Scomis Remote Backup Service 1 st April 2014 until 31 st March 2015 This service offers remote backup of part or all of a school's data, including SIMS, on a daily basis during term time. The Customer advises Scomis which parts of its data it wants backed up remotely. This means that schools do not need to remember to start a local backup, change tapes or take backup tapes off site. It is a cost-effective, fully managed, reliable and automated backup solution utilising high speed broadband links to backup the Customer's data securely over the internet, provided that the Customer fulfils the Customer Responsibilities and its responsibilities hereunder. Scomis understand and appreciate the importance of our service availability to all of our customers and this Remote Backup Service quotation sets out the level of commitment schools subscribing to Scomis' Remote Backup Service should expect from us. Scomis will: arrange for a Scomis technician to contact you after you sign up to this Remote Backup Service quotation to agree what parts of your data you want backed up and remotely install the client software. The installation will be tested and then scheduled to run at the decided time after school hours. This is usually between 7pm and midnight. However if you require it to be at a certain time, please discuss this with the Scomis technician when they call you to set up the Remote Backup Service. The Remote Backup Service includes automated backup procedure, automated media management, secure off site storage, automatic software updates, easy user interface, full backup reporting, email notification, regular data restore testing, file name search & restore facility, remote management, filtered backup and restore of such agreed data; perform a daily backup of such agreed data on key desktop computers and servers as notified by the Customer in writing to Scomis. Data will be archived for up to 6 months on live data sets. Data will be backed up primarily to servers at Great Moor House, Exeter. After 6 months such data is deleted; mirror a duplicate copy of such agreed data backup to secondary servers at County Hall, Exeter to ensure that even in the case of the main hardware at Great Moor House failing, your data would still be safe;
check every school day during term time for any schools subscribing to this Remote Backup Service that have not backed up and, during term time only, inform the Customer in a timely manner of becoming aware if for any reason the data has not been backed up. Scomis also perform data restores to ensure that the Customer's data that has been backed up can be restored. If our monitoring picks up any problems we will inform you as appropriate; provide advice and assistance to back up the agreed parts of your data in the event of an emergency; provide the client with the information to restore individual files themselves to ensure minimum disruption. The restoration of data by Scomis is not included in the cost of this service, however, assistance with the restoration of data can be provided if requested; provide, where required, assistance via the Service Desk for this process, in order to ensure that the correct data is selected for backup; and keep all information secure in accordance with data protection standards set down within Department for Education guidelines and UK government statutes. However, Scomis will not be held responsible for the following: loss of data due to the Customer or a third party (other than Scomis) changing the selection of data that is to be backed up within the application; lost data due to failed backups caused by the remote backup client, Customer computers and/or Customer servers being switched off or faulty, Local Area Network connectivity problems, Internet outages or the remote link not working; backup failure due to insufficient disk space on the Customer's machines (however, advice can be provided by Scomis if disk space is an issue with your backup client); backup failure due to a Customer's machine exceeding its purchased backup storage limit. Customers can use the application to check the backup limit set and are advised to contact Scomis to upgrade the limit if required; and failure to backup and restore files which do not have Microsoft Windows System access rights.
The Customer will: be responsible for data backup until the first complete backup has been taken onto the Scomis remote backup platform; ensure that, at all times, the Customer's backup client machines, desktops and servers are left switched on and connected to the internet and the remote link is fully operational. If not, the Customer shall be responsible for any failed backup; maintain the size of the Customer's data within the purchased limit or upgrade to a new limit; contact Scomis in advance of any activity that is likely to result in a failed backup such as contracted electrical work and give Scomis reasonable notice of such work; close all applications during the backup window to ensure that backups run smoothly; inform Scomis if any files are encrypted to ensure that measures can be put in place to properly back up these files; ensure that the Microsoft Windows System account has full control to all files and folders you want backed up. Attix, the remote backup software, uses the Microsoft Windows System account to backup your data. By default this account has access to all data on a computer. However, if you have made changes to the permissions then please ensure that the Microsoft Windows System account has full control to these files and folders; and inform Scomis of any databases or services (e.g. Exchange, BSquared, SQL, etc) other than SIMS and FMS that need to be backed up. Other information The first backup will take a lot longer than the subsequent backups, as this is a full backup of all your data. Subsequent backups take only the changes made. On some slower internet connections the initial backup has been known to take considerably longer than expected (in some cases over a week). In these instances the Customer must be prepared to have a back up or contingency in place as Scomis will not have a valid backup until the process has completed. Likewise if any major data changes are made on a system that is connected on a slower internet link, the Customer must be prepared for the backup to again take longer than usual.
Full system restores (where all data has been lost due to, for example, a faulty hard disk) are available upon request and each case will be dealt with on an individual basis and charged accordingly as per the Scomis Reload Service. Scomis Hosted Applications Service (including SIMS) if Customers decide to purchase Scomis' Hosted Applications service, please be aware that, although SIMS data will be backed up on the terminal server, any other documents i.e. confidential letters, website documents, administration documents and spreadsheets etc, will still remain on the Customer's workstation and such data is the Customer's responsibility to backup if necessary. Scomis can provide a remote backup service for SIMS Hosted Applications Service customers at a discounted price subject to a fair storage limit agreement. Subscription Charges Each Customer s computer will be charged an annual licence, maintenance and storage space charge, with the storage space being divided into 30Gb segments. The Scomis Remote Backup Service is easily scalable with schools being able to move up another segment when data grows above the limit. Should this be necessary you will not be charged for the extra amount until your next billing period (unless you move up a number of bands within one billing period). Scomis Remote Backup Service Costs The standard charge for the Scomis Remote Backup Service is POA p/a. This is the base charge (per server) and includes a 30gb data storage limit. Each additional 30gb of storage costs POA p/a.

Curriculum Server with 55gb of data needing to be backed up - POA p/a plus POA p/a (includes 30gb storage limit plus 1 x additional 30gb of storage space required). = POA p/a. Installation or re-installation of the Scomis Remote Backup software may be chargeable in certain circumstances. For example, if a backup client needed to be reinstalled due to the customer or 3rd party uninstalling the software, or if a temporary installation is required to provide a short term backup solution. Any charge will be made at Scomis' discretion and the customer will be notified of all charges prior to any work being carried out.
