File Center link (Black menu bar) Special Education Reporting November 5, 2015 Dashboards The simplest way to view student demographics and special education student counts for fall PEIMS (as of the last Friday in October) is to select Fall Dashboard from the Dashboards tab (located in the blue menu bar). Dashboards may be viewed for current and previous school years. An individual student s fall PEIMS program enrollment data (current and historical) is easily viewed via the student dashboard. A student dashboard can be accessed by selecting the student from a student list or by using the Search tab. From a student dashboard, select the Enrollment tab. Then select the PEIMS tab to see the fall PEIMS data reported for the student. To view detailed fall PEIMS information for a student receiving special education services, choose the SPED tab. 1
Ad Hoc Reports Student (tab located on blue menu bar) Student Report Center o? Help option to explain the data source and description for each record in the Student Report Center o To create an ad hoc report Select a Record from Student Report Center, Example: Special Education Program Enrollment Select a data element from the Criteria: 1 drop down box, Example: Instructional Setting To further refine your report, select Filter (located to the right of the data element name) This will produce a list of all codes for the data element. Choose the code or codes to include on your report. Or leave the boxes blank and all codes with a value will be on the report. Select additional data elements as needed, For example, add a Criteria: 2 Select the Create Report button To print the report select Print - left corner, black menu bar. Report Options for use with your ad hoc report (Located in upper right corner of the report) Graph Control (Pie, line or bar graph can be created.) Heatmap On/Off (Makes it easier to see high and low points in the data.) Export to Excel o Select download link in bottom left corner. o Select Excel report link to open report in Excel. Bookmark (To save the parameters of the report or to share your report with other ODS users) o To find a list of your Bookmark reports, select Bookmarks (left corner, black menu bar) Click on the report title to view your options: 2
Open (Pops the report open) Share (Drag and drop users name to share the report or to unshare the report bookmark) Edit (Rename with a new report title) Delete (This will delete the Bookmark) Create a new Bookmark Folder to organize your Bookmarks Click number of students to see the list of students Sort the student list by selecting any column heading To manipulate the columns of data select Column Options. (Located above the Local Student ID column in the gray bar.) o To add a column of data to the list Select a Data Type Select a Record Select a Criteria Select a Year Load Changes and Add Column button Tools for use with student list (Located in right corner of first gray bar) o Export to Excel o Bookmark Sample Ad hoc Reports from the Student Report Center Use the Special Education Program Enrollment record to generate ad hoc queries that display special education data for students served on the October snapshot day (the last Friday in October). Special Education Program Enrollment Criteria 1= Grade Special Education Program Enrollment Criteria 1= Instructional Setting Special Education Program Enrollment Criteria 1= Primary Disability Special Education Program Enrollment Criteria 1= Secondary Disability Special Education Program Enrollment Criteria 1= Speech Therapy Special Education Program Enrollment Criteria 1= Tertiary Disability Use the Attendance record to create ad hoc reports that display attendance percents and trends for students served in special education. Attendance- Criteria 1= Special Education Additional Criteria may be added, example: Grade, Campus, or Reporting Period 3
The Discipline Incidents record can be used to display discipline incidents for students served in special education. Disciplinary Incidents Criteria 1 = Special Education Filter= 1 - Participant in pgm or svc + Criteria 2 = Disciplinary Action Code Focus List You can create a focus list of students based on common PEIMS fields. From a list of student names, select the Focus List Controls button. You have the option to create a New focus list or to Append the names in this list to another focus list. An ad hoc report may be created using a Focus List as the data source. Select a Focus List from the Focus List drop down box. Continue by using the Report Center to build an ad hoc report. If the Focus List is displayed in the Focus List box when you click the Create Report button, the Focus List will be the data source for the ad hoc report. Some custom reports have the option to choose a Focus List as the data source. To find a complete listing of the focus groups you have created, select Focus List from the black menu bar. From here you have the option to edit the title of the Focus List, delete the Focus List, duplicate the Focus List, share the Focus List or add new members to a Focus List. 4
Custom Reports 1. Select the Student tab 2. From the Student Data Validation box Fall Student Audit Queries folder or Summer Student Attendance Queries folder o Early Education Students with no SPED Setting or Speech Therapy o Early Education Students with a Special Education Setting of Mainstream 3. From the Student Custom Reports Box FTE Reports folder o Special Education FTE Report o ADA FTE Summary Average Daily Attendance (ADA) Reports folder o Special Education Mainstream Refined ADA Report Miscellaneous folder o Retention report 4. For additional information regarding an ODS custom report, from the Tools drop down menu select Report Info. Assessment (tab located on the blue menu bar) Ad hoc reports may be created for students served in special education using assessment test results such STAAR 3-8, STAAR EOC, or TELPAS by choosing Special ED indicator Code as a Criteria. Many STAAR 3-8 and STAAR EOC Custom Reports have the option to choose a Focus List as the data source. Performance Based Monitoring To view special education related Performance Based Monitoring (PBMAS) reports, select the Accountability tab from the blue menu bar. Then go to the Performance Based Monitoring box. Open the Indicators: Special Education folder to view SPED indicators 1-19. 5
The Actual District Data section is the district s PBMAS data downloaded from the TEA website. The Estimated Results section is calculated by ODS and is based off the most current PBMAS Manual using the summer PEIMS data uploaded by the district to ODS. From the Tools drop down menu, choose Report Info to view TEA s most recent PBMAS manual. Support and Training Use the Support tab to create a ticket or view short training video clips. 6
