Chapter 2. Work with the IBM Lotus Sametime Connect Integrator for Microsoft Outlook toolbar After installing the Sametime Connect Integrator for Microsoft Outlook software, the Lotus Sametime toolbar is aailable to you. Use the toolbar to perform IBM Lotus Sametime tasks from within Microsoft Outlook. Note: Depending on the features aailable to you, your Lotus Sametime toolbar might hae different icons than shown here. Which tasks are aailable from the IBM Lotus Sametime toolbar? The IBM Lotus Sametime toolbar consists of a series of icons, each of which lets you perform a Lotus Sametime task. The icons that are in your toolbar depend upon which features are aailable to you. In addition, other IBM Lotus Sametime products might become aailable and add icons to your toolbar. This is an example of the Lotus Sametime toolbar in Microsoft Office. Hoer your mouse oer an icon to see a description of what clicking that icon does. Here are the tasks that might be aailable to you in your Lotus Sametime tool bar. Search for Lotus Sametime contacts Open the Lotus Sametime contact list Start a Lotus Sametime chat, oice chat, telephone call, or ideo call with the sender of the selected email, assuming this person is an IBM Lotus Sametime contact who is also logged into Lotus Sametime. In this example, this is Sam Curman. These tasks are aailable from the Call options drop-down menu, as well as from the Tools menu. Start a Lotus Sametime instant meeting. Show the aailability status of the sender of the selected email and right-click the name to display a list of menu options for that person. In this example, this is Sam Curman. Show your current aailability status and message, and your geographic location. Click your aailability status to change it, for example, from I am Aailable to I am Away. the names as they appear in the Outlook object, for example, the To: and cc: fields of an e-mail. The right-click menu on a lie name from the Quickiew contains the same actions as in the Sametime Contact list. Work with IBM Lotus Sametime from Microsoft Office smart tags You can carry out arious IBM Lotus Sametime tasks on Lotus Sametime contacts whose names or e-mail addresses are in Microsoft Word, Excel, and PowerPoint, directly from those applications. Read these topics to learn more. Can you tell me how IBM Lotus Sametime works with Microsoft smart tags? Names in Microsoft Word, Excel, and Powerpoint that are recognized as smart tags are underlined, with an i showing aboe them. For any of these names, you can click the i to show a list of menu options to carry out tasks for that person. Note: See the Microsoft Office Help for more information about smart tags. IBM Lotus Sametime recognizes both names and internet e-mail addresses in the format *.@*.* as smart tags in these applications. If the name or e-mail address corresponds to a Lotus Sametime contact, then the Lotus Sametime menu options become aailable for that contact. The information below describes how Lotus Sametime works with Microsoft smart tags. The Lotus Sametime Connect Integrator for Microsoft Office must be installed to get the smart tag Lotus Sametime features. Initially, the Lotus Sametime menu options might show with an intermediate aailability status, such as (Lotus Sametime) Checking user status - Attempt Chat. If the person is a Lotus Sametime contact, the menu option becomes aailable, for example, (Lotus Sametime) User online - Chat. For Microsoft Office 2003 and Microsoft Office 2007, you must close and open the menu to see this change in status. Microsoft Office XP does not permit menu changes, so the attempt status remains, regardless of whether you open and close the menu. Despite this, if the name or e-mail address corresponds to a Lotus Sametime contact, the menu options become aailable for that person. For Microsoft Office 2003 and Microsoft Office 2007, if the person is not a Lotus Sametime contact or the connection to the Lotus Sametime serer is broken, the status shows as (Lotus Sametime) No matches found. For internet e-mail adress smart tags to work properly, turn off automatic hyperlinks. For Microsoft 2003 or Microsoft Office XP (2002), click Tools Auto-Correct Options, click the AutoFormat As You Type tab, and clear Internet and network paths with hyperlinks. For Microsoft Office 2007, click Options Proof Auto-Correct, click the AutoFormat As You Type tab, and clear Internet and network paths with hyperlinks. See the Microsoft Help for more information. If you add new contacts to your Lotus Sametime contact list, you must re-start Microsoft Office so that these new contacts are recognized by Lotus Sametime as smart tags. You can start an IBM Lotus Sametime chat from smart tags that are in the Microsoft Word, Excel, or PowerPoint applications. 1. Hoer your mouse oer the underlined name or e-mail address smart tag. 2. Click the i aboe the name or e-mail address to display a list of menu options. 3. Click (Lotus Sametime) Chat. Read these topics to learn more. How do I set up Microsoft Outlook so I can create IBM Lotus Sametime meetings? Before you can create IBM Lotus Sametime meetings from your Microsoft Outlook calendar, first install the Sametime Meeting Integrator for Microsoft Office from the downloads page aailable from the Lotus Sametime Meeting Center, if it is not already installed. You must then set a Microsoft Office preference that adds a Sametime tab to the Microsoft Outlook Meeting Request form. The information from this tab is used to create a Lotus Sametime meeting wheneer you create a Microsoft Outlook meeting. 1. In Microsoft Outlook, click Go Folder List. 2. Right-click the Personal Folders/Calendar folder. (Right-click the Calendar tab for Microsoft Vista.) 3. Select Properties. 4. In the Calendar Properties dialog box, click General. 5. In the When posting to this folder, use: field, select ST Online Meeting. 6. Click OK. How do I create an IBM Lotus Sametime meeting? You can create an IBM Lotus Sametime meeting wheneer you create a Microsoft Outlook meeting, proiding an easy-to-use, comprehensie solution for facilitating your corporate on-line meetings. 1. Start Microsoft Outlook. 2. Click the Calendar tab. 3. In the toolbar, click New Meeting Request. 4. On the Appointment tab, complete the fields for your Microsoft Outlook meeting. 5. Click the Sametime tab. 6. Select Include an IBM Lotus Sametime online meeting. 7. Complete the fields for your Lotus Sametime meeting, unless you are using the defaults. 8. Results A link to the Lotus Sametime meeting is included in your Microsoft calendar. How do I specify an IBM Lotus Sametime meeting serer for my meetings? To create an IBM Lotus Sametime meeting in Microsoft Outlook, you must also proide information that is used to connect you to a Lotus Sametime meeting serer. If you do not know how to complete these fields, see your Lotus Sametime system administrator. 1. In Microsoft Outlook, click Tools Options. 2. Click the Sametime Meeting tab. 3. Complete the Sametime user name and Password fields. 4. For the Sametime serer: field, proide the serer Web address (URL) in one of three formats: If your Lotus Sametime meeting serer can be directly accessed by addressing the serer with http, only the serer name is required, for example, sametime.mycompany.com If your Lotus Sametime meeting serer can be directly accessed but requires the secure https protocol, include the protocol prefix in the field, for example, https://sametime.mycompany.com. If your organization has an Enterprise Meeting Serer (EMS) or other customized installation, enter the protocol ( http:// or https:// ) and the full customized path. See your Sametime system administrator if you do not know what to enter. 5. Click OK. How do I create a repeating IBM Lotus Sametime meeting? From your Microsoft Outlook calendar, you can create an IBM Lotus Sametime meeting that repeats oer a period of time. About this task Note: While Microsoft Outlook lets you schedule an unlimited number of repeating or recurring meetings, this is not supported in Lotus Sametime meetings. In addition, if you update a recurring Microsoft Outlook meeting, the updates are not made to the corresponding Lotus Sametime meeting, 1. In Microsoft Outlook, click New Meeting Request. 2. Select Recurrence. 3. Complete the remaining fields in the Appointment Recurrence dialog box. 4. Click OK. How do I update meeting information? You can make changes to information you specified for an IBM Lotus Sametime meeting in Microsoft Outlook before the meeting begins. About this task If you update a recurring Microsoft Outlook meeting, the updates are not made in the corresponding IBM Lotus Sametime meeting. Instead, the meeting chair must click the link to the Lotus Sametime Meeting Center on the Appointment tab to make the updates directly to the Lotus Sametime meeting. 1. Double-click the meeting in your Microsoft Outlook calendar. 2. Update the meeting information. 3. Click Send. What to do next How do I delete a meeting? The updated meeting information is sent in the meeting initation. You can delete an IBM Lotus Sametime meeting just as you can delete any meeting scheduled using Microsoft Outlook. Work with IBM Lotus Sametime 8.5 meeting rooms in the Microsoft Outlook calendar The IBM Lotus Meeting Integrator for Microsoft Office software lets you create and work with Lotus Sametime 8.5 meeting rooms from your Microsoft Outlook calendar. When including a Sametime Meeting Room with an Outlook meeting initation, once you hae selected the Meeting Room, click on the Modify Meeting Room button. Any changes you make take effect immediately. Does changing or deleting a meeting or recurring meetings hae an impact on the meeting room in an initation? Meeting rooms are independent. Click the arrow to put the name on your Lotus Sametime contact list. e. Repeat the aboe step to add additional contacts. f. Click OK. If the contact is already a Lotus Sametime contact, it is added to the group you specified on your Lotus Sametime contact list. If the contact is not already a Lotus Sametime contact, the contact is added as an external contact, if that feature is aailable to your organization. You can hae your IBM Lotus Sametime aailability status automatically change to In a Meeting wheneer you are in a meeting scheduled in your Microsoft Outlook calendar. When your meeting is oer, your aailability status returns to the preious status. 1. In the IBM Lotus Sametime Connect client, click File Preferences. 2. Click Auto-status Changes in the naigator. 3.
