WRITTEN COMMUNICATION Write on ONE of the following questions: 30 marks/ Question a) You have been asked to write a memo to all staff in the Administration and Reception Departments about the use of the telephone. Mr Matthews tells you to include an instruction that whoever answers the phone, no matter how senior or junior they are, must greet the caller with the name of the firm, and their own name. He also says that at all times, whether making or receiving a call, a member of Status Carriers staff must be pleasant. Here are your notes for the remainder of the message: Personal calls may be received and made but tell the staff they must be brief (outgoing calls to be paid for). There will be a notebook by each phone staff to write in the number they called, and their own name. Give the date, time and duration of call. Remind them that the new system of billing from phone company means all calls can be traced and we know exactly how much each call costs. Write the memo. Question b) The directors of Pitbank Fun Park have asked you to find out how attendance can be improved and to prepare a report. The Park, which has a fair and many other activities, is a place especially designed for children and their families to enjoy themselves for a while. It has not attracted the numbers of visitors that it needs to make a profit. You decide to interview the existing visitors and to ask their opinions on how Pitbank could be improved. You asked 120 visitors how they learned about the Fun Park. You also invited them to suggest changes that they thought could be made to bring in more visitors. Here are your notes of the responses: What had attracted the visitors Recommendation Advertisement No reason given 85 6 29 Comments form visitors You ought to advertise more. I didn t know just how much there was to see and do. I had never heard of it. We just happened to be passing by. It was excellent.
Ideas for improvements The café was not easy to find. When we got there the food was delicious and reasonably priced. I think the entrance fee is too much if you have the family with you. The Park is supposed to be for children so why do you charge them so much? I don t like the name; it sounds like a coal mine! Write the report. Question c) You work in the administration department of the Burbage Community Centre. The Centre organises educational and social activities. Local people, clubs and other groups are allowed to hire rooms for their own functions. Since the number of members attending has usually been about 8, the arrangement was acceptable. Recently, however, we have been advertising for new members, and we have had more than 40 replies. Do you have a meeting room that can accommodate about 50 people on the second Wednesday of next month so that we can invite the prospective members to meet us? We are thinking of 7pm to 10pm. We shall need refreshments. Can you organise them? Please, let us know if it is possible and how much you charge. Yours faithfully Peter Jarvis Secretary
