Video Conferencing Video Conferencing Page 2 of 10 Setting up the VSX 7000s Without PC Content Setting up the VSX 7000s for use in video conferencing without the need to display PC content involves the following steps: 1. Plug the blue connector from the subwoofer into the VSX unit. 2. Plug the audio cable into a microphone and the back of the VSX unit. * 3. Using a network cable plug the VSX unit into a data network jack. 4. Using an S-Video (yellow) or VGA (blue) cable plug the VSX unit into a monitor or projector. ** 5. Plug in the power cord from the Subwoofer. 6. Power on the VSX unit using the power switch. * It is important to make sure the audio cable plugged into the VSX unit is the cable with a filter, not using this cable will result in the microphones not working. Up to 3 microphones can be used in this configuration. ** The VSX units are preconfigured for either S-Video or VGA connections, the appropriate cable must be used for the current configuration. Using a monitor will require using a VGA cable; a projector will typically accept an S-Video cable. When using S- Video there are 5 ports on the VSX7000, the correct S-Video port is located directly to the left of the blue VGA port. If the incorrect port is used the display may show full screen picture of the cameras view but will not display any system screens including the home screen.

Video Conferencing Video Conferencing Page 4 of 10 With PC Content Setting up the VSX 7000s for use in video conferencing with the need to display PC content involves the following extra steps: 1. Connect the Visual Concert to your microphone using an audio cable. * 2. Using the Visual Concert cable; connect the network, headphone, and VGA ports to the corresponding ports on the Visual Concert. 3. Using a network cable; connect the Visual Concert into a data network jack. ** 4. Connect the Visual Concert to a microphone using an audio cable. * Only 2 microphones can be used when using the Visual Concert. ** This step is only required if laptop requires network connectivity. Video Conferencing Video Conferencing Page 5 of 10 External Audio and Video Resources The VSX 7000s can send output to and receive input from multiple devices including camera, monitor, projector, DVD player, VCR, etc. The main S-Video output and VGA output are the only two outputs that will display the home or system screens; all other outputs are for camera or pc content. Generally the VSX inputs are on the top and the outputs are on the bottom. Currently the VSX systems are configured to send audio and video to outputs dynamically for both the near and far site in a conference based on which site is talking; with the exception of PC Content which will override both. Video Conferencing Video Conferencing Page 6 of 10 VSX 7000 Ports Diagram Troubleshooting the VSX 7000s Issues related to the home or system screens not displaying; typically are due to the S- Video cable or VGA connection. Issues related to the microphones not working are typically related to the wrong audio cable being connected to the VSX 7000. System Status Screen Issues with the VSX 7000s can be quickly identified using the system status screen. This screen can be accessed by pressing Help (yellow button) and selecting System, Diagnostics > System Status. This screen provides three types of icons: - The corresponding feature is not present or plugged in - The corresponding feature is functioning correctly - The corresponding feature is not functioning correctly

Video Conferencing Video Conferencing Page 7 of 10 The system status screen should reflect most options with a green arrow, the grey square will be displayed for Firewall as this feature is not used. You may also notice the grey square beside Visual Concert when you are not using that equipment. If the incorrect audio cable is used for the microphone, a grey square will also be displayed. A red arrow beside IP Network typically indicates a problem with connectivity and may result in Time Server, Global Directories, and Gatekeeper either displaying red or grey. The status light of the VSX system is located on the lower front of the unit and provides current status information using colour and activity. Video Conferencing Video Conferencing Page 8 of 10 Using the VSX 7000s Making an internal call (within scdsb network) To place a call by entering a number: 1. In the dialing field, enter the dialing information. The dialing information will look like this: 11777 (E.164 extension) 3. Press Call on the remote control to place the call. Call progress indicators appear on the screen to show that the call is in progress. When the indicators turn green, the call is connected. To place a call from the directory: 1. Press the Directory button on the home screen. 2. Select the entry to call. 3. Press the Call button to place the call. To hang up from a call: 1. Press the Hang Up button on the remote control. 2. If prompted, confirm that you want to disconnect from the far site(s). Requesting a multipoint call To request a multipoint call, contact the helpdesk at extension 11777. The helpdesk will require contact and connection information for participants of the conference including phone number or email address and IP address or ISDN number, and extension if applicable. The helpdesk will arrange a test call with participants prior to the scheduled conference to ensure all participants can connect.

Video Conferencing Video Conferencing Page 9 of 10 Calling into SCDSB from outside To call into a unit from outside the school board: 1. In the dialing field, enter the IP address (205.91.96.95), ##, followed by the extension of the unit: 205.211.96.95##11777 2. Press Call on the remote control to place the call to the board. Making an external call To place an external call: 1. In the dialing field, enter the dialing information, i.e. 10.11.12.13 (IP address) 19782922854 (ISDN number) 2. Enter any additional information needed for the call. The available settings depend on the type of call. Not all calls require these settings: Second ISDN number Use two numbers only when the person you are calling instructs you to do so. Extension If you need to dial an extension (E.164 address), enter the extension in the dial string proceeded by ##. For example to call IP address 205.211.96.95 with extension 25255 the dial string should be 205.211.96.95##25255. 3. Press Call on the remote control to place the call. Call progress indicators appear on the screen to show that the call is in progress. When the indicators turn green, the call is connected.
