Executive Summary Companies that are required to track their product movements via batches, whether it is a legal requirement or a supply chain integrity need, find it difficult to perform this in an efficient manner. The reason for this is that the complete batch genealogy, for impacted batches both upstream and downstream, cannot be easily determined or reported on. Such tasks can take weeks to complete and it is business critical to find out the root cause of a product batch issue as fast as possible in order to mitigate its impact. SAP Global Traceability SAP Global Traceability is a tool that gives immediate insight into product batch genealogies. It allows fast and efficient analysis and reporting of product batch or multiple distribution records. For example if you have a product issue and need to know all the batches that fed into this product or if you uncover an issue with a raw material that was used for production and you need to list all products and their distribution that have used this raw material. Data transfer principle All batch tracking related events being transferred from ERP ( Management solution) to SAP Global Traceability are material document (goods movement) based, from which other documents such as purchase and process orders are referenced. GBT then fetches the additional data in the referenced documents using an RFC. Please see data transfer principle below based on a SAP ERP system. Process in erp Create PO Mat Doc: GR with ref to PO Create Process Order Mat Doc: Confirm GR/GI to Process Order ERP Integration package for GBT (GBT Transfer Table) Data Transfer batch traceability in gbt GBT schedulder pulls the data from the GBT Transfer table in ERP Purch Item Purch Item Prod. Ord. It is also possible to trace cross system batch information, for example if you receive batch relevant information, from more than one batch management system. You can also integrate non-sap systems into the data transfer.
Functionality You can use the following standard functionality if you have set up GBT as your global product batch traceability system. Web user interface for easy searching The web user interface allows the user to select multiple batches based on various attributes and report on them in a single run. Graphical display of the batch genealogy You can display the global batch traceability network as a graphic to analyze from what components and semi-finished materials the tracked object is produced and in which semi-finished and finished materials the tracked object is used. Furthermore, you can display detailed object information (e.g. plant, storage location, material classifications, etc.) in a separate window and navigate to the source system of the tracked object.
Top- Down where used list You can display the global batch traceability network top-down as a table to determine from what components and semi-finished materials the tracked object is produced and from where the tracked object originated (supplier). Furthermore, you can display additional detailed object information in a separate window and navigate to the source system of the tracked object. Bottom- Up where used list You can display the global batch traceability network bottom-up as a table to determine in which other tracking objects a specific tracked object was used and where the tracking object was sent (customer and ship to party). Furthermore, you can display detailed object information.
The ability to maintain broken links The system supports the maintenance of broken links in the product genealogy. This means that SAP GBT will list all batch relevant materials received without a reference document, such as a purchase order, and you are then able to maintain this information manually. Integration with SAP and Non-SAP s SAP GBT can receive batch information from multiple systems. A standard integration package exists for SAP ERP. Non-SAP systems can be integrated via web services. Integration is also possible with SAP OER for example to retrieve all the serial numbers of a production batch. This helps for example when there is a product batch issue and it is necessary to identify the exact products that could be impacted.
Standard reports SAP GBT provides a range of standard reports for repository data, these reports are available via a one click option and can be easily enhanced. Some examples include: usage list This report shows which other batches a specific batch was used in, and to which customer the batch was sent. distribution list This report can be used to inform business partners (customers) or legal authorities (governments) concerning a product issue. It allows mass processing of tracked batches and lists all contact data of customers or ship-to parties who received an affected batch. stock information This report can be used to display the stock information for a batch. It calls connected ERP systems via a RFC to read the stock information for a batch. It also allows for mass processing of tracked batches.
material balance This report can be used to display the material stock balance for a batch to check whether all usages of a batch have been captured. It determines the goods receipts and goods issues for each batch, plant, and storage location. It calls the connected SAP ERP systems via RFC to read the stock information. It allows mass processing of multiple tracked batches. Difference between ERP Management and GBT The table below shows the difference between ERP Management and Global Traceability. Features ERP Management Global Traceability Top Down / Bottom Up Analyze (Tree View) Yes Yes Top Down / Bottom Up Analyze (Graphical View) No Yes Across system tracing capabilities No Yes Considering Non SAP s No Yes Considering Handling Units, Serial numbers No Yes Considering Non SAP Tracked Objects (e.g. Pallets) No Yes Analyze multiple tracked objects in one run No Yes Identify broken links and maintain batch network No Yes Report (Distribution records) to inform the government office and customers No Yes New data model for high performance No Yes
Benefits of using SAP Global Traceability Complete cross-system product batch traceability delivers the following benefits: You gain immediate insight into your corporate product batch genealogy You may process multiple batches in a single run Fast reporting on the precise identification of the distribution record to drive pinpointed hold, withdrawal and recall actions Comply with regulatory reporting deadlines in case of product issues
