating a New Project There are three ways to create a new Project. Creates a new Project record. Creates a new Project record by copying an existing Project record. Creates a new Project record by converting an existing sales Opportunity record. When converting a sales Opportunity to a Project the user also has the option of copying an existing Project record. Hint: Copy Projects Reduce the administrative effort needed to create new project records and maintain consistency across similarly structured Projects by creating standard project templates which new projects can be copied from. The structure of all project information is maintained. Shift Project Allows you to move a Project, Project Milestones, Project Tasks or Related Project Task Activities by a specified number of days WWW.ABLEBRIDGE.

Convert E-mail to Project Task Allows you to create a Project Task from an e-mail Hint: Convert E-mail to Project Task Save time with this convenient option to create a Project task directly from an e-mail. An e-mail can only be converted when it is being viewed in CRM (the e-mail must be tracked in CRM in order to do this). Track e-mails by clicking either Track or Set Regarding from the Outlook Ribbon WWW.ABLEBRIDGE.

Project Form Layout General Tab The General tab is where you define and view basic project information. The Project Milestones grid defines how Project Tasks are grouped by Project Milestone. Milestone dates provide quick visibility into the project timeline and progress of a Project. The % Complete column represents the summary of each Project Task assigned to a specific Milestone. Milestones can also be utilized to group Project Tasks on the Project Task Summary tab. The Project Budget and Billing section defines the Project budget and the method in which billing is accounted for. The Project Billing Rate Type field provides the option of using the bill rate defined for the Project or using bill rates defined for each resource based on the role they play on the Project. Default resource role bill rates are defined in Administrative Settings but can also be changed from the Project Team menu for each individual Project. Actual Hours and Billable Hours for the Project are automatically calculated from the associated Time Entry across all the Project Tasks associated to the Project. Project Task Summary Tab The Project Task Summary tab provides an organized view of a Project s related Project Tasks. Dynamic grouping options can be enabled from the Project Task Summary toolbar. Project Tasks can be grouped by Milestone, Milestone and Target Date, Task Category, Resource or Status. Primary and secondary groups can be defined which provides multiple ways of summarizing a Project for better visibility across the entire Project. Another option, Only Show My Records will only display the Project Tasks owned by the currently logged in user. Inline editing makes it easy for users to quickly edit a Project Task without leaving the Project Task Summary tab. A hyperlink on the Project Task Name allows the users to click through the Project Task form for more detailed reviews and updates. The Export to Excel feature will export the current Project Task Summary view. Hint: Export to Excel Data can be exported with or without formatting. The formatted option is useful for internal or external project status updates. The unformatted version can be used to create pivot tables, additional reports or utilized for data imports. Gantt Chart Gantt Chart The Gantt Chart tab provides a clear view of Project Task Start and Needed By dates. Project Milestone Target Dates are also displayed. Similar to the Project Task Summary form, dynamic grouping options can also be enabled from the Gantt Chart toolbar. Directly edit the Start and Needed By dates for a Project Task by simply dragging or expanding the Project Task marker within the Gantt Chart. You can also launch the CRM record directly from the Gantt Chart. This makes it easy to schedule Project Task and see potential conflicts. WWW.ABLEBRIDGE.

Project Form Common Menu Project Tasks Expenses Project Team Project Milestones Time Entry View or enter new Project Tasks related to the current Project. These will be the same Project Tasks visible under the Project Task Summary tab. Alternatively, you can also enter new Project Tasks from the Project Task Summary tab. View or enter new Project Expenses related to the current Project. View or enter the Project Team resources and the roles they will play on the Project. Additionally, resource role bill rates can be assigned for each project if different resource roles should be billed at different rates versus a standard project bill rate for all resources. The billing method for each Project is defined on the Project form. View or enter new Project Milestones for the current Project. Milestones can be associated to Project Tasks. View or enter time entry for the current Project. Time entered from this menu will create a new Timesheet record if one doesn t exist for this time period or update an existing Timesheet record if one already exists. WWW.ABLEBRIDGE.

Project Task Form Layout General Tab The General tab is where you define and view basic project task information for a specific Project. The Project Category, Milestone, Assigned To and Task Status define how this Project Task could be grouped on the Project Task Summary tab at the Project level. Est. (hrs) indicates the budgeted time allotted to complete the current Project Task. The bill rate defined at the Project level will be used to automatically calculate the Est. ($) for the current Project Task. Actual (hrs) and Billable (hrs) are calculated from the associated Time Entry for the current Project Task. This information is visible in the Project Task form footer. Billable hours are color coded to denote if the current Project Task is under/over the estimated budget. WWW.ABLEBRIDGE.

Expenses Form Layout General Tab The General tab is where you enter and track project expenses. Pre-defined Expense Categories dynamically display relevant fields for each type of Expense. Expense Category and mileage rate values are managed within the Administration menus. WWW.ABLEBRIDGE.

Timesheet Form Layout Timesheet Form The Timesheet form allows a user to quickly enter time in bulk on a weekly basis. Time can be entered against multiple projects and project tasks from the Timesheet form. Time Entry details are captured in the Entry Description section. The Project Task Summary provides insight into how much time has been entered (Actual hrs) vs. estimated (Est. hrs) vs. billed (Billable hrs) for the selected Project Task. Time Entry and Timesheets can follow an approval process based on a company s time review and billing procedures. Time Entry can be associated to an Invoice for direct billing within Microsoft Dynamics CRM. Or it can be integrated billing with Microsoft Dynamics GP or another ERP / Accounting package. Dashboard Charts The Project Management Dashboard can be customized to show information that you find most relevant. You can tweak the default charts or create your own. With a quick glance, you can find a great deal of useful information about your Projects: How many Projects is each PM working on? Which ones? How many Actual and Billable hours are associated with each Project? Are any of my Projects over budget? Which resources are billing the most hours? WWW.ABLEBRIDGE.

What happens if I fall in between user packs? Don t worry if you have 1 extra user, we re not going to require you to buy the next size user pack. You can incrementally add users based on the average cost per user for the primary user pack.
