What is Lync? Microsoft Lync is an enterprise-ready unified communications platform. Unified communication is the integration of telephone, instant messaging, video conferencing, and desktop collaboration into a single platform. It is built to fully integrate with Microsoft Office. The Microsoft Lync 2010 desktop is available for Windows and Mac. Mobile versions are available for Windows Phone, iphone/ipad and Android devices. With Lync users can: 1. Make a phone call. 2. Check Voice Mail. 3. See their contacts availability. 4. Send an Instant Message. 5. Start or join an audio, video, or web conference. What are the CX700 telephone interface features? The features of the Polycom CX700 IP phone are: 1. Graphic Display Shows information about calls, messages, time, date, and other relevant data and allows you to enter commands and select contacts through the touch screen. 2. Presence Status Indicator Indicates your presence state. 3. Scroll wheel Navigates up and down the contact list and other elements of the user interface. 4. Select Key Selects the highlighted information. 5. Help Key Displays help for the currently displayed screen. 6. Microphone Mute Key Mutes local audio during calls so that others cannot hear you. 7. Volume Key Use to adjust the volume of the handset, speakerphone, and headset speaker, and ringer if not in a call. 8. Headset Key Allows you to place and receive calls through an optionally connected headset. 9. Speakerphone Key Allows for hands-free communication during calls. 10. Speaker For ringer and hands-free audio output. 11. Hookswitch and Handset Cradle 12. Dial Pad These 12 keys provide the 10 digits, the 26 alphabetic characters, and special characters available in context-sensitive applications. 13. Fingerprint Reader Allows you to log on to your Polycom CX 700 IP phone with a swipe of your finger. 1

How do I move my old phone service to my new Lync CX700 Telephone? The Lync phone is a new telephone system for the University of Houston. In order to use your Lync phone you need to transfer the service from your Rolm or Cisco phone to your new Lync phone. To Forward service from a Rolm Phone 1. Pick-up the handset, press # 9. 2. Enter 996574and your 5 digit extension. 3. Hang-up the phone. 4. Unplug the network cable from the PC to the new telephone in the LAN port. Take provided network cable, plug into PC port of the new telephone and the PC. To Forward service from a Cisco Phone 1. Pick-up the handset, press CFwdALL on the phone. 2. Enter 79 and your 5 digit extension. 3. Hang-up the phone. 4. Unplug the network cable that runs from the wall to your Cisco phone. 5. Plug that same network cable into your new telephone. 6. Login to your new telephone. Note: Take network cables plugged into Cisco phone and plug into your new telephone. 2

How do I set the PINS for the CX700 Phone? There are four types of PINS that will need to be set up. 1. Voicemail PIN 2. Conference PIN PIN #1: Voicemail PIN There are two ways to set your Voicemail PIN: 1. The Voicemail PIN is setup and changed by accessing the Voicemail at 713-743-6111. 2. Or you can set it in Outlook in Manage Voicemail. Option 1: Calling 713-743-6111 To reset Voicemail PIN: 1. Go to email.uh.edu on Internet explorer (only) 2. Log into your email. 3. Go to options then Voicemail. 4. Click the reset button. 5. Check your inbox to see the new reset PIN in your email. 6. Go to 713-743-6111 (3-6111) or on your Lync Client access Voicemail to reset your PIN. Option 2: Outlook 1. Open Outlook. 2. Go to File. 3. Click Manage Voice Mail. 4. Choose correct settings in Voice Mail section. 5. You will receive a message that your Unified Messaging (Voice mail) has been reset. 3

PIN #2: Conference PIN The conference PIN is accessed through the following options: 1. dialin.central.uh.edu. 2. Online meeting in outlook. Option 1: dialin.central.uh.edu. To create a PIN: 1. In an internet browser go to dialin.central.uh.edu. 2. Click Sign-in and choose Language. 3. Click the Sign in button then enter your CougarNet username and password. 4. Following the criteria on the PIN management screen, enter your PIN in the fields provided to change your Conference ID. Note: If you forget your PIN, you can reset it using the same steps listed above. Option 2: Online Meeting in Outlook 1. Open your Meeting in your Calendar. 2. It s located under the Find a local number. 4

How to calibrate the CX700 phone? Please note: when the phone is set up and turned on follow the instructions to recalibrate it. 1. Press and hold your fingertip on the center of the target. 2. Repeat as the target moves around the screen. Once this process is complete select the option to sign in on the phone. Use your CougarNet ID and password for your initial set up. Initial Setup CougarNet ID and password In the setup screen enter the following: 1. Type in your email (@central.uh.edu). 2. Type in your domain (Cougarnet\UserID). 3. Type in your password. 4. Select Sign in. Create a Fingerprint ID to lock and unlock your phone 1. Swipe the fingertip downward that you want to use to unlock the phone. 2. The fingerprint scanner will take four readings. Swipe your finger print as prompted. How to lock and unlock the CX700 phone? To lock your phone: 2. Select Lock. 3. Your phone is now locked. To unlock your phone: 1. Press Unlock. The PIN entry screen appears. 2. Enter your PIN, and then press OK. 3. If you forgot your PIN: a. Press Forgot PIN. You are prompted to enter the password that you entered when you first logged in. b. Enter your password, and then press OK. c. Enter a new four digit PIN twice, and then press OK. Note: You can unlock your phone by using your Fingerprint 1. In the Setup screen press Advanced. 2. Press the Use the Fingerprint instead. 3. Follow the on-screen instructions to register your fingerprint. 5

How to configure the CX700 phone? To configure the time zone: 2. Select Time Zone, then select your preferred time zone. 3. Press OK to save your changes. To select a ring tone: 2. Select Ring Tones, and then select your preferred ring tone. 3. To hear the selected ring tone, press the Play. 4. Press OK to save your changes. Note: Language settings cannot be changed. The only option for language is English. How to adjust the volume and screen display? To adjust the volume on the ringer, handset, and speaker: 2. Select Volume. 3. Select your desired level for ringer, handset, and speaker volume. 4. Press OK to save your changes or Cancel to exit the Volume screen without making changes. To adjust the brightness on the graphic display to a comfortable level: 2. Select Brightness. 3. Use + or - to select your desired level. 4. Press OK to save your changes or Cancel to exit the Brightness screen without making changes. 6

How to place a call? To place a call: 1. Dial a 5-digit campus extension. 2. Dial a 10-digit off-campus number. 3. Press Call. Note: *You no longer need to use a 9 or 1 to dial off campus. Long distance calls will still require a long distance code. How to answer a call? You can answer a call in three basic ways using your Polycom CX700 IP phone: 1. Press Answer. 2. Lift the Handset. 3. Press the Headset. 4. Press the Speakerphone. To answer an incoming call when you are in another call: 1. Press Answer. 2. The original call is put on hold. How to end a call? To end a call: 1. Press EndCall. 2. Replace the Handset. 3. Press the Speakerphone. 4. Press the Headset. How to redial a number? To redial the last placed call: 1. On the left-hand side of the graphic display, select Contacts. 2. Press Redial. 7

How to use the Voice Mail? To listen to voice messages: 1. Press Voice Mail icon. 2. Choose the voice mail you want to listen to. 3. Press Call Voice. 4. Click Play To delete voice messages: 1. Press Voice Mail icon. 2. Select the message that you want to delete without listening to it, and then press Delete. Note: To check your voice mail from off-campus dial: 713-743-6111. Enter your voice mailbox extension and your PIN. How to place a call on hold? To place calls on hold: 1. During a call, press Answer. This will be indicated on the graphic display by the hold on the graphic display. 2. Press Resume again continuing your call. How to transfer a call? To transfer a call: 1. During a call, press Transfer. The active call is placed on hold. 2. Press Transfer Directly To 3. Then select the contact to which you want to transfer the call. How to host a conference call? To set up a conference: 1. Call the first party. 2. After the first party answers, press the Conference, then press Add Someone. 3. Call the second party. 4. Press Add. To end a conference call: 1. Press EndCall or hang up. 8

How to join a meeting? To view meetings on your phone: 1. On the left-hand side of the graphic display, press the Calendar. 2. Select the meeting you want to attend. 3. Press Join. How to sign out of the CX700 Phone? To sign out of your phone: 2. Select Switch User. 3. Press Yes. 9
