INTRODUCTION Bede s aims to make the examination experience as stress-free and successful as possible for all our candidates. Hopefully, this booklet will provide you with informative and helpful advice. Please read it carefully and show it to your parents or guardians so that they are also aware of the examination regulations and the various procedures. Most public examinations will take place in May and June but you may also have some public exams, such as English and Maths, in November and January. The information in this booklet regarding conduct, equipment and unauthorised materials, such as mobile phones, applies to all your exams, including internal exams. The awarding bodies set down strict criteria and regulations for the conduct of examinations and the school is required to follow them. You should pay particular attention to the JCQ Notice to Candidates and Warning to Candidates in the Appendices. We have tried to answer some of the queries you may have in the FAQ section of the booklet but if there is anything you do not understand or any question that has not been addressed, please ask. If you have any exam queries or need help or advice at any time before, during or after the examinations please contact the Examinations Officer, Mrs L Devereux (contact details on page 1 of this booklet). We know that exam time can feel very stressful so please speak to your Tutor if you are feeling concerned or worried. The Exams Office will do anything we can to help you during this period. 3

BEFORE THE EXAMINATIONS Statement of Entry A few weeks before your exams you will receive something called a statement of entry. It is important that you check the information on your statement of entry and confirm the accuracy with your teachers and inform them of any error. As well as the exam information please check your personal information, such as name and date of birth. It is important that the name which appears on your exam documentation is the same as the name on your passport as this is that name that will appear on your official certificates. Candidate Numbers and Unique Candidate Identifiers (UCIs) On your statement of entry you will see a four-digit candidate number and a 13 character Unique Candidate Identifier (UCI). You may like to memorise your four-digit candidate number as you will be seated in candidate number order. You will also need to write your candidate number on your exam scripts. For your assistance the Exams Office will place a card on your desk for every exam which will give you this information together with the details of the exam you are taking. Timetables A copy of your timetable will be sent to your home at the end of the Spring term for exams in the Summer term. If you have two exams which are scheduled at the same time this is called an exam clash. The Exams Office will make special arrangements for you if this occurs which will usually require you to sit one of the exams either earlier or later that the scheduled time. The Exams Office will inform you separately of these arrangements but if you think you have a clash which has not been resolved then please contact the Exams Officer as soon as possible. Equipment 4

The JCQ Information for Candidates in the Appendices tells you what equipment you can take in to your exams. You may also need to take in to some exams other items such as a protractor, set square and a calculator which conforms to awarding body regulations. Your teachers will be able to advise you on what you may need for your exams. Always make sure you have black ink or black ball-point pens and that anything you bring in to the exam room with you is in a clear pencil case. The School Shop keeps supplies of the things you might need, such as clear pencil cases, and will operate earlier opening times during the exam period to help ensure you have access to everything you need. DURING THE EXAMS At the start of every exam the Senior Invigilator will remind you of the regulations which appear in the Notice to Candidates and Warning to Candidates at the back of this booklet. It is vital that you adhere to these regulations as the school must report any irregularities to the awarding bodies and this could result in disqualification. If you read this booklet and listen to the announcements at the beginning of your exams you can feel confident that you know what these regulations are. It is your responsibility to check your timetable so that you arrive at school on the correct day and at the correct time for your exams. You should arrive no less than 15 minutes prior to the start of your exams and wait quietly outside the exam room until you are invited to enter by an Invigilator. You must wear full school uniform and bring with you any equipment you may need in a clear plastic pencil case. Please also make sure that you have turned off any watch alarms. Food and drink is not routinely allowed in exam rooms, however, you may bring with you a clear bottle of water with the label removed, no bigger than 500ml, but please make sure it has a leak proof spout (sometimes known as a sports cap). Please do not write on examination desks or write or draw anything other than exam answers on your examination paper. If anything inappropriate or 5

offensive is written on an exam paper the awarding body can disqualify you from that exam paper and in some instances ban you from sitting exams. You will be given time at the beginning of your exams to check the subject, unit and tier details on the front of your question paper to ensure you are taking the correct exam. You will also be given time to read the instructions on the front of your exam papers and answer booklets. If you think you might arrive late as a result problems outside your control, for example severe traffic problems, please contact the Exams Office as soon as possible. Depending on how late you think you might be we may need to provide you with some additional support. If you arrive a few minutes late please go straight to your exam room and the Invigilators will assist you. In most cases you will be allowed the full time for your exam. You cannot leave the exam room before the end of the exam but if you finish early you can use the time to check over your answers and ensure you have completed your details correctly. At the end of the exam all work must be handed in. Rough paper is not allowed in exams so all work you have done will be sent to the awarding body for marking. Remember to cross through any rough work and tuck any lose sheets in your answer booklet. You must remain under exam conditions from when you enter the exam room until after you have left the exam room. Any pupil who is disruptive or behaves in an unacceptable manner will be removed from the exam room by the Senior Invigilator or a member of the Senior Management Team. No question papers or answer booklets may be removed from the exam room. The Senior Invigilator will tell you when you can leave the exam room. If you experience any difficulties during the examination period e.g. illness, injury or personal problems which may impact on your exams please tell someone in the school and ask them to let the Exams Officer know. 6

IMPORTANT THINGS TO REMEMBER Do not bring your mobile phone to the exam room. If you inadvertently do so please hand it to an Invigilator immediately. See FAQs for information on the penalties for bringing a mobile, or other electronic equipment, to an exam. Any equipment which provides technological/web enabled sources of information is not authorised in any exam room. Only bring with you the equipment you may need for your exam and make sure it is in a clear plastic pencil case. In the case of an emergency, for example a fire alarm, remain seated and listen to the instructions from the Senior Invigilator. The Invigilators are there to help you but they cannot answer any questions about the exam paper or its contents. If you experience any other problems or have any queries don t be afraid to put your hand up and ask for their assistance. They will help you as best they can within the confines of the awarding body regulations. ABSENCE FROM EXAMINATIONS Only in exceptional circumstances are candidates allowed special consideration for absence from any part of an examination. It is essential that you can provide medical or other evidence and that this is passed to the Examination Officer via a member of teaching staff as soon as possible. For the award of a grade by special consideration, where a student misses part of an examination through illness or personal misfortune, a minimum percentage of the examination (including coursework) must have been completed. Please contact the Exams Officer for further information. Please note that misreading the timetable cannot be accepted as a satisfactory reason of absence. 7

AFTER THE EXAMINATIONS NOTIFICATION OF RESULTS Results will be available on: Thursday 13 th August 2015 (GCE) Thursday 20 th August 2015 (GCSE) Results can be collected from the school from 10.00 am; they will be emailed to each student s school email address later that day. Full details about results days can be found on the school web-site nearer the time. POST RESULTS Full details on enquiries about results, for example re-marks and access to scripts, can be found on the school web-site. Deadlines apply to these awarding body services and these will also be published on the website. CERTIFICATES Certificates are sent to your home address by Recorded or Special Delivery. Certificates from the Summer exams are normally sent out in early November. The school is only obliged to keep certificates for a period of one year after issue. If they are sent back to us as undeliverable, they may be destroyed after the year has elapsed. Certificates cannot be replaced. Please keep the school informed of any change of address between July and November so that your certificates can be delivered to the appropriate address. RESULTS FOR JANUARY AND NOVEMBER EXAMS Results following the January and November exams will be given to candidates in school by subject staff and posted to students home addresses. 8

FREQUENTLY ASKED QUESTIONS Q. What do I do if there s a clash on my timetable? The school will re-schedule papers internally (on the same day) where there is a clash of subjects. The school will decide on the most appropriate arrangements for your clash examinations. Candidates will normally sit one paper then have a break during which they will be supervised and must not have any communication with other candidates. Candidates will then sit the second subject paper. Correct times will appear on your individual candidate timetable. It may be necessary for you to have a packed lunch if you have exams in the morning and afternoon as you will have to remain in isolation until both examinations are completed. Please let the Exams Office know of any dietary requirements. Q. What do I do if I think I have the wrong paper? The Senior Invigilator will ask you to check before the exam starts. If you think something is wrong put your hand up and tell one of the Invigilators immediately. Q. What do I do if I forget my Candidate Number? Candidate Numbers are written on cards which are on your desks and on attendance registers. Invigilators will be able to help you find your number. Q. What do I do if I forget the school Centre Number? The Centre Number is 56400. It will be clearly displayed in the exam room. Q. What do I do if I have an accident or am ill before the exam? Inform the school at the earliest possible point so we can help or advise you. In the case of an accident that means you are unable to write it may be possible to provide you with a scribe to write your answers but we will need as much prior notice as possible. You may need to obtain medical evidence if you wish the school to make an request for Special Consideration on your behalf (see below). Q. What is a request for Special Consideration? Special Consideration is an adjustment to the marks or grades of a candidate who is eligible for consideration. The allowance for Special Consideration is from 0% (consideration given but addition of marks considered inappropriate) to 5% (reserved for exceptional cases). You should be aware that any adjustment is likely to be small and no feedback is ever provided. Candidates will only be eligible for Special Consideration if they have been fully prepared and covered the whole course but performance in the examination or in the production of coursework is 9

affected by adverse circumstances beyond their control. Examples of such circumstances may be illness, accident or injury, bereavement, or domestic crisis. The Examination Officer must be informed immediately, so that the necessary paperwork can be completed and the candidate will be required to provide evidence to support such an application. Q. What do I do if I feel ill during the exam? Put your hand up and an invigilator will assist you. You should inform an invigilator if you feel ill before or during an exam and you feel this may have affected your performance. You must not wait until you have gone home to let the school know. Q. If I m late can I still sit the examination? Provided you are not more than 1 hour late, or you arrive after the scheduled exam finishing time if the exam is of less than one hour duration, then it might still be possible for you to sit the examination. You should get to school as quickly as possible and report to the Registration Office. A member of staff will escort you to the exam room. You must not enter an examination room without permission after an examination has begun. It may not be possible to allow you any extra time if you start the examination late. Please ensure that you allow plenty of time to get to school so that if you are delayed (e.g. through transport problems) you will still arrive on time. Q. If I miss the examination can I take it on another day? No. Timetables are regulated by the exam boards and you must attend on the given date and time. Q. Do I have to wear school uniform? Yes. Normal school regulations apply to uniform, hair, jewellery, make-up, etc. Q. What equipment should I bring for my exams? For most exams you should bring at least 2 pens (black ink only). For some exams you will need a calculator (Maths/Science), a 30cm ruler (marked with cm and mm), pencil sharpener and rubber, compasses, protractor, coloured pencil crayons (not gel pens). 10

You are responsible for providing your own equipment for examinations. You must not attempt to borrow equipment from another candidate during the examination. Q. What items are not allowed into the examination room? Only material that is listed on question paper is permitted in the examination room and students who are found to have any material with them that is not allowed will be reported to the appropriate examination board. In such circumstances, a student would normally be disqualified from the paper or the subject concerned. Bags and coats and any other items not permitted under examination regulations must be left in the care of the Invigilators at the front/back of the room. Do not bring any valuables into school with you when you attend for an examination. No food or drink is allowed in the exam room (apart from water). Mobile telephones or web enabled items must not be brought into the exam room even if they are turned off. Q. Why can t I bring my mobile telephone into the exam room? Being in possession of a mobile phone (or any other electronic communication device, e.g. ipod, headphones, iwatch) is regarded as cheating and is subject to severe penalties from the awarding bodies: The minimum penalties are as follows: Device found on you whether turned on, or off zero marks for that paper If you are found to be using the device in any way, then the awarding body will disqualify you from some or all of your exams in that series. If there is an emergency that requires that you bring a mobile telephone to school, you must switch it off and leave it in a named envelope in the Registration Office before entering the examination room. You are responsible for collecting it at the end of the examination. Q. How do I know how long the exam is? The length of the examination is shown in minutes on your individual timetable under the heading duration. Invigilators will tell you when to start 11

and finish the exam. The finish time of the exam will also be displayed in the exam room. Q. Can I leave the exam early? It is a requirement of the exam boards that you must stay in the examination room for at least one hour after the published start time of the exam (or for the duration of the exam if it is less than one hour). It is not the school s policy to allow candidates to leave the exam room early, as this is disruptive to other candidates. A candidate may not leave the examination room without the permission of the Invigilators. Q. What do I do if the fire alarm goes? The Senior Invigilator will tell you what to do. If you have to evacuate the room leave everything on your desk and leave the room in silence and in the order in which you are sitting. Remember you are under exam conditions during this process. You must not attempt to communicate with any other candidates during the evacuation. You will be escorted to a designated assembly point. When you return to the exam room do not start writing until the Senior Invigilator tells you to. You will be allowed the full working time for the examination and a report will be sent to the awarding body detailing the incident. Q. Can I go to the toilet during the exam? If it is absolutely necessary. You will be escorted by an invigilator and will not be allowed any extra time. Q. Why do I need to check the details on the Statement of Entry? The details on your Statement of Entry will be used when certificates are printed. If the name or date of birth on your certificates does not match your birth certificate or passport it could cause you problems if you are asked to show your certificates to a potential employer, or for college/university at some time in the future. You should also check that the subjects and tiers of entry you are entered for are correct and that no subjects are missing. Q. What do I do if I don t get the grades I need? The Academic Deputy Head and other staff will be available to advise you on results day. If you feel strongly that it is necessary to make an enquiry about your result you should first consult the Head of Department to obtain their advice as to the advisability of requesting a re-mark. You should be aware that your mark could go down as well as up or even stay the same. In addition, there is a charge from exam boards when a remark is requested. Re-mark requests must be submitted to the Examinations 12

Officers by September 15 th for summer exams. You must complete a candidate consent form. 13

AQA City & Guilds CCEA OCR Pearson WJEC Information for candidates For written examinations effective from 1 September 2014 This document has been written to help you. Read it carefully and follow the instructions. If there is anything you do not understand, especially which calculator you may use, ask your teacher. A Regulations Make sure you understand the rules 1 Be on time for all your exams. If you are late, your work might not be accepted. 2 Do not become involved in any unfair or dishonest practice during the exam. 3 If you try to cheat, or break the rules in any way, you could be disqualified from all your subjects. 4 You must not take into the exam room: notes; potential technological/web enabled sources of information such as an ipod, a mobile phone, a MP3/4 player or a wrist watch which has a data storage device. Any pencil cases taken into the exam room must be see-through. Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification. 5 Do not use correcting pens, fluid or tape, erasable pens, highlighters or gel pens in your answers. 6 Do not talk to or try to communicate with, or disturb other candidates once the exam has started. 7 You must not write inappropriate, obscene or offensive material. 8 If you leave the exam room unaccompanied by an invigilator before the exam has finished, you will not be allowed to return. 9 Do not borrow anything from another candidate during the exam. B Information Make sure you attend your exams and bring what you need 1 Know the dates and times of all your exams. 2 Arrive at least ten minutes before the start of each exam. 3 If you arrive late for an exam, report to the invigilator running the exam. 4 If you arrive more than one hour after the published starting time for the exam, you may not be allowed to take it. 5 Only take into the exam room the pens, pencils, erasers and any other equipment which you need for the exam. 6 You must write in black ink. Coloured pencils or inks may only be used for diagrams, maps, charts, etc. unless the instructions printed on the front of the question paper state otherwise. C Calculators, Dictionaries and Computer Spell-checkers 1 You may use a calculator unless you are told otherwise. 2 If you use a calculator: make sure it works properly; check that the batteries are working properly; clear anything stored in it; remove any parts such as cases, lids or covers which have printed instructions or formulas; do not bring into the exam room any operating instructions or prepared programs. 3 Do not use a dictionary or computer spell checker unless you are told otherwise. D Instructions during the exam 1 Always listen to the invigilator. Follow their instructions at all times. 2 Tell the invigilator at once: if you think you have not been given the right question paper or all of the materials listed on the front of the paper; if the question paper is incomplete or badly printed. 3 Read carefully and follow the instructions printed on the question paper and/or on the answer booklet. 4 Fill in all the details required on the front of the question paper and/or the answer booklet before you start the exam. Make sure you fill these details in on any additional answer sheets that you use. 5 Remember to write your answers within the designated sections of the answer booklet. 6 Do your rough work on the proper exam stationery. Cross it through and hand it in with your answers. Make sure you add your candidate details to any additional answer sheets that you use. E Advice and assistance 1 If on the day of the exam you feel that your work may be affected by ill health or any other reason, tell the invigilator. 2 Put up your hand during the exam if: you have a problem and are in doubt about what you should do; you do not feel well; you need more paper. 3 You must not ask for, and will not be given, any explanation of the questions. F At the end of the exam 1 If you have used more than one answer booklet and/or any loose sheets of paper, place them in the correct order. Remember to fasten them together with a treasury tag before you leave. Make sure you add your candidate details to any additional answer sheets that you use. 2 Do not leave the exam room until told to do so by the invigilator. 3 Do not take from the exam room any stationery. This includes the question paper, answer booklets used or unused, rough work or any other materials provided for the exam. 14

This notice has been produced on behalf of: AQA, CCEA, OCR, Pearson and WJEC Information for candidates - controlled assessments This document tells you about some things that you must and must not do when you are completing your work. Before you submit any work for marking, you will be asked to sign an authentication statement confirming that you have read and followed these regulations. If there is anything that you do not understand, you must ask your teacher or lecturer. Controlled Assessment will provide you with an opportunity to do some independent research into a topic. The research you do may involve looking for information in published sources such as textbooks, encyclopedias, journals, TV, radio, and on the internet. Using information from published sources (including the internet) as the basis for your assignment is a good way to demonstrate your knowledge and understanding of a subject. You must take care how you use this material though - you cannot copy it and claim it as your own work. The regulations state that: the work which you submit for assessment must be your own ; you must not copy from someone else or allow another candidate to copy from you. If you use the same wording as a published source, you must place quotation marks around the passage and state where it came from. This is called referencing. Read it carefully and follow the instructions. If there is anything you do not understand, ask your teacher. A Regulations Make sure you understand the rules 1 Be on time for your on-screen test(s). If you are late, your work might not be accepted. 2 Do not become involved in any unfair or dishonest practice during the on-screen test. 3 If you try to cheat, or break the rules in any way, you could be disqualified from all your subjects. 4 Only take into the exam room the materials and equipment which are allowed. 5 You must not take into the exam room: notes; potential technological/web enabled sources of information such as an ipod, a mobile phone, a MP3/4 player or a wrist watch which has a data storage device. Unless you are told otherwise, you must not have access to: the Internet, e-mail, data stored on the hard drive, or portable storage media such as floppy disks, CDs and memory sticks; pre-prepared templates. Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification. 6 Do not talk to or try to communicate with or disturb other candidates once the on-screen test has started. 7 If you leave the exam room unaccompanied by an invigilator before the on-screen test has finished, you will not be allowed to return. 8 Do not borrow anything from another candidate during the on-screen test. B Information Make sure you attend your on-screen test and bring what you need 1 Know the date and time of your on-screen test(s). 2 Arrive at least ten minutes before the start of your on-screen test. 3 If you arrive late for an on-screen test, report to the invigilator running the test. 4 If you arrive more than one hour after the published starting time for the on-screen test, you may not be allowed to take it. 5 Your centre will inform you of any equipment which you may need for the on-screen test. C Calculators, Dictionaries and Computer Spell-checkers 1 You may use a calculator unless you are told otherwise. 2 If you use a calculator: make sure it works properly; check that the batteries are working properly; clear anything stored in it; remove any parts such as cases, lids or covers which have printed instructions or formulas; do not bring into the examination room any operating instructions or prepared programs. 3 Do not use a dictionary or computer spell checker unless you are told otherwise. D Instructions during the on-screen test 1 Always listen to the invigilator. Follow their instructions at all times. 2 Tell the invigilator at once: if you have been entered for the wrong on-screen test; if the on-screen test is in another candidate s name; if you experience system delays or any other IT irregularities. 3 You may be given a question paper or the instructions may be on-screen. In either case, read carefully and follow the instructions. E Advice and assistance 1 If on the day of the on-screen test you feel that your work may be affected by ill health or any other reason, tell the invigilator. 2 Put up your hand during the on-screen test if: you have a problem with your computer and are in doubt about what you should do; you do not feel well. 3 You must not ask for, and will not be given, any explanation of the questions. F At the end of the on-screen test 1 Ensure that the software closes at the end of the on-screen test. 2 If you are required to print off work outside the time allowed for the on-screen test, ensure that you collect your own work. Please read it carefully. We all like to share our experiences when taking examinations. However, it is important to consider what you say. Your comments may lead to an investigation for malpractice and result in the application of a penalty. Awarding bodies monitor social media and websites. They do not wish to see candidates jeopardise their marks or grades as there are significant consequences for anyone caught breaching the rules for examinations, controlled assessment or coursework. The rules are set by the Joint Council for Qualifications CIC (JCQ CIC ) on behalf of all the awarding bodies and can be found at: http://www.jcq.org.uk/exams-office/malpractice Examples of statements or activities that will lead to a malpractice investigation include: copying or allowing work to be copied i.e. posting written work on social networking sites prior to an examination/assessment; collusion: working collaboratively with other candidates beyond what is permitted; allowing others to help produce your work or helping others with theirs; being in possession of confidential material in advance of the examination; exchanging, obtaining, receiving or passing on information by any means of communication (even if just attempting to); passing on rumours of exam content from another candidate. This list is not exhaustive. Other instances of candidate malpractice may be considered by an awarding body. If you are found guilty of breaching any of these rules you could find yourself facing: a warning; the loss of marks for a section, component or unit; disqualification from a unit, all units or qualifications; or a ban from sitting exams for a set period of time. Awarding bodies will undertake the following administrative activities in relation to the processing and exchange of candidates personal data: 1. Personal data relating to the name(s), date of birth, gender, unique candidate identifier (UCI) and unique learner number (ULN) of an individual candidate will always be collected by an awarding body for the purposes of examining and awarding qualifications. In some cases additional information, which may include sensitive personal data relating to health, will also be collected to support requests for access arrangements and reasonable adjustments and/or special consideration. Such personal data will be supplemented by the results of examinations and assessments undertaken by the respective candidate. 2. A candidate s personal data will only be collected from registered examination centres in the context of examination entries and/or certification claims. 3. Such data collected will not be used by an awarding body other than for the administration of the examinations process, conducting assessments and the certification of results claims. 4. Personal data within candidates work will be collected and processed by an awarding body for the purposes of marking, issuing of examination results and providing candidates with access to post-results services. Examination results will be retained for a minimum of forty years. In order for an awarding body to achieve this, some personal information may be transferred to third parties such as examiners, who may in some instances, reside outside the European Economic Area. 21

Awarding bodies may be required to provide a candidate s personal data to educational agencies such as DfE, WG, DENI, The Skills Funding Agency, Ofqual, HESA, UCAS, Local Authorities, EFA and Learning Records Service (LRS). Additionally, candidates personal data may be provided to a central record of qualifications approved by the awarding bodies for statistical and policy development purposes. 6. Some of the information candidates supply will be used by the Skills Funding Agency to fulfil its statutory functions, issue/verify a candidate s Unique Learner Number (ULN) and update/check a candidate s Personal Learning Record. The Skills Funding Agency may share a candidate s ULN and Personal Learning Record with other education related organisations, such as a careers service, a candidate s school or college, Government Departments and public bodies responsible for education. Awarding bodies are obliged to confirm what personal data is held, what it is held for, to whom the data are to/may be disclosed, and disclose the information that they hold about data subjects, (e.g. the candidates) within 40 days of receiving a formal request for disclosure, subject to the application of any relevant exemptions under the Data Protection Act 1998. Candidates should make an application to the appropriate awarding body s data protection officer. Awarding bodies may charge a fee for this service. 8. If you have not reached the age of 16, you may first wish to discuss this Privacy Notice with your parent or legal guardian. Awarding bodies, schools, Department for Education (DfE), Welsh Government (WG), Department of Education Northern Ireland (DENI), Local Authorities, the Office of the Qualifications and Examinations Regulation (Ofqual), Ofsted, and Skills Funding Agency (SFA) are all data controllers under the Data Protection Act 1998 in that they determine the purpose(s) for which personal data (information about living individuals from which they can be identified) is processed and the way in which that processing is undertaken. It is a requirement for data controllers to provide data subjects (individuals who are the subject of personal data) with details of who they are, the purposes for which they process the personal data, and any other information that is necessary to make the processing of the personal data secure and accurate, including any third parties to whom it may be passed to. 22
