Yale University Back Up Child Care Service Program Overview Balancing family and work or academic responsibilities can be challenging. This is particularly true when there are changes to your child care arrangements. As such, Yale University has contracted with Caregivers On Call to provide back up child care for graduate and professional students, post-doctoral associates and fellows, and benefit eligible faculty and staff. The University and Yale parents share in the cost of the care. The cost to the parent is outlined below. Participating families may use the service for up to 40 hours of care per fiscal year (July 1 st -June 30 th ) per Yale household. Please note this service can only be used for work or academic commitments. There is a four (4) hour minimum when using the service. The hourly rate for parents ranges from $7-15/hour depending upon the Yale parents salary and Yale affiliation. If both parents have an active Yale affiliation, the service is limited to 40 hours per household and the lowest of the two rates will apply. Details can be found below. Affiliation and Salary Hourly Rate Minimum Cost (4 hours) Student $7.00 $28.00 Faculty, Staff, & Post Docs earning $9.00 $36.00 under $50,000 Faculty, Staff, & Post Docs $12.00 $48.00 earning between $50,000-$80,000 Faculty, Staff, & Post Docs earning over $80,000 $15.00 $60.00 While you may have your primary child care in place -- school, a relative, a day care center, an in-home caregiver, an after school program -- when this falls through, back-up care must be quickly available. It can be difficult to make last minute arrangements when your child care provider is closed or unavailable. Caregivers On Call selects qualified home care agencies to provide service and evaluates each agency to ensure it meets its strict quality control standards. The care is provided by trained caregivers who work with these home care agencies. Service is available seven (7) days a week, 24 hours a day. Caregivers On Call may require up to four (4) hours notice to meet your request. Yale University Back Up Child Care Service Program Overview Who is eligible? The service is available to Yale graduate and professional students, post-doctoral associates and fellows, and benefits-eligible faculty and staff, who need child care services to attend to their work or academic commitments. What ages of children are covered in this program? Any child 6 months through 12 years of age (or any physically or mentally disabled child under the age of 18 who is unable to care for himself or herself) who resides with you and for whom you provide primary (or shared primary) support. A child may be your (or your domestic partner s) biological or adopted child, or your step child or a child for whom you (or your domestic partner) are the court appointed guardian or for whom you provide foster care. When do I use this service? When you have an unexpected change in work schedule. When your regular child care provider is unavailable When school is closed unexpectedly. When your child is mildly ill. What is considered mildly ill? Your child is mildly ill when he or she is recuperating from an illness, but is still not strong enough to return to his or her usual child care arrangements Your child must not have had a temperature in excess of 102 F in the past 24 hours. Any incidence of acute illness with vomiting, diarrhea, seizures, breathing problems or bleeding problems that require a higher degree of care are excluded from the program. How do I use this service? You must pre-register yourself and your children by completing the attached registration form and sending the signed form via fax or U.S.Mail to Caregivers On Call. The fax number and address are on the form. Within 7-10 days, Caregivers On Call will send you an acknowledgement that they received your registration form. Under most circumstances you will be eligible to use the program services immediately upon receipt of your registration form by Caregivers On Call. To use the program, simply call. Caregivers On Call maintains phone coverage 24 hours per day, 7 days per week. During hours other than regular business hours an answering service will take your message. Your call will be returned within one hour. It is recommended that you notify Caregivers On Call as far in advance as possible. Caregivers On Call may need up to four hours to meet your request. Yale University Back Up Child Care Service Program Overview Care is provided for a minimum of four (4) hours. If cancellation occurs after a caregiver is dispatched, there will be a four (4) hour cancellation fee, equivalent to the rate you would have paid. Note: This may be deducted from the 40 hour maximum per fiscal year. Care may be available for overnight or for a 24-hour period and on weekends if a Yale parent is required to be at work or complete academic responsibilities. Caregivers On Call will make every effort to accommodate you. What happens when I call Caregivers On Calls toll free number 888-899-(CGOC) 2462? A Caregivers On Call representative will take your name and pull up your registration information. They will verify the information on your registration form, ask the days and times you need service, confirm billing information and ask why service is required. If there have been any changes since registering, please be sure to tell the representative at that time. It will be your responsibility to inform Caregivers On Call of any relevant changes. These changes could include: Additional children Change of address Change of salary level or Yale affiliation Care is also available to registered families with children over the age of 12 who are emotionally, developmentally and/or physically challenged up to the age of 18. Be sure to inform Caregivers On Call of any special needs so that they have the opportunity to identify available caregivers with specialized training or experience. A caregiver is then assigned to the case. The Caregivers On Call representative will call you back providing you with the name of the caregiver and confirm the time that the caregiver will arrive at your home. If time permits, the caregiver will call you to introduce himself or herself. What can I expect when the caregiver arrives at my home? When the caregiver arrives at your home, Caregivers On Call requires that you spend at least twenty minutes with the caregiver discussing the day s activities. This discussion provides the caregiver with important information about your child including information about his/her abilities and/or development; his/her likes and dislikes; special vocabulary words/expressions your child uses, and desired and/or permissible activities for the day. Caregivers On Call requests that important information be written up for the caregiver to refer to throughout the time they are providing care. Please be sure to take the extra time into consideration when determining the hours you request. This time is important to help the caregivers understand a plan for the day, familiarize them with your home and be sure your child is comfortable. Caregivers On Call places caregivers who are either certified under state home care training programs or have equivalent childcare experience. All caregivers have been screened by their home care agencies and have had criminal background checks conducted on the state and local levels. Updated 5/12/06 3 of 4
Also please be aware that: Yale University Back Up Child Care Service Program Overview Caregivers are not allowed to dispense medication. Caregivers are not allowed to drive your child in their car or yours. Visitors are not permitted during this time period. If you want the caregiver to release your child to another adult, please inform Caregivers On Call and the caregiver. Be aware that they must have a picture ID to verify their identity. Caregivers On Call will not allow your child or adult to be left with a minor. Payment to caregiver: You will be billed by Caregivers on Call for your portion of the caregiver s fee. Please be sure to sign the employee s time sheet acknowledging service for the hours they were in your home. What are the costs? You pay your share of the cost of care, based on your Yale affiliation and salary, and Yale pays the remainder. You will be billed directly by Caregivers On Call for your share. For three children, there is an additional charge of $2.00 per hour to the parent. A second caregiver will be required in households with four or more dependents and you will be charged accordingly. As noted above, these costs are shared with Yale, at a previously approved subsidy. In the event you need services during a holiday (See above for list of holidays) you will be charged an additional fee. Program and caregiver evaluation: To assist in maintaining the effectiveness of the program, a call is made by the Caregivers On Call staff at the beginning of the case to make sure the caregiver arrived on time and all is well. In addition, a call is made when service ends and a written evaluation form is sent to your home. Please take the time to complete these evaluations, your input helps to ensure a quality program.
