Now is Finally the Time to Implement an Ophthalmic EHR in Your Practice KeyChart provides comparable efficiency gains for the clinical side of your practice that your Practice Management System has proven to provide for the administrative side. Today your staff would find it difficult to function without your Practice Management System. We have found that offices quickly feel the same way about their Electronic Health Records System once it has been implemented. Comments that we often hear are: What took us so long to do this! We would never go back to documenting on paper. We are definitely a more efficient practice. KeyChart allows you to quickly document findings by a single mouse click or the touch of a stylus pen. Physicians can also create drawings by dragging in pathology stamps that will be saved within the exam summary for complete documentation of the physician s findings. Based on the exam documentation created by the technician and physician, KeyChart will recommend the appropriate eye code and E&M code for the visit. This will keep the practice from under coding exams. "A review of 60,000 audits of physician billing records conducted by the American Academy of Professional Coders (AAPC) client services division in 2012 found that 37% of the records either were undercoded or underdocumented, equating to an average of $64,000 in foregone or at-risk revenue per physician." 1 KeyChart can connect with your diagnostic equipment and laboratories to bring in test results automatically. View Test Results from within KeyChart Bendix, MA J Cracking the code: Top strategies for selecting appropriate E/M levels and documenting patient care, May 25, 2013. http:// medicaleconomics.modernmedicine.com/medical-economics/news/cracking-code

A System Designed for Ophthalmology by Ophthalmologists Each physician can continue to do exams as he/she has always done. KeyChart has enough flexibility to improve the way physicians document, but not too much that they feel as though they have to program the system before it is ever used. KeyChart will not only completely eliminate the chance of losing paper charts, but also automates the day in and day out duties such as prescription refills, referral letters, coding, transcription, etc. As a result of these time savings, we have seen practices actually adding patients to the schedule and making decisions on what to do with the extra space that has been created by not having paper charts to store. These are real benefits from real ophthalmology practices! KeyChart s Patient at a Glance screen is designed to give you a quick overview. A red box around the patient s photograph indicates that not all patient demographic information has been entered for Meaningful Use. A green box indicates all data has been entered. A list of documents within the patient s chart The red color shows this document needs the physician s attention View multiple images simultaneously The patient at a glance screen provides doctors with a quick overview of history for problems, chief complaints, medical history, medications, allergies, CPT codes, new medications, insurance, images and other documents.

The Benefits You Can Have By Using an EHR In Your Practice Increased Profit Margins Increased Revenue Increase in Staff Productivity Consistency Throughout Practice Better Patient Care Reduced Space Taken By Paper Charts Remote Access to Charts Improved Documentation E-Prescribing Meet Meaningful Use KeyChart interfaces with your autorefractor as well as your lensometer. This allows for quick, easy and errorfree documentation. Avoid Penalties Use the IRIS Registry NO MORE LOST CHARTS! The IOP Report will give the Physician a quick reference to the history of the patient s pressures, cup to disc ratio, visual acuity and medications.

CRITICAL Mistakes to avoid when selecting the right software 1. Not choosing a vendor that offers ophthalmic- specific software If the software isn t tailored for ophthalmology, you may not have the option to choose OD or OS in your EHR. You likely wouldn t be able to easily enter refractions and visual acuities. You likely wouldn t have a graph of your intraocular pressures. You may not even have the ability to draw. 2. Not choosing software that is ONC Certified to the 2014 Edition of Health Information Technology If your EHR software is not ONC Certified HIT 2014 Edition, you will not be able to meet Meaningful Use for 2016 and 2017. This means you will automatically be taking the Medicare penalty. You would not be able to file your PQRS from your EHR. 3. Not choosing a vendor with US-based support and training employees If your software vendor is trying to save money by employing overseas contractors to answer your telephone questions, they may not understand your questions and may not be able to provide answers in a timely manner. If the vendor chooses to use outside contractors for training, your training experience may be a waste of time and money if the contractor isn t knowledgeable in the software or if your pre-installation information isn t passed to that person. Even if the contractor knows the software and receives your pre-installation information, you will likely never get to speak with him again after your training. You want trainers who will be available post training to answer questions. 4. Not seeing a full demonstration of the software The best way to know what the software will do for you is to see a demonstration of the software you are interested in performed by a knowledgeable employee. Ask all of your questions. If there are functions your present software does, ask to see how this software performs like tasks. Don t assume that just because your present software offers this feature that the new one automatically will. A good vendor will welcome your questions and will want you to feel comfortable with the software before you buy. 5. Not obtaining a complete quote before purchasing A reputable vendor will provide a proposal showing you what software, hardware (if applicable), training, and support you will receive for your money. They will be able to answer your questions about what kind of hardware you need and what hardware you can use that you already have. They will be able to answer your questions about what kind of Internet connection you will need. Even if you decide not to choose KeyMedical Software, please don t make the same mistakes these practices made...

Don t gamble with your practice! These problems are all too common... Problem: The vendor you chose didn t create a good conversion and implementation plan for your practice s specific needs. Cause: The vendor s implementation staff did not spend time talking with you to determine your needs. They didn t prepare to obtain data from your previous vendor in a timely manner. They didn t prepare interfaces and connectivity prior to your training. Your practice wasn t signed up with the clearinghouse so you could send your claims in a timely manner. Result: Your data isn t converted on time to be put into your new system. Internet and hardware aren t in place when you need them. Claims aren t being paid because you aren t signed up with the clearinghouse. Money isn t coming in. Disaster! How to prevent this: Question your vendor of choice on their implementation process. Talk to references on how their implementation was handled. If you have chosen a vendor and this process doesn t seem to be going right, and if you can t get answers that satisfy you that the process can get on track, check into cancelling this purchase. Problem: Unrealistic expectations from the salesperson Cause: The salesperson didn t spend the time to show you what the software does and doesn t do. Instead, the salesperson answered your questions with answers like, Now you would expect good software to do that, wouldn t you? He didn t tell you or show you how the software performed the feature you asked about, but he led you to believe that his software did what you wanted. Result: You didn t receive the important features and services you expected. How to prevent this: Ask to be shown how a feature works. Most features can be demonstrated, but some features such as sending claims to a clearinghouse or posting ERAs probably can t be demonstrated. Ask references about these features. Our trainers will work with you to tailor the system setup and training to your needs. Our EHR software is certified so you can qualify for the EHR Incentive Program (Meaningful Use). We will provide you with an itemized proposal so you know exactly what is included and won t have unpleasant surprises. Our trainers have years of experience teaching clients how to successfully implement our software to insure your success. Our developers have a great deal of experience in bringing in data from other systems so that you have it on time and correct. We have support staff available to answer any questions that come up once the onsite training concludes. We stand behind our software, installation, training and support. Please don t hesitate to call our references to verify this.

The Choices You Make Today May Have Unwanted Consequences Tomorrow. Software for ophthalmologists is a competitive business, and of course we would love to add you to our list of happy clients. We have been in business since 2002 and have heard numerous testimonials from our clients. We ve also heard good reviews from people who went with other companies. Unfortunately, what is all too common are the horror stories of practices that made the costly decision to move forward with other vendors only to find themselves with a mess on their hands. This is why it s important to really look into the vendor you intend to use. To protect yourself from doing business with vendors that give our industry a bad name, please review the facts outlined below: FACT KeyChart EHR is ONC-ACB certified for 2014 what you need to meet Meaningful Use in 2016 and 2017. You can verify this for us and any other software vendors by going to the http://oncchpl.force.com/ ehrcert website. FACT FACT All KeyMedical trainers are US-based. They aren t fly-by-night, outside sub-contractors who don t know the software and aren t prepared for your installation like some vendors use. Your phone calls and emails are answered by responsive support staff members from our offices near Indianapolis, Indiana. Our staff speak your language and understand your ophthalmology practice s needs unlike some vendors with call centers outside the US. FACT Our software is designed for ophthalmologists with direction from ophthalmologists. Our EHR handles ophthalmic drawing templates, interfaces with your ophthalmic equipment, handles OD, OU,OS with ease, and provides IOP graphs. Our software correctly handles claims, eligibility, patient portal and referrals in and out of your practice. Our point-of-sale optical shop software can handle your glasses, contact lenses and other items sold in your optical shop. Software not designed for ophthalmology may not properly handle left and right eyes. It is unlikely that it can deal with refractions and intraocular pressures. Interfacing with your ophthalmic diagnostic equipment is unusual. Forget about graphing your IOPs, and optical shop software is non-existent. Elizabeth (Liz) Parrott Administrator Raleigh Ophthalmology ASOA President 2013 2014 At Raleigh Ophthalmology, we use KeyMed for our practice management software. It has served us well since 2007 scheduling is quite simple and billing works well with payments received timely. It has customizable reports that capture data in different formats. We added KeyChart (EMR) in 2008. One feature we like a lot is the ability to customize templates based on the sub specialty aspects of our practice. We can also make changes on the fly which reduces the need to call support. We have had technicians join us from other practices with EMR who have remarked how much they like our EMR due to the design and ease of use. It is a certified EMR and we have been able to attest each year for Meaningful Use. -Liz Parrott

20 Point Quality Control Checklist Protect yourself! Here are vital questions to ask. Selecting the right ophthalmic specific software for your practice can be time consuming and confusing. To help you make the right choice for your practice, we provide you with the following checklist. Feature Is the software ophthalmic specific? Does the vendor offer onsite training? Does the vendor offer free webinar training after implementation? Does the vendor offer toll free support? Does the vendor offer prompt responses? Are the vendor's support staff US based employees and not outside contractors? Does the software run in the Cloud if you prefer? Does the software run on your own in house server if you prefer? Can you view and enter data through the software on an ipad, tablet or computer of your choice? Are appointment templates customizable? Can you schedule appointments as far into the future as you want? In addition to electronic claims does the vendor offer automatic posting of Electronic Remittance Advice?
