Screening Applicants in OneSite The Preiss Company Screening is one of the most important aspects of the Leasing process. OneSite allows us to consolidate all of screening activities within the OneSite Leasing and Rents environment. In this example, we will be screening an Applicant from the Waitlist. After logging in, you should be looking at your personalized dashboard. From this screen, proceed by clicking on the Applicants tab located across the top of your screen.

After navigating to the Applicants tab, select the Waitlist tab in the lower display. (You may need to select Waitlist from the far right drop down menu, in order to view all of the active applicants available on the Waitlist.)

Select Screen Now from the menu by clicking on the More > link beside the desired Applicant s name. Note: If you have not yet added a Co-Signer to the Applicant s Lease, skip this step and continue to the next section to add the Co-Signer before proceeding with the screening process. If you have in fact already added a Co-Signer to the Lease, skip ahead to the section entitled Screening Console.

You can also access the Screening function by choosing the View link beside the Applicant s name. This will bring up the Applicant s Summary Page. On the left side of this page you will also find a link to the Waitlist function.

Adding A Co-Signer Before Screening Before we begin screening, it is advisable to go ahead and add the Applicant s Co-Signer, if one has not already done so. (Note that one may add a Co-signer on a Prospect s Guest Card by utilizing the Save/Add Contact button at the end of the Guest Card.) In this example the Co-Signer has not been added (most likely due to the Applicant touring without the Co-Signer present). To add the Co-Signer referred to in general as a Contact click the New button next to the label Contacts.

Once you have selected the New Contact function you will be presented with the Information page of the Contact. Here you can enter all the required information such as email address and date of birth, making sure that the relationship is set as Co-Signer, and the box beside Cosigner is checked. When you have satisfactorily completed this page, click on the Save Button.

Once you have added the Co-Singer to the Lease of the Applicant, you are ready to proceed with the screening process. Notice that the Co-Signer is listed under the Applicant on the Applicant Summary page.

Select Screen Now from the menu by clicking on the More > link beside the desired Applicant s name.

Screening Console You are now ready to proceed with screening your Applicant, and subsequently, the Applicant s Co- Signer.

You should now be looking at the Resident Screening Dialog. Although you can screen both the Applicant and the Co-Signer simultaneously, it is highly recommended for ease of use that you only perform one screening at a time. Select the student Applicant from the dialog and proceed by clicking the Screen button. You will now be presented with the Primary Applicant page for the screening of the student Applicant. Here you must enter all the required information (red boxes). Pay special attention to make sure that you select the appropriate Applicant type from the Applicant type drop-down menu in the upper right-hand side of the display.

When screening a Co-Signer, you must enter both the Co-Signer s monthly income AND the Co-Signer s valid state-issued driver s license. We will skip these two steps with the student by leaving the monthly income amount blank, and checking the Do not use check box next to the Identification section of the display. This is due to fact that we are only interested in the student s criminal background, not credit. Note that of course this would not be the case if a student was submitting themselves as the Co-Signer. When you have satisfactorily completed this page, click on the Next Button.

If not presented with a No address match found dialog box, skip this page and continue.

If presented with this dialog box, OneSite has searched a database of all the addresses in the United States and determined that there is a discrepancy with the address entered by the user and the address that is found in the database. It is highly advisable to click the Use this address button and use the address that OneSite found in the address database, as this will be used in the screening processing.

You will now be presented with a page which prompts you for your password. This is a security feature designed to keep any sensitive screening results protected. Enter your OneSite password and click on the Submit Button.

You will now be presented with the LeasingDesk screening display. Wait for the screening procedure to complete. You will know the screening is complete when the small circles under the Score header have populated with either red, yellow, or green circles. All Applicants run as student will generally fall into the Approved with Conditions category. The condition being that a Co-Signer is required.

When the screening process has completed, make sure to print any result by clicking the Print button at the top right-hand corner of the display. (Use a paper-less solution if one has been approved for this process.)

Based upon the score returned by the LeasingDesk software, it is time to make a decision on the Applicant. In order to complete this step click on the link labeled Make Decision on the right-hand side of the display.

In this case of a student, the score returned was conditional based upon the student needing a cosigner. Choose the option Approved with conditions final from the drop-down menu on the top right-hand side of the display. If, in this case, we had run a Co-Signer, and all criteria were met, we would select Approved final. Conversely, if the Applicant or Co-Signer had not met the criteria set forth, we would select Denied. Once a decision has been made on an Applicant with conditions (student), select Co-Signer is required from the Conditions menu located on the left-hand side of the display. The Adverse action letters would not apply in the case of a student who passed the criminal check, but in the case of a Co-Signer, that was denied, it is our legal requirement to provide any denied Applicant a copy of the reports we received, so that they may review this information with the assistance of a credit reporting agency. Once the finalized decision is set, click on the button labeled OK in order to close out of the screening process.

The process for screening a Co-Signer is basically exactly the same as screening a student. Simply repeat the above procedure except with the Co-Singer s information. Screening A Co-Signer When screening a Co-Signer, first you must select Co-Signer from the dropdown menu on the top righthand corner of the display. You must then enter both the Co-Signer s monthly income AND the Co- Signer s valid state-issued driver s license. If, in this case, all criteria were met, we would select Approved final. Conversely, if the Co-Signer had not met the criteria set forth, we would select Denied. The Adverse action letters would apply in the case of a Co-Signer that was denied, as it is our legal requirement to provide any denied Applicant a copy of the reports we received, so that they may review this information with the assistance of a credit reporting agency.
