1. Introduction This document illustrates the handling and operations of Online Performance Appraisal Management (OPAM). Every employee (Officer and above) is the intended audience of this document. Online Performance Appraisal Management (OPAM) is a computerized solution for recording the details of appraisal process while assessing the yearly performance of an employee. This system will capture the employee record; his appraisers (first and second) comments and points; and then consolidates this information in order to produce a quick and error free appraisal of an employee. 2. 3. How To Use Online Performance Appraisal Management (OPAM) 3.1. How to Get Started Online Performance Appraisal Management (OPAM) is a web-based system and can be accessed via web browser (e.g. Internet Explorer). Internet user can access this system via bank website while VPDN/HO user can access via Electronic News Board (ENB). Following is illustration given for both users:- 3.1.1. For Internet User (Website) To access ZTBL website, open Internet Explorer and enter the www.ztbl.com.pk in the address bar of the browser and press Enter key, internet explorer will display home page of the ZTBL website as shown in the following figure:- To run the system user will click Official Links Official Software OPAM Online Performance Appraisal Management. 3.1.2. For VPDN User (ENB) To access ZTBL website, open Internet Explorer and enter the www.ztbl.com.pk in the address bar of the browser and press Enter key, internet explorer will display home page of the ZTBL website as shown in the following figure:- To run the system click Official Software OPAM Online Performance Appraisal Management.. 3.2. How to Login On the login screen, type PP Number in User Name box and the ISD provided password in Password box. Note: IT Operations department may be contacted for allotment of password. After entering the Verification Code displayed under the box, click Login button to login to the system. If you have entered correct Login Information i.e. user name, password and verification code, you will proceed to the Main Screen, otherwise an error message will be displayed User Manual For Employees-How to Operate OPAM Page 4 of 21
3.3. How to Use Main Screen Once you have successfully logged in to the system, you will get the following Main Screen At the top of the Main Screen, all the options provided by the system are displayed. On selecting any of the given options, the drop down menu will be opened and the user can select any of the options provided in the sub menu. It is to be noted that all option of main screen can be accessed from any opened screen without moving backward. There are following main menu available on the main screen. 1) File It has 2 sub menus:- a) Change Password b) Status Wise Progress 2) Application It has following sub menus:- a) Add Personal Information b) Pending Cases 1st Appraiser c) Pending 2nd Appraiser Cases d) Appraiser Advance Search User Manual For Employees-How to Operate OPAM Page 5 of 21
3.4. How to Change Password User will login to the system and will click File Change Password on the Main Screen. System will display following screen. User will enter Old Password, New Password and then Confirm New Password. User will press Update button System will save the information and password will be changed for this user. Otherwise system will show the appropriate error message to the user. User may repeat above steps. Note: The password should be minimum eight (8) characters long with combination of alphabets and numerals. User Manual For Employees-How to Operate OPAM Page 6 of 21
3.5. How to Check Status Wise Progress? User will use this sub menu to view the progress of his/her subordinates appraisal status. User will login to the system and will click File Status Wise Progress on the Main Screen. System will display following screen. User will select year. Use will select status. The 1) Pending 2) Submitted by employee 3) Submitted by 1st Appraiser 4) Submitted by 2nd Appraiser 5) Review by PMD 6) Employee Not Yet Logged-In User will enter PPNO of required subordinate. In this screen the first and second appraisers PPNO contain the PPNO of logged in user. And this is not editable. User will click on Search button. System will display all Employees to whom logged-in user is either first appraiser or second Appraiser: User Manual For Employees-How to Operate OPAM Page 7 of 21
3.6. How an Employee can fill 1 st Page of PAR Form / How an Employee can add Personal Information in his PAR Form? User will use this sub menu while acting as appraisee. User will use this sub menu to record his/her personal information into the system. This is to initiate the appraisal process. User will login to the system and will click Application Add Personal Information on the Main Screen. System will display following screen. After providing the mentioned information, user will click SAVE button to save the provided information into database. After successful saving, this information will be ready to submit to first appraiser of this appraisee. User will press SUBMIT button to submit this information to his/her first appraiser. After submitting, the information will not be available for editing. The submitted case will be listed in sub menu of Pending Cases of 1 st Appraiser. Note: If there is no year information is showing in above screen system will display year lock message. It means No year is available for entry. In this case user should contact PMD department for further help. On Top of page users 1st Appraiser and 2nd appraiser Information is displayed by system. If this information is blank it means there is no 1st appraiser and 2nd appraiser assigned by PMD department, then please contact PMD department so that they can assign your 1st and 2nd appraiser. 3.7. How 1 st Appraiser can fill PAR Forms of his subordinates? User will use this sub menu while acting as first appraiser. User will login to the system and will click Application Pending Cases 1st Appraiser on the Main Screen. System will display following screen. In this screen user will see only those employees record to which he is acting as 1st appraiser. If User thinks he is missing some employees to whom he is acting as 1st appraiser or he has wrong employee, then please contact PMD department for rectification. In order to appraise as 1st Appraiser User will select Process link to proceed with the appraisee s submitted information. User will select View Detail link to view the appraisee s details provided. This screen will be showing the detail provided by appraisee. User acting as first appraiser, will provide the numeric input in boxes available in column of 1 st appraiser. User will press SAVE button after providing the required numbers. By default this screen will show only one objective. To increase user will provide required number of objectives in Total No of Objectives: text box. System will show text boxes of objectives accordingly. User will provide the required information and press SAVE button. User will provide the BACK button to access the previous page. User will press SUBMIT button to send the saved information to next appraiser of this subordinate. After submission information can not be edited. Note: The setting of first and second appraiser of an employee will be set by PMD administrator before initiating of any employee s appraisal process. 3.8. How 2 nd Appraiser can fill PAR Forms of his subordinates? User will use this sub menu while acting as second appraiser. User will login to the system and will click Application Pending Cases 2nd Appraiser on the Main Screen. System will display following screen. In this screen user will see only those employees record to which he is acting as 2nd appraiser. If User thinks he is missing some employees to whom he is acting as 2nd appraiser or he has wrong employee, then please contact PMD department for rectification. The cases submitted by first appraisers will be shown with Submitted by 1st Appraiser. User will select Process link to proceed with the submitted information. User will select View Detail link to view the appraisee s details provided. This screen will be showing the detail provided by appraisee. User acting as first appraiser, will provide the numeric input in boxes available in column of 1 st appraiser. User will press SAVE button after providing the required numbers. User will provide the required information and press SAVE button. User will provide the BACK button to access the previous page. User will press SUBMIT button to finalize the appraisal process. After submission information can not be edited. User will click on View Final Score link to view the final score attained by appraisee after final submission. 3.9. How to use Advance Search Facility of the system? User will use this option to view the detail of an employee s appraisal process progress. User will login to the system and will click Application Appraisal Advance Search on the Main Screen. System will display following screen. User can search the records by providing several parameters e.g. Employee PPNO, Employee Name, Year or Status. User will press SEARCH button.
