This information is often embedded in unstructured documents that accumulate and can stress operational workflows. Manual processes to manage this content make capturing, storing, and referencing vital information a challenge. Hospitals strive for operational innovation, but are bound by financial limitations that result in the need to handle more information with fewer resources. The Health Information Management (HIM), Patient Financial Services (PFS), Materials Management (MM), Accounts Payable (AP) and Human Resources (HR) departments have documentation requirements and workflows specific to their domains. Invoice Capture Invoice capture leverages document recognition and OCR technology to capture, index, and store high volumes of paper-based and other unstructured invoices (e-mail, file import, etc.) in an electronic format that can be quickly retrieved and accessed within OneContent. Built-in data validations with Enterprise Resource Planning (ERP) solutions allow the capture process to validate extracted information from invoices to maintain the consistency and accuracy of the data imported into OneContent. In addition to data validation, the invoice capture solution populates any missing or incomplete indexing information associated with the captured invoices by cross-referencing pertinent data within the ERP system.

Flexible Integration OneContent is designed to make appropriate content available during day-to-day activities within specific departments of a healthcare Typically the day-to-day activities are driven by applications such as McKesson Supply Chain Management (MSCM) or McKesson Fiscal Management (MFM). As with OneContent Patient Folder EHR integrations, it is critical for OneContent to integrate with your Accounts Payable and Materials Management systems and to provide a seamless user experience. OneContent supports content enablement for MSCM and MFM in addition to any other vendor s AP and MM solution. Helps prevent AP clerks from having to review and hold invoices until the items are received. Audit Requests Auditors come in and want to see all documents relating to a set of checks. OneContent will allow auditors to review the information electronically and can be configured to only give them access to what they requested. Helps reduce the manual labor of having to pull all the invoices from file storage. Workflow can be used to generate a set of tasks for those documents automatically.

Benefit: Helps ensure that auditors only have access to documents related to the checks they requested. Sort check requests by date At some facilities, check requests received into the AP department need to be paid within a designated number of days. In OneContent, check requests can be scanned and routed to a workflow queue for processing. The items in the queue can be sorted by received date to help ensure they process the oldest requests first. There is also alert capability that can be leveraged if items are remaining in the queue close to the designated number of days to meet a deadline. Vendor-based Workflows Invoices can be routed to different AP clerks based on Vendor. Helps reduce the manual sorting required in the mail room. The invoices can be sent to OneContent and routed based on attributes of the invoice. Discrepant Invoices When discrepancies are noticed for an invoice (with total quantity received, total price, line item changes, etc.), those invoices can be routed to a discrepant invoice queue. This queue can be sorted and filtered based on date and can send alerts based on the amount of time the invoice is discrepant and remains in the queue. Helps prevent AP clerks from having paper copies of their invoices around their desk. At some customer sites discrepant invoices were kept at the AP clerks desks (this could be hundreds of invoices based on the facility size). The AP clerks had to periodically review them to see if the goods had been received or the discrepancy had been resolved. Materials Management Requisition Approval Requisitions can be routed to different approvers based on dollar amount. Receiving Leverage workflow to create follow-up tasks to reconcile receiving documents such as packing slips to their associated purchase orders in order to help validate all ordered materials have been delivered and received. Vendor Contracts / Expiration Worklists Leverage workflow to create follow-up tasks to help identify when an action is needed for an expired contract. Upload correspondences as supporting documentation. Vendor Returns Supporting correspondence including photographs and return merchandise authorization (RMA) documentation. Content Metadata With a lookup table to validate key fields and auto-populate other fields, OneContent 17.0 helps reduce errors and save time. This feature also helps reduce indexing mistakes during metadata validation, eliminates extraneous keystrokes and helps reduce misfiles. Content Access With the help of multiple search capabilities, users can access content more quickly. OneContent uses metadata, file or folder name, and full-text keyword to help users efficiently access large amounts of content. Content Life Cycle Content is dynamic and you have to deal with the changes. OneContent 17.0 helps manage the life cycle of your content by providing version control, auditing and the ability to add comments to content versions.
