Awards and Graduation Purpose This policy outlines the rules for students at Australian Institute of Business (AIB) to receive a parchment and official academic transcript for their course and the rules regarding the graduation ceremony and awards. Procedure 1. Parchments and official academic transcripts a) Issue and Eligibility i. Students will be eligible to receive a parchment and an official academic transcript for their qualification on completion of the requirements for a course. All students must apply to receive their parchment and official academic transcript, using the standard Request Form for Parchment and Request Form for Academic Transcript. It is not an automatic process. The Academic Director will convene a meeting of the Teaching and Learning Committee at regular intervals to approve the results and then forward the minutes to the Academic Board for formal approval of the issuance of qualifications. Each interval has a cut-off date for qualification approvals by which the submission of request forms, and payment where required, must be completed. A parchment and official academic transcript will only be issued after the formal approval of the qualification. These will either be mailed out to students (or their Teaching Centre (TC)) or retained to be presented at an AIB graduation ceremony, at their request. If it is mailed, a postage fee is payable. v. Where a student who is continuing with course requests a parchment and/or transcript for an exit point, fees for the issue of the parchment and transcript are payable. Students must apply to receive their parchment and/or transcript as per clause 1 a) ii above. 1

b) Recipient s Name on Parchment and official Academic Transcript The recipient s name as it appears on the parchment and official academic transcript will be the student s legal name as recorded in the AIB student management system at the time of printing the document. If the student wishes to change their name from what is recorded in the student management system, they will be required to provide a certified true copy of legal documentation. c) Replacement Parchments i. Replacement parchments are only issued if the original is lost or destroyed or the recipient has legally changed their name since the award was made. All replacement parchments are issued on the current official parchment stationery and in the current official format, and will state the parchment is a replacement copy. An original statutory declaration must be provided stating the need for the replacement parchment and, where possible, return the original parchment to be replaced. A replacement parchment fee is payable. 2. Graduation ceremonies a) Attendance at graduation i. Students who have satisfied the requirements of their course and have been awarded a qualification in a particular year may attend the AIB graduation and will be noted in the graduation booklet for that year. If they do not attend, they will be noted in the graduation booklet as in absentia. If a student does not attend the AIB graduation for that year and wishes to attend an AIB graduation in a subsequent year, they may do so provided it is within a reasonable time from the date of issue of the parchment. However, they will not be noted in the graduation booklet for that year. Students are only permitted to attend one graduation for each AIB qualification. However, if the student studied at a TC then they may attend the TC s graduation as well as the AIB graduation (provided it is within a reasonable time from the date of issue of the parchment). If they attend the AIB graduation in the same year that they complete their qualification, they will be noted in the graduation booklet, if they do not attend they will be noted as in absentia and if they attend in a subsequent year they will not be noted in the graduation booklet for that year. 2

Students must complete the registration process to attend the AIB graduation, currently held in Australia. Each TC will coordinate the registration for their respective graduation. A graduation fee is payable by the student in respect of attendance. v. Students may bring guests (ie family and friends) to the graduation. A fee is payable by the student in respect of each guest attending the graduation. As part of the registration process students must confirm the number of guests they wish to bring to the graduation and then make the appropriate payment. A limited number of places will be set aside at each graduation for each student s guests. vi. Students who have not yet satisfied the requirements of their course or whose qualification the Academic Board has not yet approved, may not attend the graduation. b) Academic Regalia i. Students attending a graduation ceremony are required to wear the appropriate AIB academic regalia. The specifications for the AIB academic regalia are set out in Appendix 1. Academic regalia can be hired on payment of the appropriate academic regalia hire fee. The academic regalia which are hired must be returned according to the terms provided at registration. Additional fees will be payable in the event of a late return or if the academic regalia is returned in a damaged condition. v. Students who have not yet graduated or have not satisfied the requirements of their course may not hire or purchase academic regalia. 3. Awards (a) Chairman s and Merit Award i. The Chairman s Award is presented annually to the student who has achieved the highest Grade Point Average above 6.2 in either: the Bachelor of Business Administration or the Master of Business Administration courses. In the event that in a particular year, there is more than one student who has achieved a Grade Point Average above 6.2 in either of these two courses, the student with the highest Grade Point Average above 6.2 will be presented with the Chairman s Award for that course and year. All other students who have achieved a Grade Point Average above 6.2 will be presented with the Merit Award for that course and year. A student must have completed at least 50% of the relevant course with AIB to be eligible for any award. 3

v. The award recipients are identified from the list of students who have completed the relevant course requirements since the cut-off date for the prior year s Graduation ceremony in Australia. (b) Valedictorian Award i. Teaching Centres may choose to award this at their annual Graduation ceremony. The Valedictorian award will be presented to the student who has achieved the highest Grade Point Average in the graduand list in the relevant course for the year in the Teaching Centre.
